2 Introducing the Great days at work Survey Tool Welcome to the Great days at work Survey Tool, our innovative colleague survey tool that enables you, as a Manager, to quickly gauge how your team(s) are feeling about work. The tool consists of four different survey types which can be sent out as required. The surveys available are as follows: Commitment Survey 18 questions designed to assess the level of commitment and engagement felt by your direct reports and your wider team. Leavers Survey 22 questions designed to assess the reasons why individuals have decided to leave. TUPE Survey 20 questions designed to assess how satisfactory the TUPE process was for colleagues who have been TUPE transferred to Compass from another company. Casual Levy Survey 28 questions designed to assess the level of commitment and engagement felt by casual colleagues who work at Levy events. (Please note. These surveys are created and accessed differently so a separate section of this user guide covers this survey in greater detail.) The purpose of the tool is to give you the ability to understand the commitment levels of your team(s), to identify how your team are feeling and explore reasons why individuals have chosen to leave. The feedback you receive from your team/individuals should be discussed openly and honestly with them as appropriate to help create more Great days at work. This user guide has been created to assist you when navigating the Great days at work survey tool website. 2

4 Taking a Survey The Great days at work survey tool link is: It is the Manager s responsibility to advise their direct reports when they have a survey available. Once a survey is live, the colleague(s) should visit the Great days at work website to take the survey. Surveys will be live for a varied amount of time so it s important that individuals take the survey as soon as they can. The tool is most compatible with Personal Computers, Apple and Android mobile devices. To take a survey, colleagues will need their Employee Number/ID and Date of Birth (DOB) to hand. Please note, the DOB must always be entered in the format of dd/mm/yyyy for it to be accepted. If you do not have a survey available to you, a message will be displayed to advise you of this. 4

5 Anonymity in Surveys & Reporting Before an individual starts a survey and if applicable for that survey type, colleagues have the option to complete it anonymously. If they choose this option, this cannot be reversed and their identity is totally protected throughout both the survey and the reporting. This option is available for Commitment and TUPE surveys only, those taking the Leavers survey cannot be anonymous and will always be named. If a colleague chooses to be anonymous, their name will not be displayed anywhere during the reporting, however, any verbatim comments they choose to leave will be displayed and labelled as anonymous. Please note; if you only have one direct report, it is impossible for them to be anonymous so you must make them aware of this prior to any survey. To protect anonymity in the Commitment & TUPE surveys, if the number of colleagues who either chose to be anonymous, or haven t yet completed the survey is less than 20% of the total, or is less than 3, (whichever is smaller) all results will be kept anonymous. Please note; whilst anonymous responses will always be grouped into team reports, individuals will not be identified and no personal reports will be available to managers for individuals in their team who choose to be anonymous. FAQ: If I have to put my employee number in to take the survey how can it be anonymous? Answer: This is to track survey participation and ensure that responses are allocated to the correct Management report(s) - colleagues choosing to be anonymous will not be identified How to Log In & Register an Account To access the reporting tool you must first register an account. To get started, you will need to have your Employee ID/number and password ready. Firstly, click Log in as displayed below. Please note; your password for the Great days at work tool is specific to the tool, does not change and is not linked to any password(s) you use to access other Compass systems. 5

6 If you haven t already registered your account, you will need to do so by clicking the Register button. Alternatively, please follow the Recover forgotten password process if you have forgotten your Great days at work password. To register an account, you will need your Employee ID and date of birth. Please note, your date of birth must always be entered in the format of dd/mm/yyyy in order for it to be accepted. Once you have entered your details, make a note of your password and select Register Account. 6

7 Homepage Navigation Once you have logged in, you will see the page below. From here, you can navigate to the following areas of the tool: Take a survey: If you have a survey available to you, you can take the survey by clicking the Take a Survey button. My completed surveys: View the results and responses you provided in your own personal surveys. Team reporting: Click through to view the results and responses from both your direct reports and wider team or participation reports for current live surveys. Organisation structure: View your direct reports and drill into to your full line management reporting structure. Create Survey: Here you can create your own Commitment, Leaver and TUPE surveys. Please note; TUPE surveys should always be created by the central HR Admin team. Venue Management (Levy Casuals only): If you have the relevant access, you will have this option to add/amend Levy venues. You can also access this information or return to the homepage at any point by selecting the Hamburger menu tab in the top left-hand corner. 7

