Job Description - Fundraising Support Manager Purpose Manage Alzheimer Scotland s supporter data and supporter care functions Manage Alzheimer Scotland s Fundraising Administration Team Manage the procurement, storage and fulfilment of fundraising merchandise and supporter resources Main Duties & Responsibilities Planning Create and implement a comprehensive supporter care programme Create and implement a rolling plan to ensure Alzheimer Scotland s supporter data is managed securely and effectively Create and implement a plan to procure and maintain a cost-effective range of merchandise and supporter resources Management of Alzheimer Scotland s Supporter Care Functions Create and implement robust procedures for handling enquiries and thanking donors Liaise with the other Fundraising Managers, Policy and Engagement Managers, Community Fundraisers and Service Managers to ensure that enquiry and thanking procedures are followed throughout the organisation Create and update approved templates for supporter communications and promote their use internally and liaise with the Communications and Marketing team where relevant Promote awareness of best practice in supporter care and keep up to date with developments in best practice in the third sector and beyond Management of Alzheimer Scotland s Supporter Data To manage Alzheimer Scotland s fundraising database, The Raiser s Edge (RE) Maintain excellent RE knowledge and skills and act as the organisation s lead expert in RE Ensure gift data is recorded on RE in a timely and accurate manner Manage the direct debit donor programme and timely production of files to the bank for transfer of monies Manage administration of legacies and ensure accurate data is stored and that solicitors provide regular updates on outstanding amounts
Work closely with the Finance Team to provide information as required; to jointly ensure data is recorded accurately on RE and Sage; and to jointly monitor and improve processes to maximise accuracy and efficiency Liaise with the IT Team to ensure RE is used optimally and that IT issues are communicated and jointly resolved in a timely and efficient manner Liaise with the IT Team and other relevant parts of the organisation to ensure best practice in data protection including secure storage/archiving/destruction of relevant paperwork Create and implement a programme of RE training for all Fundraising staff Provide segmented supporter information as required by colleagues. Advise on how data should be segmented to maximise fundraising communications. Create and maintain training and reference resources for all Fundraising staff Create and implement a programme of checking data and identifying training needs for individual staff Liaise with Communication and Marketing team to share information about mailings being sent to supporters Ensure accurate recording of all mailings and actions on donors records to track each supporter s journey with Alzheimer Scotland Liaise with colleagues in the Fundraising and Communications Directorate to ensure that supporter communications contain accurate information about Gift Aid and maximise Gift Aid take up Ensure Gift Aid claims are made to HMRC in a timely and accurate manner Promote Gift Aid throughout the organisation Promote awareness of best practice in supporter data management and keep up to date with developments in best practice in the third sector and beyond Management of Merchandise and Supporter Resources Liaise with other Fundraising Managers and Managers in other parts of the organisation to identify required merchandise items and other resources Procure merchandise items as required ensuring best possible value for money Monitor usage of merchandise and other resources and ensure the range is regularly reviewed and refreshed Monitor stock levels of merchandise and other resources and reorder as necessary Review online orders for merchandise and report regularly on ordering behaviour within the organisation to identify any areas of concern Act as a contact point for third party sellers of Alzheimer Scotland merchandise Promote use of ALIS by colleagues as a source of fundraising information. Ensure relevant fundraising processes and guidelines are uploaded to ALIS and kept up to date. Ensure the content of the online Fundraising Toolkit contains up to date information on legislative and regulatory requirements and update as necessary
Budget Management Manage income and expenditure budgets, ensuring all activities are as cost effective as possible Achieve agreed income and expenditure targets Miscellaneous Keep up to date with changes to fundraising regulations and best practice and ensure changes are communicated to relevant colleagues Be responsible for maintaining our lotteries licence with Edinburgh City Council Make annual returns for all Alzheimer Scotland raffles Undertake additional appropriate duties as required Responsibilities Staff & Agency Management Line manage Fundraising Administrators Line Manage the Membership and Data Officer Ensure direct reports receive relevant training and support including regular Support and Supervision sessions and appraisals Manage the relationship with external suppliers including Blackbaud, Payroll Giving organisations, our storage/fulfilment company and merchandise suppliers Accountability The Fundraising Support Manager is accountable to the Head of Fundraising Events and Trusts. All of the responsibilities and duties are to be carried out according to Alzheimer Scotland s standards, policies and procedures as described in the organisation s manuals.
