Tower Hamlets Education Business Partnership JOB DESCRIPTION Project Coordinator Preparation for Work Team (12 Month Fixed Term) MAIN PURPOSE OF JOB 1. To support the work of the Preparation for Work Team. 2. Coordinate and support delivery of Preparation for Work Team projects, events and activities. 3. Responsibility for business and volunteer engagement for projects, events and activities that fall within that team s remit. STRATEGIC OBJECTIVE Tower Hamlets EBP is an independent charity that supports the education, training and development of young people in Tower Hamlets by forming mutually beneficial partnerships between businesses and schools. We deliver a range of programmes which help young people to raise their levels of achievement and aspiration, gain relevant employability skills and develop an understanding of the world of work. Our programmes provide City of London and Canary Wharf firms the opportunity to engage with the local community, deliver their employee volunteering strategies and fulfil their wider corporate social responsibility agenda. We have been in existence for over 25 years and have recently expanded our reach to work beyond the borough of Tower Hamlets, primarily in Greenwich. Our envisioned future is to be recognised by educators and employers as the market leaders in developing the employability skills of young people. We want to be the partner of choice for employee volunteering in education, with programmes running nationally. Making volunteering what it should be: Easy, enjoyable and enriching. THE ROLE The Project Coordinator will work as part of the Preparation for Work Team. The post has specific responsibility for the areas outlined in the Job Description. These areas may change through negotiation with the Director and the Deputy Director for School Programmes. Areas of Responsibility: The core focus of the role will be to coordinate a programme of work related learning for a defined group of schools. This will include Coordinating and supporting programme and event administration as directed by the Senior Project Manager. Supporting delivery of programmes and events by attending training sessions, workshops, etc. Recruiting and coordinating volunteers to support programmes and events as directed by the Senior Project Manager, Project Manager and/or Senior Project Coordinator. Recruiting work experience providers for the work experience programme. Supporting ad hoc one off projects and bespoke events as directed. Compiling data and reports on business and volunteer activity in as directed by the Senior Project Manager. Reports to: The post holder will be line managed by the Senior Project Manager and supervised, where appropriate, by Project Managers and/or Senior Project Coordinators. QUALIFICATIONS & EXPERIENCE Essential: Educated to degree level. IT literate with experience of Word, Excel and PowerPoint. An understanding of, and commitment to, equal opportunities. An enhanced DBS clearance is essential. This can be undertaken as soon as the person is in post. 2
Desirable: A minimum of 6 month s relevant work experience in sales, education or business administration. Knowledge of SurveyMonkey or other similar data collection and evaluation tool. Familiar with education system and knowledge of education policy issues. Experience of supporting community organisations or individuals. Knowledge of the youth employment agenda and the labour market opportunities for young people. Understanding of the benefits of work related learning for young people. Previous experience of working with children and young people. Willingness to develop presentation and public speaking skills. COMPETENCIES & SKILLS Communication: Confident and engaging speaker; they should have a confident telephone manner, being able to persuade and persist when cold calling. Project management: Basic project management, planning, administrative and organisational skills. Prioritise: Ability to work under pressure and identify priorities and schedules of own or others daily work. Must be able to effectively deliver against set targets to agreed deadlines. Interpersonal skills: - Ability to relate to young people from all walks of life and a passion to help them reach their potential. - Able to negotiate, persuade, problem solve and be flexible. Be able to form good relationships with a range of people from different types of background and at different levels of hierarchy. - Show self-motivation and drive for promoting and developing links between businesses/employers and schools in Tower Hamlets. - Friendly and approachable with a can do positive outlook. Team work: Strong team player, sharing knowledge and experience with colleagues, able to collaborate and support. Initiative: A self-starter with ability to direct own work in an organised and motivated way. Solution focused and able to resolve issues independently. 3