8 Viewing your Organisation Structure You can view and check your team structure at any time by selecting Organisation Structure in the main menu on the homepage. Please see the example below: All surveys and reports (with the exception of Levy Casuals) are created by Line Management org structure so it is important that this information is accurate and up to date before surveys are created. By clicking on one of your direct reports, you can see who reports directly into them and so on. This enables you to view everyone within your wider team and who they report to. To make changes to your organisation structure, please action this via the self-serve HR Portal or if several changes are required, please contact the HR Org Management team at All changes made to your structure in the HR Portal will be updated in the reporting tool within 48hrs. 8

9 Viewing Participation from an Active Survey For Commitment and TUPE surveys, the responses and main reports are not available until a survey has closed, however, whilst a survey is live, you can check who has completed it. To do this, first select the Team Reporting button on the homepage. This will populate the page below. If a survey is closed, the Results button will be shown in blue. For active surveys, you will only be able to view the Participation, indicated below. The drop down allows you to choose reporting for different survey types. Clicking Participation will present the page below which shows who has and hasn t completed the survey, both at direct report level and for your wider team. A red cross indicates that the individual has not yet taken the survey and a green tick indicates that they have completed it. This information is presented in real time. To view the participation of individual teams within your wider reporting structure, you can click on the name of the manager, highlighted below in blue. 9

10 This will generate a second participation report for that team alone and this is drillable down to all levels of your hierarchy. If you notice that someone is missing from your participation report it is most likely because they are a new starter and were not fully on-boarded before the survey was created, however, if they are not a new starter and should have access to the survey please contact orgmgt.hr@compass-group.co.uk with their name and employee number to enable them to investigate. Because responses from Leavers surveys are always named, you will be able to view both Participation and Results as soon the first response is provided. Viewing Survey Results Once a Commitment or TUPE survey has closed, all responses will be available to you in a consolidated report. Results for Leaver surveys are available immediately because there is no option to be anonymous when taking this survey. Assuming a survey has closed, you ll be able to view results by selecting the Team Reporting button from the homepage, shown below. Next, choose both the survey type and survey date you wish to view and select Results. 10

11 For Commitment, Leavers and TUPE surveys there is a summary reporting page. As a Manager, you can view the participation and survey scores for your Direct Reports which is everyone who reports directly into you and Team Reports which includes everyone within your reporting structure. For example, a Regional Manager s Team Report would include their direct reports and everyone within their region /area. Should your direct reports also have line managers within their team, you can click on the manager link below their name to expand the page and view the results of individual teams within your hierarchy. This page cascades down through each level of management. Please see below: 11

12 Detailed Survey Reporting To view the detailed survey responses of your own direct reports or wider team, you will need to select either Direct Reports or Team Reports from the screen above. This will populate the page below. For Commitment, Leavers and TUPE surveys, you can see how many of your Direct Reports / Wider Team responded and a summary as follows: o The completion figure shows you how many of your direct reports have completed the survey o The participation figure shows your completion as a % o The score figure shows your team's overall survey score as a %. By selecting the Show More / Show Less link, circled below, you can also compare your own participation scores with that of your sector(s) and wider company. By selecting the Show Details link, you are able to compare the wider sector and company results vs. your current survey statistics. The questions and average scores will show and for ease, a traffic light system is in place to help you interpret the comparisons at a glance. Green = your team have scored higher than the comparison score Grey = your team have scored the same as the comparison score Red = your team have scored lower than the comparison score You are also able to download the report to a printable PDF. Commitment survey reports also have a Show Hints link which shows hints and tips relevant to the responses in your report. A Hint will be available if It s your lowest scoring question Anyone answered no to Q1 to Q4 The score is lower than the company average 12

13 Each hint contains a link to the Great days at work learning resources which is hosted in your My Learning Portal and accessed via Connect. Click the link, enter your connect password, click on 'My Learning' and select the relevant module for some great insights and ideas for making improvements with your team. How are the scores calculated? Survey scores are calculated by totaling up the questions which have a one to five score range and converting this to a % figure. The maximum score is therefore 100% and the minimum score is 20%. Example: Survey with 12 scoring questions has a max score of 60 (12x5) 48 Percentage (48/60 x 100) 80% As a Manager, your overall survey score is an average of your total team s score divided by the total number of people that completed the survey. Example: Survey s Completed 8 Total score for all completed survey s 264 Average score (264/8) 33 Percentage Score (33/60 x 100) 55% Participation percentage figures are calculated by taking the number of completed surveys in your team and dividing by the total people in your team that had a survey created for them. Example: Surveys completed 15 Surveys created 25 Percentage completion (15/25 x 100) 60% 13

