Established in 1984 in response to the widespread famine in Africa, Islamic Relief has grown to be a key, well known and respected aid agency in disaster relief and the ongoing development of people in over 25 countries. It specialises in Education & Training, Health and Nutrition, Water & Sanitation, Income Generation, Orphans Support, Emergency Relief and Disaster Preparedness. Islamic Relief is a member of the Disasters Emergency Committee (DEC) and is an implementing partner for DFID, ECHO, the World Food Programme and UNHCR. PURPOSE OF DIVISION (IRUK) Islamic Relief UK (IRUK) is a Strategic Business Unit (SBU) that is part of Islamic Relief Worldwide. IRUK s focus is strengthening effective funding, mobilising for change through advocacy and awareness-raising, and strengthening programme development and delivery. IRUK works with various partners and institutions, from governments, non-governmental organisations and local authorities to grassroots communities. PURPOSE OF DEPARTMENT (FUNDRAISING): To develop and implement strategies to increase the funding income of Islamic Relief through a range of fundraising initiatives and through acquisition and retention of supporters. JOB PURPOSE: To support the Regional Community Fundraising and Volunteer in fulfilling the organisational objectives of developing and optimising on community fundraising and volunteer initiatives. To establish and maintain effective communication with all regional offices and other functions of IRUK where relevant. KEY WORKING RELATIONSHIPS Reports to the National Community Fundraising and Volunteer. Works closely with Regional Community Fundraising and Volunteer s, other members of the Community Fundraising and Volunteer (CFV) team and the wider fundraising team. Liaises at all levels with staff within the organisation. Acts as the main point of contact to the Charity Week Board of Advisors. Works closely with the Charity Week UK National Director, Vice Director and General Secretary on an operational level. SCOPE AND AUTHORITY Scope of the Role: Provide administrative support to the CFV department with relation to Charity Week. Deal with Charity Week related logistical and administrative tasks and ensure that resources are available. Set up and maintain effective systems for collecting, collating, reporting data and relevant information related to Charity Week. Assist with the coordination and communication of CFV activities relating to Charity Week. Act as the main point of contact between IRUK departments and the Charity Week Board of Advisors. Carry out research to aid the development of strategies and initiatives relating to Charity Week. Responsibility for Resources: - Responsible for assigned resources that assist with Charity Week related activities and work of IR. KEY ACCOUNTABILITIES The job holder is accountable for fulfilling his or her roles and responsibilities in line with Islamic values and principles of fairness, humanity, honesty, respect and fair treatment of his/her colleagues and staff. The following are the main responsibilities that the role holder will be accountable for: 1. To provide general support to the National Community Fundraising and Volunteer (CFV) & Charity Week (CW) Teams Deal with internal and external queries. Help to co-ordinate meetings and activities. Procure and distribute resources. Liaise with colleagues across all departments to meet the organisations objectives. To bring to the attention of the CFV any issues of concern that may arise with regard to the CW campaign. Ensure all CW activities are documented, entered on a planner and made available organisation-wide, as appropriate. Ensure all CW events are supported by regional fundraising teams and support them in doing so. Ensure all CW Challenges are supported and guidelines are adhered to. Page 3 of 6
Assist with monitoring the campaign expenses. Minute meetings and prepare follow ups and action points with relevant individuals. Prepare presentations and documents for CFV staff to promote the CW campaign to volunteers, stakeholders and internally. Archive literature/outputs. Deal with incoming correspondence and requests, drafting replies for approval etc. To take part in regular briefings about CFV activities relating to CW and disseminate information to staff where appropriate. Collate and analyse data from various activities. To compile annual highlights and communicate as appropriate. 2. To act as the first point of contact within IRUK To support the volunteer coordinators in executing HR procedures such as screening new volunteers. To liaise with the Programmes team and provide support in identifying projects to fund. To liaise with the Programmes team and provide support in preparing feedback reports. To liaise with the Marketing team and prepare marketing briefs for jobs relating to CW. To liaise with the SRU team to track income throughout and following CW. To liaise with the SRU team to ensure income deadlines are met. To liaise with the SRU team to ensure income is allocated correctly. To process expenses and invoices and liaise with the finance team to ensure payments are made on time. To liaise with the Campaigns Coordinator to ensure the CW campaign is fully supported and executed with deliverables from all IRUK departments being met. To liaise with the campaigns coordinator to determine the dependencies on all IRUK departments to fulfil organisational objectives. To liaise with the Communications team to provide support with press, social media, internal, external and public relations pertaining to the CW campaign. To liaise with the Facilities team to provide logistical support i.e. booking meetings and facilitating space for workshops etc. To liaise with the Events and Challenges Coordinator to ensure CW challenges are supported and guidelines are adhered to. To liaise with the CFV Support Officer to ensure that the online fundraising platform is running coherently and fulfils the requirements of the CW team. To liaise with the Social Media team to devise and implement a social media strategy. Represent the organisation at IR and non-ir events. Ensure that appropriate materials, equipment and resources are available for events. 3. To act as the first point of contact for the Charity Week (CW) Board of Advisors (BoA) To support the BoA in any liaison and requests from IRUK departments. To support the BoA in planning and executing the UK National Annual Dinner. To support the BoA in devising strategies for Charity Week. To attend all board meetings when required. To provide the BoA with any administrative, logistical or strategic support. To escalate any CW related concerns to CFV and the BoA. To provide support to the CW UK National Director. Page 4 of 6

PERSON SPECIFICATION (Essential) It is essential that the post holder shows a good understanding and empathy with the Islamic values and principles as well as commitment to IRW s vision and mission. Knowledge and understanding of the Charity Week campaign. Excellent inter-personal skills and the ability to motivate team members. Good communication skills with specific experience in written communication. Strong motivation and empathy towards the aims and objectives of the organisation. Experience of organising and supervising events. Numerical skills, and the ability to work accurately under pressure and pay attention to detail. Ability to represent Islamic Relief in a wide range of situations. Self-motivation and the ability to deliver to target. IT literate with ability to use MS packages, particularly Word, Excel and Powerpoint. Strong organisational skills i.e. ability to prioritise and plan work, set and achieve deadlines, establish and maintain monitoring systems etc. Readiness to travel and also work outside normal office hours.
