JOB PURPOSE, DUTIES AND RESPONSIBILITIES OF THE POST MAIN PURPOSE Lead and manage the Corporate Services Division (HR, Corporate Affairs and Facilities) to ensure the provision of efficient and effective services to the Group of Companies in accordance with legislative and statutory requirements. To participate as a member of the executive management team and fulfill the necessary requirements thereof. DUTIES OF THE POST NO. KEY PERFORMANCE AREAS (What) 1. Group Corporate Services Management INPUT (Methods Used) (How) Approve and monitor/oversee strategic business plans for Group HR; Corporate Affairs and Facilities, to ensure that business planning of the Group is aligned Oversee the development and implementation of strategic and operational policies of respective departments within the Corporate Services Division in the Group according to legislation and any other rules and regulations Review, develop and monitor Group Corporate Services (HR, Corporate Affairs, Facilities) best practice Plan and forecast on short, medium and long term Group needs Monitor that various Corporate Services policies and decisions of the Group are implemented in a most functional and effective way Give support to the Board in providing strategic Group HR and Corporate affairs advice to ensure best practice compliance and commercial sustainability Investigate and comment on reports submitted to the Board, which have Group Human Resources and Corporate Affairs implications Advice and direct the Group investment and funding strategies Recommend and advice on complex group mergers and acquisitions Report on Group of Companies performance to relevant stakeholders (DOE, DOL, Treasury, etc.) Output (Expected Results) (Why) Critical performance indicators identified and specific measures established to enable and guide the Group to plan, manage and/or prioritise HR; Corporate Affairs & Facilities strategic outcomes 2
2. Strategic planning Evaluate and comment on the applicability of specific operational key performance indicators and measures against outcomes detailed in the s strategic plans Draw up strategic business plans for the HR; Corporate Affairs and Facilities Department to ensure that business planning of the department is aligned to Group of Companies strategic objectives and business priorities Approve and monitor/oversee strategic business plans for the HR; Corporate Affairs & Facilities functions within the Group to ensure that business planning of the departments is aligned to Group of Companies strategic objectives and business priorities Oversee the development and implementation of strategic and operational policies in the division according to legislation and any other rules and regulations Review, develop and update best practice ito HR/ Corporate Affairs and Facilities policies and procedures Plan and forecast on short, medium and long term organisational and personnel needs which includes compiling and developing Standard Operating Procedure (SOP s) activities Monitor that policies and decisions of the department are implemented in a most functional and effective way Give support to the Chief Executive Officer in providing strategic HR advice to the Board and other Departments and Subsidiaries to ensure best practice compliance Investigate and comment on reports submitted to the Board, which have a human resource implication Critical performance indicators identified and specific measures established to enable and guide to plan, manage and/or prioritise strategic operational outcomes accordingly Aligned HR/Corporate Affairs & Facilities priorities within the Group of Companies 3
3. Direct the activities of the HR; Corporate Affairs and Facilities Department Lead and manage the Corporate Services Division and set the necessary policies, rules and regulations in place to ensure proper and effective services namely: o HR o Corporate Affairs o Facilities Provide guidance and monitor adherence to all applicable legislation, rules and policies Continuously investigate and recommend the best HR solutions Institute relevant reporting avenues and compliance Stay abreast and interprets relevant legislation, implement and communicate relevant changes timeously Provide guidance and monitor adherence to all applicable legislation, rules and policies Oversee the implementation of various initiatives within the Corporate Services Division that are required to drive the broader organisational vision and strategy. 4. Financial Management Prepare, manage and monitor the capital and operational budget of the Corporate Services Division, including total labour budget of the Group to ensure effective and efficient functioning and cost control Analyse trends, operating requirements and prepare capital and operating plans/estimates to determine funding for the financial year Evaluate the HR/ Corporate Affairs/ Facilities departments performance against the approved budget and addressing deviations/variances Monitor, recommend and implement corrective measures to rectify deviations/acts contrary to budgetary provisions, financial regulations, audit requirements and departmental procedures Authorise payment requests, requisitions, etc. regarding expenditure as delegated Prepare reports to the Board detailing the status of expenditure and availability of funds for current and short term interventions Prepare motivational reports for submission to the Board for approval when required 5. Stakeholder Management Ensure that HR/ Corporate affairs & Facilities departments are represented in all relevant forums and meetings to ensure good flow of information Liaise with internal and external auditors ensuring that all matters raised by these auditors in queries, management letters and audit reports are addressed Communicate with key clients and other stakeholders on their needs and resolve and respond to their queries Interact with State Departments and other bodies where required Interact with any software or other service providers to ensure SLAs have been met and contracts managed appropriately Budget formulated, monitored and constraints adhered to Served as a trusted advisor and business partner HR/ Corporate Affairs/ Facilities function represented Key clients and other stakeholders taken care of 5
