3 Overview Standard Hours and Earnings is a file that contains the hours and earnings amounts that would normally be entered each pay run. It is a part of the Employee Profile option. It is an advanced function of the PAYweb.ca system that allows you to: 1. Automatically pull in the reoccurring hours entered for hourly employees each pay run. This saves time entering the hours if the hours are usually the same each pay run. 2. Set up additional earnings to be automatically paid to an employee each pay run (e.g., if you need to give an employee a car allowance of $ every pay run). You will have the option to load the standard hours and earnings into the payroll when you select option 1.1 Enter Payroll. See the section Loading Standard Hours and Earnings (below) for details. 3.3 Standard Hours and Earnings Page 3 of 8 Revision 5
4 Setting Up Standard Hours and Earnings 1. From the Process Payroll menu, select Employee Profile. This will call the Select Employee screen. Select the employee to be set up from the list or by using the: Empl # Select field Position To field or The Select Name that Contains field. For more information on how to select an employee, refer to section 3.0 Employee Profile. 2. After selecting the employee, click Standard Earnings. This example shows how to enter the usual hours entered for hourly employees each pay run. Key in the standard hours and/or earnings for the employee similar to how you would in option 1.1 Enter Payroll. For details on how to do this, refer to section 4.0 Processing Your Payroll. Note: On this screen, you are only entering the standard hours and earnings. You are not entering pay records for the current pay run, which is done using the 1.1 Enter Payroll option. 3. If you are unsure of the value to be entered in the Earnings Type field, click the magnifying glass to call a select screen similar to the one shown to the left. 3.3 Standard Hours and Earnings Page 4 of 8 Revision 5

This example shows a $25 Amount Override for Earning Type REG (i.e., Regular) as additional earnings to be paid each pay for this employee, on top of their 80 Hours for the same Earning Type for a bi-weekly pay. 5. Once you have finished all your entries to standard earnings, click Exit return to the Select Employee screen. If desired, choose another employee for whom you wish to enter standard earnings. 3.3 Standard Hours and Earnings Page 5 of 8 Revision 5
6 6. Click Exit to return to the Process Payroll menu. NOTE: You only need to perform steps 1 through 5 once for each employee to set up the standard hours and earnings. The information in the standard hours and earnings will be permanently stored and available to be loaded on every pay run if you so choose. 3.3 Standard Hours and Earnings Page 6 of 8 Revision 5
7 Balancing Standard Hours and Earnings To produce a listing of standard hours and earnings for verification, click Additional Features, then Additional Reports, then Standard Earnings. Selecting this option will generate the AUDIT report (listed in the MISC group). NOTE: This balance listing displays the master standard hours and earnings created from steps one through four above. Any changes made to the hours and earnings for the current payroll only, will not be shown on this balance listing. 3.3 Standard Hours and Earnings Page 7 of 8 Revision 5
8 Loading Standard Hours and Earnings 1. Select option 1.1 Enter Payroll from the Process Payroll menu, as you would for a usual payroll run. 2. The first time you select the 1.1 Enter Payroll option for each pay run, you get the message indicated in the screen at left. To load the standard hours and earnings into your payroll for this run, select Y es. NOTE: N o is the default. If you do not wish to load the Standard Hours and Earnings into your payroll for this run, press Enter without changing the option. 3. When you select Y es in response to the message above, the standard hours and earnings are loaded into the payroll and can be seen on the Hours and Earnings Entry screen. You can make any changes to these standard hours and earnings for the current payroll run here. Note: To make permanent changes to the standard hours and earnings, you will need to repeat the steps above starting at step 1 Setting Up Standard Hours and Earnings (above) before the next pay period. 3.3 Standard Hours and Earnings Page 8 of 8 Revision 5