Writing skills: Ability to articulate messages clearly and concisely in an engaging style consistent with Tower Hamlet s EBP brand. Ability to write for a variety of audiences. Able to produce business standard letters, agendas, event resources and volunteer briefings with minimal supervision. Customer care skills: Excellent people skills with the confidence to respond to positive or negative feedback from young people, volunteers and businesses/employers in a professional and diplomatic manner. Thorough: Displays an attention to detail. Organised: A self-starter who is comfortable setting their own pace of work and managing their deadlines with only some supervision. They should be able to administer several project streams at the same time. Punctual and reliable. MAIN DUTIES 1. Employer liaison Own specific employment sectors and actively recruit new businesses to the work experience programme with support from the Membership & Marketing Coordinator. Deal with incoming enquiries from businesses as directed by the Senior Project Manager. As directed by the Senior Project Manager, Project Managers and Senior Coordinators, recruit business volunteers to support activities and events. Send out event details and briefing notes to volunteers supporting events for your group of schools. 2. Project Coordination As directed by the Senior Project Manager, support the coordination of events, programmes and activities. Work with the Senior Project Coordinator and the DBS Administrator to ensure all DBS requirements are met. 3. School liaison Liaise with teachers and school coordinators to ensure our projects, events and activities are delivered within the time frame and to a high professional standard. Carry out relevant administrative tasks for those projects for your group of schools. Meet with new teachers as directed by the Senior Project Manager to explain the work experience process and train them on the Customer Relationship Management system. As directed by the Deputy Director for School Programmes and the Senior Project Manager, coordinate the Preparation for Work journey for an allocated group of secondary schools. Coordinate the work experience programme for your group of schools. This will involve placement finding, new company recruitment and carrying out health and safety visits and revisits. (Training is provided for these visits). 4
4. Events Attend the events and support the event facilitator throughout the event. This will include looking after volunteers, on site liaison with school staff, overseeing refreshments, evaluations etc. At some events, you may also need to support a volunteer or act as a business volunteer yourself and work with groups of students or provide individual students with a practice interview. As directed by the Senior Project Coordinator support the Business Administrative Apprentice in the preparation and transportation of event resources for your group of schools. Assist at other Work Related Learning or Careers events when necessary. 5. Relationship Management In consultation with the Deputy Director for Senior Project Manager, own the relationship for specific employers who support the work of Tower Hamlets EBP. Feed relevant information to Senior Project Managers, Project Managers and Senior Coordinators in relation to employers and schools. Troubleshoot relationship issues with schools and businesses, supported by Senior Project Manager or the Senior Project Coordinator as required. Liaise with Membership & Marketing Coordinator to provide information for annual reports and case studies. Support the Deputy Director in the preparation and distribution of the annual school s service level agreements. Support the Deputy Director in the successful return of schools service level agreements, fielding enquiries from schools where appropriate. 6. Customer Relationship Management (CRM) tasks Inputting of new volunteers and the retirement of others to the CRM. Record all active volunteers against relevant programme activity in a timely manner. Produce regular updates for the Membership & Marketing Coordinator and senior managers as requested. Produce annual volunteer data reports as requested by the Deputy Director and the Project Manager. Work with the Senior Project Coordinator and the DBS Administrator in the production of DBS update reports. Where necessary, train your group of schools in the use of the work experience portal on the CRM as directed by Senior Project Manager. 7. Impact & Evaluation Contribute to the evaluation of relevant activities and programmes as directed by the Senior Project Manager. Input the survey data into SurveyMonkey as required. Provide Senior Managers with data as directed. 8. Communication & Media Contribute to the teams social media presence for its projects as directed by the Senior Project Managers, Project Managers or Senior Coordinators. Provide evaluation comments or soundbites for the Heads Up! Newsletter as directed by the 5
Senior Project Manager. 9. Peer Support Support the other Project Coordinators as and when necessary. Meet termly with peers to discuss ideas, troubleshoot and share best practice. Last updated: 13 th July 2017 6
