Business Process Management 4
Overview 5
Why is important? helps document, convey, and investigate the details of the Business Process. A Business Process Model should: Present a picture of the business process Show the flow of activities in the end-to-end business process which crosses functional, geographical, and organizational boundaries Help gain agreement between process participants Show application hand-offs or interfaces Highlight potential bottlenecks Demonstrate where things don t work Determine/specify costs or cycle time Capture data required for all important business measures 6
What is? A Model summarizes information, conveys a message, and has a specific Purpose, perspective, and point of view Audience, content, and level-of-detail A Business Process Model represents the paths and elements in a business process required to achieve the transformation of business items The process diagram: visual representation of the process A detailed specification of all relevant activities in the process combined with key performance indicators 7
Customer Order Model open(customer):[customer has no open order] Customer assign(packer) Packer cancel() Open submit():[line items.has elements] add line item(product, quantity):[quantity.non zero] Cancelled Submitted pack item(inventory, quantity):[quantity.non zero && quantity.less or equal(inventory.on hand) && items(inventory.product).left] ship(shipper):[packed items.has elements && shipper specified] [> 0] [== 0] Completed line items.sum.left purge() Marketer This model captures the changes in state (state-based) The Business Process Model captures the activities that need to be completed (activity-based) 8
Business Process Model Generic Order Model containing subcomponents 9
Business Process Model Creation Creating a Business Process Model is about documenting the flow of information in the process What is required/where did it come from? Who will use the information? What do they need to do with it? When is it required/how long will it take? Where is it going to? What path will it take to the next activity? How does it get there? Inputs Roles Tasks Durations Outputs Decisions Systems 10
Business Process Model Lifecycle 1. Understand the business situation 2. Define the scope of the business process 3. Define the standards to be used for the business process 4. Establish goals, metrics, pain-points and proficiencies 5. Conduct interviews 6. Develop the Current process model 7. Validate the Current model & metrics 8. Analysis: Static (Time/Cost) and Dynamic (Activity/Resource Queuing) 9. Create What if scenarios and analyze 10. Develop Future process models the best case What if scenario 11. Perform Comparison Analysis 12. Decide whether or not to implement changes to the Current process 11
Bridging the Gap Model Transformations Business View IT View Business Analyst IT Architect Developer Process/Operation Model Business Process Model Business Object Business Data Currently, a gap exists between the business and IT view Architecture/ Execution Model UML Meta-model UML Class Model UML Data, XML, SQL Model Business Services UML Interface/Service Model more Business savvy more IT savvy 12
WBI Modeler v5.1 WebSphere Business Integration Modeler v5.1 Customers use for many objectives: 1. Model existing processes and procedures (learn about processes) 2. Analyze/simulate existing and proposed processes (focus approach) 3. Understand technical/non-technical solutions (make decisions) 4. Move to technology solutions (implement) Application Development Rational XDE Process Orchestration Rational Rose/XDE WSAD-IE/Eclipse Tooling 13
Suggestions 14
Focus on the key aspects of the process Gathering key information is essential to effectively evaluating a business process: Process Goals what is the purpose of the project / process Metrics process analysts identify what to capture in the model & what the model will need to produce for reporting and analysis Proficiencies identify what the process / participants do well Pain Points provide focus for model creation and analysis, model should be able to prove / disprove these claims though the quantification of the process data Goals (process) Reduce the cost of a claim Meet corporate financial goals Satisfy customer through improved cycle time Reduce rework Reduce mistakes improve data integrity Proficiencies Experienced team Openness to critique and change Process flexibility Claims Metrics % of time claim is approved % of time credit information is inaccurate % of time rework is required Overall process time / Cycle time Pain Points High-level direction not adequate Client information is duplicated Cost tables are inconsistent Reporting needs improvement Need collaboration between Underwriting & Billing 15
Things to remember A Business Process is a collection of interrelated work tasks, initiated in response to an event, that achieves a specific result Business processes should have a clear beginning (starting event) and ending (countable results) Verb-Noun Naming for Activities and Processes Verb describes the activities purpose/function Noun defined the business object that is effected Business processes typically cross organizational boundaries (Customer service is not a process) 16

Simulation Software Services for WebSphere Simulation Snapshots Animated Flows Step-by-Step Simulation Real Time Simulation Time, numbers of tasks resources, etc. 26 Weighted average analysis provides a static, long-term view of the process; process simulation captures the shorter-term view Ability to model "what if" scenarios and compare results and replay a simulation of a process with changes to the model Sophisticated modeling and distribution for resources (individual and bulk), resource skills, resource allocations, cost, revenue and processing time Simulation output provides detailed information regarding resource utilization levels, as well as cost and cycle time calculations Powerful simulation engine supports conditional branching, steady-state model, run persistence, and multi-process concurrent simulation
Dynamic Analysis Information calculated from the simulation of a modeled process: Aggregated Analysis: Based on execution of tasks. For example, perform task cost analysis that displays the average costs for the task instances for each task (average revenue, execution cost, idle cost, allocated resource cost, total cost, and profit) Process Instance Analysis: Based on individual process instances. For example, perform a process instance resource analysis that displays the task instances involved in a specific process instance (resources allocated per task instance, allocation duration, shortage, and cost) Weighted Average Case Analysis: Processes that contain branches and decisions have multiple possible execution paths, also known as cases. Based on all the process instances aggregated by their execution paths Comparison Analysis: Compare the weighted average analysis results for two simulated processes. For example, perform a cost comparison analysis that displays the weighted average costs for two processes (weighted average revenue, execution cost, idle cost, allocated resource cost, total cost, and profit) 27
Reporting Software Services for WebSphere Generate reports that summarize different aspects of your business processes, using a variety of predefined report templates: Standard report templates User defined reports (Report Designer) Reporting functions automatically create written, numerical and graphical information Reports provides valuable guidance in process analysis and redesign: Process Summary Report Process Comparison Report Procedure Report Provides return on investment (ROI) comparisons of As-Is and To-Be models 28
