1 Leadership Development USING RESOURCES Session Length: 50 Minutes Learning objectives: Be able to identify appropriate types of resources. Learn how to effectively recruit human resources and obtain necessary physical resources. Understand the importance of having good resources as it relates to accomplishing your task. Required Materials: Flipcharts and/or dry erase board Scissors TRAINER PREPARATION Training room needs to have chairs that can be moved and/or should be large enough for groups to be able to spread out. Before the session begins, break participants into four equal groups. Be mindful that each participant comes with a different level of experience and knowledge. Also be sure to space adults evenly throughout the four groups. Also be sure to mix the youth participants based upon their skill level and, if possible, vary participants by chapter. SESSION NARRATIVE Introduction: 2 Minutes Introduce yourself. Share the learning objectives for the Using Resources session. Explain the following: The easiest way to complete a task or carry out an assignment is to use the resources around you. In order to properly use resources, one must first know what a resource is, where to find resources, how to tap into that resource, and how to effectively use that resource to get the job done. Resource Defined: 10 Minutes (total of 12 minutes) Ask the following: Who can provide us with a definition of resource? After taking a few responses from the group, explain the following: A resource is anything available to use for aid or to take care of a need. In short, it is a tool to help you accomplish a goal. As leaders, we need to be aware and know what resources are available to help us achieve our goals.
2 Leadership Development - Using Resources 2 Explain that there are three types of resources that are commonly available to leaders: Physical Resources Organizational Resources Personal Resources Explain the following about physical resources: Physical resources can be things like pieces of equipment, buildings or rooms and any other physical tools that you can use to complete a task. Explain the following about organizational resources: Organizational resources are not physical things but, instead, or entities that you can use. Some organizational resources that might be available to you as a lodge leader could be your lodge, a chapter, or a troop. You can also look to organizations beyond scouting. Try community groups like the Red Cross or other charities; you can partner with a church or even ask a business for help. These are all organizational resources. Explain the following about personal resources: Personal resources are people that can help you complete a task. Don t be afraid to look at people as resources often many people are willing to step in and lend you a hand! For nearly every project, you should look to use personal resources like fellow arrowmen, lodge and/or chapter leadership or even section/region/national officers. You can also ask your family for help. If you task warrants it, you can also ask members of your community and civic leaders to get involved, too. Ask the following: Working in groups, what are some examples of resources available to us to accomplish a lodge goal? After 5 minutes, ask a group representative to summarize their responses. Write the groups responses on your flip chart/dry erase board. Trainer Tip: Be sure to categorize each response (phys, org, personal) as you write it. After all four groups have answered, review what is on the flip chart/dry erase board. Be sure to point out the different types of resources that each group came up with. Finding and Gathering Resources: 12 Minutes (total of 24 minutes) State the following: Your ability to carry out a given task is dependent upon the resources that you are able to find and put to use. The trick to using resources effectively is to identify what type of help you need and then using effective techniques to get that help. Before you can begin to secure other physical, personal and organizational resources to your task, you need to have a plan in place. Be sure you have the basic who, what, where, when and how answered before asking others to commit to your project. Once you have your plan in place, it s time to find resources. Ask the following: Where are some places where we can find resources? After taking a few answers, explain the following: Resources can be found all around us. Most often, the best resources come from people and places that you come in contact with every day. When you have a relationship with a person or an organization, they are more likely to agree to help you and work harder for you. If people you know personally are unwilling or unable to help, they may have suggestions of others you can ask. Either way, always look to those around you be it your chapter adviser, teacher or parent and within the organizations you re a part of like your chapter, troop or church first when looking for project resources.
