1 Organizational Seating Program Contract Section 1: Mission Statement The mission of the Student Government Association Organizational Seating Program (OSP) is to fairly and efficiently allocate reserved seating as a reward to those organizations whose members demonstrate academic excellence. Section 2: Eligibility 1. Any student organization of at least 16 members (capacity of one row) that is chartered and recognized by Auburn University and on permanent status is eligible to participate in the SGA Organizational Seating Program. 2. An organization will be deemed eligible to participate in the SGA Organizational Seating Program only if they submit a signed contract to the SGA Advisor s office. Non-Greek organizations only must also submit an Excel spreadsheet of their organization s entire roster by 4:45pm on October 17, No exceptions will be made for organizations that fail to submit one or both of these documents by this deadline. a. Hand-signed contracts must be submitted to the SGA Advisor s Office, which is located in Suite 3130 on the 3 rd floor of the Student Center, Office #3156. b. Non-Greek organizations Excel roster must include each member s name and username (ex: abc0001) based on their Fall 2017 membership. The template spreadsheet, which must be used, is available at 2/. The organization s roster should be ed to sga@auburn.edu by 4:45pm on October 17 th. c. Greek organizational GPAs will be calculated based on the Greek Life semesterly grade report which includes all members, so no roster submission is necessary. d. Organizations will not be penalized for members that graduate in December and are no longer students in Spring 2018 as those students would not have a Spring 2018 GPA and won t be factored into that semester s average for your organization. You cannot add members to your roster for Spring The SGA Organizational Seating Program calendar year follows the Auburn University academic calendar year. Only final grades from the Fall 2017 and Spring 2018 semesters will be used in determining OSP seating for the Fall 2018 football season. Cumulative GPA will not be a factor, as only the GPA earned during the Fall 2017 and Spring 2018 semesters will be used and averaged.
2 4. Each organization participating in the SGA Organizational Seating Program must provide a representative at all meetings called by the Organizational Seating Program. The representative must have been a member of their organization for a full semester. Section 3: Termination from Participation in the Organizational Seating Program 1. Any and all forms of dishonesty, as recognized by the SGA Organizational Seating Program, will result in penalization within the system as outlined in the policies below. Acts of dishonesty include, but are not limited to the following: a. Any attempt at falsifying membership rosters (this includes not using every member in your submitted roster). b. Any attempt at registering students with your organization without their consent. 2. If the Organizational Seating Program learns of any cases of academic dishonesty intended to improve your organization s standing in the OSP system, the case will be reported to the Office of the Provost and dealt with according to the Policy ehandbook. If the case determines guilt, the organization will be removed from OSP. 3. Failure to abide by the Organizational Seating Program Rules and Regulations for the OSP Reserved Seating Section may result in removal from the block and forfeiture of all assigned rows for the remainder of that season. Section 4: Mathematics and Organizational Standings Organizational Seating Points are derived directly from the Grade Point Average earned by an organization in the Fall 2017 and Spring 2018 semesters alone. The points will be calculated as follows: (Fall 2017 organizational average GPA + Spring 2018 organizational average GPA) 2 Example: Organization A achieves the following semester GPAs leading up to the Fall 2018 football season. o Fall 2017 Organizational Average GPA = 3.11 o Spring 2018 Organizational Average GPA = 3.42 o Final Organizational GPA Awarded = ( )/2 = Organizational Seating Program standings will be uploaded on the SGA website as soon as the University is able to provide them. Typically, this will occur in July. 2. Any errors found in updated Organizational Seating Program standings must be brought to the attention of the SGA Advisor within one week of the rankings being posted. If the error is not brought to the attention of the SGA Advisor within a week, then the rankings will be official.
3 Section 5: Organizational Seating Allocation and Policies 1. Allocation of Seating 2. Policies a. The Student Government Association will assign Organizational Seating rows to eligible organizations participating in the Organizational Seating Program according to their final rank and good standing with the OSP Contract from the previous year. This meeting typically takes place the first week of classes during the fall semester following the competition year. b. The number of rows an organization is eligible to receive will depend on the size of the organization according to the roster submitted to OSP or the Greek Life grade report. i. Organizations may choose not to receive rows. It is often wise for organizations to accept less rows than they are offered so that they may ensure they are not penalized for failing to fill their rows on any given week, forcing them to forfeit all their rows for the rest of that season. ii. Organizations may decrease the number of rows they have during the season. Once the number of rows is decreased, it may not go back up for the rest of the season. Organizations must request to decrease their number of rows by midnight on the Tuesday before the next home game. iii. Each organization s base row capacity will be determined by the following formula: (Membership*1.5) / (24 seats per row) All row capacity calculations will be rounded down to the nearest whole number. c. Organizations will be allowed to select their preferred seating in order of their Organizational Seating Program ranking from highest to lowest until there are no rows remaining. i. In the case of a tie between two organizations, the organizations average, cumulative GPA will be used to break the tie. ii. If an organization is not represented at the official Organizational Seating allocation meeting, that organization will be moved to the bottom of the rankings. The organization with the next highest rank will then be allowed to choose their preferred seating. a. SGA reserves the right to remove any organization from the Organizational Seating Area due to any reported inappropriate behavior or if attendance is not maintained, abusing the privilege of reserved seating. i. Rows must be completely filled one hour prior to kick-off. ii. Attendance must be maintained until the alma mater is sung.
4 b. Any individual seated within the Organizational Seating Area must have an official SGA Organizational Seating wristband. i. Each week prior to all home games, a designated representative of each participating organization is responsible for attaining the wristbands from the Organizational Seating Program Team. Failure to send a representative at the designated time will result in forfeiture of wristbands for the remainder of the season. ii. Each row in the Organizational Seating area accounts for exactly 24 wristbands. iii. All wristbands must be properly fastened and worn visibly for security and SGA representatives to see for the entirety of the game. iv. Any SGA Organizational Seating Program team member or security officer reserves the right to ask any individual to leave the Organizational Seating Area if the individual is without a valid wristband or behaves inappropriately. v. Each organization s rows are only reserved up to one hour prior to kick-off according to the Jordan-Hare stadium clock. 3. A member of the SGA Organizational Seating Program Team will notify an organization in the event their rows are being revoked due to failure to adhere to the program s rules and policies. 4. A fee per row will be charged to every organization earning reserved seating to cover the costs of wristbands, row labels, and other expenses of the Organizational Seating Program. This check will be made out to the Auburn Student Government Association and will be due before the second home football game; failure to pay by that point will result in an organization forfeiting their rows for the remainder of the season. 5. SGA reserves the right to make changes to the entire student section s functionality at any time. This could include the elimination of the Organizational Seating Area if an alternative system is determined to more effectively serve the Auburn student body.
