2 MENTORS GUIDE 2018 I have been communicating well with the young lady from a Uganda whose project is an incredible venture that has potential for significant impact and outreach success as she is tackling one of the continents greatest health issues; HIV/AIDS and lack of information. We have been chatting via phone and I got an overview of her expectations, intentions and vision for her project, we have agreed on keeping the communication channels open and have established a timeline and program to measure our progress and activities Personal Mentor I have established a good rhythm with my QYL - we have had several calls and are in frequent contact through /whatsapp. We have a clear plan of work, driven by his clarity of purpose and vision. I am putting him in touch with some friends who are active in the Bangladeshi profit and not for profit space, who I hope will either be able to help or inspire him. He is a pleasure to work with and I am sure he is a great ambassador for QYL Personal Mentor 2
3 MENTORS GUIDE 2018 THERE ARE TWO DIFFERENT KINDS OF MENTORS ON THIS PROGRAMME. YOU CAN APPLY TO BE: PERSONAL ADVISORY Or if you re up for the challenge, you can take on both roles! BOTH: PERSONAL & ADVISORY On the following pages, this Mentors Guide describes the different mentoring roles and provides some general information on mentoring. GENERAL INFORMATION ON MENTORING 3
4 PERSONAL MENTORS PERSONAL MENTORS PERSONAL MENTORS ARE MATCHED ON A 1:1 BASIS WITH A QUEEN S YOUNG LEADERS (QYL) WINNER. YOU WILL NEED TO BE ABLE TO OFFER APPROXIMATELY 30 HOURS TO THIS INDIVIDUAL FROM APRIL UNTIL THE END OF You will complete a Personal Mentoring Partnership Agreement & Contract with them and hopefully grow a rewarding and inspiring partnership together. You might share your advice, experience and networks and give them someone to be accountable to, act as a sound board and be supportive and encouraging. The QYLs, and yourselves, will also be expected to send regular updates to Leading Change so we can monitor the partnership, assist with any problems you are having, and feel good (or bad) about the inspiring connections we have made! For 2018 we have created Evaluation Cards as templates for these reports; we will request them at specific points throughout the Mentoring Programme. In some cases we offer two Personal Mentors to one QYL if they need help acrosss a broader spectrum. We may also share a Personal Mentor between two QYLs. If this is the case you would only be expected to offer 15 hours to each. PERSONAL MENTORING PARTNERSHIP AGREEMENT & CONTRACT This document will be very important and will help you negotiate and structure your partnership. Consider it carefully in collaboration with your QYL and make sure it is realistic and comfortable for you both. 4
5 PERSONAL MENTORS CLOSURE CARD When your partnership comes to its natural close (either in December with the end of the programme, before, or after), we will request that both you and your QYL send a Closure Card that closes the chapter of your partnership for the two of you, and us. Even if you intend to continue your partnership we will require this in December from everyone. TO BE A PERSONAL MENTOR YOU MUST SPECIFICALLY BE AVAILABLE DURING THE WEEK OF THE 16TH 20TH APRIL FOR MENTORING LAUNCH WEEK; AND 28TH MAY 1ST JUNE FOR MENTOR CHECK-IN WEEK 5
6 ADVISORY MENTORS ADVISORY MENTORS ADVISORY MENTORS ARE MORE FLUID AND NEED TO BE WILLING TO OFFER EXPERTISE AND ADVICE ON AN AS-NEEDED BASIS. IF YOU ARE SUCCESSFUL IN YOUR APPLICATION WE WILL ADD YOU TO OUR PANEL OF ADVISORY MENTORS ON THE LEADING CHANGE WEBSITE All QYLs will be allowed to select 5 different Advisory Mentors to discuss specific needs for an hour with each selection. Alumni are also given a few mentoring credits should they identify a need for their ongoing work. We allow for you to be chosen up to 8 times, however, sometimes your expertise is not required and you may not be selected at all, or you may only be selected by a few QYLs. AS AN ADVISORY MENTOR YOU WILL NEED TO OFFER UP TO 8 HOURS BETWEEN APRIL AND DECEMBER OF There will be some flexibility with the date on which you speak to a QYL depending on their schedules and remember that you will need to read a little bit about each QYL before you speak to them. 6
