5 GEOMANAGER DASHBOARDS User Guide Introduction 1 This document provides an overview of GeoManager Dashboards, which allow you to create your own flexible self-service analytic reports using the embedded MicroStrategy Dashboard feature. Analytic reports Analytic reports allow you to interrogate and manipulate your GeoManager data so that you can discover patterns, trends, and relationships that might otherwise be hidden or difficult to see. The self -service reports that you can create yourself are built upon special predefined data structures, or datasets, that contain aggregated data and are specifically designed so that you can navigate and view the data in different ways. Datasets are formed when raw data is taken from the GeoManager database and then aggregated, transformed, and stored in the Data Warehouse. A dataset consists of attributes and metrics. Metrics are the actual data values, whilst attributes are ways of categorizing these values. For example: GeoManager collects raw information about the fuel that is used each day by the vehicles that belong to your business. The fuel data is therefore considered to be a metric. The predefined FM Device Diagnostics dataset contains the aggregated fuel data in other words, the weekly, monthly and yearly totals of the fuel that has been used and categorizes it by organization (team), device (vehicle), and employee (driver). These categories are the data s attributes. 1

6 INTRODUCTION Analytic reports You could, for example, use the FM Device Diagnostics dataset to create an analytic report that shows monthly fuel usage by device: A dataset s major benefit is the flexibility it gives you to define your own view of the data. For example, instead of seeing fuel usage by device, you can rearrange the grid to show monthly fuel usage by organization instead: The following sections describe the parts of an analytic report, and show you how to create your own. 2

7 GEOMANAGER DASHBOARDS User Guide Dashboards A self-service analytic report consists of a dashboard, which displays one or more visual representations of your dataset on one screen: Dataset Objects The Dataset Objects panel, on the left hand side of the dashboard, contains a list of the attributes and metrics that are in the dataset that you are using to build your report: 3

8 INTRODUCTION Dashboards You can use the dataset objects panel to add and remove datasets from your dashboard, and to create new metrics. Visualizations A visualization is a visual representation of the dataset that you have selected. Some of the types of visualization that are available are: Grid (the default, tabular visualization) Maps Bar charts Line charts Scatter diagrams Pie charts Visualizations are displayed in the Visualization area to the right of the dashboard. By default, this area occupies most of the screen. Layouts A dashboard can have more than one page. Pages are known as layouts. Each layout contains a set of visualizations that display a particular view of the dataset. For example, one layout might contain a grid that shows the fuel used by each organization, and a vertical bar chart that shows the number of active minutes (minutes spent working) for employees during each quarter: 4

9 GEOMANAGER DASHBOARDS User Guide Another layout might contain a grid that shows fuel usage by device, a pie chart that shows the number of active minutes each month, and a line graph that also shows the active minutes for each month: Prerequisites Once Trimble has enabled Analytic Reports on your account, you will need to create a new Role (via Administration > User > Role Management), adding the Capabilities: Analytic Dashboards > Create and edit and Role Based Analytics (if not already present in another role). You will then need to assign this role to all users who require Dashboard access. Please note that users are updated in the reporting system every hour, on the hour, before this change takes effect. 5

11 GEOMANAGER DASHBOARDS User Guide Dashboard Basics 2 This chapter explains the basic steps for creating a GeoManager Dashboard, including how to create, edit, save and export a basic grid-based dashboard. Screen layout The screenshot below shows the different parts of the dashboard: 7

12 DASHBOARD BASICS Creating a basic dashboard Creating a basic dashboard 1 Select the Reports tab, then click the Analytics button. This opens the Analytic Reports home page. 2 Click New Dashboard: The Select Dataset dialog appears: 3 In the Use Existing area, select the Default Reports > Self Service Analytics folder. 4 Determine whether you want to report on Devices (vehicles) or Employees (drivers) and select the relevant Report folder. 5 Then select the required dataset (for example, FM1 Employee Track and Trace or FM2 Device Diagnostics). See Appendix A: List of Attributes and Metrics for a list of datasets, attributes and metrics. 8

13 GEOMANAGER DASHBOARDS User Guide 6 Click Next. You can then specify the time period for the report (from the start of either the previous week, month, 6 month or 12 month period). You will be able to further filter the results when creating the dashboard. 7 Click Run Dashboard. A new dashboard is created. The Dataset Objects area contains the attributes and measures that are in the selected dataset: 9

