3 Introduction Starting November 8, 2010 Avaya will make available new offers to support Software Investment Protection for upgrades from Heritage Nortel licenses to Avaya Aura licenses. These offers are scheduled for implementation into ASD between February and May, In the interim a workaround process has been developed to support pricing and ordering for specific upgrades; including Core IP Telephony, Conferencing and Self-service. This process uses a new ASIPP Tool that will be used by the Avaya Sales Factory to produce a report containing all the relevant information needed to provide a price to the customer, process an order and make Avaya database adjustments downstream. Upgrades will be covered under SRS contracts (if applicable as not all products are eligible). Transactional upgrades are also available if the customer does not have SRS. See the table below for an overview of Service contract treatments. The new Services tracking codes referenced will be available January 10 th. These tracking codes can only be used if the customer is ordering a like-for-like service contract, and for an equal number of licenses. PASS / Express will be entitled to use SS tracking codes. PASS Plus / Express Plus will be entitled to use SSU tracking codes. 3
4 Scenario Treatment for Avaya Aura service contract Customers is migrating a sub-set of licenses from a CS 1000 to Avaya Aura Standard or Enterprise Edition Order SS(U) for Avaya Aura licenses using no charge tracking codes Co-terminate with the customer s PASS(+)/Express (+) contract At expiration, re-cast under then current Avaya Aura service contract pricing Customer is replacing an entire heritage Nortel system with Avaya Aura Order SS(U) for Avaya Aura licenses using no charge tracking codes Co-terminate with the customer s PASS(+)/Express (+) contract At expiration, re-cast under then current Avaya Aura service contract pricing Customer is replacing multiple entire heritage Nortel systems with an Avaya Aura system at one time Order SS(U) for Avaya Aura licenses using no charge tracking codes Co-terminate with the latest PASS(+)/Express (+) expiration date of the multiple sites that are migrating. At expiration, re-cast under then current Avaya Aura service contract pricing Treatment for heritage Nortel service contract Complete current contract At expiration, recast contract for remaining licenses Complete current contract At expiration, let contract expire Change expiration date for all sites migrating to the latest expiration date. At expiration, let contracts expire 4 Example Customer is moving 100 licenses. The customers PASS(+) contract is scheduled to terminate June 30, 2011: --The SS(U) contract associated with the 100 licenses being moved to Avaya Aura would be issued using no charge tracking codes and terminate on June 30, On July 1, 2011 the customer s support contracts for the remaining CS 1000 licenses and 100 Avaya Aura licenses would be re-cast using standard support offers applicable to each type of license at that time. Customer is decommissioning their CS 1000 with 1,000 licenses and moving them to Avaya Aura licenses. Their existing PASS(+) contract expires on March 31, 2011: --The SS(U) contract associated with the 1,000 licenses being moved to Avaya Aura would be issued using no charge tracking codes and terminate on March 31, On April 1, 2011 the customer s PASS(+) contract would expire and a new SS(U) contract would be issued at standard price for the 1,000 Avaya Aura licenses. Customer is consolidating (3) 500 license CS 1000 s into a single Avaya Aura system: one service contract expires on February 28, one on June 30 and one on October Issue the SS(U) contract associated with the 1,500 licenses being moved to Avaya Aura using no charge tracking codes and terminate on October 31 --Issue order to change the expiration dates on the other (2) CS 1000 sites to October 31. -On November 1 the service contracts for the (3) CS 1000 sites will expire and a new SS(U) contract would be issued at standard price for the 1,500 Avaya Aura licenses.
