Position Description Region VIII Veterans Business Outreach Center (VBOC) Project Support Specialist Big Sky Economic Development Status: Full-Time/Salaried Salary Range: $34,000 - $40,000 Reporting Responsibility: This position reports directly to the Region VIII VBOC Director. Summary of Essential Role and Responsibilities This position supports the Director of the Region VIII Veterans Business Outreach Center in the capacities of project support and office administration. Specific Duties and Responsibilities Provides project and administrative support to the Region VIII VBOC Director who serves a 6 State region. Schedules appointments, takes messages, runs interference for the Director, performs clerical duties, types notes, performs data entry on all client records, opens and maintains client files, retrieves voice mail and email when Director is traveling and communicates all pertinent information as needed, sends correspondence both through the mail and email, takes notes if needed. Advocates for the Region VIII VBOC and all programs at BSED. Completes Client In-take Questionnaires and paperwork for all VBOC clients. Sets up web-based counseling and conferences for clients and the Director. Sets up and troubleshoots technical difficulties with associated programs utilized to provide virtual counseling and training (Skype, GoToMeeting, GoToWebinar, GoToTraining, etc.) (May work in collaboration with a technical expert if needed.) Answers general and fundamental questions for veteran entrepreneurs and small business clients. Schedules, coordinates and supports all of the Director s training events, workshops, and seminars by preparing materials, setting up both the logistics and technology support needed, coordinating travel, food, communicating with vendors, volunteers and consultants, and managing client registration and payment, if applicable. Collaborates with the Director on ways to improve systems and processes during weekly one-onone meetings. Submits timesheets and vacation requests in a timely fashion to the Director. Supports the Director and Big Sky Economic Development s Controller s preparation and submittal of quarterly and annual performance reports and monthly reimbursement requests. Serves as the VBOC s First Point-of-Contact for all clients (pre-screens for specific needs). Supports the Director in developing press releases, posts and photos for social media, websites, marketing collateral, and other communications for distribution and promotion throughout the region. Required Knowledge, Skills and Abilities Ability to learn and explain general overview of VBOC programs to clients, constituents, and stakeholders. Must have demonstrated knowledge of military culture, (veteran is preferred). Must be detail oriented, organized, and capable of multitasking, managing several projects at one time, excellent customer service and interpersonal skills, ability to adapt, take direction, and learn new systems and processes as needed. Committed to client satisfaction with a high regard for others and completing tasks on time. Minimum Qualifications Associate or Bachelor Degree from an accredited Institution in Business Administration, Finance, Accounting, Public Administration, Communications, Marketing or a related field of study is preferred with a minimum of five years experience in related work. The employee must have a strong working knowledge of Microsoft Office applications including: Excel, PowerPoint, Word, Outlook and Access as well as Adobe. The employee must have a minimum of 3 years experience in a support role.
