4 4 Purpose & Outcome of Program MVCSD MENTOR HANDBOOK The Mentor Program Committee is a collaboration of the Mount Vernon City School District and the Mount Vernon Federation of Teachers formed for the purpose of developing a mentoring program for interns. An intern is a full-time teacher who is in his/her first or second year of employment in a particular license area or area of certificate title and has not participated in the Mentor Program in the previous year. A teacher that is given a new assignment to a building, grade level or content area may have the option of participating in the Mentor Program. Commissioner s Regulations require districts to implement a mentoring program for new teachers as a requirement for professional certification. Under the amended regulations, the mentoring program was collectively bargained and is part of the District s Professional Development Plan (PDP). The Mentor Planning Committee believes that a successful mentoring program is based on mutual respect and trust ensuring a high degree of professionalism. Confidentiality is crucial for implementation. The Mentor Program is designed to allow experienced, tenured teachers the opportunity to share their knowledge, talents, and skill with those in the Mentor Program. Research indicates that mentoring increases the retention of teachers, increases professional competence and improves the intern s ability to assist student achievement while supporting Common Core State Standards (CCSS). The goal of the mentoring program is to develop competent, professional individuals who are capable of working with all children and to create supportive learning communities for all learners, students and teachers. The Mentor Program will be annually reviewed and assessed. Goal To develop competent and capable professional educators who are able to assist students in attaining academic skills commensurate with their age level and the CCSS. Objectives of the Mentor Program Provide appropriate staff development and support for mentors and interns Provide information related to curriculum and the CCSS Help interns adapt to school and district culture Support mentor- intern partnership Assist interns in resolving instructional and professional issues Provide emotional support, guidance and assistance in adjusting to the workplace, district policies, building compliance expectations, and state verification requirements
5 5 Mentor Program Committee (MPC) & Structure The Mentor Program is governed by a ten member committee: MVFT President or designee One Mentor Coordinator and one Assistant Mentor Coordinator (teachers who will oversee and coordinate the program district-wide) MVFT Advisors (4 teacher members appointed by the MVFT Delegate Assembly to include elementary, middle, & high school staff) District Mentor Administrator (will serve as the administrative liaison to the Mentor Coordinator and will provide a general critique of the program each school year in collaboration with the MVFT president) Elementary Administrator Secondary Administrator Decision-making will be governed by consensus and majority vote Will receive contractual hourly stipend for monthly meetings Role of the Mentor Program Committee Arrange training for the mentors and interns Schedule meetings throughout the year for all participants Formulate and conduct year-end evaluation of the program Recommend program changes as needed for the coming year Review applications and select mentors Design training for mentors and interns Mediates disagreements between mentors and interns Review Mentor/Intern Logs at the end of first and third quarters Review final Mentor/Intern Program evaluation form Maintains annual records of the mentoring program, including the names and teacher certificate numbers of interns and their mentors; types of mentoring activities; number of hours of mentoring for each intern (must be kept for at least seven years from the date of completion of the professional development by the professional certificate holder) Ensures time allocation provision for the Mentor/Intern relationship Keep accurate records and minutes of meetings Maintain confidentiality and non evaluative process Publish and post mentor positions
6 6 Mentor Coordinator Eligibility Tenured teacher with permanent/professional certification Minimum 5 years teaching experience Currently in an active teaching position Demonstrate mastery of the following to be determined by MPC: pedagogy curriculum professional ethics strong interpersonal and communication skills Mentor Coordinator Selection Process Completes a mentor application subject to review by the MPC (see Appendix for forms) including: Mentor Program Application Mentor Program- Letters of Recommendation (two colleagues & one building administrator) Mentor Confidentiality Contract Appointed by the MPC Role of the Mentor Coordinators Oversee the MPC and facilitate its agenda Monitor mentors Monitor interns Maintain accurate MP records Meet with the District Mentor Administrator Work with Co-Coordinator Role of the Principal Provide time, resources and opportunities for the mentor and intern to meet in a professional setting of trust, learning and sharing as determined by the MPC Mentor Eligibility Tenured teacher Minimum of three years teaching experience in district Minimum of five years of teaching overall Permanent/Professional certification Mentor Selection Process Completes a mentor application subject to review by the MPC (see Appendix for forms) including: Mentor Program Application Mentor Program - Letters of Recommendation (two colleagues & one building administrator) Mentor Confidentiality Contract Applicants will be screened and appointed with the consensus of the MPC Selection of mentors shall be based solely on qualifications as judged by the MPC and shall not be considered vacancies pursuant to the collective bargaining agreement
