3 WHAT MOVES US We have to shoulder, not only our individual responsibilities, but also a collective commitment, as citizens and professionals, so that in each and every one of our daily activities, we strive to build a more sustainable world. The challenge is really to keep our interest levels high, to stay committed and to persevere in the choices we make and in the alternatives available to us, so that even when it seems like we are talking to ourselves, we do not give up OUR COMMITMENT A change in behavior Roberta Medina of the team, sponsors and suppliers and of every one who takes part in, or who has contact with, the event, through engagement, and setting an example and communicating social, environmental and economic best practices, encouraging the choice of the best solutions and sustainable alternatives. 4 OUR PLAN IN ONE MINUTE Opt for suppliers whose products and services are certified and labelled Labels and social and environmental certification enable us to identify products and services which are more sustainable and with less environmental impact. Rational use of energy We will encourage the use of efficient lighting systems and electrical equipment, and raise awareness of their correct usage. Reduce, recycle and reuse Whenever possible, we will reduce the amount of materials which we consume; we will also seek ways to reuse or encourage the use of products which enable us to do so; lastly, we will guarantee that they are recycled or organically disposed of. Optimize the use of transport We will encourage the use of more efficient and public transport, for cargo shipment as well as for passengers, and also involve our business partners in this commitment: sponsors, clients, suppliers and general public. Promote the use of public transport and assure accessibility for all In addition to the communication campaigns, partnerships are established to ensure appropriate effective schedules and routes, with real alternatives to the vehicle itself. Create partnerships to test and improve accessibility by providing the means and services to the entire public of Rock in Rio. Implement water consumption efficiency measures Sensitize all stakeholders and encourage the use of efficient equipment. Reduce, quantify and offset Reduce, quantify and offset the carbon emissions has been our commitment since 2006 will hold for future editions. 6 AREAS OF INTERVENTION Rock in Rio s Key Areas important for all editions, no matter where the event occurs, complementary to the goals defined above and underlying the commitment to sustainability, listed below with more detail. All measures will be implemented whenever possible and without prejudice to the quality and visual identity associated with the Rock in Rio.

7 CONSUMABLES AND PRODUCTS Carefully evaluate the composition of consumables /products Wooden, cardboard and paper products: opt for materials which are certified such as FSC products (Forest Stewardship Council) and PEFC products (Programme for the Endorsement of Forest Certification Schemes); their compliance with local laws and legislation and they ensure that their forests of origin are correctly managed. Prefer local sources of wood, in order to reduce emissions due to its transport. Plastic products: plastic is made of non-renewable material such as petroleum. Check if it is easy to recycle. Otherwise, opt for using compound plastic products, made up in total or in part, of recycled plastic or bio plastic. Avoid PVC-based materials, due to their impact on the environment, but also on public health. Varnishes and paints: opt for water or mineral-based paints, rather than organic solvent-based paints, which release volatile organic compost materials, and which are harmful to one s health. In terms of varnishes, avoid synthetic or acrylic varnishes, which are more toxic, and opt for natural resin ones. Cleaning products: if possible, opt for concentrated products, which require less packaging, and are less toxic. Opt for recycled /recyclable materials Rock in Rio aims to reuse products or materials from previous editions of the event. Should this not be possible, before buying a new product or equipment, check whether it can be rented. When buying new products or equipment, analyze whether they can be reuse. Incorporating recycled /recyclable materials There are several materials on the market which are totally or partially recycled (e.g. paper, cloth, and rubber, amongst others) and which can be used for a variety of purposes. Check that the products you wish to acquire contain the recycling logo. Sometimes, this symbol appears together with a number in the center: this number reflects the quantity of recycled material in the entire product composition. Check whether the products or materials you are thinking of buying are easily recyclable, and avoid their disposing in an incineration chamber or in a landfill. Aim to use local products and suppliers Opting for local suppliers reduces carbon emissions due to the transport of people and cargo, as well as encouraging the local economy. When comparing suppliers, consider the distances they must cover to arrive at the event itself. Remember to consider the associated carbon emissions resulting from these trips, in your final decision, and also to include the carbon emissions variable in your selection.

