3 3 User Guide for the Pay-at-table Application Contents 3 Introduction This User Guide is for merchants who are using First Data s Pay-at-table application. It is important that you read this guide so that you are familiar with the application and functions. This user guide is an addition to the First Data EFTPOS terminal User Guide and covers the use of the Pay-at-table application. For other EFTPOS terminal functions, please refer to your EFTPOS terminal User Guide. About the Pay-at-table application Designed for table service, our custom-built Pay-at-table app offers split billing and enhanced tipping in the same transaction, for group or individual payments - without customers getting up from the table. The app has two key features; Split billing You can now split bills simply and reliably. Our app streamlines the payment process. Be it tables of two or ten, customers can choose to split their bills evenly, or enter in different amounts at the table. Tipping Great service is encouraged when tipping is easy to do - and to track! The pay-at-table tipping functionality provides your customers with the option to give you a tip when accepting transaction at the table. There are multiple options for your customers. > > percentage tip based on a predefined % > > a dollar amount manually enter the tip amount > > not tip at all Tips are tracked so you can reconcile them against your wait staff and tables (see PAT tip report).
4 4 User Guide for the Pay-at-table Application Functions of the Pay-at-table application Navigating through the Pay-at-table application on your EFTPOS terminal: 1. Starting a pay-at-table transaction a. The steps taken to start processing a transaction using the pay-at-table app 2. Split billing and tipping a. This section outlines how to process transaction if multiple people are paying the bill i.e splitting the bill 3. Completing the transaction a. When the value of the bill has been paid, the terminal will revert to the main screen 4. Tip Report a. The Pay-at-table tip report function reflects the payments and tips tracked by individual staff members
5 5 User Guide for the Pay-at-table Application Pay-at-table transaction Step 01 Step 02 Enter Staff ID Select Pay-at-table from the main screen. Key in your staff ID and press the green Enter key on the keypad. Staff IDs are numeric and assigned by the merchant. There is no set up of a Staff ID required. (to Cancel and return to the main screen, press the red Cancel key on the keypad) Step 03 Step 04 $$.$$ Table Amount Split Bill? Enter how many cards Key the table amount of the total bill and press the green Enter key on the keypad. (to cancel and return to the main screen, press the red cancel key on the keypad) Key in the number of people splitting the bill and press the green Enter key on the keypad. If not known, just press Enter. (to cancel and return to the main screen, press the red cancel key on the keypad)
6 6 User Guide for the Pay-at-table Application Split billing and tipping Walk your customers through these steps Step 05 Step 06 $$.$$ Total $$.$$ Outstanding $$.$$ Patron Amount $$.$$ Total $$.$$ Outstanding $$.$$ Patron Amount The Total displayed is the amount of the total bill. The Outstanding displayed is how much of the bill is to be paid. The Patron Amount, is the portion to be paid by customer one. By default, the bill is split evenly between the number of people splitting the bill. Press the green Enter key on the keypad to continue Use the yellow back button to adjust the split amount this patron is paying. Step 07 Step 08 $$.$$ Total $$.$$ Outstanding $$.$$ Tip Amount Select the tip that the patron wishes to add by selecting a pre-set %, Other amount (enter desired tip value) Or, No Tip If Other was selected in the previous step, enter the desired tip amount and press the green Enter key on the keypad. (OR press Back to return to the previous Tip screen)
7 7 User Guide for the Pay-at-table Application Step 09 Step 10 Purchase: $$.$$ Tip: $$.$$ Total: $$.$$ Purchase is the portion of the total bill that the customer is paying. Tip value is shown if a Tip was selected by the person. Total represents the purchase and tip. Select the green thumbs up button to continue with the transaction, the red thumbs down button to start again, or back to enter or adjust a tip. If the green thumbs up button was selected above, then the transaction processing (as for any other type of purchase) will continue at the Card Insert, tap or swipe step. On completion of the card purchase, processing will return with the following step. Step 11 Step 12 Insert, tap or swipe the customer s card. Hold the customer s card over the terminal screen if the customer chooses to tap. Note: If the value for a contactless transaction is $100 or greater, the terminal will prompt the customer to enter a PIN or insert their card. Select the account type. Instructions continue on next page >
8 8 User Guide for the Pay-at-table Application Step 13 Purchase: $$.$$ Total: $$.$$ Step 14 PIN or Sign? Ask the customer if they would prefer to enter their PIN or sign the receipt. Confirm the transaction amount. Enter PIN and press Enter or press Signature transaction accordingly. Receipt must be printed if signature is selected. (Signatures are still valid for selected cards such as some issued overseas or certain domestic cards under special circumstances) Step 15 Step 16 Customer copy? EFTPOS in progress. Please wait This screen indicates the terminal is attempting to process the transaction. The screen will update to reflect the status, eg Approved. If the customer requires a copy of the receipt, press the green thumbs up button. If the customer does not require a copy of the receipt, press the red thumbs down button.
9 9 User Guide for the Pay-at-table Application Step 17 Remove card Remove card when prompted by the terminal (insert card transactions only) Completing the pay-at-table transaction Step 18 $0.00 Total $0.00 Outstanding The Total displayed is for the original bill amount The Outstanding is how much of the bill remains to be paid. Once the Outstanding amount has been drawn down to zero, this completes the table s transactions and the terminal will return to the main screen. After completing the first Patron s transaction, select the green thumbs up button. The terminal will return to step 5 to commence the next Patron s transaction. Repeat for each Patron paying by card. Select the red thumbs down button if all card purchases have been made and the Outstanding amount is being paid with cash.
10 10 Operating your EFTPOS terminal Tip Report The Pay-at-table tip report function reflects the payments and tips tracked by individual staff members. Step 01 Step PAT Tip Report Printing report... Select Admin, Reports and enter your User ID and password to display the reports menu. (refer to the Terminal User Guide re user name and password) To print a report of all Tips added to Table transactions sorted by Staff ID, This screen will be displayed while the report is printing. Select the PAT Tip Report from the displayed list by pressing on the screen.
