9 1 INTRODUCTION TO FLEETOUTLOOK FleetOutlook is a web-based fleet tracking application that allows the user to see where drivers and vehicles are, and to capture/report on various aspects of driver and vehicle operations. Because it is web-based, you can use it from any computer that is connected to the Internet and supports the system requirements. This guide provides the basic navigation and operating instructions for FleetOutlook. Advanced user information and instructions are included in the specific user guides for the following FleetOutlook modules: Reports TechConnect TechDirect Vehicle Maintenance User Guides for these modules are available from within the FleetOutlook Help portal. 1.1 SYSTEM REQUIREMENTS For optimum performance while working in FleetOutlook, it is recommended that you use a supported browser. Refer to the Supported Browser Requirements Guide for a list of browsers. Use of unsupported browsers or flash player may cause poor system performance or loss of features. For example, if you see a grey screen instead of the login page, you do not have the correct version of Adobe Flash Player installed USER NAME, PASSWORD AND SECURITY A user name and password are required to log into and use FleetOutlook. If you do not have login credentials, please contact your company s FleetOutlook Administrator or the FleetOutlook Customer Support Team. You are responsible for maintaining the confidentiality of your user name and password, and you are solely responsible for all activities that occur under your user name and password. You agree to immediately notify CalAmp of any unauthorized use of your user name and password, or any other breach of security related to the Site. 10 2 LOGGING IN FLEETOUTLOOK You can access the FleetOutlook application using any supported web browser connected to the Internet. You must have a valid user name and password to login the FleetOutlook application. Your login session stays active until you close the window or sign out. If you have not received a username or password, contact your company s FleetOutlook Administrator or the FleetOutlook Customer Support Team. To Log In FleetOutlook: 1. Open a supported web browser, and then go to wrx-us.net. 2. Enter your Username and Password. Figure 1: Login Screen Click the Forgot Your Password link to have a temporary password sent to the registered with your FleetOutlook user profile. 3. Select the Application from the drop-down list. Your username and password are the same for both FleetOutlook and FleetOutlook Admin. 4. Click the Login button. Depending on the application selected, either the FleetOutlook Dashboard displays or the FleetOutlook Admin screen displays. Depending on your user profile, you may not have the appropriate permissions to access all of the features referenced in this user guide or to FleetOutlook Admin. Page 2 MBUD-0123v11

11 3 UNDERSTANDING FLEETOUTLOOK AND FLEETOUTLOOK ADMIN Use the FleetOutlook application primarily to monitor your fleet, and the FleetOutlook Admin application to manage your fleet s assets. You can run concurrent sessions of FleetOutlook and FleetOutlook Admin in the same web browser window on two separate tabs. This allows for easy navigation between the two applications. 12 4 OVERVIEW OF FLEETOUTLOOK SCREEN After successful login, the FleetOutlook Dashboard displays. The number of tabs available depends on your user profile settings. Figure 2: FleetOutlook Screen 4.1 FLEETOUTLOOK TABS Figure 3: FleetOutlook Tabs Depending on your user profile, 3-9 tabs display across the screen. Each tab is a FleetOutlook module. Most tabs have sub-tabs. For example, select the Tracking tab, and then select the Vehicle Summary tab to see the latest events for a fleet. 13 4.2 GROUP CHOOSER FleetOutlook s central Group Chooser option, located at the top of the FleetOutlook screen, allows you to select the group to display and have it applied across all tabs, instead of selecting the group on each individual tab. This enables you to move from tab to tab without re-filtering the data on each tab to display only a selected group. The Group Chooser does not apply to the Reports tab. By default, each FleetOutlook user profile is designated a default group. Your default group automatically displays at login. To change your default group or add groups to your profile, you must log in FleetOutlook Admin or contact your FleetOutlook Administrator. Important FleetOutlook Group Guidelines: 1. The names of the groups and the order (hierarchy) in which they are displayed are defined by your organization s FleetOutlook Administrator. 2. If you select the highest group in your organization s group hierarchy, you see all of the vehicles that roll up to that group. 3. If you select the lowest group in your organization s group hierarchy, you only see the vehicles in that specific group. 4. By default, you only see the groups available to you based on the group permissions set for your user profile. MBUD-0123v10 Page 5

14 To Select a Group From the Group Chooser: 1. Click the Group Chooser button, and then select the group to display. 2. Click the OK button to save your group selection. The Collapse All and Expand All toggle button enables quick navigation to your desired group. By default, the group structure is fully expanded. The Collapse All button collapses the group folder structure to the highest group to which you have access. The Expand All button expands the group folder structure to the lowest group level to which you have access. Figure 5: Group Chooser Screen Page 6 MBUD-0123v11

15 4.3 HELP BUTTON The FleetOutlook Help portal offers help in a variety of ways. Browse help topics through the Table of Contents, search for key words, watch a video or download a white paper. From the Help portal s Home Screen, select any of the quick icons to jump to a section or use the side bar to find topics. 16 5 FLEETOUTLOOK GENERAL NAVIGATION TIPS This section provides an overview of the standard functionality available in many of the FleetOutlook modules. 5.1 CLOSE WITHOUT SAVING CHANGES You can close any screen without saving changes by clicking the Close button in the upper-right corner of the screen. 5.2 SORT OPTIONS Figure 7: Close without Saving You can sort a FleetOutlook list by any column heading in ascending or descending order. A small, black triangle indicates by which column the list is sorted and in what order. Left-click on a column heading once and FleetOutlook sorts the list in ascending order. Double-click on a column heading and FleetOutlook sorts the list in descending order. Left-click on a previously sorted column heading and FleetOutlook reverses the current sort order. 17 5.3 EXPAND VIEW Many FleetOutlook screens contain both a list view and a map view. If you need to expand or collapse a view, rest your mouse on the dividing line that separates the view. When your mouse turns to a double-sided arrow, left-click and drag to expand or collapse. Figure 9: Expand List View or Map View 5.4 EXPAND COLUMNS You can expand or collapse any column heading by resting your mouse on the line dividing two column headings. When your mouse turns to a double-sided arrow, left-click and drag to expand or collapse. Note: Any modifications you make to column sizes or positions are applied to the current FleetOutlook session; the settings are not saved for subsequent logins. Figure 10: Expand a Column Heading 5.5 HIGHLIGHTS Point to any row or name in a list and FleetOutlook highlights that row or name. Figure 11: Row Highlights 5.6 REFRESH BUTTON Located at the lower right corner of most FleetOutlook screens is the Refresh button. After updating data in FleetOutlook, you may need to refresh to display the most current information. MBUD-0123v10 Page 9

