1 IRP Clearinghouse Data Standardization Project 2016 Jurisdiction Interview Changes as of July 11,2016 Why? Improve the quality and consistency of Clearinghouse data so that jurisdictions have the necessary parameters to verify the accuracy of fees and to support the auditability of the Clearinghouse financial application. 1

2 How? IT Committee analyzed all jurisdiction fee schedules, determined data elements needed to verify fees and mapped these to inconsistent and missing data instances in the Clearinghouse. Impact? Each area was assessed for impact on jurisdictions and a solution devised which would have the least impact across jurisdiction systems and processes. 2

3 Approval IRP board of Directors approved the project in Jan 2016 with following actions: Educate jurisdiction personnel. Gather feedback. Survey individual jurisdictions. 11 CHANGE Error Correction Requirements Additional requirements for correcting errors after data has been netted include: Use of Supplement Type Code EC as standalone supplement code. Use of MM30 text record to record description of error. CHANGE Separation of Fees All fees that have been assigned a Fee Type in Appendix E, must be separated in the MM25 record in accordance with specific instructions in Appendix I. 11

12 Vehicle Fee Detail Example CHANGE Separation of Fees Total of all fee type amounts must equal the total apportioned fee for a foreign jurisdiction Fee Type column total must equal Apportioned Fee column total. Base jurisdiction fees must be included. 12

13 Vehicle Fee Details Example CHANGE Total Axles Formalized procedure for reporting total axles for Quebec: For records related to Quebec, enter the total number of axles in the Combined Gross Vehicle Weight (CGVW) field according to the definition of total axles on the Quebec fee schedule. 13

14 CHANGE Total Axles Continue to enter weight in the Gross Vehicle Weight (GVW) field for records related to Quebec CHANGE Pounds vs Kilograms Weight must be in pounds for US jurisdictions and Kilograms for Canadian jurisdictions. 14
