3 OVERVIEW The CSU currently relies on several different mechanisms to deliver the financial reports needed at both a systemwide and a campus level. The implementation of the Consolidated Financial System (CFS) in July 2010 has begun to introduce several changes to how these reporting requirements will be met. The CFS strategy for standard reports is to deliver them in the CFS common code set either within CFS or as an external reporting tool. On July 1, 2010 the was born. OVERVIEW The Finance contains reporting capabilities that provide campuses with a set of interactive dashboards containing common reporting capabilities The first developed set of dashboards include: Operational reporting capabilities many of which are based on the SLO data warehouse reporting model, and Budget to Actual detail originally supplied (precfs) via a combination of campus PS/Query and nvision reports. The next step includes development of reports in support of FIRMS/Legal and GAAP requirements, and reports as defined and prioritized by the FOA CFS Auxiliary and Sponsored Programs subcommittees. 3

4 OVERVIEW The data warehouse is built by pulling data from CFS such as Fiscal Year, Period, Department, Attributes, amounts, transaction description, etc. The data is then extracted by pulling the ledger summary and the corresponding detailed transactions in two separate table feeds. Campus data marts: Actuals Budgets Encumbrances Pre-Encumbrances Summary FIRMS/Legal data marts Actuals Budgets Encumbrances Summary GAAP data mart Actuals OVERVIEW As of the current release of the Finance data warehouse, there are four dashboards: Auxiliaries (Phase One) Manage My Budget Operations CMO Sponsored and Accounting Programs (Phase Team One) The Auxiliaries & Sponsored Programs FOA subcommittees will continue to expand reporting for these 2 dashboards. 4

5 OVERVIEW Manage My Budget: is designed for ease of use by the end user responsible for managing g budget against one or more departments. The Manage My Budget dashboard reports against Revenue and Expense data. Operations: is geared toward the Finance power user. The Operations dashboard allows the user to filter reports based on selected fund attributes, account attributes, and campus unique department tree levels. The Operations dashboard includes CMO Ledger and and Accounting Trial Balance reporting. Team Sponsored Programs: contains reports formatted for administration, management, and general grant managers. OVERVIEW Within each dashboard, content is broken up by logical areas referred to as pages. Pages within a dashboard appear as tabs. Each dashboard contains its own unique pages. 5

6 Manage My Budget MANAGE MY BUDGET The Manage My Budget dashboard contains reporting capabilities geared for users who are responsible for managing one or more department budgets. Chartfields are used differently by individual campuses throughout the CSU. The Manage My Budget dashboard pages allow users CMO to choose and meaningful Accounting report Team criteria based on how chartfields are used at their campus. 6

7 MANAGE MY BUDGET The Enhanced Trial Balance Page is used to report on balance sheet (trial balance) summary totals. This page can be used to review the fiscal solvency of either a PS Fund or a CSU Fund. The report contains information such as cash balances, accounts receivable, equity, etc. All summary totals can be drilled on to obtain transaction details. MANAGE MY BUDGET The Open PO displays Open Purchase Order Totals at a selected point in time. This Open PO page contains two reports Open Purchase Orders Open PO Summary This Open Reqs report provides budget, encumbrance, and expenditure data for funds. The Open Reqs page contains two reports: Open Requisitions Open Requisition Summary 7

8 Operations The Operations dashboard is geared toward the Finance power user. The Operations dashboard allows the user to filter reports based on selected fund attributes, account attributes, and campus unique department tree levels. The Operations dashboard includes Ledger and Trial Balance reporting. Unlike the Manage My Budget dashboard, the Operations CMO dashboard and Accounting is not limited to Team Revenue and Expense categories by default. 8

9 The Ledger Reporting page displays summary totals for selected chartfields and attributes. The Ledger Reporting page contains three reports: Ledger Summary Ledger Custom Summary Ledger g Summary by Year The Organization page is designed for organizational level reporting. This page allows for the inclusion or exclusion of any of the following chartfields--fund, account category, and account. Actuals Trial Balance runs at a fund level to give a full picture of the fund, including all balance sheet and income statement accounts Summary by Fund Pivot Summary by CSU Fund Pivot All Funds Horizontal All Funds Vertical Enhanced Trial Balance runs at a fund level to give a full picture of the fund, including all balance sheet and income statement accounts with the enhancement (inclusion) of budgets. 9

10 The Projects page displays actual and encumbrance summary totals from a project-to-date perspective. Funds Projects Class Summary Prior Actuals by Year This report excludes period zero and displays all periods to present the project-to-dateto perspective. The Cash report includes all cash and fund balance clearing accounts. This report allows you to report on SCO, CSU, or PeopleSoft fund to determine if a negative cash balance exists. The purpose of the Cash report is to monitor that each Trust Fund maintains a positive cash balance as required by SUAM Summary View CMO Detailed and Accounting (lists all cash and Team FBC accounts) The Fund Balance page is designed report on SCO, CSU, and/or PeopleSoft fund to determine if a negative fund balance exists. This is essential in complying with SUAM which requires Trust funds to maintain a positive fund balance. 10

11 The Actuals and Budget Transactions page displays actual transaction activity based on the selected report filters. This replaces the previous query capabilities and can be used to track detail activity, to reconcile department finances, and/or to research a particular transaction or set of transactions. There are multiple Transactions page that display transaction activity based on the selected report filters. These pages replaces the previous query capabilities and can be used to track detail activity, to reconcile department finances, and/or to research a particular transaction or set of transactions. 11

12 The two Reports, Open PO & Requisition, display Open transaction totals by document #, line description, vendor, and chartfields based on the selected report filters. The Document number can be drilled to obtain all the transaction detail that supports the current open amount. Sponsored Programs 12

Admin Report Cash Report Trail Balance Management page assist with the management of sponsored programs Expense Summary by Project Available Balance PI page is for the Principal Investigators managing the program.