18 5.7 COPY OPTIONS You can copy the data displayed in many of the FleetOutlook lists to CSV or TSV formats. Right-click anywhere on a list, and then select a copy option from the shortcut menu. If you want to copy only select rows, use the Shift key to select adjacent rows and the Ctrl key to select non-adjacent rows, and then right-click to display the shortcut menu. Note: Not all FleetOutlook lists support the copy functionality, and not all lists have the ability to select more than one row at a time. Figure 12: List Copy Menu Page 10 MBUD-0123v11

19 6 DASHBOARD FleetOutlook s Dashboard displays key performance metrics for a fleet in visually meaningful charts or dashlets. You can select up to six user-configurable charts to display on your dashboard from a predefined list of over 60 key metrics such as idle time, travel time, number of speeding events and more. Dashboard charts reflect performance metrics available from the Reports platform. Each chart renders its data based on user-defined configurations and updates automatically. Standard Dashboard Configurations: By default, your user profile includes four charts already configured. You may modify these charts or create up to six charts to best suite your business needs. If you have a specific group selected from the Group Chooser button, FleetOutlook filters the dashboard data for the group selected. The Y-axis automatically scales to display the best view of the data available. The X-axis automatically scales to display the best view of the data available. If too many records are presented, FleetOutlook samples the records to produce a faster rendering. To display more details, either maximize the chart or select a smaller group to sample. 20 6.1 DATA SELECTION When creating dashboard charts, you have the option to select from seven available data sources. Each data source then has a number of metrics available DATA SOURCE AND METRICS The metrics available are dependent on the Data Source selected. This section provides information on each data source and available metrics Alert Count This dashlet provides a quick view of the number of occurrences for a single alert type over the specified time range, making it easy to monitor changes in the volume of alerts triggered such as speeding incidents, late arrivals and more. Note: Not all alert types are available on all devices. 21 Driver Performance Report This dashlet provides a visual narrative of your drivers productivity and work characteristics. Comparing key metrics allows you to quickly identify anomalies among the drivers in your fleet. Note: When rendering this dashlet, the Driver Performance report ignores vehicles without drivers. For accurate data analysis, it is critical to assign drivers to vehicles. Note: When rendering this dashlet, the Driver Performance report ignores vehicles without drivers. For accurate data analysis, it is critical to assign drivers to vehicles. 23 Equipment Location This chart provides a visualization of equipment at landmarks and will have three options: Landmark Quantity: Displays how many pieces of equipment and vehicles were within each landmark at any time during the selected time range. Landmark Age: Displays the age of your active landmarks, in days. Average Dwell Time: Displays the average and maximum time, in hours, that your equipment operated inside of your landmarks. 24 Equipment Utilization This chart will display information about the overall use of the equipment and will have two options: Active Days Count: Displays how many pieces of equipment were active on each day of the reporting interval. 25 Equipment Telematics Shows daily telematics metric values for the equipment units in the scope of the dashboard (i.e., according to the group selected) for the time interval selected. Also allowed is an optional threshold and comparison condition. Allows you to see various equipment metrics that are pulled off of the BUS such as, but not limited to: Avg. Engine Fuel Temp, Engine Coolant Level, Engine Oil Level, Max Engine Oil Pressure, etc Fleet Status Chart This chart provides a snapshot view of the number of active vehicles, the number of vehicles inside a landmark, or the number of vehicles outside a landmark for your entire fleet or selected group for a specified granular range (e.g., hourly, daily or monthly). Depending on how you utilize landmarks, you may opt to show only active vehicles, only vehicles inside landmarks or only vehicles outside of landmarks. Displaying active vehicles and inside landmarks on a daily basis provides an indication of the number of vehicles in use and have visited a worksite during the day. 26 Fleet Utilization This dashlet depicts vehicle use in pie chart form for the selected date range. The pie chart shows the size of each of the four statuses proportional to the total number of devices. The dashlet is beneficial to fleet managers as they balance their daily fleet load to minimize maintenance costs and maximize vehicle use. Devices that have not reported any Ignition On or moving events that day, but have reported other events. Devices that have reported an Ignition On but no moving events that day. 27 Vehicle KPIs This dashlet measures four key metrics for a single vehicle against the fleet or group average or the user-defined benchmark. The benchmark is the dividing line between the green and red portion of the gauge. If you do not specify a benchmark value, the benchmark is the average of the fleet or group. 28 Vehicle Metrics Report This dashlet displays a view of your vehicles key metrics specific to the vehicle such as distance driven, engine hours, PTO idle time and more. One of the advantages of this dashlet is the ability to measure and analyze performance metrics without driver to vehicle assignments. 29 6.1.2 DISPLAY TYPE FleetOutlook s Dashboard includes three data display options that help illustrate comparisons or display changes in metrics over time. Figure 23: Display Type Options Group Trend Use this data display type to show group performance over a selected date range. The X-axis is the date interval, and the Y-axis is the metric selected. Subgroup Rank Use this data display type to compare group-to-group performance. FleetOutlook displays a vertical bar for each group in the data selected. This data display type is useful for identifying anomalies among group performance. Driver Rank/Vehicle Rank Use this data display type to show driver-to-driver or vehicleto-vehicle performance. FleetOutlook displays a vertical bar for each driver or vehicle in the data selected. This data display type is useful for identifying anomalies in driver or vehicle performance. Note: FleetOutlook samples large amounts of data so that the trend is evident, but specific drivers may not be listed on the X-axis. Maximizing the chart may allow for more drivers to appear on the X-axis. If maximized view does not provide driver names, select a smaller group to sample (i.e., one with fewer than 50 drivers). 30 6.1.3 TIME RANGE FleetOutlook s Dashboard includes four time options: Yesterday, Last 7 Days, Last 30 Days and Last 12 Months. Figure 24: Time Range Options Yesterday Use this option to display data from the previous date from 12:00 AM (Enterprise Time Zone) to Previous Date 11:59 PM (Enterprise Time Zone). Last Seven Days Use this option to display data for the past 7 days from 12:00 AM to 11:59 PM (Enterprise Time Zone). Data does not include current day. Last 30 Days Use this option to display data for the past 30 days from 12:00 AM to 11:59 PM (Enterprise Time Zone). Data does not include current day. Last 12 Months Use this option to display data for the past 12 months. FleetOutlook does not include null months or partial months EXCLUDE CATEGORIES As with FleetOutlook Reports, you have the option to filter the data displayed for only specific vehicle categories. This functionality is beneficial for fleet managers monitoring idle time. When creating a dashlet that highlights vehicle idle time, they can opt to exclude bucket trucks. 31 6.1.5 DASHBOARD BENCHMARKS For each dashlet or chart, you may create a benchmark, or a goal line, to illustrate which drivers, vehicles or groups are performing above or below the user-defined threshold. FleetOutlook displays a red line to indicate the threshold value. Figure 26: Dashboard Benchmarks Note: You cannot create a benchmark on a dashlet or chart that has multiple metrics displayed. FleetOutlook provides three benchmark options: Line: Displays a line on the screen at a specific Y-axis value (e.g., 1 hour and 10 minutes). Greater than: Displays only those drivers, vehicles or groups whose metrics are above the user-defined threshold. 33 6.1.6 MULTIPLE METRICS ON A SINGLE DASHLET The ability to show multiple metrics on a single dashlet helps visualize the relationship between two different data sets. For example, use multiple metrics to illustrate the relationship between distance driven and idle time. Figure 28: Multiple Metrics Dashlet As necessary, a different Y-Axis scale displays on the right side of the dashlet. If the metrics selected have different units or scale, FleetOutlook displays one unit of measure on the left side of the dashlet, and the second unit of measure on the right side of the dashlet. 35 6.2 ADD A DASHBOARD CHART By default, your user profile includes four charts already configured. You may modify these charts or create up to six charts to best suit your business needs. Note: The Add Chart button is inactive if you have six charts configured on your dashboard. To Add a Dashboard Chart: 1. Click the Add Chart button located in the upper-right corner of the Dashboard screen. The Configuration screen displays. 36 6.3 EXPORT CHART DATA TO TSV FORMAT The FleetOutlook Dashboard includes the functionality to copy chart data to a Tab Separated Values (TSV) format on the system clipboard, which enables you to paste the data in other programs, such as Microsoft Excel, for further analysis. To Export Chart Data to TSV Format: From the chart s Title bar, click the Export button. You can paste the chart data into another program such as Microsoft Excel. 6.4 DOWNLOAD A CHART IMAGE The download image option enables you to create a PNG file out of any dashlet or chart. To Download a Chart Image: From the chart s Title bar, click the Download button. FleetOutlook prompts you to either open the image or save to your local computer. 37 6.5 EDIT A CHART After you create a chart or dashlet, you may want to edit the data selection, add a benchmark or add a second metric. To Edit a Chart: 1. From the chart s Title bar, click the Edit button. The configuration screen displays. Figure 32: Edit Chart Screen 2. Edit the settings as needed, and then click the Save button. 6.6 DELETE A CHART Delete unused dashlets or charts to keep your dashboard focused on the performance metrics that need your attention or monitoring. 38 6.7 MAXIMIZE A CHART Maximizing a chart or dashlet to full screen display is useful if the data on the X-axis is aggregated to show the trend, but does show showing individual group or driver data due to data size. To Maximize a Chart: From the chart Title s bar, click the Maximize button. FleetOutlook maximizes the chart to fill the Dashboard screen. 39 7 TRACKING TAB The Tracking tab contains FleetOutlook functionality for quickly accessing key data about a vehicle or asset, including the last reported location and operating status. The Tracking tab contains three sub-tabs: Map, Vehicle Summary and Breadcrumb Detail. For customers using the TTU-720 device, the Asset Summary sub-tab also displays. 7.1 MAP OVERVIEW FleetOutlook s Map is a quick way to view your fleet and any landmarks created. With unlimited panning and zooming, you can quickly locate vehicles, assets and landmarks. In addition, you can zoom to see street level detail about vehicle and asset locations. Figure 35: FleetOutlook Map ZOOM BAR The Zoom bar, located on the right, allows you to zoom up or down. You can use the buttons to zoom in/out or left-click and drag the slider bar up and down to zoom in/out. MBUD-0123v10 Page 31

