1 RED ROOF INN MEMORANDUM TO: Inn Management DATE: 1/21/15 FROM: Training DUE DATE: 1/27/15 SUBJECT: REDISTAY UPDATE On January 27 th, 2015, the RediStay application will receive an updated version with several enhancements to the application. The following are training notes about the RediStay enhancements with this update. Credit Card on file for RediCard Members: If a RediCard member has a credit card number on file a GSR will be able to select the credit card to guarantee a reservation when they get to the reservation screen. 1. Once on the reservation screen, the GSR will click the red wallet to the right of the GTD field to view guarantee codes associated with the account. 2. The guarantee codes associated with the account will be listed. A GSR can change the primary guarantee by selecting the appropriate guarantee code and then click on Set Primary button.

2 Expedia Traveler Preference: Expedia Traveler Preference (ETP) allows our guests the option to pay Expedia at the time of booking or pay the inn at the time of check-in. Expedia Payment Option Screen: Guests will have a choice of how to pay when they book on Expedia, they will see the following screen when they get to this point. Pay online now payment option the booking will be handled as it currently is. The guest pays Expedia and the hotel bills a virtual credit card for the net rate. Pay later payment option a GSR will collect payment from the guest at the time of check-in. The rate on the reservation will reflect the full rate for the night, instead of the net rate. 2

3 RediStay Enhancements: Pay online now payment option: An enhancement to RediStay has been made to make the payment option that the guest selected when they made their reservation on Expedia. The reservation will show Virtual Card if a guest selects the pay online now option and the Max Auth amount in the GTD field. It is important with all reservations that a GSR read the pop-ups that appear and any notes on the reservation to ensure that the guest receives the correct rate, correct room type, if a direct bill is the account open and any notes about the account, etc. As previously stated with this enhancement to RediStay the reservation will show Virtual Card and the Max Auth amount in the GTD field. This new information does not appear as a pop-up or change color. The GSR must look for this information to determine how to proceed with the reservation. Another enhancement to RediStay for the pay online now option is that at the time of check-in a pop-up will appear explaining that a Virtual Card is being used and that the card will be charged when a GSR clicks F12, Save. RediStay will automatically post a credit to the folio when the reservation is saved for the amount that is authorized. The GSR no longer has to do this step at check-in. The pop-up will also remind the GSR to obtain another form of payment for incidentals. 3

Obtain another form of payment for incidentals. Pay later payment option: When a guest selects the pay later payment option, the reservation will still transmit into RediStay as an Expedia booking with an Expedia rate code. The rate on the reservation will display the full rate for the night, instead of the net rate. The credit card number that is on the reservation will be the guest s credit card not a virtual card. The GTD field will display Guest Collect. This is the indication to the GSR that there is not a virtual card on the reservation and they need to ask the guest for payment. The reservation is processed like any other credit card reservation at this point. Reminders: Ask the guest how they will be paying for their room. They may wish to use a different credit card than what was used to make the reservation on Expedia. Obtain identification from the guest at the time of check-in. Faxed Expedia reservations: When entering the reservation in RediStay, the GSR will receive a pop-up when they select an Expedia source. The GSR will need to enter the Expedia reservation ID and select Hotel Collect or Expedia Collect. The GSR will not be able to complete the reservation with an Expedia source if the following screen is not completed. 4