7 ADVISORY MENTORS ADVISORY REVIEW CARD The QYLs, and yourselves, will be expected to send an Advisory Review Card to Leading Change so we can monitor these partnerships, assist with any problems you are having, and feel good (or bad) about the inspiring connections we have made! These are structured such that we can use them as shareable reviews of you as a mentor that can then be used as a tool for other QYLs to determine whether you would be the right fit for them. We will only connect a QYL with their next Advisory Mentor choice once we have received the Advisory Review Card from their previous connection. ADVISORY MENTOR INTERVIEWS We will also host some Advisory Mentor Interviews that act as a platform for you to share knowledge that may be useful to multiple QYLs and promote yourselves as excellent choices. Details on this will come through the mentoring newsletters. You can see two of our pilot series of interviews online with Samrawit Assefa and Sam Glover. If as an Advisory Mentor you are selected by a number of QYLs at once we will you to find out if you would like to be sent all introductions at once, or if you would prefer to receive them over a staggered period e.g fortnightly, monthly. 7
8 BOTH: PERSONAL AND ADVISORY MENTORS PERSONAL & ADVISORY MENTORS REMEMBER THAT IF YOU OPT FOR BOTH ON YOUR APPLICATION, THIS MAY MEAN DEDICATING UP TO 38 HOURS TO QUEEN S YOUNG LEADERS. OTHER DETAILS WILL BE AS ABOVE, DEPENDING ON THE DESIGNATED RELATIONSHIP. 8
9 GENERAL INFORMATION ON MENTORING GENERAL INFORMATION ON MENTORING IN BOTH CASES (PERSONAL AND ADVISORY), QYLS AND MENTORS CAN CHOOSE HOW BEST TO WORK TOGETHER; BE THAT THROUGH SKYPE CALLS, WHATSAPP, OR ANOTHER METHOD. REMEMBER THAT YOUR TIME ZONES AND INTERNET CONNECTIVITY MAY DIFFER. It is also important to remember that, like you, they are busy people often studying, working full time jobs and running projects on the side. However, unlike you, they don t necessarily have the experience to know how to communicate that to you (and us), so do encourage them to chat to you about their time management. When we are making introductions we will include the QYLs Mentoring Preparation Document which will give you the basics of their project and needs. We will start the matching process in March when applications have closed and we aim to have completed the matching by April, sending out confirmation of your success on Friday 6th April. We will aim to send the introductory to you and your QYL on Friday 13th April ready for you both to engage during Mentoring Initiation Week (16th 20th April). Please be patient with us during this time as we spend a lot of time trying to make the best matches for you and the QYLs. Once the Mentoring has begun we will always be available should you run into any problems. We will also aim to send you newsletters periodically, via Mailchimp, with helpful articles, advice and reminders. MAKE SURE YOU PUT LEADINGCHANGE@ICE.CAM.AC.UK ON YOUR ACCEPTED LIST FOR S! 9
10 GENERAL INFORMATION ON MENTORING It is possible that some QYLs (present and past) may look you up online and contact you via other means. We want you to know that we only give out contact details to QYLs that we are matching you with; either as a Personal Mentor or an Advisory Mentor. We will ALWAYS address our introductory s (where we share these details) to you and the QYL together. If the introduction has not been led by us at Leading Change it is not part of our mentoring programme and you are in no way obliged to respond. It is up to you how you handle that inquiry. In order to effectively match Mentors with QYLs we have framed the possible subject interests in three different manners. 1. PASSIONS These are subjects in which you are totally driven, motivated and abundantly enthusiastic about. You shouldn t have to think too hard about what these are, they are part of your identity and being. 2. EXPERIENCE AND EXPERTISE These are the subjects and skills in which you have worked. Possibly the same as your passions but maybe not. They may be more practical/tangible/pragmatic things. You might have a related qualification in them or have worked in the field for dozens of years. 3. NETWORKS Choose fields where you know people who you would be happy connecting a QYL with. Or that you would be comfortable asking advice from, to pass on to your QYL in turn. 10
11 GENERAL INFORMATION ON MENTORING APPLICATION REQUIREMENTS As well as your photograph and CV, you will need to provide a biography in order to complete the application. This will be a maximum of 200 words and must cover your expertise, experience and what you can offer as a mentor. Please note that we use these biographies on the Leading Change website so they may be edited to fit in with our house style and to ensure it is web-friendly and accessible for those who use screen-readers. You cannot update information on the website once it has gone live. 12 GENERAL INFORMATION ON MENTORING WHAT S IN IT FOR YOU? Apart from the warm fuzzy feeling you will get from changing a young persons life, our mentors find that they can benefit from the experience too. Being challenged by a different perspective, learning about new practices and expanding networks into new fields and locations. We also love to feature mentoring partnership stories on the Leading Change website and will shout about what a wonderful panel we have whenever possible!