40 7.1.2 OPTIONS The Options button, displayed in the upper-left corner of the Map, allows you to toggle on or off the display of vehicle/asset icons, vehicle/asset names or landmark icons on the map. Figure 36: Map Options SEARCH BAR Enter an address or vehicle name in the Search field, and press the Enter key or click the Find button. You can search by address or vehicle. The map automatically centers to the address or vehicle location and displays a pushpin to denote the location on the map. When searching by address, enter the street address, city, state combination or just the zip code. As you type a vehicle name in the Search field, FleetOutlook displays a list of possible matches. 41 7.1.4 DISPLAY OPTIONS The Display Options field, located in the lower-left corner of the Map screen, only displays for customers using the TTU-720 device. Located to the left of the Refresh button, this field provides you with the ability to toggle on/off the display of assets only, vehicles only or display both assets and vehicles on the map. By default, both vehicles and assets display on the map. Figure 38: Asset/Vehicle Display Options MAP/SATELLITE All FleetOutlook maps have a Map/Satellite/Terrain toggle button allowing you to view the map in aerial imagery or in map view. One of the benefits of Satellite view is to see the precise location of where an event occurred. 42 7.1.6 TREE VIEW/LIST VIEW Tree View allows you to filter the map to display only vehicles within a specific group. The List View displays a list of vehicles, depending on the group level selected in Tree View, in alphabetical order. To Filter Vehicle Display on the Map: 1. Click the Tree View bar. 2. Select the corresponding check box for a specific group, and then click the Filter button. The Map and List View only display those vehicles in the selected group. Click the List View bar to view the list of vehicles in the selected group. 3. To display all vehicles, click the Tree View bar, select the check box for the top-level group and then click the Filter button. Note: Click on a vehicle from the List View and the map centers to the selected vehicle and places a circle around it. The Vehicle Tool Tip also displays. 43 7.1.7 VEHICLE TOOL TIP The Vehicle Tool Tip displays when you select any vehicle from the List View or click a vehicle icon on the map. This screen provides basic information such as vehicle name, driver name, if assigned, and the vehicle s last reported event and location. Use the quick links to zoom the map to street level, jump to the vehicle s Breadcrumb Detail, or go directly to the TechConnect tab to send a message to the assigned driver of the selected vehicle. If the Unit Type is set to Machine the Tool Tip will include the Hours Meter of the machine. To learn how to change the Unit Type, click here. Note: The Send Message link only displays if you have the TechConnect module enabled and a driver is assigned to the vehicle. 44 Tool Tip Options You have the option to customize the look of the Vehicle Tool Tip on the FleetOutlook Tracking map. These options provide fleet managers with a visual indication of fleet conditions that may require immediate attention without creating alerts. Note: To modify the look of the Vehicle Tool Tip, contact the FleetOutlook Customer Support Team. Figure 43: Tool Tip Options Primary Asset (Driver / Vehicle) Icons GPS Landmark Displays the driver name assigned to the selected vehicle or the vehicle name. You can select to display the driver name or the vehicle name in this field, but you cannot display both. The Speeding icon displays if the vehicle had a speeding event associated with the vehicle s last reported event. The Speeding icon displays if the vehicle exceeded the Posted Speed Limit threshold set for the enterprise. The Alert icon displays if the vehicle has had an alert triggered for the current day. Toggles On/Off the display of GPS Latitude and Longitude coordinates. Toggles On/Off the display of a Landmark name. The landmark name only displays if the last reported event for a vehicle occurred within a landmark perimeter. Page 36 MBUD-0123v11