8 ENERGY Promote the rational use of electricity In supporting facilities such as the press area or offices, to raise awareness of energy saving, using posters and stickers appealing to the rational use of electricity. Try to activate the power saving options that are already available in several equipment, programming the equipment to into sleep mode after a certain period of inactivity. Choose Class A equipment or A + Equipment with energy rating A or A +, have a lower energy consumption associated with their use. Pay special attention to the choice of lighting and refrigeration equipment. In Brazil, the energy labelling is performed by the National Institute of Metrology, Standardization and Industrial Quality (Inmetro) and is a voluntary program. In Europe, energy labelling is mandatory for many equipment and regulated by EU rules. Figure 1 - Energy Label equipment (Portugal) Source: EcoEdp Figure 2- energy label equipment (Brazil) Source: INMETRO Regulate thermostats to moderate temperatures When air conditioning, or other Heating, Ventilation, and Air-Conditioning (HVAC) system is inevitable, thermostats should be regulated to comfortable levels approximately 25º C in summer and 18ºC in winter. It is important to close all doors and windows when these systems are working. These simple actions have a significant impact on energy saving. In areas with tents and other large open spaces, carefully plan the location of appliances, so that there is a constant temperature throughout the areas, and thus avoiding excessive load of air conditioning equipment. Favouring renewable energy sources Turnkey renewable energy equipment, such as solar panels, and mini-wind turbines, have the advantage of being quick to assembly and disassembly, and play an important role in the energy supply. Explore the possibility of partnering with renewable energy companies and installing equipment within the enclosure, optimizing the communication value as regards the event s public.

9 Set up a detailed plan for the generators layout Efficient planning of the generators layout can reduce their fuel consumption, saving money on the supply of these same generators, on carbon emissions, and thus on their respective cost of carbon footprint compensation. Using alternative fuels in the supply of generators The use of biofuels from energy crops, whether pure at 100%, or mixed with petrol or diesel, is common practice in Brazil, and reduces the carbon content of the energy services consumed. However, several issues must be addressed when considering acquiring this type of fuel, such as their origin namely whether they replaced forest areas of food crops the cultivation practices in which they developed, and by which process they are transformed. Analyze these aspects when taking a decision, as well as the technical and economic feasibility aspects.

10 STANDS AND OTHER EXHIBITION AREAS Including bioclimatic construction criteria Adapting constructions to the surrounding climate, using bioclimatic construction techniques, raises the comfort level and enjoyment potential of the various spaces. At the same time, this optimizes energy consumption levels, in terms of lighting and air conditioning. An example of these techniques is opting for south-facing windows, making the most of natural lighting and thus reducing the number of hours during which artificial lighting is necessary. Natural ventilation systems can reduce the need for air conditioning to cool the atmosphere. Opt for reused and or reusable decorative elements and structures Whenever possible, reuse decorative elements and structures (e.g. signage) from previous versions of the event. When this is not possible, invite artists and artisans to create objects or structures from the reuse of these materials. Check whether there are companies that can rent out these structures. Installing efficient lighting systems Whenever possible, low-power consumption lamps should be installed, such as the following three examples of more efficient lighting: Compact fluorescent lamp bulbs (CFLs): replacing incandescent lamp bulbs, save up to 80% of the electrical energy consumed, and their lifespan is 8 times longer that incandescent light bulbs. Fluorescent lamps with electronic ballasts: replacing fluorescent lamps with ferromagnetic ballasts (with starter). They can reduce energy consumption up to 20% and they also have a longer lifespan. Light Emitting Diode (LED): they adapt easily to the various needs of lighting projects, and are currently one of the most efficient alternatives. However, the cost of acquisition is still a barrier to a more widespread use. This technology makes more sense for structures with a longer lifespan. When designing stands and other spaces, remember to read through the section on suppliers or the section on lighting where you can access detailed information on: Valuation of suppliers with environmental and social certification; Careful evaluation of materials to be acquired; Incorporation of recycled and or recyclable materials; Selection of local products and suppliers;