14 DASHBOARD BASICS Selecting attributes and metrics Selecting attributes and metrics 1 Drag the relevant attributes for the dashboard (for example, Device, Driver, and Org Unit) from the Dataset Objects panel to the middle, Rows area of the Drop Zones panel (which, by default, is entitled Grid): A grid visualization appears. The default visualization is the grid, which appears automatically if you drag attributes and metrics onto the Drop Zones panel. This is a tabular display, similar to the pivot table that is commonly available in spreadsheet software. Attributes are displayed in the order in which they are positioned in the Rows area (for example, Org Unit > Device, or Device > Org Unit). 2 Drag the relevant metrics for the dashboard (for example, Distance and Fuel used) from the Dataset Objects panel to the Metrics area of the Drop Zones panel. Metrics are displayed in the order in which they are positioned in the Metrics area (for example, Fuel > CO2, or CO2 > Fuel). 10

15 GEOMANAGER DASHBOARDS User Guide 3 Drag the relevant time attribute for the dashboard (for example, Date, Week, Month) from the Dataset Objects panel to the Columns area of the Drop Zones panel. The metrics in the grid are displayed in the order in which the attributes are positioned in the Columns area. For example, the grid can be ordered first by time attribute (for example, month) then by metric (for example, distance), or first by metric (for example, distance) then by time attribute (for example, month): The grid should now look like this: 4 To add a summary line at the bottom of the grid to show, for example, a total or average value, click the arrow to the right of an attribute and select Show Totals >> Total/Average/ Max/Min etc. Renaming visualizations To rename the title of the (grid) visualization, double-click the header of the visualization panel (for example, Visualization 1), rename it (for example, Fuel Overview), and press Enter. 11

16 DASHBOARD BASICS Adding metrics from a different dataset Adding metrics from a different dataset To add metrics from a different dataset 1 Click the arrow to the right of the Add Dataset button and select Select Existing Dataset : 2 Navigate to the Shared Reports > Self Service Analytics folder, select the required dataset (for example, FM1 Device Track and Trace) and click OK. 3 Toggle between multiple imported datasets by clicking the drop-down list at the top of the Dataset Objects panel: Note: The toggle option is only visible when you scroll up to the top of the Dataset Objects panel. To roll-up data by Organizational Unit, you can also overlay either the Device or Employee Organizational Hierarchy. Once the correct Organizational Hierarchy Report is imported, you can drag in the relevant attributes of Level 01 (Root), Level 02, Level 03 and so on. These attributes can be renamed to match your organization (for example, Division > Region > Branch) by hovering over the new Organizational Level attribute in the Drop Zones panel, clicking the arrow that appears and selecting Rename from the menu. 12

17 GEOMANAGER DASHBOARDS User Guide Removing attributes and metrics To remove an attribute or metric from the dashboard, either: Drag the attribute or metric from the Drop Zones panel back to the Dataset Objects panel In the Drop Zones panel, hover over the metric and click the Delete cross that appears to the right Preparing and saving the dashboard 1 Select Tools > Add Text Field to add a custom title to the dashboard. Click the arrow at the top-right of the text field to define text formatting options such as font type and font size. 2 Select Show > Dataset Objects to deselect and hide the Dataset Objects panel from users. 3 Select Show > Edit Visualization to deselect and hide the Drop Zones panel (e.g. Grid) from users. 4 To change the presentation theme/coloring (Dark or Light), select Tools > Theme > Dark/ Light. 5 On the toolbar, click Save As: 6 In the Save As dialog, choose a suitable filename and save the dashboard in the My Reports folder: 13

18 DASHBOARD BASICS Exporting a visualization When saving, three advanced prompts are displayed at the bottom of the dialog: Select Display prompt and use the current answers as the default answers to let other users of the dashboard specify their own initial time period for the report when opening it, with the original time period (chosen when the dashboard was first created) as the default/ suggested period. Select Display prompt but discard the current answers to let other users of the dashboard specify their own initial time period for the report when opening it, ignoring the original time period (chosen when the dashboard was first created). Select Do not display prompt and use the current answers as the default answers to not let users of the dashboard specify any time period for the report, with the original time period (chosen when the dashboard was first created) as the default period. Note: The Save As feature can also be used to create a template for similar dashboards in the future. Exporting a visualization To export the contents of a specific visualization, click the arrow at the top-right of the required visualization, select Export and select the export format: Data (for example, CSV format) Image Excel PDF 14

Exporting the dashboard To export the whole dashboard, select Tools > Export and select the export format. Running the dashboard as an analytic report Once you have saved your dashboard, you can also run it in the same way as a standard analytic report. 1 In GeoManager, select the Reports tab. 2 Click the My Reports folder. 3 You can then either: Create a recurring subscription to the dashboard by clicking the Subscriptions link under the dashboard name. Send to an address by clicking the Send Now link under the dashboard name. 15

20 DASHBOARD BASICS Editing the dashboard Editing the dashboard 1 In GeoManager, select the Reports tab. 2 Click the My Reports folder. 3 Click the dashboard name to open it in the Edit Dashboard window. Deleting the dashboard 1 In GeoManager, select the Reports tab. 2 Click the My Reports folder. 3 Right-click the dashboard to be deleted and select Delete Printing the dashboard To print the dashboard, export either the whole dashboard or a specific visualization, and use the print functionality of the application to which you have exported it. 16