14 Viewing Individual Reports You can access individual reports in your direct reports results. Please note this is only available for your direct reports who have completed the survey and have chosen to be identified and is also subject to rules protecting anonymity (see anonymity section for details). To see individual reports, simply expand the dropdown on the left side of your report, by clicking the Summary button. You can view their personal scores by clicking on their name in the list, shown in the picture below: Viewing Verbatim Comments To provide as much insight as possible, you can view verbatim comments left by your direct reports. This is only available in your direct reports results and not in the wider team report. To see the verbatim comments for other teams in your area you must drill into the reports of your Managers. If the individual has selected to remain anonymous, you will not be able to see the name of who has made the comment. 14

15 Creating a Survey for your Direct Reports As a Manager, you can create Commitment and Leaver surveys for your Direct Reports. Please note that TUPE surveys should be created by the central HR Admin team. To create a survey, log in and click the Create survey button shown below. You can then choose which survey type you wish to set up. 15

16 Commitment Surveys You ll need to name the survey and select a date for the survey to close. Commitment surveys can only be created for all your direct reports at once; providing there is not a Commitment survey already live for them. Their names will therefore be listed already, as shown below. This is to avoid any potential discrimination of any colleagues currently off work. For example, those on LTS/Maternity should still be notified of the survey and given the opportunity to take part should they wish. Once happy, please proceed to click Create Survey for Your Team at the bottom of the page. Leaver Surveys are even simpler to create as you do not need to choose an end date or name the survey. Leaver surveys should only be created for your direct reports that have formally resigned from the company. You create a survey by selecting their name for the list shown or searching for it via the search field. Once happy, please proceed to click Create Survey for Your Team at the bottom of the page. 16

17 TUPE Surveys these will be created centrally via admin users; therefore, you do not need to set up any TUPE surveys. Once a survey has been created, individuals will need to complete the survey via the usual way and once the survey has closed, you will be able to see the responses as explained previously in this document. Please note: The survey tool does not notify individuals when a survey has been created for them. It is your responsibility to inform individuals directly that there is a survey available for them to take. Casual Levy Surveys HRBP s can create surveys for Levy casuals and provide Managers with access to view the reporting and set up their own surveys for their venues. As Levy Casual workers do not always have employee numbers when they work at an event or do not always work directly for Compass, the survey set up works slightly differently. If you have been given access to set up surveys, you ll have the option to do this via the Create Survey option on the home page, followed by selecting Casual Levy from the list. Only Venue Managers will be able to create surveys for a venue and view the reporting. If you do not have the Casual Levy option, you will need to speak to your HRBP in Levy to gain the relevant access. On the next screen, shown below, you ll need to select the venue from the drop down, name the survey and set a date for the survey to close. IMPORTANT: If you do not have the venue code already, you will need to contact your HRBP to obtain this. This survey is accessed not by employee number or DOB but by inputting a unique venue code. Those who are taking the survey will need to be told this venue code, by you, in order to gain access to the survey. 17

18 Finally click, Create Survey and the survey will be created. IMPORTANT: You will need to advise the relevant people that there is a survey available to take and that they must log on to using the Venue Code specific to that Venue. All Casual Levy surveys are taken anonymously. Reporting for casual surveys is therefore available immediately by returning to the home page and selecting Team Reporting as usual. Next select Casual Levy from the drop down which will display all event surveys that you are a Venue Manager for. Remember, only those you have identified as venue managers have access to reporting for casual venue surveys. On the page below, you can see the current number of responses for each survey and can click through to view the full results. Providing you have access to view reporting for a Casual Levy survey, you ll be able to see a total number of responses received as soon as a survey is created. You will not be able to drill down further however, because the survey is not created for a set list of colleagues and the responses are always anonymous. 18

19 Clicking the Results button above will take you straight through to the reporting for that survey. You can download this as a PDF and view the verbatim comments by clicking the links highlighted below. Need Further Assistance?
