3 Scope This document outlines the supporting information required for an application for City & Guilds International centre approval. The information outlined below is for guidance purposes only, it is not an exhaustive list of policy or other documents that may be required. Please refer to the International Centre Guide (5 th Edition), section 2 for further detail on the approval process and timelines involved. Policies required for Centre Approval Centre policies are internal operating documents which must be evidenced in order to support an application for centre approval. Prospective centres must also be aware of City & Guilds requirements, as internal centre policies must comply with these. The Reference column in the table below shows where each centre document can be cross-referenced to your application form or the International Centre Guide. Centre Policy Access to Assessment Appeals Note Policy on how learners with special educational needs, disabilities or temporary injuries may have their assessment needs met without changing the demands of the assessment. Compliance required with City & Guilds access arrangements Internal appeals policy for centremarked assessment. Details of process, timelines, outcomes, circulated to learners & other relevant parties. Familiarity with City & Guilds appeals policy for exams marked by City & Guilds. Reference C9 & C10 C18 3

4 Centre Policy Note Reference Complaints Internal complaints policy which learners, centre staff and employers can use in the event that they wish to challenge an aspect of the centres operation. Details of process, timelines, outcomes, disseminated to learners & other relevant parties. C19 Communications Evidence of an internal communications plan or policy to circulate relevant qualification updates to centre staff. Qualification Approval,criteria C13 Conflict of Interest Continuing Professional Development (CPD) Data Protection Equal Opportunities Health & Safety Policy outlining the principles and procedures for identifying and managing conflicts of interest within a centre Policy outlining CPD opportunities for centre staff, as required by the qualification handbook(s) Statement of compliance with local Data Protection legislation, detail of secure storage & transmission of data Equal Opportunities policy in place to ensure nondiscrimination against learners or staff Statement of compliance with local Health & Safety legislation, assurance that facilities & resources to be used for delivery & assessment are fit for purpose. 6 Additional Documentation required at approval The below is a sample list of the additional information that a prospective centre must include as part of their application. As certain qualifications may have additional requirements, this list is not exhaustive. Centre organisation chart Full list of intended assessors, tutors and internal verifiers CVs of assessment team Evidence of physical resources (as required by the qualification handbook) Sample learner appeal form Sample learner complaint form Third-party/subcontractor agreements (if applicable to the delivery/assessment of City & Guilds qualifications) Detail on how advice and guidance about qualification procedures and practices are provided to learners and potential learners for example a learner handbook Evidence of National Regulator compliance (as required by the education regulator in your intended country of delivery) Reference Documents: City & Guilds International Centre Guide, 5 th Edition Qualification Approval, Version 4.1 6
