JOB DESCRIPTION JOB TITLE: Asset Information Manager SALARY: 36,004 RESPONSIBLE TO: Head of Asset Management RESPONSIBLE FOR: Asset Information Officer Asset Information Assistant Customer Involvement Advisor Stock Condition Surveyor CONTACTS: All staff within Merlin Housing Society, tenants, leaseholders, tenant and resident groups, Councillors, members of the public, contractors, suppliers and service providers General Description: Provide leadership and direction to the Asset Information team Support the development and delivery of effective Asset Management strategies, policies and good practice to shape and drive achievement of Merlin HS business objectives in order to maximise the potential of its current and future assets. Be accountable for excellent service delivery in Asset Management activities and the achievement of its aims and operational objectives ensuring continuous improvements are made. Manage the staff and functions of the Asset Information team, providing management and information support to ensure a timely, efficient and effective delivery of all disciplines of the asset management service. Manage and develop Merlin HS stock data systems to ensure all information, survey details and new works are recorded to enable correct reports and forecasts to be provided. Manage the provision of asset related information, reports, financial forecasts to Operational, Financial and Business Support teams to support business and financial planning. Ensure that the information collected and maintained within the Keystone Asset management property databases is relevant, up-to-date and enables regular reviews and sustainability appraisals of Merlin HS properties and all related assets. Manage and maintain input of information into the organisations Keystone systems and in future into any asset management IT modules which will be used to capture data. Work closely and effectively across the business to provide a high quality customer focussed service. Contribute to setting budgets and forecasting future work programmes to ensure delivery of the capital and revenue improvements programmes within the Society s Business and Financial Plans. In conjunction with the Head of Asset Management and Asset Manager, plan future works programmes and ensure systems are in place to monitor actual spend against budgets and control expenditure. Specific Duties and Responsibilities: Operational Manage the procurement, commissioning and implementation of asset management systems and supporting stock condition information in order to maintain Merlin s property portfolio and related assets in accordance with the societies business objectives. Oversee the continuous audit of Merlin HS assets and stock condition data, ensuring that there are accurate systems for recording and regular updating of information including the appropriate planned investment and replacement schedules. Be responsible for the production of accurate data and stock information required form the department for the annual and longer term capital budgets. Provide training as relevant and required on the society s asset management data capturing systems. Establish and deliver key standards of service and performance in all Asset Management activities to ensure an effective and responsive customer service culture. Maintain an up to date knowledge and awareness of technical, statutory, regulatory and legislative requirements and similarly of standards and good practice in relation to the services provided by the Asset Information team. Set and meet performance targets and measures and ensure these are regularly reported to stakeholders across Merlin. Engage with internal and external customers at every opportunity, ensuring a right first time approach in all team activities. Ensure that customers are engaged and informed in advance of any issues which may affect them, thereby ensuring all potential disruption to stakeholders is minimised. Implement task plans which ensure that customer needs and expectations are actively included, Use customer insight, feedback and satisfaction information to enhance MHS purpose, service delivery and customer experience. Ensure that all team activities are focussed upon raising aspirations, providing an excellent service to customers and meeting their individual needs. Financial Ensure that all support team projects and services are delivered on time within budget and to the required specification. Assist in the preparation of long term asset investment plans in consultation with relevant stakeholders to ensure that priorities can be achieved within financial parameters. Ensure the support team work to the Society s Value for Money agenda. Management Tasks Directly line manage the Asset Information team in delivering projects and services including recruitment, induction, training and ongoing support through 121s and annual appraisals. Support the development and training of staff as required ensuring available skills are in place to meet business objectives and enable staff to achieve their potential. Ensure appropriate risks are identified for individual projects and risk management controls and monitoring techniques are put in place. Ensure all work is carried out in accordance with Health & Safety legislation and good practice. Ensure that appropriate risk assessments are undertaken which cover the activities of the team and that staff are trained on them and comply with their requirements. Produce as required written reports and visual presentations for use by a variety of audiences, including residents groups, committees and Board.