5 Other details on the Avaya Software Investment Protection Policy can be found in the Offer Definition on the Avaya Software Investment Protection sitet < > ASIPP Interim Process Overview High-level Process Step 1 - Partner or Avaya Associate -Pulls Customer record and service contract from KRS or OrderPro (if CS1000 or Meridian 1) -Runs ASD configuration for new system or license additions -Completes ASIPP Pricing Request Form -Sends KRS / OrderPro document, SRS contract, ASIPP Pricing Request Form and ASD Smasher file to TAM/CAM/NAM Step 2 TAM/CAM/NAM -Enters or updates opportunity in SFDC with campaign code UC ASIPP Global FY11 ASIPP Pricing Tool -Issues SSR to route request to the Sales Factory Step 3 Avaya Sales Factory -Runs ASIPP Tool -Sends report back to Partner and TAM/CAM/NAM Step 4 Partner or Avaya Associate -Makes adjustments to SAP quote as per the ASIPP report Step 5 Partner -Places order with new ASIPP product and services materials -Places order(s) to adjust heritage Nortel service contract expiration dates if multi-site consolidation with varying expiration dates -Sends ASIPP report with PO s to Distributor for processing Step 6 Distributor -Issues PO to Avaya with adjusted time for support as per ASIPP report -Places orders for any heritage Nortel contract termination date changes -Posts ASIPP report in Special Bids repository or sends with PO Step 7 - Avaya Order Management -Places order as received Step 8 Avaya (heritage Nortel) Database & Service Contract Team -Make database adjustments based on monthly PLDS reports & ASIPP reports 5
6 ASIPP Process Details Step 1- Partner or Avaya Associate A. For Meridian 1 and CS 1000 license migration requests - pulls Customer record and service contract from KRS or OrderPro KRS File Download and File Format: - KRS data is the preferred method used to identify software and applications for Release 3 or later systems. Files are available for download on the KRS website at Please note, the ASIPP Tool does not support a Copy and Paste action from KRS - Once logged into the KRS website, enter the Site ID and select DOWNLOAD ENVELOPE. If this is being done by a channel partner whom is not the Partner on Record in KRS, an Avaya SE will need to conduct this portion of the data collection - All KRS files must be in the format of KRS_<Name of File>.DOC. Example - KRS_Dallas.doc. OrderPro Download and File Format: - OrderPro can be utilized on pre or post release 3.0 systems (3.0 and later systems only require KRS for the ASIPP Tool, although OrderPro can assist with existing hardware and software utilization discovery). The OrderPro Report Summary report is used for import into the ASIPP Tool. When importing a REPSUM file, that file needs to be in the format of REPSUM_<Name of File>.RTF. Example - REPSUM_Dallas.rtf. - To save a REPSUM file, OrderPro Software is required and available at: SRS, PASS Plus SRS or Express Plus SRS Download and File Format - It is important to identify if existing systems are equipped with SRS contracts as they may be leveraged in the migration/consolidation process. SRS (or PASS Plus or Express Plus) can be viewed in the KRS system by clicking the SRS button located beside the Download Envelope button from the KRS website at - Only the partner who holds the contract can download the file and leverage the contract in the transaction B. Runs ASD configuration for new system or license additions o Run quote as per the entitlements articulated in the introduction. This is very important or the request will be denied o If the customer is entitled to Avaya Aura Standard Edition but wants to go to Enterprise Edition, run the quote for Standard Edition and the Design Center will add the SE to EE uplift via the ASIPP tool. If there is an existing Avaya Aura system the licenses are being migrated to, it must be at Enterprise Edition in order to use the SE to EE uplift for the migrated to licenses. 6
7 Also see the ASIPP Offer Definition Addendum A on the Avaya Software Investment Protection Policy site for PLDS instructions when both Avaya Aura Standard Edition and Standard Edition to Enterprise Edition Uplift codes are on the same order o Include Core IPT, Conferencing and Self-service elements in single configuration file if possible and applicable o Partner must show proof of SRS type contract (see section A above) to receive SRS entitlements o You cannot use the Avaya Upgrade Nortel Technology Refresh Promotions with ASIPP C. Completes ASIPP Pricing Request Form o Additional information will be needed for some upgrades and to support back-end database and contract adjustments. The ASIPP Pricing Request form will need to be completed for all requests. o The ASIPP Pricing Request Form can be found on the Avaya Software Investment Protection Policy site. It contains a general information section as well as sections for Core IP /SIP Telephony, Conferencing and Self-service license migration information. The form