Recruitment Duty Manager (Security Operations) Salary: Reporting to: Department: 22-24k (FTE, permanent) General Manager - Building Operations and Security Operations team V&A Dundee Opening in 2018, V&A Dundee will be the only V&A museum anywhere in the world outside London. It will be the first ever dedicated design museum in Scotland: an international center for design, a place of inspiration, discovery and learning. V&A Dundee will present the largely untold story of Scotland s outstanding design achievements, bringing together in one place the world-renowned V&A collections with loans from other collections in Scotland and beyond to allow everyone to understand and be inspired by this important design heritage. These collections will be accompanied by international touring exhibitions from the V&A, making Dundee the only location in the UK outside London to receive these globally significant exhibitions. In addition, V&A Dundee will also originate its own exhibitions. The 80.11m project to create the museum is at the heart of Dundee s ambitious 1bn waterfront regeneration supporting the creation of more jobs and wider economic benefits. It will generate civic pride and transform the city region as a tourism destination. V&A Dundee will be the first building in the UK designed by Kengo Kuma, the internationally renowned architect who is also designing the Tokyo 2020 Olympic stadium. His vision is for the museum to be a new living room for the city, welcoming everyone to visit, enjoy and socialise, and to reconnect the city with its historic River Tay waterfront.
V&A Dundee is being delivered by Design Dundee Ltd (DDL), established through the partnership of the V&A, the University of Dundee, Abertay University, Scottish Enterprise and Dundee City Council. It is the flagship of Dundee s waterfront development, symbolising the city s new confidence and regeneration. Operations Department The Operations Department is responsible for the daily operation and visitor experience of V&A Museum of Design Dundee. Functions of the department include, building and facilities management, security, events, box office, retail and catering. The objectives of the department are to operate the Museum to optimum levels of efficiency and excellence, to both create and facilitate a world-class visitor experience, which supports the Museums vision to be a new living room for the city, as well as to generate income to contribute to the financial sustainability of the museum via its commercial enterprises. Role Profile Reporting to the General Manager Building Operations and Security and working as part of the duty management team, the Duty Manager (Security Operations) will direct, oversee and manage the daily operations of the museum. The Duty Manager (Security Operations) will also hold responsibility for Security Operations, development of security systems and procedures and coordinating resources in conjunction with our Security services partner. In the current pre-opening phase, with support and guidance from the General Manager Building Operations and Security, the post-holder will assist with the development of all functions within Building and Security Operations. These functions include building management systems, security, operational health and safety and Duty Management systems and procedures. They will use their experience to help devise and implement systems, practices, polices, and strategies leading to an efficient and effective operation, which will facilitate, host and showcase a variety of activities and events. Post opening, the Duty Manager (Security Operations), as part of the duty management team, will assume duty management responsibilities of the building whilst continuing to manage and develop Security operations.
A high degree of flexibility and the ability to manage effectively, both directly and by influence, will be key to this exciting new role, we seek an organised and enthusiastic duty manager to join our growing team. You must enjoy working in a fast-paced, collaborative environment. Management experience and the ability to prioritise and delegate tasks are a must. Working hours will be 37.5 hours per week on a rotational basis, 5 days from 7, including a variety of shift timings and weekend working. Duties and Responsibilities Duty Management Direct, oversee and manage daily operations, striving to achieve the highest standards of customer experience, cleanliness and inter-departmental communication Maintain open lines of communication between departments and conduct shift briefings Organise and distribute work tasks and schedules Lead by example, ensuring that staff and volunteers are well presented, welcoming and pro-active Uphold policies and procedures to ensure safety, compliance and exceptional customer experience Suggest changes to operating standards to improve efficiency Actively seek customer feedback and communicate any information directly to relevant departments Fully answer customer enquiries and deal with complaints in a calm, professional manner Coach and mentor visitor assistants, volunteers and duty managers in security and duty management Lead emergency situations or building evacuation Must be trained in and act as a First Aider for the venue Act as key holder, including out of hours emergency response
Security Under the direction of General Manager Building Operations and Security, develop and manage security systems, contracts, policy and procedure Liaise with the Gallery Manager to ensure security and safety of the galleries and objects therein including movement of objects To regularly review and manage the security risk register To be aware of and have a good understanding of current security legislation Assist with development of robust Incident Management and Business Continuity plan Monitoring, managing and developing electronic security system and equipment, reporting maintenance issues and arranging remedial action Managing the day to day security team rota in conjunction with the security services provider Liaise with the security services provider on the implementation of security systems and procedures Arranging additional event security resource via the security services provider General Work with HR support to resolve employee issues Maintain an efficient, organized work space that encourages productivity Perform general administrative duties as required (sending/answering emails, phone calls, filing etc.) Prepare information and attend meetings as required To promote equality and diversity in all aspects of your work, ensuring that colleagues are treated in an equitable manner with dignity and respect Actively contributing to developments that support the Museum s strategy for widening access, inclusion and diversity. Person Specification The post requires a responsible, organised, committed and enthusiastic individual with a minimum of 2 years relevant experience. Due to the duty management responsibilities of the role, it is essential that the successful candidate lives within 30 minutes travel time of the museum. Essential - Minimum 2 years proven experience in a similar role in a large venue or attraction. - Experience of managing contracted services and agreements. - Experience of supervising a team on shift with multiple priorities, coordinating and leading on delivery. - Must be able to demonstrate knowledge and understanding of visitor needs and of a museum/visitor attraction environment - The ability to act with tact and diplomacy with individuals from a variety of situations and backgrounds - An understanding of the requirements of working within a museum and around museum objects - IT skills including Microsoft Word and Excel. - Strong organisational, communication and administrative abilities - Flexible approach - Excellent standards of customer service. - Dedicated to the continuing professional development of the department and themselves Desirable - Previous work in a museum or gallery - Knowledge of First Aid and Licensing issues - An understanding of Health & Safety management and associated legislation to ensure compliance and best practice