11 WATER Promote the rational use of water Create awareness among the staff that operates in spaces where there is water, through posters and stickers appealing to the implementation of best practices. Choose efficient equipment Opt for taps and showers that reduce the flow of water or close it immediately after using it. There are also devices that consume less water than conventional, whenever possible opt for these devices. Encourage best practices We will promote and implement in the office and in the City of Rock Water saving tips on a daily basis, this way we intend to change the daily behaviors of the team and our partners. - Check and if necessary adjust the volume of water spent in the toilets, whenever possible adjust the sensor installed in the discharge or introduce a PET bottle 1,5lt filled with water; - Always close the taps of toilets when not needed; - Using the same glass or refill bottle throughout the day, reducing the number of glasses for washing; - Wash the dishes with a full tank, saves water when comparing to washing with running water.

12 CATERING Opt for sustainable/ biodegradable products such as plates and cutlery Using reusable plates, glasses and cutlery is an advantage in terms of preventing waste. However, these materials are not always appropriate for an event such as Rock in Rio. In these cases, we shall study the use of plastic plates, cutlery and other tools which can be easily recycled, or which contain bio plastics. Donate leftover food This measure raises a multitude of questions and issues, and it will not always be possible to implement, due to legal constraints. However, we will look for institutions which offer meals to people in need, so that we can implement a collection system for food which cannot be stored, so that it is quickly distributed. Encourage healthy eating habits Encourage various dietary options, as well as vegetarian or macrobiotic alternatives, within the restaurant areas. Also check the possibility of supplying additional information, such as the calories content of the food itself, as well as on quality and the environment. When planning for catering zones and activities, include: Reduction in waste produced; Promotion of organic waste recycling; Regeneration of used cooking oil.

13 ACCOMMODATION Favour hotels close by The hotel s proximity to the workplace (i.e. the offices and the event location itself) reduces travel distances and, thus, carbon emissions. Shorter distances also result in less travel time and resulting stress. Opt for hotels with energy efficient measures, water consumption strategies and other resources Check whether the selected hotel has an Environmental Management System in place (such as ISO or EMAS), or whether it implements energy consumption control measures (efficient lighting, Class A or A+ appliances, amongst others). Verify if there is water saving programmes in place thus encouraging the selection of hotels amongst those with water recycling systems, flow reducers, or the use of sensors, amongst other measures or paper-reducing measures, preferring hotels that do not use paper forms during check in and check out, amongst other resources. Prefer hotels that use renewable energy sources Favour accommodation that uses renewable energy sources, such as thermal or photovoltaic solar panels, or mini wind turbines, for water heating and producing electric energy, respectively. Check if the hotel is involved in a recycling programme Confirm the existence of recycling programmes, as well as selective waste disposal locations (paper and glass collection points, amongst others) and ask the hotel which programmes of organic waste collection and regeneration of cooking oils it works with. This information has to be updated according to the various geographical locations of Rock in Rio events, in order to ensure that it can be implemented. Ask hotels to provide programmes for reusing of bath towels and sheets. Verify if it s possible for the hotel to provide a reusing programme of towels and sheets, contributing for a reduction of the energy, water and detergents consumption needed for the cleaning processes.

14 SOLID WASTE TRAINING, INFORMATION AND MONITORING All partners will receive the documentation with the waste management rules in the City of Rock. Information sessions will be developed for all employees that will operate in the City of Rock at different stages. Supervise, monitor and inform during all phases. Reduce/Reuse Reduce the quantity of disposable materials Bulk purchasing reduces the need for product packaging while being transported. When providing the public with products, avoid using plastic bags, as well as individual packaging, or excessive packaging. Also avoid one-use materials, such as disposable tableware. Prohibit construction in the City of Rock Opt for leased modular structures that significantly will reduce the production of waste in the phases of assembly and disassembly. Forbid the distribution of flyers within the enclosure This measure has always been in place, in every edition of Rock in Rio, and will continue to do so, in the future. At the end of the event, and before disassembling, hold a donation fair At the end of the event, all infrastructures must be disassembled, and the entire area has to be cleaned. At this point, it makes sense to allow other entities to enter the enclosure, to see if they have a use for products or materials which otherwise would be considered as waste, whichever their final destination (recycling, incineration, or disposal on land). In Portugal, the Boom Festival collects around 70% of the synthetic field grass, as well as other scenography and flooring material. Recycle Characterization of solid wastes The characterization of solid wastes, prior to the event, and an analysis of the estimated volume to be produced throughout the event s lifecycle, allow us to identify the points where solid waste is produced, and thus to place the infrastructures which are necessary for its recycling, as opposed to incineration or disposal on land, in appropriate places. Encourage recycling Place appropriately-sized eco-bins along the various points of the enclosure, so that waste is correctly separated, namely glass, paper/cardboard and plastic/metals. The waste from these bins must be duly deposited in the local city council s own eco-points. To place the eco-bins also consider the following: Location: choose the busiest locations to place this type of container;