also supports consolidations to Avaya Aura from multiple sites. D. Sends to TAM, CAM or NAM requesting ASIPP pricing support. Attaches KRS / OrderPro document (if Meridian 1 or CS 1000), SRS contract proof (if applicable), ASIPP Pricing Request Form and ASD Smasher file. Only send the Smasher file(s) that have Core IP / SIP Telephony, Conferencing or Self-service licenses eligible for new ASIPP codes Step 2 TAM, CAM or NAM A. Enters new opportunity or updates an existing opportunity in SFDC with Campaign code UC ASIPP Global FY11 ASIPP Pricing Tool. Account Managers can search active campaigns for UC ASIPP to find this code and add it to the opportunity B. Issues SSR in SFDC to route request to Avaya Sales Factory Design Central Team. Attach: KRS / OrderPro document (if Meridian 1 or CS 1000), SRS contract proof (if applicable), ASIPP Pricing Request Form and ASD Smasher file. Step 3 Avaya Sales Factory A. Uses the ASIPP Pricing Tool to determine product and services material code substitutions and new pricing. The ASIPP Tool will produce a report which includes all the necessary information to process the order and enable downstream Avaya database and contract changes. NOTE: New Services no charge tracking codes will be used to provide service for the Avaya Aura products until the customers heritage Nortel contract expires. These tracking codes will be available on January 10, 2011; and can only be used if the customer is ordering a like-for-like service contract, and for an equal number of licenses. PASS / Express will be entitled to use SS tracking codes. PASS Plus / Express Plus will be entitled to use SSU tracking codes. 7
8 B. The Avaya Sales Factory will send this report back to the requesting partner and associated TAM, CAM or NAM. The ASIPP Report contains 4 sections: Request Information - imported request form Calculated Discount summary of pricing and donor site information License Transfer donor system service contract and customer database adjustments Adjusted ASD Quote Avaya Aura material code changes and service contract treatment It is important to note that any site flagged as Decommission will be set to Inactive in KRS once the new Avaya Aura licenses are activated in PLDS (Avaya s licensing system). This status of "Inactive" will freeze the System Site ID, so that future Software Expansion or Upgrades will not be available. It is important for customers to understand the restrictions or freezing their existing system software and also of the risks of extending migration timelines. In some cases existing systems may contain limited components that are no longer available which introduces a risk if component failures occur. Support through Avaya is based on existing policies and additional charges may apply for EOL or MD products. See Addendum A for examples from a sample ASIPP Report Step 4 Partner or Avaya Associate A. Will need to make adjustments to the SAP quote as specified on the ASIPP Report. You must be in ASD tethered mode. Add ASIPP codes using Piece Parts Use Design Adjust to remove equal quantity of full price codes NOTE: ASIPP product codes will be available November 8, ASIPP Services tracking codes will not be available until January 10, If services adjustments are needed before then, please contact llevy@avaya.com Step 5 Partner B. Places order with the ASIPP product and service materials replacing the NEW system or ADDITIONS materials C. If consolidating multiple sites that do not co-terminate the latest termination date will be used for the transaction. This includes the Avaya Aura site (see Step 3B) and all the donor heritage Nortel sites. Use EC Services to generate a quote(s) to extend the termination date(s) for heritage Nortel contracts that are earlier than the latest contract date, and issue order(s) D. Sends ASIPP Report along with PO(s) for Avaya Aura system and heritage Nortel contract expiration date changes to Distributor for processing 8
9 Step 6 - Distributor A. Issues PO to Avaya, specify ASIPP Report number in the Notes field. After January 10, 2011, if an order has an ASIPP services tracking code on it the PO will need to specify an adjusted expiration date just for the tracking code. The adjusted time should allow for co-termination of the new SS(U) contract with the customer s existing PASS(+) or Express(+) contract. The termination date of the customer s PASS(+) or Express(+) contract will be specified on the ASIPP Report. B. Places orders for any heritage Nortel contract termination date changes C. Posts ASIPP Report in Special Bids repository or attaches to PO sent to Avaya. The ASIPP report should be treated in the same manner as a Special Bid approval Step 7 Avaya Order Management A. Places order(s) using standard processes as received from the Distributor Step 8 - Avaya (heritage Nortel) Database and Service Contract Team A. Makes database and service contract adjustments based on monthly PLDS reports and ASIPP reports.