21 GEOMANAGER DASHBOARDS User Guide Other Visualizations 3 This chapter explains how to add other visualizations to the Dashboard, such as bar charts, line graphs and pie charts. Note: You must add a dataset to your dashboard before you can select a visualization. Adding a visualization 1 On the toolbar, click the Add Visualization button: 2 In the new, blank Visualization panel, click Select a Visualization: 17

You can choose one of the following: Grid Heat Map Map Network Bar Chart (Vertical/Horizontal, Clustered/Stacked/100% Stacked) Line Graph (Vertical/Horizontal, Clustered/Stacked/100% Stacked) Area Graph (Vertical/Horizontal, Absolute/Stacked/100% Stacked) Scatter Graph (Scatter, Grid, Bubble, Bubble Grid) Pie Chart (Pie/Ring) Dual Axis (Vertical/Horizontal, Bar/Line/Area) Combination of Bar & Area 18

23 GEOMANAGER DASHBOARDS User Guide Editing a visualization 1 If required, you can reposition the new visualization by dragging the header of the visualization panel to the required position on the screen. 2 To display different data in the new visualization, ensure that the visualization header is selected and click Clear Visualization: 19

24 OTHER VISUALIZATIONS Editing a visualization 3 Drag the relevant attributes and metrics into the Drop Zones panel of the new visualization (for example, the Horizontal/Vertical Axis area of a bar/line graph). 4 To edit the properties of the visualization (for example, graph axis, scale or size), click the arrow to the right of the visualization header and select Show Properties: 5 To swap the axis of a visualization (e.g. horizontal to vertical axis), ensure that the visualization header is selected and click Swap: 20

25 GEOMANAGER DASHBOARDS User Guide Adding a new layout You can add multiple layouts within a dashboard, with each layout containing different visualizations and accessed via a different tab. To add a layout: 1 At the top right of the dashboard, click the white cross next to the existing layout tab: You can also duplicate a layout by clicking the arrow to the right of an existing layout and selecting Duplicate. 2 You can now add or edit visualizations within the layout. See Adding a visualization on page 17 and Editing a visualization on page

27 GEOMANAGER DASHBOARDS User Guide Thresholds and Filters 4 This chapter explains how to add threshold coloring, filters and page-by tabs into a dashboard. Changing the threshold coloring on a graph/chart 1 Click the header of the required visualization (for example, a bar chart). 2 Drag the relevant metric from the Dataset Objects panel to the Color By area of the Drop Zones panel. 3 To change the color of the bars on the chart, click the icon to the top right of the Color By area: 4 In the Thresholds dialog, select the color scheme from the Show drop-down list (including icons and images, if required), and then define the color criteria (based, for example, on Lowest or Highest) and the threshold sliders: 23

28 THRESHOLDS AND FILTERS Changing the threshold coloring on the grid Hovering over the bottom right of the color thresholds allows you to select further colors from the palette: Click Apply, then click OK. The finished report should look like this: Changing the threshold coloring on the grid 1 Click the header of the required visualization (for example, a grid). 2 Hover over the relevant metric in the Metrics area of the Drop Zones panel, click the arrow that appears, and select Thresholds from the menu. 3 In the Thresholds dialog, select the color scheme from the Show drop-down list, and then define the threshold sliders. 4 Click OK. 24

29 GEOMANAGER DASHBOARDS User Guide Adding a page-by You can group the visualizations and page them by specific metrics (for example, each month on a separate tab): 1 Click the header of the required visualization. 2 Select Show > Page-by. 3 Drag the relevant attribute from the Rows or Columns area (for example, Page by Month) into the Page-by field at the top of the screen. 4 To remove the page-by feature, hover over the attribute into the Page-by field, click the down arrow that appears to the right and select Delete. Note: The page-by will apply to all visualizations in the same Layout. Adding a basic filter You can add filters to the dashboard for use by the viewer of the dashboard: 1 Click the header of the required visualization 2 Select Show > Filters. 3 Drag the relevant filter attribute or metric for the dashboard (for example, Filter by Org Unit) from the Dataset Objects panel to the new Filters panel, or click the arrow to the right of the attribute or metric and select Add to Filters. 4 In the Filters panel, click the arrow to the right of the attribute or metric and select either Include or Exclude (based on the subsequent filter value). 25

