4 HR/APS Services Recruitment Staff & Student Titles Contact your HR Partner to initiate a recruitment for titles that include student, work-study and staff. HR Partner: Renee Wallace CSS HR/APS will work with you to prepare the job description and coordinate with CSS Recruiting to develop and implement a recruitment plan. Recruiting will coordinate with the First Contact Team (FCT) to hire the new employee 4

5 HR/APS Services Pre-Employment (New Hire/Rehire Sessions) Staff & Student Titles Contact your HR Partner or the First Contact Team (FCT) to initiate a hire/rehire for titles that include student, work-study and staff. HR Partner: Renee Wallace CSS HR/APS will work with you and the First Contact Team (FCT) to contact the employee and schedule an appointment to complete new hire documents. FCT also coordinates background checks, and conducts benefit orientations for new and rehired employees. 5

6 HR/APS Services Recruitment Non-Senate Research Titles Contact your AP Partner to initiate recruitments for titles including: Project Scientist; Other Researcher; Specialist; Postdocs; visiting scholars; Recall-Research; and Research Scientists. CSS HR/APS will work with you to identify the appointment type and coordinate any AP processes, including AP Recruit, with APO and OFEW. AP Partner (non-senate research): Annette Lewis 6

AP Partner (non-senate research): Annette Lewis The AP Partner will coordinate submission of the exception to recruit or, if the candidate has been selected and approved, to facilitate hiring. Depending on the situation, FCT and the AP Partner will arrange a one-onone appointment to complete new hire/rehire documents or schedule a group session.

AP Partner: Annette Lewis Depending on the situation and the new employee s preference, FCT and the HR/APS Partner will arrange a one-on-one appointment or schedule the employee for a group session.

9 HR/APS Services Benefits Depending on the appointment type, contact your CSS HR or AP Partner, or reach out to the First Contact Team (FCT) with benefits questions. Your HR/APS Partner or the FCT can assist you with most questions. You may also be referred to the Benefits and Leaves teams. 10 HR/APS Services Leaves Administration As soon as an employee requests leave or a supervisor is informed of the need for a leave, consult with your CSS HR or AP Partner. CSS HR/APS will assess the situation and consult with the employee, supervisor and the Leaves Administration Team. HR Partner: Renee Wallace AP Partner (non-senate research): Annette Lewis 10

11 HR/APS Services Advisory and Employee Relations Contact your CSS HR or AP Partner to consult on issues involving performance managment, employee/labor relations, workplace climate, employee engagement, etc.... Your CSS HR and AP Partners will work with you and coordinate with other campus resources to address and resolve the issue(s). 12 12 HR/APS Services Payroll and Timekeeping Contact CSS HR/APS or the First Contact Team (FCT) for all payroll related questions. Timesheet submission for exempt employees are processed through CalTime. Non-exempt employees continue to use an Excel-based timesheet. (Until CalTime Implements on Nov. 1, 2014) CSS HR/APS will ensure timely and accurate pay to employees and will work to provide timely and accurate resolutions to timekeeping or payroll issues. CalTime training will be offered. More details to follow.

13 13 HR/APS Services Other Employment Related Services Contact the First Contact Team (FCT) or your HR/AP Partner for assistance on HCM, Payroll or other HR issues including earnings distribution changes, payroll transfers, supervisor changes, etc. HR Partner: Renee Wallace AP Partner (non-senate research): Annette Lewis CSS HR/APS will route your request to the applicable CSS group for completion. This applies to all employees including senate appointments and non-senate instructional faculty.

14 HR/APS Services Visas and Immigration Contact your HR/APS Partner for assistance to process a new visa, extend an existing visa or if you have any visa-related questions. Once the visa is in progress, you can also contact the CSS Visa Team directly. HR Partner: Renee Wallace AP Partner (non-senate research): Annette Lewis CSS HR/APS Partner will coordinate with the CSS Visa Team to process the visa or the extension. The CSS Visa Team takes the lead with BIO to ensure visas are processed timely and corretly. 14

15 15 HR/APS Services Compensation/Classification Staff Titles Classifications: Contact your CSS HR/APS Partner to discuss creating new jobs/updating existing positions. Content must be provided for the new/updated position as well as org. charts/pem s. Classifications: Your HR/APS Partner wil help you identify the appropriate job families and jobs and can guide you through the classification/re-classification process. Compensation: Contact your HR/APS Partner for equity, merit, temporary out of classification, stipend and other compensation questions. For STAR and other awards, confer with your HR Partner to submit and process award requests. Compensation: Your HR/APS Partner will pull data and work with you to evaluate equity and other requests for increase. HR Partner: Renee Wallace

If APO approval is required, your AP Partner will coordinate the process.