45 Display Name Options In addition to modifying the display of alert icons, GPS coordinates or landmark names, you can also set the Display Name template for the Vehicle Tool Tip s title bar. If you do not have drivers assigned to your vehicles, you may want to set the template to show only the vehicle name. The following table outlines the display options available. This screen provides basic information such as asset name, ID, and the location and time of the asset s last reported event. The Landmark Tool Tip provides basic information about the landmark such as landmark name, category and size. 48 7.2 VEHICLE SUMMARY OVERVIEW The Vehicle Summary displays a list of your vehicles and the latest information received from each one, allowing you to view the most current information for the vehicles in an entire fleet or selected group. The group displayed is either the default group for your user profile, or the group selected via the Group Chooser. 50 7.2.2 SHOW ON MAP The Show on Map functionality allows you to select a sub-set of vehicles from the Vehicle Summary list, and then display the selected vehicles on a separate map. Using FleetOutlook s route progress capability, you can display a vehicle s actual route and assigned TechDirect work order locations. Note: The Show Map button is inactive until at least one vehicle s check box is selected. With this capability, a dispatcher can: Compare the driver s location with remaining work orders in the queue and estimate an arrival time for a future work order. Compare the driver s actual route taken with completed work orders to determine if the driver deviated significantly from an expected reasonable path between the work orders (i.e., took a potential side trip to an unauthorized location). Compare a driver s remaining work orders with the locations of other vehicles to determine if you can reassign work orders to closer vehicles. To Show Vehicles on a Map: 1. Select the corresponding check box for each vehicle to display on the map. 2. Click the Show on Map button. The Tracking Map displays with the map displayed on the left, and the Vehicle List displayed on the right. Figure 48: Show on Map 3. To see the breadcrumb route, check the Actual check box. 51 4. To see TechDirect work order locations, select the Planned check box. The Planned functionality is only beneficial to customers utilizing the TechDirect module. The color of each TechDirect work order location indicates the status. For maps with multiple vehicles displayed, the route and TechDirect work order locations are shown for the vehicle selected from the Vehicle List. MBUD-0123v10 Page 43

52 7.2.3 FIND NEAREST Select the Find Nearest button at the bottom to initialize a nearby vehicle or asset search. The screen displays a list of vehicles, showing the closest vehicle first to a user-defined location. Use this feature to find the nearest available vehicle or asset to a job location or a vehicle in need of assistance. The Latest Event and Event Age columns help identify which vehicles are available to dispatch. To Search for Nearest Vehicle/Asset: 1. From the Vehicle Summary tab, click the Find Nearest button. The Find Nearest screen displays. Figure 49: Find Nearest Screen 2. Select a search from option (e.g., Name, Address or Landmark). You can search by vehicle name, address or landmark. If you select address, you manually populate the address fields. If you are searching by vehicle name or landmark, select the Name from drop-down list. FleetOutlook populates the address fields based on the selected landmark s anchor point or the vehicle s last reported location. 3. If appropriate, select the Include Assets in results check box. 4. Click the Search button. FleetOutlook returns a list of vehicles within a close proximity to the vehicle, address or landmark by which you searched. Page 44 MBUD-0123v11