30 THRESHOLDS AND FILTERS Adding an advanced filter 5 To change the filter method, click the arrow to the right of the attribute or metric in the Filters panel and select Display Style. The following filter options are available: Check Boxes Search Box Slider Radio Buttons Drop-down Note: The filter will apply to all visualizations (and page-by groupings) in the same layout. It is therefore recommended that either a filter or page-by is used, but not both. Adding an advanced filter You can also rank and filter the attribute or metric by the top or bottom values in the list: 1 Click the arrow to the right of the attribute or metric in the Filters panel and select Top N. 2 Select Highest/Lowest X values, and select the attribute or metric by which the list should be ranked. Click OK. 3 A new filter appears in the Filters panel. Click the arrow to the right of this new filter and select either: Qualify on value Rank Highest Rank Lowest Rank % Highest Rank % Lowest Adding a drill-down between visualizations You can create a high-level visualization (for example, Total Distance by Org Unit) that can be used by the viewer of the dashboard to then drill down to the detail (for example, Distance by each Device in an Org Unit): 1 Create a dashboard visualization containing lower level data (for example, the attribute of Device) the Target visualization. 26

31 GEOMANAGER DASHBOARDS User Guide 2 Add a new grid visualization to the left of the first visualization, with the data at a higher level (e.g. the level of OrgUnit) the Source visualization: 3 To allow a drill-down from one visualization to another, click the arrow to the right of the source visualization header and select Use as Filter 4 In the Filtering Options window, specify the target visualizations that will be filtered based on the current source visualization. 5 Click OK. The information in the target visualization can then be filtered based on the user s selection in the source visualization. 27

33 GEOMANAGER DASHBOARDS User Guide New Metrics and Formulas 5 This chapter explains how to insert new, derived metrics into a dashboard and how to use more advanced calculation functions. Creating a new simple metric The Dashboard also allows you to create new, calculated metrics that are based upon existing metrics (for example, Total Fuel Cost, based on the existing Total Fuel Used metric). 1 In the Dataset Objects panel, hover over the metric from which the new metric is to be derived and click the down arrow that appears to the right. A menu will be displayed. Select Calculation, and then populate the calculation (add/subtract/multiply/divide): A new metric is added to the list that is displayed in the Dataset Objects panel. 2 Hover over the new metric, and click the arrow that appears. From the menu, select Rename: Rename the metric as required and press Enter. 29

34 NEW METRICS AND FORMULAS Creating a new complex metric 3 Drag the new derived metric from the Dataset Objects panel to the Metrics area of the Drop Zones panel. 4 Change the format of the metric by hovering over the metric in the Metrics area of the Drop Zones panel, click the arrow that appears, and select Number Format from the menu: Select the relevant format (for example, Currency) from the drop-down list, and enter the relevant format details (e.g. symbol). Click OK. Creating a new complex metric The Dashboard also allows you to create new, derived metrics that are based upon the combination of a number of existing metrics (for example, New Metric A = Metric (B+C)/D). 1 In the Dataset Objects panel, hover a metric and click the down arrow that appears to the right. A menu will be displayed. Select New Metric > Enter Formula. 2 Rename the new metric in the Metric name field. 3 Click Functions: 4 Click the required function (for example, Add). 5 Click Next. 6 Select the metrics (values) to be added into the formula (for example, metric A and metric B). Some examples of formulas, based on two simple metrics, A and B include: 30

Subtract one metric from another. Multiply two metrics together. Divide one metric by another. Obtain the average of two metrics. Obtain the average of the values of a single metric list. Obtain the number of elements in a single metric list. Obtain the larger value of two metrics. Obtain the smaller value of two metrics. Obtain the maximum of the values of a single metric list. Obtain the minimum of the values of a single metric list. Obtain the sum of the values of a single metric list. 7 Click Finish. 8 Click OK. 9 Drag the new derived metric from the Dataset Objects panel to the Metrics area of the Drop Zones panel. 37 GEOMANAGER DASHBOARDS User Guide Viewing Dashboards 6 This chapter explains the basic steps in viewing a GeoManager Dashboard as an end-user. Accessing the dashboard 1 In GeoManager, select the My View tab. 2 In the drop-down list at the top right of the screen, select your view/dashboard. To view a recently created dashboard, you may need to refresh the list by clicking the Refresh icon to the left of it: The dashboard is displayed. 3 To set the current dashboard as your default view, click Set as default. Depending on how the dashboard has been set up, it may contain different visualizations, such as grids, charts or graphs. 33

38 VIEWING DASHBOARDS Exporting a visualization 4 Grid visualizations can be sorted in the same way as Excel (individual or multiple column sorting). Exporting a visualization To export the contents of a specific visualization, click the arrow at the top-right of the required visualization, select Export and select the export format: Data (for example, CSV format) Image Excel PDF Note: The export formats will depend on the type of visualization. 34

Printing the dashboard To print the dashboard, export either the whole dashboard or a specific visualization, and use the print functionality of the application to which you have exported it. 35