15 Visibility: ensure that these solid waste collection points have the appropriate vertical signage; Signage: reduce the risk of error when depositing the solid waste, by placing appropriate signage at eye level, so that it is visible even with there s a crowd of people around (stickers on the bin itself lose visibility when there are crowds of people milling around you). When disassembling, ensure the valorization of electrical appliances, such as lighting systems, at the end of their life-cycle, by sending them to an accredited partner and supplier, to be recycled. ACTIONS Since 2008, Rock in Rio Lisboa is a 100R event. This initiative, taken by Sociedade Ponto Verde, ensures that all solid wastes (glass, plastic and metal) which is generated within the event enclosure, and which can be recycled, is duly and appropriately processed. Encourage concessioner bars to recycle organic waste This measure is especially relevant in the restaurant zones, namely the restaurant kitchens, and in the main canteen. The volume of organic solid waste which is sent to be recycled, avoids carbon emissions from its disposal in a landfill or incineration, as these can be sent to compost solutions. Raise awareness among concessioner bar managers as regards regenerating used cooking oils By collecting and processing cooking oils used in the event s concessioner bar, and sending them to be recycled, this food leftover can be transformed into glycerin (and made into soaps) and biodiesel. Also check the possibility of setting up a dedicated system to pick up this waste.

16 MOBILITY AND ACCESSIBILITY Cargo transport Encourage full load factor transport By optimizing transport of cargo, we use fewer vehicles and therefore the greenhouse gas emissions inherent to cargo transport itself. There are also financial advantages, such as less motorway tolls, fuel consumption, etc. Encourage defensive/efficient driving Defensive driving techniques contribute to road safety, but also significantly reduce fuel consumption and consequent carbon emissions. Encourage good practices in eco-driving amongst your suppliers, raising their awareness of: Driving in high gear whenever possible; Keeping a steady and moderate speed (reducing cruising speed from 120 km/h to 100 km/h reduces car fuel consumption by, at least, 15%); Using air conditioning with moderation (it increases fuel consumption); The importance of routine maintenance of the vehicle (a finely tuned engine usually results in fuel consumption savings); Maintaining proper tire pressure and aligning the direction; Switching off the engine whenever appropriate (keeping the car s motor switched on for more than 30 seconds consumes more fuel than starting it up again). Avoid air freight transport Whenever possible, opt for rail, boat or lorry transport. As well as being the means of transport with the highest carbon emissions, air transport is more expensive than the other alternatives. Transporting people Encourage the use of public transport Public transport should be used whenever possible, rather than one s own car. Check whether distribution of taxi vouchers is a viable option, and try partner with companies whose fleet of cars is the lowest possible carbon-intensive. Car-pool whenever possible with colleagues /employees Should public transport not be possible, check the possibility of car-pooling among colleagues /employees, with the same individual transport needs. See whether car-pooling is possible amongst passengers with the same needs, to and from the festival enclosure.

