1 The Responsible Employee Online Frequently Asked Questions Why is this module being rolled out? As a publicly funded research institution, UNSW needs at all times to maintain public trust and confidence and is expected to conduct its operations and activities in line with high standards of ethics and governance. Every single employee has a responsibility and plays a role in ensuring that this occurs. It is easy to say that this is a matter of common sense, that everyone knows right and wrong and that there is no need to train employees in this sort of thing. In fact, there are regular examples of situations in which employees engage in conduct that is not consistent with UNSW s expectations. Although some of these examples involve conduct that many of us would clearly know to be wrong, the majority of cases are more complex and do not involve a clear right/wrong scenario. Unfortunately, it only takes one or two significant situations of improper staff conduct to damage UNSW s reputation, affect UNSW s funding, or result in UNSW being in breach of legal regulations or facing legal action. Remember the concept of the Sydney Morning Herald test would you be happy to see something you have written, or an account of what you have done, reported on the front page of the Sydney Morning Herald? Accordingly, it is important that we do the following: - Take reasonable steps to ensure that all colleagues are aware of what is expected of them. UNSW has an excellent Code of Conduct and many useful policies and procedures. These are, of course, available on our internet and readily accessible. We are taking this one step further in The Responsible Employee training by highlighting some key areas of individual decision making and conduct, making reference to the Code of Conduct and relevant policies and demonstrating how they apply in reallife situations. We don t want to be in a position where a colleague engages in the wrong behaviour and then says that they were not familiar with the Code of Conduct or relevant policy! - Consciousness raising some of these areas and issues are not obvious and the right decision or conduct is not always clear. The aim of the training is to increase awareness and understanding about ethical conduct and the required standards of behaviour so that colleagues will be more alert to problematic situations. That way, even if they are unsure how to act, they will be aware of the issues and more likely to ask for help or guidance. In addition, The Responsible Employee training will help UNSW to comply with recent increased legal regulation in the areas of fraud and corruption, public interest disclosures and workplace bullying 1
2 Who should complete the Is the training compulsory? The following UNSW employees will be enrolled in the module: All full time/part time, continuing/fixed term academic and professional Staff The following UNSW groups will not be enrolled in the module. Sessional academics Casual professional staff Casual staff can self-enrol via myunsw - see How do I enrol?) UNSW Students UNSW Visitors All UNSW Australia employees are expected to complete this module and managers have a responsibility for ensuring completion of the course in their local work unit. Supervisors should follow up with colleagues who have not completed the module. Regular completion reports are provided to HR and Senior Management. How long do I have to complete the It is expected that all staff members will complete the module and assessment within 14 days of their enrolment. If the course has not been completed within 14 days of enrolment, a noncompletion reminder will be ed to the employee. If the course remains incomplete after an additional 7 days, a subsequent reminder will be ed to both the employee and their supervisor advising of the non-completion. This alert will continue to be sent to both the employee and supervisor every 7 days until the module is completed. How long does it take to complete the How do I enrol? The module should take no more than 1 hour to complete. After completing the module there is a short online quiz to be completed (pass mark 80%). Existing Staff Existing employees have or will be automatically enrolled and will receive an automated which will provide instructions regarding how to complete the module. New Staff The PiMS auto-enrolment process as 22 February 2016 automatically enrols new employees into the module. Managers should build time into the induction process for the new staff member to complete the training. Self-Enrolment is also available via myunsw (My Profile / Learning & Development / Request Training Enrolment) Please allow 24 hours for your enrolment to upload from myunsw to Moodle once you have received enrolment confirmation 2

Please ensure that you are enrolling into the course via myunsw* (My Profile / Learning & Development / Request Training Enrolment). This is so that your completion of the course will be recorded on your HR Training Summary. Please allow 24 hours for your enrolment to upload from myunsw to Moodle once you have received enrolment confirmation How do I access the This is an online course that is accessible in Moodle. You will be able to access the course content 24 hours after receiving your enrolment confirmation . You can log into Moodle via using your zid and zpass, or follow the Moodle icon on your myunsw homepage The course will appear on your Course Overview page in Moodle If the course does not appear on your Course Overview page, you can access it via Navigation > My Courses (course code HRE1403) 3
4 How will I (or my Manager) know if I have completed the You can view your training record in myunsw. If you have not completed the module, your record will show as enrolled. Once you have successfully completed the assessment, the status will show as competent. Supervisors are also able to access training histories in myunsw. Colleagues who have not completed will receive periodic automated reminders. I am a manager. What responsibilities do I have for ensuring staff complete the As a manager you have responsibility for ensuring completion of the course in your local work unit. To make it easy for existing colleagues to complete the module, you may like to: Set aside time in your team s diary to complete the module Convey the importance of completing the module in a timely manner Follow up with colleagues who have not completed the module You will need to ensure that you ask new members of staff to complete the module as part of their induction. I have received a non-completion notification , but I have already completed the course! The course is in two parts, and both parts require your completion. Please ensure that you have successfully completed and submitted Part Two: Assessment. Once you have passed and submitted the assessment, your HR training record will be updated overnight to competent which will indicate that you have completed the course. Look for a tick in the check box next to Part Two: Assessment. This will indicate whether you have submitted the quiz or not. Complete Incomplete I am a manager and have received a noncompletion reminder regarding a staff member that I no longer manage Please notify HR/Salaries of any changes in job information including termination or changes in reporting lines, so that this information can be updated in PiMS. You will continue to receive notifications until the course is completed by the staff member, or their PiMS record is updated with the correct supervisor ID. 4
5 I am a casual employee. Do I have to complete the With the approval of their line manager, casual employees are also encouraged to complete the course. Casual staff can self-enrol into the module via myunsw Request Training Enrolment and access the content on Moodle the following day. What does competent mean? This means that the staff member has completed the module (Part One) and passed the Assessment Quiz (Part Two). No further action is required to complete this course. What does SCORM Packages Need Attention mean? This is a message that reminds staff to complete the online course. It does not recognise completion. Therefore if you have completed the training please ignore this message. Who do I contact if I am still having problems?