55 7.4 BREADCRUMB DETAIL OVERVIEW The Breadcrumb Detail provides tracking details for a specific vehicle for a specific day or as far back as 90 days. See a side-by-side listing of a vehicle s events and locations, plus a visual illustration of the events on the map of the vehicle's history and current status. From the breadcrumb trail, you can select any event and pinpoint it on the map. Three Ways to View a Breadcrumb Detail: 1. Click on a vehicle icon or asset icon on the Map, and then click the Breadcrumb Detail link from the Tool Tip. 2. Select the Tracking tab, and then select the Vehicle Summary or Asset Summary subtabs. Double-click on a vehicle or an asset to jump to the Breadcrumb Detail. 3. 57 Breadcrumb Detail Events for Motorized Assets The Breadcrumb Detail for motorized assets provides tracking details for a specific day or as far back as 90 days. The TTU-2820 device reports moving events every 2 hours while on vehicle/asset power and in motion. Additionally, the TTU-2820 reports a Power Up event when switching from its internal battery to 12v or 24v battery and a Power Down event when switching from 12v or 24v battery back to its internal battery. When the device is on internal battery and motion is detected, the device wakes up, reports a Motion event and then returns to sleep for one hour. After the hour interval, the device reports a Position event. If no motion is detected, the device returns to sleep for twenty-four hours. The device reports a Position event every 24 hours. 58 7.4.2 BREADCRUMB DETAIL MAP The Breadcrumb Detail map has the same map navigation functionality as the main Tracking map. In addition, the Breadcrumb Detail map enables you to review an event in more detail. This functionality provides fleet managers with greater insight into driver work habits, route efficiency and even potential congregation areas. Note: Customers using TechDirect also see the associated status icons for work orders Options The Options button, displayed in the upper-left corner of the map, allows you to toggle on or off the display of vehicle/asset icons, events or landmark icons on the map. For example, you can filter the list to display only stopped events or only moving events. You can only filter by one status at a time. To Filter the Breadcrumb Detail: 1. 61 7.4.4 CHANGE BREADCRUMB DETAIL DATE By default, the Breadcrumb Detail displays all events for the current day. Use the calendar icon to view events for any given date, as far back as 90 days, or timeframe. Start Time Selection Be default, the Breadcrumb Detail displays events for the current day, starting at 12 AM and ending at 11:59 PM. When you select a new starting time, FleetOutlook displays events for a 24-hour period starting from the start time selected. If you select 7 PM from the Time drop-down list, the Breadcrumb Detail displays events for a 24-hour period starting at 7 PM. Previous Date and Next Date Arrows The Previous Date and Next Date buttons provide easier navigation between days. You can navigate forward or back one day with a single click. To Change the Breadcrumb Detail Date: Click the Calendar icon, and then select the date. Figure 58: Change Breadcrumb Date FleetOutlook automatically refreshes the screen and displays the events for the date selected. To go to the previous or next date, use the Previous Date and Next Date buttons. By default, the Breadcrumb Detail display events from 12 AM-11:59 PM. You can define start of day for the vehicle s Breadcrumb Detail by using the Time drop-down list. If you select 7 PM, the Breadcrumb Detail displays events for a 24-hour period starting at 7 PM. If you select a different date from the calendar or using the previous/next buttons, the start time selected remains the same. MBUD-0123v10 Page 53

62 7.4.5 REPLAY BREADCRUMB ROUTE You have the ability to replay a vehicle s route, event by event for a specific day. This allows you to identify potential route and driver behavior issues. Playback speed is adjustable between one to five seconds. To Replay the Breadcrumb Route: Click the Play/Stop toggle button at the bottom of the Breadcrumb Detail screen. Figure 59: Breadcrumb Replay To stop replay and review an event, click the Play/Stop toggle button. The state of the button depends on the current playback mode. Select the time delay from the Interval drop-down list to slow the replay down or speed it up (1 second to 5 seconds per event). Page 54 MBUD-0123v11

63 8 ALERTS TAB The Alerts tab displays all alert notifications triggered for your fleet or selected group for the past 24-hours. You can filter the list to display only those alert notifications triggered by a specific vehicle or by priority level. Note: To create or modify an alert or alert notification, log in to FleetOutlook Admin. You can sort the alert notification list by any column in ascending or descending order, or filter the list by a specified value. Column Description Name Alert Location Time Location/Customer Priority The display name associated with the vehicle. This is a user-defined field set for your entire fleet. The name of the alert, defined in the Alert configurations. Indicates the time the event occurred and the alert was triggered. Reverse geo-coded address and cross street where the event occurred. 64 8.2 ACKNOWLEDGING ALERT NOTIFICATIONS Using the Acknowledge Selected feature is a FleetOutlook Best Practice recommendation. After you have reviewed an alert, acknowledging it clears the alert from this screen. By keeping this screen to display only current alerts, you can remain focused on the fleet conditions that need your immediate attention. When you delete an alert notification from the Alerts screen, FleetOutlook deletes the alert notification from the Vehicle Summary tab as well. The alert notification remains on the Breadcrumb Detail tab and on the Alerts report. Note: To stop an alert from triggering, you must deactivate the alert in FleetOutlook Admin. To Acknowledge an Alert Notification: Select the check box for the alert notification you want to clear, and then click the Acknowledge Selected button. 65 9 REPORTS TAB FleetOutlook provides a highly customizable and flexible Interactive Report Platform (IRP) for generating over 27 built-in reports to help you monitor fleet operations and performance. Once generated, you may opt to display report data directly within FleetOutlook or export to PDF, CSV or HTML formats as well as schedule for automatic delivery. The IRP consists of 2 main sections: 1. Control Panel The Control Panel is always located on the left side of the screen. Use the Control Panel to configure, generate, save and schedule reports. 2. 66 9.1 STANDARD FLEETOUTLOOK REPORTS FleetOutlook Reports are grouped by five categories: 1. Adminstration Report data related to fleet management. 2. Performance Report data related to driver or vehicle performance. 3. Productivity Report data related to driver or vehicle productivity. 4. Vehicle/Device Report data related to vehicles and devices. 5. Saved Reports Customized report formats saved by you. 1. Administration Reports State Mileage Report Unauthorized Usage Report User Login Report Work Order Report Provides you with the miles driven in each state (by state or by vehicle) for a specified reporting period. A filter allows for segregating toll road miles. Fuel tax service providers use this information to help govern state tax liabilities. Helps determine potential off-hours or unauthorized use of company vehicles. The Detail View enables you to review where the driver went, which specific landmarks were visited and for how long. Provides summary and detail views of FleetOutlook login counts. Three available views: Group Summary, User Summary and User Detail. The Group Summary shows summary statistics by group. User Summary shows summary statistics by user. The User Detail displays each login attempt by user. Displays a list of work orders performed over a given date range, allowing you to quickly see what work orders were completed, when they were scheduled to be completed and the time it took to complete them. 2. Performance Reports Note: Work order data is loaded into FleetOutlook through integration with a third-party workforce management system or manual upload. Alerts Report Provides either a summary or a detail view of alerts triggered during the selected reporting interval. It also includes metrics on driver start and end times, including the average first ignition on and last ignition off times. Provides everything fleet managers need to know about their drivers into a single, consolidated view. Study work performance and behavior for an individual driver or evaluate group-by-group comparisons over a specified reporting interval, and then isolate the metrics most important to you. Fleet Managers can trim the comprehensive Driver Scorecard Report into several succinct views of driver Key Performance Indicators (KPIs). Provides customers with a summary of operator s fuel usage as reported by those equipped with a device capable of reporting fuel consumption. Helps determine the cost of idle. Report displays when and where idling offences occurred. Shows which vehicles and drivers were present in a specified location during a selected reporting interval. You can run this report for a specific address or using latitude/longitude coordinates. Two available views: Vehicle List and Event Details. Provides data on the number and severity of speeding violations against the Posted Speed Limit (PSL) for individual drivers, vehicles or summarized by group. Displays speeding events and by driver or by vehicle. The three available views allow you to compare speeding statistics summarized for groups, drivers or vehicles as well as the individual statistics by driver or by vehicle. Displays the locations and durations of driver or vehicle stops in a chronological list or on a map. The report helps measure driver productivity and assists in determining schedule adherence. Provides a segmented view of a driver s day, highlighting each major leg during the day and any work orders or landmarks associated with each leg. MBUD-0123v10 Page 59

