1 The Ladies in Red Bylaws Mission Statement: The Ladies in Red is an all-female collegiate a cappella group sponsored by the NC State Music Department. The Ladies will establish a respected presence on campus and within the community by performing at various events (both paid and unpaid). The Ladies will perform for booked commitments, including the Fall and Spring Concerts. Additionally, the Ladies will have the option to compete in local and national collegiate a cappella competitions. The Ladies in Red will strive to share their talents and represent NC State University positively through musical performance. Executive Roles: The Ladies in Red shall have an executive board in place to organize group matters. The executive board will feature individual roles, and each person will be responsible for a specific set of tasks. Members of the executive board will work together to efficiently handle group matters and oversee group progress. Executive roles are outlined below, in no specific order: Music Director This role is filled by one person (with an apprentice when the time comes) who will handle all music related issues in the group. She will organize and lead our practices and be in charge of setting practice schedules and outlines. She will blow the pitch and direct rhythm during practice and at performances. While also arranging pieces for the group herself, she will oversee all musical arrangements and have the authority to make necessary changes after consulting with the arranger. She will sit down with the arrangers of all songs before they are taught to the group so the two can come to a joint understanding of the piece before it is sent to the ladies and taught in practice, that way they both understand fully how the piece should be handled and taught. Side note on arranging: Arrangers MUST proofread arrangements before meeting with MD! Be as explicit as possible with your vision for the song. She will run through our entire repertoire at least once per week. The MD will meet privately with members to go over difficult parts, if needed. She will decide which songs will be sung at gigs. President:
2 This role is filled by one person who will handle all personal & organizational aspects of the group. (less emphasis on behavior and more emphasis on the group as an organization.) What: She will be the lead spokesperson, and will do most of the speaking at performances on behalf of the group, when appropriate. She will be a liaison with the music department, and will work with them to coordinate concert dates and logistics. This includes dealing with all concert logistics and delegating tasks to members. (Tasks include but are not limited to: Setting up times for sound check Setting up/running merchandise table during concert and intermission Creating setlist poster Creating lighting effects for concert background Organizing microphone setups Hiring photographer Sending concert survival guide to all members She will be the contact person for all university-sponsored concerts. She will head fundraising campaigns for the group and be in charge of spearheading these. She will take notes and send out any updates to the group, also acting as a resource for all other officers regarding information shared during practice. She will keep an itinerary of business items to be discussed (when relevant) and will be tasked with making sure all pertinent known items are discussed at the beginning of each practice. This includes scheduling and heading officer meetings. All relevant questions/issues should be run by her, unless they pertain specifically to an arrangement or musical question. Business Manager: This role can be filled by one person, with an apprentice when a transition is soon following. She will handle the coordination of all performances. She will be in charge of checking the account and responding to all incoming messages DAILY. She will keep the calendar updated and communicate with the group via as well as at the beginning of practices to alert them of anything already scheduled or things that need to be scheduled. In order to keep gigs straight and organized, she will send out an alerting other members of potential gigs on the gig sheet.
3 She will then give the members a deadline of when they can change their boxes (1-2 weeks depending on when the gig is). Once the deadline comes, the music director will let the business manager know if we are able to do this gig (based on attendance). Then, the business manager will send out a confirmation to the gig correspondent and IMMEDIATELY send a gig to the other Ladies with the gig details. She will be the contact person for all gigs and performances. She will have her name listed on the Ladies bank account (although with a potential successor / Junior Business Manager), and will be in charge of group-related deposits and withdrawals. Public Relations Manager: This role will be filled by one person who will handle all public image issues for the group, including media and advertising. She will make all final decisions regarding attire (in conjunction with the Business Manager). She will handle all printing/design/merchandise needs. She will be in charge of maintaining the website and all social media outlets (Instagram, Facebook, Twitter) This includes adding new members to all FB groups (Ladies, Ladies alumni, Ladies and Grains, etc) She will be in charge of advertising events and publicizing for the group. This includes designing the posters (or designating someone to do so). She will delegate publicity tasks (hanging up posters, etc) to other members. Choreographer: This role will be filled by one person who will handle choreographing songs. She will be in charge of creating choreo for specific songs in the set. She must keep in mind the potential physical limitations of other members. She will coordinate with the music director to ensure that choreography is complimentary to individual arrangements. She will be in charge of teaching choreo to other group members on days scheduled for the task. She will direct any basic staging for performances where choreography is not needed. **It is strongly encouraged that officers all work together, and include opinions of other group members when making major decisions.
