Healthy workplaces lead to healthier employees which, ultimately, results in a healthier organization! It makes good business sense to have a comprehensive workplace wellness program. Workplace wellness programs play a key role in improving the physical and mental health of employees and can actually save companies money. From an employers perspective, these programs enhance motivation, job performance, productivity, and morale among employees. Further, wellness programs have been shown to reduce absenteeism, staff turnover, and rates of accidents (Blake & Lloyd, 2008). In fact, for every dollar invested in workplace wellness, medical healthcare costs have been shown to fall approximately $3.27 and absenteeism costs drop $2.73 (Baicker, Cutler & Song, 2010). That s more than a five dollar return for each dollar invested. THE GORD SMITH HEALTHY WORKPLACE AWARDS PROGRAM The purpose of the awards program is to recognize local workplaces that provide comprehensive workplace wellness programming. The program is available to all workplaces in Windsor-Essex County, regardless of the company size or how established the workplace wellness program may be. Award recipients must demonstrate a strong commitment towards improving health by promoting and supporting a comprehensive approach to wellness programming for employees, and ideally, for family members and retirees. Award winners will be presented with their Gord Smith Healthy Workplace Award at the Gord Smith Healthy Workplace Awards Breakfast on Wednesday, October 19, 2016 during Canada s Healthy Workplace Month. Mark your calendar! This toolkit will act as a guide for your awards application. Refer to the relevant sections of this toolkit when going through your application. FINAL AWARD APPLICATION IS DUE: AUGUST 5, 2016 HOW TO APPLY Workplaces are encouraged to apply annually for these awards as a way of maintaining or expanding their comprehensive healthy workplace program. Review the various award levels and criteria in this booklet and select the level that your workplace would like to apply for. 2. Use the award checklist to prepare your application package. Ensure that each piece of evidence is a doc, pdf, jpeg or ppt. 3. Click here to access the Windsor-Essex County Health Unit website 4. Click the login button on the homepage and enter the username and password you were provided in the you were sent (If you did not receive a username and password from us, click here to the Windsor-Essex County Health Unit. 5. Choose the application you are applying for (the Gord Smith Healthy Workplace Award or Bike Friendly Award). If you are applying for both, complete one application first and come back to the home page to complete the other application. 6. Once you are logged in, enter your contact details and click the next page button. 7. From the drop down menu, select the award level you are applying for and click next page to begin filling out your application (Note: You are able to save a draft and complete the rest of your application at a later time). 8. Once you have completed and submitted your application, you will be directed to a Thank You page. This means we have received your application. 9. GORD SMITH HEALTHY WORKPLACE AWARDS The following sections provide a brief explanation and some examples of each of the core requirements needed to fulfill the award criteria. Refer to each section when putting your application together. SECTION 1: SAMPLE WORKPLACE WELLNESS TOPICS These topics are only a few of the many wellness themes that can be implemented in your workplace wellness program. Your wellness activities should address topics that are relevant and timely for your employees. Healthy Eating Smoking Cessation Environmental Health Substance Misuse Physical Activity Sleep Reproductive Health Cardiovascular Health Stress Management Healthy Aging Musculoskeletal Health Mental Health SECTION 2: HEALTH PROMOTION STRATEGIES A comprehensive workplace wellness program requires the use of several different health promotion strategies. 1. Awareness Raising- Raise awareness about important health issues, their impact on physical and mental well-being, and what can be done to address them. Examples of Awareness Raising Activities: Health Risk Appraisal/Survey distributed to employees to assess wellness topic needs or interests Workplace website with information on the health topics of interest Monthly wellness communications (e.g., workplace newsletter, fact sheets, etc.) Health promotion messaging on paystubs Pamphlets/brochures provided for employees to access at their convenience 2. Education and Skill Building- Help employees develop the knowledge and skills necessary to support healthy living. Examples of Education/Skill Building Strategies: Lunch and learn presentations on the specific health and wellness topic of interest Health fair geared towards specific or varied health and wellness topics - could include health screenings Wellness in-services for employees, retirees, and their families on specific health topics Computer based programs that employees, retirees, and their families can take part in to learn more about health and wellness topics 3. Environmental Support- Create a physical and cultural workplace environment that encourages and supports employees in making healthier choices by making the healthier choice the easier choice. Table 1: Examples of Environmental Supports Based on Topic Nutrition Injury Prevention Work-Life Balance Offer a variety of healthy food choices in the cafeteria, vending machines, and if warranted, at meetings. Supply a refrigerator and microwave in break areas so people can bring healthy lunches from home. Assessing individual work stations to maximize efficiency and minimize risk of injury. Reducing shift length or limiting overtime. Rotating workers through several jobs with different Designate a clean, comfortable, and private space within or near the workplace for women to breastfeed or express milk. Identify ways to ensure employees have manageable workloads.