Productivity Reports Driver Utilization Report Vehicle Metrics Report Work Order Metrics Report Provides a summary of the driver s workday productivity and utilization, including the driver s scheduled hours, times of their first and last ignition, stop, and landmark, trip segments, and percentages of time spent on stops, travel and at landmarks; focuses on the start of day and end of day activities. It is typically used to validate both timecards and driver productivity. For customers who have not assigned drivers to vehicles and want to review basic fleet metrics like idle per vehicle, miles driven, etc. The recommended configuration is to assign actual drivers to vehicles so the driver metrics will be accurate to individuals. Provides summary metrics based on work order type and is only useful for customers using the TechDirect module. It provides detail data by employee or summary data by group or organization on the average time (and standard deviation) spent at location for various work order types. 4. Vehicle/Device Reports Auxiliary Input Report Device Activity Report Device Installation Report Device Integrity Report Driver Vehicle History Report Provides the detailed history for inputs that are providing data to the in-vehicle device, allowing you to see when an input was turned on and how long it was active. Typical inputs include a seat belt, power take off (PTO) and bucket up. Note: Customers must wire sensors to the GPS device in order to monitor auxiliary inputs. Displays device history data to help determine if devices are reporting properly. You can use this report in conjunction with the Device Integrity Report to investigate tampering or device malfunction. Shows the relationship between vehicles, drivers and devices. You can use this report for troubleshooting or for managing an installation rollout. A filter allows you to show only vehicles that are installed/not installed or that have a driver assigned/not assigned. Provides data for device performance evaluation. The report searches all events for all devices in the selected group and filters them depending on selected criteria. This report gives a history of the device-to-vehicle and vehicle-to-driver assignments. This is useful to if you want to see who was driving a specific vehicle on a specific date. This report is available to customers who integrate with a third party fuel card provider. Displays the amount of time spent at specific locations based on user-defined landmarks. Options include the ability to filter the report to focus on a particular landmark category. Provides a summary of maintenance events that are due for the vehicles in your fleet as well as a chronological list of all services performed on the vehicles. Many reports offer a third view, Driver/Vehicle View. Summary View Displays a summarized view for each group in your organization. This view enables you to compare group-to-group statistics. Each row displays the summarized data for a group. Driver/Vehicle View Displays a summarized view for each driver or vehicle, depending on the resource selected, in your organization. This view enables you to easily compare driver-to-driver or vehicle-to-vehicle statistics. Each row displays the summarized data for a single driver or a single vehicle. Detail View Displays a complete view of each event for each driver or vehicle, depending on the resource selected. This view enables you to compare individual driver work habits or vehicle use statistics. Analytics View - Displays the analytics-ready output, enabling you to survey the data. 71 9.2.2 SCOPE The Scope option enables you to filter the report data for a specific group. This filter helps keep the report data specific so that fleet managers remain focused on their group s metrics. On several reports, you also have the ability to filter the report for a single driver or a single vehicle. Figure 64: Scope Screen TIME ZONE For organizations with offices across multiple time zones, you have the option to generate reports in your local time zone or the enterprise time zone. For organizations located in Indiana and Arizona, FleetOutlook offers the option to disable adjustments made for daylight savings time. 72 9.2.4 DATE RANGE The Report On field enables you to specify the date range for the report data. FleetOutlook offers several pre-defined date ranges; however, you can specify a custom range based on your business needs. FleetOutlook s pre-defined date ranges offer you the flexibility to capture your fleet s unique workweek. For example, a fleet manager may use the Last 7 Days range to capture fleet data from Friday through Thursday, and a fleet supervisor may use the same date range to capture fleet data from Sunday through Saturday. Note: Although Today is a Date Range option, it is rarely useful to select this option unless you are generating the Breadcrumb Detail Report. 73 9.2.5 FILTERS AND OPTIONS The fields in the Filters and Options section enable you to define by which resource to run the report, to group report data or exclude specific vehicle categories. You may have more filter options depending on the report selected. If you generate the Alerts Report, you have the option to filter the report data for a single alert type. Figure 66: Filters and Options The By Resource enables you to generate a report and view the data by vehicle or by driver. This option provides flexibility in many of the FleetOutlook reports that are driver-based to organizations without driver-to-vehicle assignments. The Group By field enables you to group the report by a specific group level. This grouped view provides a group-by-group comparison and helps you quickly identify anomalies that may require further investigation. The Exclude Vehicle Categories field enables you to include specific vehicle data on a report. For example, you can exclude electric cars or bucket trucks from an idle report REPORT ACTIONS The last options displayed on the Report Parameter screen allow you to either generate the report data or save the report parameters for future use. 74 9.3 CUSTOMIZE REPORT RESULTS After you generate a report, you can customize the look and feel. You may want to remove columns from the report, change the sort order or highlight actionable data SELECTING COLUMNS TO DISPLAY FleetOutlook always returns all available data for each report. This allows you to customize the data displayed to meet your need. To Select Columns: 1. Point to any column header, and then click the drop-down arrow displayed. The down arrow only displays if your mouse is hovering over a column header. 2. Select Columns from the drop-down menu that displays. A list of the available columns for the generated report displays. Figure 68: Selecting Report Columns to Display 3. Clear the check box for any column that you want to remove (e.g., Group). 75 9.3.2 SHOW IN GROUPS The Show in Groups functionality enables you to show report data by expanding and collapsing the group structure. To make use of this function, run the selected report, and then select a group from the Group By field in the report configurations. Once the report data is generated, select the Show in Groups option from Groups column header. Show in Groups functionality helps you compare performance at the group level (e.g., Division A as compared to Division B). Note: The Show in Groups functionality is only useful if you have established a group hierarchy. Figure 69: Group Selection To Show Report Data in Groups: 1. 76 9.3.3 MODIFY COLUMN ORDER Depending on the metrics that you are monitoring, you may need to arrange the column order to have correlating columns next to each other. FleetOutlook provides a simple drag and drop column placement functionality. When you save a report, the column order is also saved. To Move Columns: Left-click and hold on the column header, and then drag to desired location. Two grey arrows indicate the column s new location. To Expand/Collapse Columns: Point to the line dividing two column headings. When the pointer turns to a double-sided arrow, left-click and drag to expand or collapse. 77 9.3.5 SORTING COLUMNS IN ASCENDING OR DESCENDING ORDER You can sort report data in either ascending or descending order by any report column. A small, black triangle indicates by which column the report data is sorted and in what order. An up triangle indicates ascending sort order; a down triangle indicates a descending sort order. To Sort Report Data: Left-click on the column header by which you want to sort the report data. FleetOutlook automatically sorts the report data in ascending order by that column. 78 9.3.6 SHADING RULES FleetOutlook s Shading Rules enable you to highlight data based on user-defined conditions. Set rules to automatically shade data in a column whenever it is above or equal to a specific value. By highlighting data, you can quickly scan through a report to find actionable data. Select from three different colors (red, yellow and green) to help differentiate data. To Set Shading Rules: 1. Point to the column header with the data to highlight, and then click the drop-down arrow. 2. Select Set Shading Rules from the drop-down menu, and then specify the values and colors to apply for each rule. Figure 75: Set Shading Rules Screen 3. 79 9.4 SAVE A REPORT Saving a report enables you to quickly run the same report each time you need it. When you name the report and save it, it will appear under the My Save Reports category in the Report List. To Save a Report: 1. Click the Save button, and then specify a Report Name. Figure 77: Save Options 2. Select the Public Template option if you want the report set-up available to everyone in your organization. By default, FleetOutlook saves the report to only your user profile. 3. Click the Save button. FleetOutlook saves the report and displays it under the My Saved Reports section. 80 9.5 SCHEDULE A REPORT FOR AUTOMATIC DELIVERY After generating and saving a report, you can set the report for automatic delivery based on a specified timeframe and frequency. To Schedule a Report for Delivery: 1. Generate the report that you want to set for automatic delivery. You can only schedule saved reports. The Schedule button is not available for unsaved reports. 2. Click the Schedule button. The Schedule This Report screen displays. Figure 79: Schedule Report Screen 3. Select the Deliver option from the drop-down list (e.g., Every Day). 4. Users can also schedule a report for one-time delivery to an address immediately, instead of being limited to recurring schedules. 5. Select the Time for delivery from the At drop-down list (e.g., 9:00 AM). 6. Enter the report recipients in the Address field. Separate multiple recipients with a comma. 7. Select the Scheduled check box to receive the report as an attachment. To receive a link to the report, select the Link Only check box. There will be two links available: Static and Dynamic. Static will provide you with the latest results of the report such as: Last Week or Last Month. Dynamic will provide you with data from a specific time frame such as: 8. Select the report Format (e.g., PDF). 9. Click the Save Report button to save the automatic delivery schedule. Page 72 MBUD-0123v11