4 General Membership: Members of the group will consist of female students of any major, age and background. The requirements for maintaining membership are as follows: Practice: Monday, Wednesday and Sunday from 7-10 PM. Mondays and Wednesdays will be in Price Music Hall Sunday locations are subject to change, but will likely be in a mirrored room in the Rec Center Sunday practices are generally devoted to choreography, but schedule is made by music director. All members are expected to participate and pay attention during practice. Cell phones and other electronics shouldn t be used during practice (unless we are on break or they are being used to read music) All members are expected to arrive at practices and performances at the specified time. If there is a conflict, please alert the president and music director ASAP. Practices are meant to help prepare the group for performances. Use this time wisely and practice as if you have an audience. Attendance: All members are expected to attend all practices, meetings, performances and concerts. Conflicts: Should any conflicts arise after a performance/practice/meeting is scheduled, it is imperative that the member submits the conflict in writing to the president and music director; this can be done via or text. Requirements: for missing any week day practice or gig, you must give two weeks notice; for missing any Sunday practice, you must give one week s notice Consequences: if you fail to meet these requirements on a frequent basis, your most recent solo will be revoked or your privilege to audition for a solo will be revoked for that semester. Side note: Don t let this scare you from notifying the officers of your conflict. We know unexpected things happen, but members must be aware of consequences. Election of Officers: The election of officers will occur when an executive position becomes vacant. Depending on the time of the vacancy, officer elections may be held at the beginning or end of a semester. Leaving the group: If a member plans to leave the Ladies Outside performances: All members are expected to attend outside performances as
5 they indicated on the gig sheet. The gig sheet is used to determine attendance at a gig/performance and is run by the business manager. The business manager will notify members when a gig is added to the gig sheet. All members boxes will be marked green (attending) unless the member changes it to white (not attending). Members will be given a date after which they are not permitted to change their box on the gig sheet. When urgent things come up, members must notify the president and music director ASAP. Members are expected to act professionally at all gigs. This is crucial to the reputation of the group as a whole. (Put your phone away) Members are expected to dress appropriately to all gigs and performances. (the PR officer will dictate what needs to be worn) The Ladies and the Grains of Time are asked to sing at both December and May graduation. One group is responsible for singing the National Anthem, and other group sings the Alma Mater and a special song (who does which is decided between the presidents of both groups and the music department). Learning Music: After practicing a song three times in rehearsal, all members are expected to be off-book. This may be adjusted for especially easy or hard songs. Responsibilities: All members are expected to practice music outside of rehearsal. A member who has trouble learning her part can arrange a meeting with the MD or someone on her part to practice. Solo Auditions: Solo auditions will be held with the whole group present, and Andy, if he is available. The group will do its best to choose the soloist that best fits the arrangement. Members will individually audition the solo in front of the group. for a predetermined reason (eg. studying abroad, co-op, etc) she must notify the group as soon as the decision has been made. She will not be required to re-audition if she gives this notice and returns after one semester. Members absent for two semesters or more will need to re-audition. Members who do not give sufficient notice (barring special circumstances) will need to re-audition if they wish to join the Ladies. Song Selection: Each semester, the group will hold a song selection meeting to discuss repertoire for the upcoming semester. -Prior to this meeting, each member will suggest 3 songs, sent via to the President. -The President will send a list of all combined song suggestions to the group. Members are responsible for reviewing the list individually, and considering songs to be added to the group repertoire. -At the meeting, the group will discuss and vote on new songs. Please note:
6 -The group will strive for a diverse repertoire, including an array of genres. However, approximately ¾ of songs should be recognizable to the average audience member. -Repertoire is subject to change throughout the semester. Selection of New Members: Auditions, callbacks, and selection will be determined after discussion and majority vote. The following behaviors/actions will NOT be tolerated within the Ladies in Red: 1. Disrespect to any group member, or the group as a whole 2. Excessive absences (rehearsals, meetings, gigs, performances) 3. Disruption during rehearsals, meetings, gigs, performances 4. Inappropriate dress or appearance during any performance 5. Negative or disrespectful speech to, or about, the group or a group member 6. Lack of cooperation during rehearsal Any recognition of these items will be grounds for dismissal from the Ladies in Red. Group Goals/Traditions While the group is definitely a business and works very hard, we also have a lot of fun. It is expected that all members act with respect towards each other, and handle issues maturely. We re all adults here. Monetary Goals - these will be set by the president and business manager at the beginning of each semester. This is purely a goal to help the group stay motivated to book gigs. Retreat - we will aim for one retreat per semester, to be planned by the president and business manager. We have retreats for fun and group bonding, not for business or music practicing. The Ladies in Red work very hard to maintain a good and respected reputation with other A Cappella groups and organizations on and off campus. (We are ladies, after all!)