3 Leadership Development - Using Resources 3 Now that we know what a resource is and where to get it, we need to be able to attract people as a resource. There are three things to keep in mind when asking people to help you with a project: Provide Options Be Excited Make sure your request fits with their skills Explain the following about providing options to potential helpers: There should be many things to accomplish with any project that you do. In order for your project to be a complete success, you will need a team of people that can fill a multitude of roles. Although someone may be a perfect fit for one role, they may not have the time to devote to completing that task. On the other hand, someone else you ask may be interested in taking on a bigger role in your project than what you re offering them. Make sure you have several ways a person can help you in mind when asking them to help you with your project. Explain the following about being excited when approaching potential helpers: When recruiting, it is important to remember that the attitude that you bring to the prospective recourse will affect the outcome. If you are excited about the job you are undertaking, then those that you talk to will want to help. On the other hand, if you seem indifferent or unhappy about the task at hand, they will not want to be a part of it. Explain the following about providing skill-appropriate options to potential helpers: As I alluded earlier, it is also important to make sure that the people you are asking for help are able to provide adequate assistance. Not every task is suited to every person. Look to recruit people to fill roles that they naturally fit into. For instance, if your chapter vice chief loves to hike, ask him for help designing the new walking trail through your council s summer camp. If you have an adviser in your chapter who is good with computers, ask them for help building your new chapter database. Finding people to fill roles that they are naturally good at will ensure your project is the best quality and will also make the person feel that their skills are needed. Using Resources: 5 Minutes (total of 29 minutes) State the following: Now that we ve found and recruited our resources, it s important that we use them effectively if our project is going to be successful. As you put your plan in place, remember to use your resources appropriately and divide your project s tasks among your resources appropriately. Doing so will provide you with the most successful project outcome possible. Explain the following: The organization of resources works best when it is in the simplest structure that will still meet the needs of the lodge and the task you are trying to accomplish. One of the most efficient ways to organize your work force is by committee. This way the lodge can divide the work over a broader base of resources. Ask the following: Is there a problem with having too many committees? State the following: By having too many committees, you may not have enough resources to be efficient. Explain the following: Committees should be set up on the basis of the task that needs to be a accomplished and the amount of resources the lodge has available. For example, if your lodge has a large ceremonies team, in order to have everyone involved the team might be divided by ceremony: a team for Brotherhood and Ordeal. However, if the lodge has trouble recruiting enough people to fill the two teams, then your organization is too complex and needs to be simpler. Remember, the committee meets the needs of the lodge and enables better use of resources. The efficient use of committees will enable more people to become active in the lodge. All too often only one or two people do the work of a committee. It is important to let all of our resources be a part of the planning process and to let them carry out the task. This will make your job easier and it will give the lodge members ownership in the finished product.
4 Leadership Development - Using Resources 4 Recognition: 3 minutes (total of 32 minutes) State the following: One of the most important steps to remember once a goal has been completed is the need to recognize those that helped you successfully complete your project. What are some of the ways we can say thank you? Article in the lodge newsletter or website Awards and Certificates of Appreciation A simple thank you A personal note from the Chief or the head of the project. Reinforce the concept that recognition need not be extravagant or elaborate. A considerate, hand-written thank you note is something easy to do that really goes a long way. Simulation: 15 Minutes (total of 47 minutes) State the following: Now that we understand some of the basic concepts of using resources, the time has arrived for us to try out our newfound skills. Each group will be assigned a simulation where they must define both the physical and human resources needed, where they will find them, discuss the techniques of recruiting that human resource, what is the most efficient method of organizing resources, and how to effectively provide recognition for the human resources. You will be given 10 minutes to work, then a one minute report per group. Remember, time is of the essence. Provide each group with one of the four different resources (see Appendix Simulation). Conclusion: 3 Minutes (total of 50 minutes) After discussing the examples in the simulation session, ask the following: What is a resource? Where can we find resources? What are some important points to remember while recruiting human resources? Reinforce the following points: Before setting out to perform a task, first consider both the physical and human resources of your lodge. The attitude you bring to recruiting will affect the outcome. By constantly recruiting new resources, a lodge can make the best use of its resources and prevent its youth leaders from being discouraged or burned out. By setting goals and priorities, a lodge will be better fit to allocate resources to the events that are important and release resources from those events that are not crucial during the year. Never forget to show appreciation for a job well done. Take time for the participants to ask Questions. Thank the participants for their time.
5 Leadership Development - Using Resources 5 APPENDIX: SOURCE MATERIALS AND RESOURCES Please cut the following simulations out to prepare for the session. 1. Your lodge s program emphasis for the upcoming year is service. Your Lodge Chief has asked his Vice-Chief and Lodge Service Chairman to submit a proposal for a large service project for the lodge to complete over the course of the next year. The project should be done at your council camp. 2. Your lodge executive committee has decided that they want to create another ceremonies team that will travel around the council performing Webelos Crossover ceremonies and Eagle Courts of Honor. The initial response of the packs and troops in the three districts of your council is positive. It is possible that the team will be performing up to sixty ceremonies per year. 3. Your Lodge Chief has asked the Ordeal Coordinator to develop an extensive new member program designed for members just inducted. The program should include information on the roles of each of the lodge s committees, leadership skills, expand the OA s role in Scouting, and excite them about becoming involved. 4. With the New Year comes new programs. The Activities Chairman for your lodge envisions an event to train and guide futures lodge leaders. He needs to form a committee to aid him in developing a program and to identify members in each of your lodge s five chapters that are eligible for this kind of training. (Don t forget about people to execute the plan)