17 Opt for conference calls and meetings Whenever possible, opt for conference call technologies (by phone, internet or video-conference), avoiding the carbon emissions resulting from associated travel. There are currently a number of solutions which make this type of communication easier and avoid travelling, such as Skype a free solution available for download over the internet or WebEx a purpose-built platform, for online and long-distance meetings. Public Encourage an adjustment of public transport (PT) supply in order to cater for the event s needs In terms of mobility, Rock in Rio negotiates with transport operators in the region where the event takes place, to implement a series of measures to encourage the use of public transport by spectators going to and from Rock in Rio, which we shall maintain and optimize during the next editions, and whose aim is to: Information Facilitate intermodal coordination through the creation of tickets which apply to all forms of transport, or which offer special rates; Adapt public transport supply and timetable to the needs of people making their way to Rock in Rio; Create a pedestrian safety corridor around the festival enclosure, especially in the public transport terminals; Ensure a special area for taxi parking; Communicate actions which involve managing mobility during the event; The information will be available on the event website, attendees will be able to consult information regarded public transportation, schedules, costs and on other possible initiatives that may impact the access to the venue. Disseminate information to all users on mobility and accessibility conditions. Ensure accessibility to all Testing the accessibility before the event with real users. Establish partnerships with entities that deal with the issue and can suggest improvements to improve the accessibility to the event.

18 COMMUNICATION, MERCHANDISING AND GIVEAWAYS As well as serving as platforms for communicating sustainable practices which have been implemented, they can also be used to cut costs, especially in terms of production and distribution. Communication It is important to ensure that communication formats are aligned with the messages and the sustainability policies embraced by the organization. Encourage digital supports of communication Digital communication offers infinite ways of reaching more people in more places, more quickly and often, with a great deal less time in terms of design. Radio spots, short message texting (sms), social networks and online advertising/communication, enable us to have far more interaction with our target markets. Create low carbon advertisements When conceptualizing advertisements, all activities entailed must be considered and their respective carbon emissions kept to a minimum. Thus, we shall endeavor to seek: Nearby location shots, thus reducing emissions due to the transport of production crew, actors and extras; Places with electricity grids connected to the mains, thus avoiding using generators; Digital recording formats instead of feature films, thereby avoiding the use of chemicals to develop films, and also producing waste in general; Reducing or mitigating the impact associated with special effects. Communicating environmental criteria being considered when producing campaigns Communicate environmental measures which have been implemented throughout the various production phases of the campaign, as well as during the event s organization itself. This information can take the form of emissions avoided/reduced, materials consumed and resources avoided. It is important to raise public awareness about the options available for reduced environmental impact. Merchandising and giveaways It is more and more important to guarantee that these objects do not collide with or even contradict measures of sustainability already implemented and which are being used as a form of leverage in terms of communication. Consider the use of giveaways you intend to distribute Decide on the potential for communication and the use of the material you intend to distribute.

19 When choosing giveaways, analyze their value for money More interesting giveaways and/or with a lighter carbon footprint are normally associated with a higher cost of acquisition. It is therefore important to evaluate the benefits of producing fewer giveaways, and of opting for a better and more useful product, in social and environmental terms. There are definite advantages in producing less quantities of a product with greater environmental and social advantages, as well as being more useful, rather than producing vast quantities of environmentally and socially unsound products, which also contradict the environmentally responsible message that Rock in Rio stands for. Align merchandising with the environmental policies of the event Try to design and develop Rock in Rio merchandising, in line with the sustainability policies that were followed throughout the event s development. The production of (alternative) T-shirts in bio-cotton, or recycled PET bottles, or reusing and transformation of materials from previous editions to produce merchandising, are all examples of specific actions in this area of business. When designing communication campaigns, check out the section on suppliers for more information on: Local suppliers; Suppliers with environmental certification and programs; Low carbon emission materials.

20 GOVERNANCE Promote the reconciliation of work and family life Try to provide moments of sharing and facilitate the reconciliation of professional requirements with the demands of family life, creates a calm and secure environment contributing to efficiency and motivation, measures such as working from home, flexible hours whenever possible is required. Encourage personal and professional development Listening to employees about their aspirations and support their personal and professional development, providing conditions for the implementation of actions that will meet your expectations is beneficial for growth and allows for an increase of knowledge and critical mass at the disposal of the company. Implement good management practices Be profitable to create long-term shareholder value by implementing good management practices, manage with honesty and transparency, implement measures to combat corruption and bribery are commitments made by the organization.

Because of its international nature with editions in Brazil, Portugal and United States of America most social and environmental questions connected with our activity, are regulated by the legislation in force.