81 9.6 EXPORT A REPORT Exporting a report enables you to quickly print a report with the appropriate headers and page breaks or further analyze the report data in another application such as Microsoft Excel. To Export a Report: Click the appropriate Export button located on the lower-right of the screen. PDF Standard PDF format with headers and page breaks for normal 8 1/2 x 11 printing. HTML single HTML page for viewing on a web browser. This output does not have page breaks, so large files will create a very long page. CSV The CSV output has a single header line and non-formatted data. Useful for working with data sets in Microsoft Excel or any text editing software. 9.7 DELETE A REPORT If you no longer need a report, it is recommended that you delete the report from the Saved Reports section. This practice keeps your Saved Reports section clutter-free and enables you to focus on the reports that you need to generate. To Delete a Report: 1. Select the report to delete. FleetOutlook displays the Report Control Panel. 2. At the bottom of the Control Panel, click the Other Functions drop-down arrow. 3. Select Delete Report from the drop-down menu. 4. 82 10 MANAGE TAB The Manage tab provides some driver and vehicle administrative capability directly within FleetOutlook. The Manage tab is particularly useful for dispatchers or fleet managers who need the ability to add or edit driver or vehicle information, but do not need access to FleetOutlook Admin. The Manage tab contains two sub-tabs: Assign Vehicles and Manage Resources ASSIGN VEHICLES OVERVIEW The Assign Vehicles sub-tab shows current vehicle assignments including vehicle ID, vehicle name, the assigned driver, if applicable, and the assigned device. Using the Change Driver and Remove Driver features, you can quickly re-assign drivers to vehicles. This functionality is beneficial to fleets where two or more drivers use the same vehicle. Note: FleetOutlook supports automatic driver-to-vehicle assignments using the MobileNav app or key fob assignment. Figure 80: Assign Vehicles Screen Page 74 MBUD-0123v11