7 7 Role of the Mentor Commit to the goals of the Mentor Program Participate in all mentor training and program activities Maintain confidentiality in regard to all professional issues Maintain a non-evaluative approach to formal and informal observations Meet with intern formally at least once a week throughout the year during an additional common period scheduled by the building administrator Maintain Mentor/Intern Log of all contacts with the intern as required by the MPC (see Appendix for log) Observe the intern at least once per marking period Model a lesson in the intern s classroom at least once per marking period Provide opportunity for intern to observe in the mentor s classroom at least once per marking period Provide intern with support related to subject and course curriculum, instructional strategies, classroom management, parent contact, building/district policies and procedures, and any other topics that may be of importance in the performance of the intern s duties as a teacher (See p,9 for suggested topics) Mentor Preparation/Training Two day workshop, not to exceed twelve hours, which may be held outside of the school year or school day Attend Mentor/Intern support group meetings made available throughout the year Attend an MPC half-day Intern/Mentor Orientation of no more three hours within the first three weeks of the school year during staff development days or release time Superintendent s Conference days and Staff Development days may be used as additional meeting times the mentors, interns and the MPC Compensation for the two day workshop may be included in the mentor stipend Role of Intern Attend all intern orientation & training sessions Meet with mentor formally at least once a week throughout the year during an additional common period scheduled by the building administrator Observe the mentor once per marking period Agree to be observed at least once a marking period, in a non-evaluative way, by the mentoring teacher. Remain in the mentoring program for one full year Maintain Mentor/Intern Log
8 8 Mentor/Intern Log Checklist Clearly indicate the name of the person submitting the log. Both mentors and interns must submit their own individual logs. Log total time spent on each individual mentoring activity. Mentoring activities should include required weekly mentor/intern meetings, faculty, curriculum and department meetings, staff development days, workshops, planning sessions, informal observations and classroom visits, s, phone calls, coffee and lunch breaks, as well as numerous other activities. The mentor and interns logs will not always include the same activities. The logs should not be identical! The logs MUST include all of the days that release time subs were used, which should be a total of 9 full days for both mentors and interns. In the case of mentors who have 2 interns, a minimum total of 18 full days of release time is acceptable. Clearly indicate the time spent on each activity on your log. Be sure both the mentor and intern initial each activity on both the mentor and intern logs. The total number of hours should be computed when the midterm and the end of the year log is submitted. The June 15 th Mentor/Intern Log should have a total of a minimum of 40 hours. The End of the Year Mentor Program Evaluation form must also be submitted on this date. Keep at least one copy of your log for your own files. It is best to keep up with your log weekly, in order to make it easier on yourself and make sure your log is accurately completed. Mentors will NOT receive their stipends, if logs and program evaluations are not submitted on the designated dates and/or not completed following the required criteria ( see p. 8) Interns will NOT receive the signed Superintendent Verification of Mentoring Experience form, if logs and evaluations are not submitted on the designated dates and/ or not completed following the criteria stated above.
9 9 Some Suggested Mentor Topics to Be Covered Teacher Handbook District Code of Conduct District Goals/Philosophy Building Code of Conduct Physical Plant Layout Union Representation Contractual Rights Credit Union Lesson Plans/Plan Book Report Card Grade/ Attendance Reporting System Parent/Teacher Conferences Parent Contact Logs Pupil Personnel Services Classroom Management Techniques Classroom Organization Daily Procedures Student Record Keeping CST,RtI,CSE procedures Common Core Curriculum Instructional strategies Classroom management strategies Building/District Policies Teacher evaluation APPR Standardized testing Personal Record Keeping (sick days, conferences, PD) Release Time for Mentor and Intern A minimum of 35 minutes per week for formal meeting time between mentor and intern to be arranged by building principal Time scheduled will vary by building, subject area and teacher schedule A half-day minimum of observations and post conferences per marking period Coverage will be provided for observations and post conferences Mentor will keep a log of each meeting Mentor will attend part of Mentor/Intern orientation within the first three weeks of the school year during staff development days or release time Mentors will meet quarterly with mentor coordinator to assess program progress as arranged by the MPC Compensation Compensation for Lead Program Coordinator shall be $5000 OR 6 in-service credits which can be applied towards a salary step. Compensation for Assistant Program Coordinator shall be $2000 or 4 in-service credits which can be applied towards a salary step. Mentors may choose compensation or in-service credits which can be applied towards a salary step. It is the responsibility of the mentor to submit a credit approval form for inservice credits. Compensation shall be $1500 for one intern, and an additional $1000 for a maximum of two interns OR 3 in-service credits and 2 additional credit for a maximum of two interns Mentor may combine credit with stipend: One Intern: $1500 or 3 In-service credits OR $1000 and 2 In-service credit Upon agreeing and signing the MVCSD Mentor Program Contract of Agreement of Mentoring Services, mentors will adhere to the said agreement and be compensated when mentor log and program evaluation are correctly completed according to the Mentor/Intern Log Checklist (pgs. 7&8)

Ensuring confidentiality creates a collegial relationship consisting of honesty, risk-taking, and self-reflection. 18 18 MVCSD Mentor Program Contract of Agreement Of Mentoring Services Thank you for agreeing to participate in the Mt. Vernon City School District Mentor Program. You will be compensated for your time and services while mentoring your intern when the terms of this agreement are met. As stated in the MVCSD Mentor Handbook you may choose between a cash stipend or inservice credits. The stipend will be awarded in June after the completed log and final program evaluation are submitted by the set deadline of June 15 th. Please be aware, if your log is NOT completed on time and following the criteria outlined in the mentor handbook, you will not receive compensation (see Mentor/Intern Checklist HB p. 8). If you choose in-service credit, you will receive an award certificate after your log and program evaluation is satisfactorily and correctly completed by June 15, You must also submit a credit approval form to the Office of Human Resources as soon as you begin mentoring, if you have opted to receive in-service credits, instead of a cash stipend.
