1 talons newsletter march 2008 banner human resources/payroll implementation project starting something big Welcome to the 2008 inaugural issue of the Banner Human Resources/Payroll Implementation Project Newsletter. This newsletter is published by the Human Resources/Payroll Project Communication Work Group as one vehicle to update the campus community about the implementation project and other project related activities. The Banner Human Resources/Payroll Implementation Project is the third and final phase of the EWU Enterprise Systems Replacement Project that began in We are currently live with the Banner Student, Financial Aid and Finance systems. These systems have had a significant impact on how we all interact with each other and how we conduct business on a day-today basis. With the implementation of Banner Human Resources/Payroll there will be new systems and processes to learn so communication and training will be important elements of our project. Our goal for this newsletter is to keep you informed about schedules, activities and key information that you need to know about the Banner Human Resources/Payroll system and how it will affect you as a faculty or staff member. We hope to publish a new edition every six to eight weeks. The newsletter will be made available through the Web at The newsletter is only one method the Communication Work Group will use to communicate with the campus. The TALONS website is also available at and we will be updating the site with current as well as archival information about the project. Departments and other project stakeholders will receive additional communication from various implementation teams outlining important details of the project as they relate to specific areas. We encourage you to become informed about the Banner Human Resources/Payroll project and to ask questions. It is important that we all understand the full functionality of the new system and how it may impact our daily business. 2 focus on focus on people admin As part of the Human Resources/ Payroll Implementation Project we have purchased a third party product called People Admin. The implementation of the People Admin software will provide EWU with an online applicant tracking system; improving customer service levels to applicants and hiring managers. Specifically, EWU will gain the following services and efficiencies: Applicants will be able to submit job applications electronically Human resources and hiring authorities will be able to collect employment application materials online Applications can be screened online using job-specific qualification questions Applications can be routed to appropriate hiring managers/search committees via the Web Automated updates will be sent to applicants regarding the status of their application as well as notify applicants of new positions that match their skill and interest areas The People Admin Implementation Team members are: Connie Brady, Kim Davis, Marilyn Dreis, Lori Kory, Caren Lincoln, Colette Loiacono, Keri Miller, Mark Schuller. banner bling banner human resources/ payroll implementation project More than 55 faculty and staff gathered on Nov. 27, 2007 to officially kick off the Banner Human Resources/Payroll Implementation Project! A continental breakfast was hosted by SunGard and greatly contributed to the overall excitement and festive spirit of the event. Toni Habegger (project sponsor) and Paula Hall (project manager) facilitated the event. The program included: An overview of the project goals, expectations, timelines and milestones An outline of the project organizational structure, teams and work groups An introduction of all the teams and work group participants The identification of all the project stakeholders and a summary of their responsibilities Project Team Leads and Work Group Leads introduced their members and gave a brief description of their work and project deliverables. It was very apparent that the project participants are an enthusiastic, knowledgeable and motivated group. project status: green The new year is off to a great start and we sincerely hope that 2008 is not just a new number but a truly new year, full of new ideas, attitudes and vision. We look forward with confidence in achieving our 2008 project goals. Since the Nov. 27 project kickoff various teams and work groups have been meeting regularly, attending the scheduled SunGard Banner functional training, completing training homework assignments and beginning their work on their team deliverables. 3 messages from the benefits functional project team Janis Bliss, team lead Team members: Kimberlee Davis, Anne Gehr, Kendra Kelly, Caren Lincoln, Jeri Morgan Our team has been attending extensive SunGard training and working on developing the new Banner benefits and deductions coding schema. We currently are developing our crosswalk documentation from our current system coding structure to the new Banner structure. the budget /position control functional project team Tesha Kropidlowski, team lead Team members: Kathy Sawtells, Caren Lincoln, Jan Bliss, Kim Davis Did you know that Banner Human Resources/Payroll REQUIRES that a position be created in order to generate a paycheck? This makes position control CRITICALLY important (in a very personal way) to each and every employee at Eastern! Our team has been in full gear with training, assignments and working on our project deliverables. We have completed our Position Control AS-IS documentation, outlining the budget/ position control process as it currently exists at Eastern. We have developed a recommended Banner Position Number schema and crosswalk to the current position numbers used in the payroll system. Future tasks at our weekly team meetings include setting up a Banner benefit budgeting method and developing an appropriate methodology for FTE calculations. the technical teams Anne Gehr, team lead The staff members supporting the Banner Human Resources/Payroll technical implementation consist of decentralized (embedded) and centralized employees. Business unit staff includes Lan Pho (HR), Max Chartier (Benefits), Troy Lousen (Payroll), Nate Shearer (Finance) and Admir Djulovic (Accounts Receivable) and are led by Anne Gehr. Information Technology staff include Chris Bethely, Leio Heyenrath and Dean McMinn and are led by Erick Keating. This is an experienced and cohesive group of people responsible for migration of existing data to the new Banner system and the development of interfaces between EWU and external agencies. Additionally, this group supports the database, reporting, and daily support needs of the business units using Banner Human Resources/Payroll. This group meets each Friday morning at 9:00 in Sutton 3 rd floor conference room. the payroll functional project team Kathy Sawtells, team lead Team members: Vara Lyn Conrath, Kimberlee Davis, Anne Gehr, Loretta Glaze, Keri Miller, Cathie Moeller, Jeri Morgan Our team has been attending the Sungard training events and have been busy developing the EWU Banner earn codes, new benefit/deduction codes and our 2008 and 2009 payroll calendars. We are performing analysis on our current business processes to identify issues or changes that may need to be addressed in the new Banner environment. the human resources functional project team -Caren Lincoln, team lead Team members: Vara Lyn Conrath, Keri Miller, Kim Davis, Lori Kory, Mark Schuller, Carol Hawkins, Chad Johnson Our team has been charged with developing and implementing the new EWU bannerized human resources environment. Our tasks include analysis, design and implementation of the Banner Employment/ Compensation, Employee Relations and the Health & Safety modules as well as the development of the Electronic Personnel Action Form functionality. We will also lead the implementation work for the Employee Self Service module which will allow EWU employees to view via the Web: Personal and work information including addresses, phone numbers and emergency contact information Benefits and deductions information including retirement plans, health benefits, benefits statements, beneficiaries and dependents, annuities and donation formation Pay stubs, earnings history, deductions history and direct deposit information Tax forms, including W4 forms and W2 statements Job summary information and Leave balances We are currently attending the Banner training events, cleaning up data in our current human resource/payroll system and working on creating the Banner tables that are critical to building our EWU human resource system. 3