3 Nutrition Injury Prevention Work-Life Balance Provide nutrition information resources in the staff eating area physical demands to reduce stress on the body Reward and recognize dedicated employees. Physical Activity Health Protection Activities Management Practices and Organization of Work Introduce walking meetings. Invest in showers and change rooms to support physical activity. Provide corporate or reduced rate memberships to onsite, private, or local facilities. Smoking Provide pharmacist supported smoking cessation program including quit medications. Implement an incentive program offering a rebate to those who participate in a smoking cessation program and continue to be smokefree for at least six months. Ensure hand-washing stations and signs are placed throughout the workplace. Plan an annual fall flu clinic at the worksite. Alcohol and Drug Addiction Allow employees to have flexible work schedules to attend medical or counselling appointments. Ensure work-related social events (e.g., holiday parties) are alcohol free. Provide conflict resolution training. Providing job shadowing opportunities. Stress and Mental Illness Provide staff training about mental health illnesses to help reduce the stigma and discrimination. Provide management training to recognize and act upon signs of distress or mental health problems in employees. SECTION 3: WELLNESS TOPIC EVALUATION Conducting an evaluation of your program and activities is an important step that can help you to improve on them. The results from your evaluation will allow you to assess the effectiveness of your wellness program activities and whether the results meet your intended goals and objectives. These findings should then be used to modify and improve the program. Examples of evaluation: Conducting a survey after a wellness event/activity asking participants questions around: o What they liked and didn t like o How they benefited from it o If they would participate in a similar activity again o Whether it has influenced them to make positive lifestyle chan ges o Their ideas on future wellness topics and activities, etc. o Keeping track of the number of individuals that participate SECTION 4: SUPPORTIVE POLICIES The Gord Smith Healthy Workplace Awards Program focuses on the importance of policy creation, implementation, and monitoring in the workplace. Having the right policies in place can go a long way to ensuring that awareness raising, education and skill building, and environmental support components are in place now and into the future. The Comprehensive Workplace Health Promotion Model (CWHP) focuses on three important categories: Voluntary health practices, occupational health and safety, and organizational culture. Effective workplace health promotion programs address all of these categories. Table 2 (see next page) provides examples of supportive policies for each of these three categories based on topic. A comprehensive workplace wellness policy is the foundation of a comprehensive workplace wellness program. It specifies the organizational commitment regarding prevention, promotion, protection, and organizational practices that promote and support the health and well-being of employees and their families. It outlines senior management and employee roles and responsibilities regarding wellness. It conveys how the wellness program is to be communicated and offered to employees and their families. What is Considered an Acceptable? Official organizational policies, union contract language, organizational standards, and human resources guidelines. Policies that are in draft form, letters or memos from senior management or unofficial documents will not be accepted. options must be approved and implemented by August 5, 2016.
5 SECTION 5: ORGANIZATIONAL SOCIAL RESPONSIBILITY A workplace that demonstrates their commitment to improving the health and well-being of the community in addition to their own employees, not only builds a better public image, but also boosts employee engagement. 7 DIAMOND Workplace must meet Platinum level award criteria for a minimum of TWO years. Must apply annually to be eligibe Bike Friendly Workplace Awards A Bike Friendly Workplace Award can be awarded to any Windsor-Essex County Workplace that supports employees in using their bicycle as a form of active transportation. A Bike Friendly Workplace Award is an excellent way for an organization to be recognized for their commitment to employee well-being and overall community health. The Bike Friendly Workplace Award levels are based on the fulfillment of five bike friendly categories:, promotion, education, environmental support, and incentives. Bike Friendly Category Promotion Education Environmental Supports Incentives Explanation The workplace supports using the bicycle as a form of active transportation through various policies. The workplace promotes cycling as part of its organizational culture (e.g., commuting to work, cycling for healthy environments as a benefit, etc.). The workplace provides educational opportunities (e.g., presentation or materials) about cycling for their employees The workplace provides facilities to support employees in riding their bicycles to work.
