1 How to Charge for Materials on Invoices and Estimates What you will learn in this article How to set up your Pricebook to charge for materials How to add a material charge to an invoice or estimate How to set up your Pricebook to pay technician commission on chargeable materials How to the Pricebook template changes when you use chargeable materials Overview Description of this Feature: This feature allows you to charge customers for materials if you are using a flat rate billing model. Benefits of this Feature: This feature is useful if you sell materials to customers on top of the services offered in your Pricebook. ServiceTitan s Pricebook provides the ability to record the cost of a material item to keep track of job costs. With this feature configured for your account, you will now have the option to charge the customer a separate price for this material on the customer-facing invoice. Basic Troubleshooting & Important Things to Note: When you charge a customer for a material item, the material price will appear as a separate line item on the invoice or estimate (the customer will not see the actual material cost, only the price configured in the Pricebook). In order to charge for materials, material items must be configured in QuickBooks. Required Setup and Instructions: This feature is not enabled by default. To use this feature, contact your Success Manager or Implementation Specialist to configure your account. Further instructions are available below. ServiceTitan KnowledgeBase page 1 of 10
2 Required QuickBooks setup: In order to charge for materials, material items must be configured in QuickBooks. Example of how this feature might be used: An air conditioner install is set up as a service in the Pricebook for $299. The replacement filter for the air conditioner is set up as a material item in the Pricebook, with a cost of $10.59 and a customer price of $ A technician is performing the air conditioner install at a job site, and the customer asks if it is possible to purchase an additional replacement filter to have on hand. The technician adds the additional filter to the invoice, and checks the option to charge the customer for the material item. On the invoice, the customer sees only the price of the air conditioner install ($299), and the price for one additional replacement filter ($19.99). 3 How to Set Up your Pricebook to Charge for Materials In order to charge customers for materials, you must update your Pricebook with prices for your material items. To enter pricing for material items: 1. Navigate to Settings > Pricebook. 2. Click Materials. 3. Click the desired material item. ServiceTitan KnowledgeBase page 3 of 10
4 4. Under the Details tab, enter applicable customer prices. You have the option to enter a Price, Member Price, Add On Price, and Member Add On Price, just as you would for services or equipment. a. Note: You will notice that these price fields are the same fields you enter for Services or Equipment. b. Note: The material Cost is a separate field. The material cost will always be treated as a job cost on invoices, payroll, and reports, regardless of whether or not you charge the customer for the material item. c. Note: If your account is configured with the Price Setup Wizard, you may use the Price Setup Wizard to set material prices (the Price Setup Wizard will update material prices, not the material cost). Search the Help section in ServiceTitan for more information on the Price Setup Wizard. 5. If your account is integrated with QuickBooks, you will map material charges to a QuickBooks Account (this will ensure that revenue is applied to the correct QuickBooks account). 6. If material charges will be taxable, click the Taxable checkbox. 7. Click the Commission tab to enter Sold Hours. This is the same as entering sold hours for Services. 5 a. Depending on what version of Payroll or how your ServiceTitan account is configured, it may be necessary that you enter sold hours in your Pricebook. If you have questions, please contact your Success Manager or Implementation Specialist. 8. When you are done, click Save. a. Note: You may also click Cancel at any time to discard your changes. 6 How to Set Up your Pricebook to Pay Technician Commission and/or Bonuses when Charging for Materials You may set up your Pricebook so technicians will earn commission and/or bonuses when you charge customers for materials. To set up a material item to pay commission and/or bonuses: 1. Navigate to Settings > Pricebook. 2. Click Materials. 3. Click the desired material item. 4. Click the Commission tab. 5. Adjust settings for commission and/or bonuses, as desired. ServiceTitan KnowledgeBase page 6 of 10

Note: You will notice that these payroll settings are the same you enter for Services or Equipment. $ Bonus A flat bonus, paid to any technician who sells the material item. % Bonus A bonus based on a percentage of the material price, paid to any technician who sells the material item. Pays Commission Pay tech-specific bonus Check this box if you would like technicians to earn commission when they sell this material item (the material item price will be included in the technician s commission base). Check this box if you would like technicians to earn their tech-specific bonus (configured in the technician s profile). Note: This setting is applicable only if you use payroll version When you are done, click Save. a. Note: You may also click Cancel at any time to discard your changes. 8 Updates to the Pricebook when you Charge for Materials The Pricebook template is used when you import or export your Pricebook to or from ServiceTitan. The Pricebook template is in Excel (.xlsx) format. When you configure your account to charge for materials, the following columns will automatically be added to the Pricebook template. 9 How to Add a Material Charge to an Invoice or Estimate 1. From ServiceTitan Mobile or in ServiceTitan desktop, add the material item to the invoice as you normally would. 2. Check Charge for Material if you would like to charge the customer for the material item. a. When you check Charge for Material, the unit price will be charged to the customer (unit price = material price x quantity). b. Note: Whether or not you check Charge for Material, the material cost will be factored into job costs when you run reports and/or export invoices. ServiceTitan KnowledgeBase page 9 of 10