83 CHANGE DRIVER ASSIGNMENTS Drivers can only be assigned to one vehicle at a time, and each vehicle can only have one driver assigned at a time. Many fleets have multiple drivers who share a vehicle over multiple shifts. The Change Driver capability provides managerial control over which drivers are assigned to which vehicles. To Change Driver to Vehicle Assignment: 1. Select the vehicle from the Assign Vehicle list. 2. Click the Change Driver button. Select a driver from the list, and then click the OK button. The Choose button enables you to filter the list to only drivers assigned to a specific group. MBUD-0123v10 Page 75

84 The Filter/Find fields enable you to limit the driver list to only those drivers that meet a specified value. If the driver selected is assigned to a vehicle, FleetOutlook displays a warning message above the driver list. If you continue to reassign the driver to a new vehicle assignment, FleetOutlook removes the driver from the existing vehicle assignment and assigns the driver to the new vehicle assignment REMOVE DRIVER The Remove Driver capability provides managerial control over which drivers are assigned to which vehicles. Drivers can only be assigned to one vehicle at a time, and each vehicle can only have one driver assigned at a time. To Remove a Driver from a Vehicle Assignment: 1. 85 10.2 MANAGE RESOURCES The Manage Resources sub-tab provides the functionality to update driver, vehicle and driver schedule information. The Manage Resources tab contains four sub-tabs: Driver, Vehicle, Device and Schedule Profile. Note: The Manage Resources tab does not provide the full administrative functionality available in FleetOutlook Admin. For example, you can only edit existing vehicles in FleetOutlook. 86 DRIVER SUB-TAB The Driver sub-tab displays driver information for the drivers in your fleet. From this sub-tab, you can add a driver, edit a driver s existing details, assign a schedule profile to a driver and review historical changes made to a driver s settings. Drivers are used in FleetOutlook to associate vehicle activity to the individual driver: Drivers help associate vehicle activity to a person. In TechDirect and TechConnect, jobs and messages are assigned to the driver not the vehicle. Several reports are driver focused, where the focus is on driver performance regardless of the assigned vehicle. Associate drivers with groups, alerts and landmarks to monitor driver behavior. 87 Add/Edit a Driver The Add Driver feature available in FleetOutlook enables you to add and define basic driver settings. To assign the driver to groups or identify a driver s start location, you must log in FleetOutlook Admin or contact your FleetOutlook Administrator. Note: Assigning a driver to groups is important for reporting and performance analysis. To Add/Edit a Driver: 1. Click the Add button. 2. To edit an existing driver, select the driver, and then click the Edit button. 3. When you select an existing driver, contact information and driver history information display to the right of the driver list. Figure 86: Add/Edit Driver The Add/Edit Driver screen displays. 88 The Driver ID, First Name and Last Name are required fields. The Driver ID must be a unique value within your enterprise. The field cannot contain spaces or commas. Underscores, periods and hyphens are acceptable. Do not use the Vehicle ID. 5. If applicable, select a Driver Category from the drop-down list. 6. If applicable, select a 2nd Driver Category from the drop-down list. The Driver Category fields identify your drivers by one or two categories. You can filter alerts to trigger for only select driver categories or support flexible analysis in driver-based reports. The Driver Category fields are free-form text fields. This allows you to enter any category in the field. If the category does not already exist, FleetOutlook creates it. For example, you can use Driver Category to identify the driver s skill level. 7. Click the OK button. After you create the driver, it is important to assign the driver to a vehicle and schedule profile, if applicable. FleetOutlook creates a basic driver profile. To assign the driver to groups or identify a standard starting location, you must edit the driver settings in FleetOutlook Admin. Page 80 MBUD-0123v11

89 Assign Schedule Profiles Schedule profiles define the workday and hours for each driver within FleetOutlook. You can assign schedule profiles to drivers directly from the Driver sub-tab. To view or modify a schedule profile, select the Manage Resources tab, and then the Schedule Profile tab. To Assign a Schedule Profile: 1. Select a driver from the list. To assign multiple drivers to the same schedule profile, use the Shift key to select adjacent driver rows and the Ctrl key to select non-adjacent driver rows. 2. Click the Assign Schedule button. 90 3. Select a Schedule Profile from the drop-down list. FleetOutlook automatically selects the days and populates the start and end time fields based on the schedule profile selected. You cannot create a new schedule profile from the Driver sub-tab. To create a new schedule profile, go to the Schedule Profile sub-tab. 4. Click the Assign button. 91 VEHICLE SUB-TAB FleetOutlook manages data through vehicles. Each vehicle is assigned a device and, if applicable, a driver. From the Vehicle sub-tab, you can view vehicle information and edit a vehicle s basic settings; however, you cannot add a vehicle. You can only add vehicles in FleetOutlook Admin. To Edit a Vehicle: 1. Select a vehicle from the list, and then click the Edit button. When you select a vehicle, change history and linked device information display to the right of the vehicle list. 94 SCHEDULE PROFILE SUB-TAB The Schedule Profile sub-tab enables you to create and manage workday profiles for the drivers in your fleet. Each Schedule Profile defines the working days and hours. Note: If you have numerous schedule profiles to create, use the bulk upload feature located within FleetOutlook Admin. The benefit of utilizing schedule profiles in FleetOutlook includes: Assigning late departure alerts at the start of a workday. The schedule profile identifies the expected workday. Create unauthorized use alerts for off-hours use of the vehicle. The schedule profile establishes acceptable use time. Provides a reference point for Start of Day and End of Day events for such reports as the Driver Utilization Report. To Add, Edit or View a Schedule Profile: 1. To add a new schedule profile, click the Add button, and then go to Step #3. 2. To edit an existing schedule profile, select a schedule profile from the list, and then click the Edit button.
