Job Description School/Directorate Section Job Title Academic Registry Academic Services and Student Governance Student Procedures Officer Vacancy No Reports To Grade Deputy Academic Registrar ASSG O&A5 Principal Accountabilities To support the Academic Registrar and Deputy Academic Registrar, ASSG in developing, reviewing and operating the University s student procedures including the Student Complaints Procedure, the Fitness to Study procedure, the Student Disciplinary Procedure, the Suitability for Practice Procedure and the Harassment and Bullying Procedure: Students, in the context of developments within the University and the sector. Key Tasks 1. To advise senior management, academic and operational colleagues, and colleagues in partner organisations, regarding student procedures approved by the University Academic Board, assisting with training events as required. 2. To advise students as appropriate regarding policies and procedures, in co-operation with colleagues in the Students and Programmes Centre and the Students Union, and Student Services. 3. To investigate allegations brought under student procedures, and to support and advise other members of academic or operational staff in investigating allegations, facilitating an early resolution wherever possible. 4. To oversee the organisation and operation of panel hearings, including the notification of outcomes, ensuring compliance with University procedures, and taking necessary actions to ensure outcomes are appropriately addressed. This may include escalating to senior staff if necessary. 5. To act as secretary and/or officer at Panel hearings providing procedural advice to panels and producing appropriate reports of hearings. 6. To work with colleagues and the Students Union to ensure that advice and guidance for students regarding student policies and procedures is available on-line as appropriate and that students are signposted to appropriate guidance. 7. To collate appropriate data to support the drafting of annual reports in respect of student procedures.

8. To assist the Deputy Academic Registrar in the preparation of annual reports on student procedures. 9. To collate information and draft responses to OIA requests and liaise with the OIA in respect of student complaints, when necessary. 10. To support other aspects of the work of the ASSG and the Registry as directed by the Deputy Academic Registrar, ASSG. Special Features 1. To be willing to work flexibly when required, including possible travel to partners in the UK and overseas. 2. Contribute to other Academic Registry and University functions, such as Award Ceremonies, Open Days, induction and enrolment and examinations. 3. Be an active member of the Academic Registry team 4. Deputising for Academic Registry Colleagues, as appropriate and required. 5. Participating in University reviews and projects as required. 6. Attending external events as required, to represent the academic registry and the University. 7. Any other appropriate responsibilities at the request of the Deputy/Academic Registrars. Be committed to ensuring staff and students have a positive and professional experience when engaging with the academic registry, through the delivery of excellent customer service that focuses on a holistic and united approach to the processes that support the student experience. 3. Contribute to the embedding of best practice in the registry functions and liaise with the Deputy Academic Registrars to encourage and support best practice, sharing of knowledge and enhancement. 4. Be proactive and positive in approach to the above duties, working independently and with initiative as required and be willing to identify and follow through the opportunities for enhancing the work of the Academic Registry. 5. Maintain an appropriate awareness of, and work effectively within, the policies and procedures of the University e.g. PDR, Continuing Professional Development, Data Protection, Risk Management, the Health, Safety and Environment Policy and UKVI requirements by working safely and following the codes of practice derived to protect all staff and students. 6. Attend staff training as required and be prepared to undertake a programme of relevant continuous personal development.
