4 Introduction Use this guide to set up and implement the Ace Contractor Loyalty Club (CLC) program on your Activant Eagle system. Ace and Activant Solutions Inc. have worked together to provide you with this additional feature to enhance the use of your Activant Eagle system in your business. This section of the guide provides the following: An overview of the Contractor Loyalty Club (CLC) program Where to find additional resources if you have questions An overview of the process to setup and implement the CLC program Contractor Loyalty Club Program Overview The objective of the CLC program is to put Ace dealers in a position to get a last look at all contractor business. Ace has chosen a choose-your-gift type of catalog for the contractor and remodeler customers. The catalog includes various levels of lifestyle merchandise and travel rewards. The value of the reward increases in proportion to the points earned. The customer receives a monthly statement showing their current point total. One of the goals of a loyalty program is to keep the participants involved and excited, and give them a reward that will be remembered. All contractors signed up by the dealer will earn points for purchases. They will earn one point for every $1 in purchases (this equates to 1% of purchases as opposed to 2% for the Helpful Hardware Club loyalty program). After the contractor has reached the purchase threshold set for them by the Ace retailer (usually the same dollar volume the contractor purchased from the Ace retailer the previous year) the contractor is eligible to begin cashing in points. By structuring the program this way, Ace ensures that the dealer s business is grown and they are not just giving something for nothing in return. If you need additional information, contact the Eagle Advice Line at (800) Process Overview To set up the CLC program on your Eagle system, you ll complete a series of procedures: Contact Ace Check the Eagle system for software level, hardware components, Vista participation Review the security bits that apply to the applications associated with the CLC program Set up HCC Helpful Hardware Club Constants Set up HHC Helpful Hardware Club Maintenance The steps for each of these procedures are presented in the remaining sections of this guide. 1
5 Contractor Loyalty Club Setup Complete the procedures in each of the following sections to set up your Eagle system to participate in the Ace Contractor Loyalty Club program. Contact Ace Contact Ace to verify that you are participating in the Contractor Loyalty Club (CLC) program. The phone number at Ace is (877) Check the Eagle System Complete the following steps to verify that your Eagle system meets the requirements for the CLC program. 1. From Network Access at the Function prompt, type PCO and press <Enter>. 2. Locate the current software level for your system that displays at the top of the screen in the Programs field. If the PCO level is not or higher, call the Advice Line at (800) to obtain the current software level. 3. Press <End> to exit the screen. 4. At the Function prompt, type OSPREY and press <Enter>. At the password prompt, type AVATAR and press <Enter>. 5. At Selection, type LHC and press <Enter>. The List Hardware Configuration screen displays. 6. Verify that the RSP modem type is bps or greater. If the modem type is less than bps, contact Activant Direct at (800) CLC transaction information is transmitted from your system to Ace using the Activant Vista data collection program. A bps modem, or higher, is required to transmit this information. 7. Press <End>. At Selection, type EXIT and press <Enter>. 8. At the Function prompt, type SEQ and press <Enter>. The Schedule An End-of-Day Queue screen displays 9. Scan the list of scheduled queue names on the left side of the screen, look for an entry called TRIDMT. You may need to press <Next> to page through the entries if there is more than one page of queue names. If you see the TRIDMT entry, and there is a Y in the Y/N (enable) column, then you are participating in the Vista Program. Information about the contractor s purchases for the CLC program is sent to Ace using the Vista program. If you don t see this entry, or there is an N in the Y/N (enable) column, contact the Vista Administrator at Activant for assistance. The phone number is (800) , ext Press <End> to ext the screen. Review Security Settings To set up the CLC program, you need access to these two functions, HCC Helpful Hardware Club Constants and HHC Helpful Hardware Club Maintenance. The following security bits apply to HCC and HHC: 2
6 Bit 10 allows you to view customer loyalty constants in HCC Helpful Hardware Club Constants. Bit 11- allows you to ad to change customer loyalty constants in HCC Helpful Hardware Club Constants Bit 314 allows you to view customer loyalty information in HHC Helpful Hardware Club Maintenance. Bit 315 allows you to add/change/delete customer loyalty information in HHC Helpful Hardware Club Maintenance. For more information about setting security bits, see the Eagle online help topics in the Security book. Set Up HCC Helpful Hardware Club Constants Use the HCC Helpful Hardware Constants screen to enter the default settings the system uses when processing POS transactions and transmitting CLC information to Ace. 1. From Network Access at the Function prompt, type HCC and press <Enter>. The Helpful Hardware Constants (HCC) screen displays. 2. Many of the fields apply to the Helpful Hardware Club loyalty program, but you still need to set up this screen. Fill in the following fields (if they are not already filled in): Vendor Code Enter your vendor code for Ace. This is the same vendor code that is set up for Ace in Vendor Maintenance (MVR). This field is required for the CLC program. Next Cash Cust# Enter a number, starting with an asterisk. This field is used by the Helpful Hardware Club program, but this field must be filled in before you press <Change>. POS Link Window This field determines when a dialog displays during a POS transaction prompting for the CLC ID number. Enter one of the options. Coupon SKU Enter HHC in this field. This field is used by the Helpful Hardware Club program, but this field must be filled in before you press <Change>. The item/sku, HHC, must exist in Inventory Maintenance. If that SKU isn t in IMU, add it first before you press <Change>. 3. If you made any changes to the fields on this screen, press <Change>. 4. Multistore: Repeat steps 2 and 3 for each store on your system. 3
7 5. Press <End> to exit the screen. Set Up HHC Helpful Hardware Club Maintenance Use HHC Helpful Hardware Club Maintenance to link the customer CLC ID number to their account number in Customer Maintenance (MCR). A CLC ID number always begins with the numbers From Network Access at the Function prompt, type HHC and press <Enter>. The Helpful Hardware Club Maintenance (HHC) screen displays. 2. If the customer has an account in MCR: Enter the account at Cust No and press <Display>. The name and address for that customer displays. At HHC ID No., enter the Contractor Loyalty Club ID number. This number always begins with the numbers 195. Press <Change>. If the account has job accounts associated with it, press <Next> to display the first job. At HHC ID No., enter the same Contractor Loyalty Club ID number you entered for the main account, and press <Change>. A warning displays; type Y and press <Enter>. Repeat this process for any other jobs associated with the account. Repeat the steps above for other CLC customers that have an account in Customer Maintenance. 3. If the customer does not have an account in MCR: Enter the customer information Cust No (customer number, do not start the number with an asterisk), name, address info (street, city, state, zip), phone and fax numbers. At HHC ID No., enter the Contractor Loyalty Club ID number. This number always begins with the numbers 195. Press <Add>. Press <Next Screen> to display Screen 1 of Customer Maintenance (MCR). Set the Charge Allowed field (lower-left corner of the screen) to Y (Yes). Press <Change>. 4
8 Repeat for other CLC customers that do not have an account in Customer Maintenance. Press <Home>, type H in the Screen field and press <Enter> to return to the HHC screen. 4. Press <End> to exit the screen. 5
