2 IIM Ahmedabad Final Recruitment Process Guidelines This document is intended to provide recruiters with an overview of the process on the actual dates of recruitment. It contains details on what to expect while interviewing at IIM-A, and details some of the important guidelines governing our placement process. We request you, as a recruiter, to read through this document carefully and in advance of the placement process. If you have any queries or require any clarification, please contact your Relationship Manager. The Relationship Manager will be happy to answer any questions that you may have. Advance Arrangements In order to facilitate our process and keep it running as smooth as possible, all recruiters are requested to provide the following information as early as possible: Time of arrival at the IIM-A campus Number of panels that a firm will have to interview students. This is important, as we need to arrange sufficient interview rooms for all recruiters Any special requirements such as Skype or Video Conferencing facility On arrival at the IIM-A campus, you will interact with the following individuals: A Student Volunteer will accompany you to your interview rooms A member of the Placement Committee, who would meet you before the process starts to clarify any questions you may have about the process Please note that the Placement Committee is your sole point of contact for all offerrelated processes on the day. Further, please note that your Relationship Manager may not be available for any discussion on the days of the process. Your alternate point of contact during the day will be shared by the relationship manager in advance. Shortlisting Process Shortlist: Firms participating in our recruitment process typically provide us with a shortlist of students that they wish to interview on the day of the process. We request that this shortlist be provided to us a few days before the process for the sake of convenience. A firm may shortlist as many students as it wishes to interview. Preferred List: Furthermore, a firm may indicate a preferred list (also known as Hotlist) of students that it wishes to interview on priority. This list must be a subset of the original shortlist. Both these lists are important inputs for scheduling interviews on the process day. Note: Firms are advised that all students on the shortlist/preferred-list (Hotlist) may not necessarily be available to interview. PGP Recruitment Committee IIM Ahmedabad Page 1
3 Preference Survey Before each cluster, all students of the graduating batch who are participating in the placement process fill in a survey to establish their preference for interviewing with firms. The survey will be completed before the interview day. Some important points to note are: The survey asks students to rank firms in descending order of their willingness to interview with each firm This preference order is an important input for the scheduling algorithm used on the day of the process Note: The results of the preference survey will be shared with the recruiters only on the day of the process. We do not share individual-level preference data of students with recruiters. Interview Schedule The process is scheduled across two days: a. Pre-Interview Day: The pre-interview process day is scheduled to begin at 7:00 AM. A firm is allowed to conduct a pre-interview process in the form of a group discussion or group activity. The usual duration for pre-interview process is 30 minutes. Please note that only group processes are allowed to be conducted on the pre-interview day. b. Interview Day: Interviews are scheduled to begin at 8:00 AM. All firms are requested to reach campus by 7:15 AM. On arrival, the recruiters check-in at the welcome desk and proceed to their interview rooms to complete registration formalities. Students will begin to be scheduled for interviews by 7:45 AM after the firm has occupied its interview rooms and confirmed the arrival of its panel members. If the firm arrives later than 7.15 am then the subsequent scheduling of the student to their panel may be delayed. A firm is allowed to interview a candidate in a maximum of two slots. The duration for the two interview slots is as below First Interview Slot Up to 60 minutes Second Interview Slot Up to 30 minutes These two interview slots may not run immediately after each other. A student, after his/her first interview, will return to the candidate pool, and may be scheduled for an interview with another firm. Note: We request all firms to adhere to the interview durations mentioned to ensure that the process runs smoothly. PGP Recruitment Committee IIM Ahmedabad Page 2
4 Offer System The recruitment process at IIM-A allows firms to make offers to students at any time after interviewing the student and before the firm leaves the campus, or before the cluster evaluation process ends, whichever is earlier. However, it is strongly advised that in case a candidate is found to be satisfactory, the recruiter make an offer immediately after the interview is over since if no offer is made, the candidate usually moves to the next interview which might result in an offer which he/she might accept. In this system, the student is bound by the following guidelines A student s top effective preference is defined as the student s highest ranked firm that has shortlisted him/her If a student receives an offer from a firm that is not his/her top effective preference, he/she may choose to hold the offer for a period of 3 hours During this period, the student may interview with any firm higher in his/her preference list than the existing offer If a student receives an offer from his/her top effective preference, he/she has to make a decision to accept/reject the offer, and the option to hold the offer does not exist A member of the Placement Committee will confirm the status of an offer to the firm, within 3 hours of the offer being made if the firm is on campus. If the firm has left the campus before 3 hours then it is request to the firm to follow up with on-the-day POC for offer confirmation after 3 hours window is over. Dream Application: After receiving and accepting an offer, a student is still free to make Dream applications in a subsequent cluster. A student getting placed in the first cluster can still make a maximum of two dream applications in Cluster two and three dream applications in Cluster three. Similarly, a student getting placed in cluster two can still make three dream applications in cluster three. Please note that a Dream application does not guarantee a shortlist. If a student obtains an offer from his/her dream application firm, he/she will be bound to accept that offer Offer Communication Offers are to be communicated only to members of the Placement Committee, and it should not be done in presence of the student being made the offer. An offer is to be communicated in writing on the Offer Communication Form prescribed for this purpose. Offers communicated orally are not considered valid. An offer communicated to a Placement Committee member is considered binding, and shall not be withdrawn. PGP Recruitment Committee IIM Ahmedabad Page 3
5 Waitlist Offers and Waitlist Movements If a firm is interested in making a student an offer, but finds itself unable to do so due to headcount reasons or otherwise, they may place this candidate on their waitlist. A waitlisted offer would be considered final only if a previously selected student rejects his/her offer. In such an event, a member of the Placement Committee will inform representatives of the firm about waitlist movement subjective to certain criteria being met. Waitlist movement (within the same cluster): Scenario 1 Student gets WL from firm A in cluster 1. Does not yet have an offer (still unplaced) in cluster 1. WL movement takes place for firm A. The student is presented with the offer from firm A. Student decides to accept/reject/hold. In case of reject, WL moves further. Scenario 2 Student gets a WL from firm A in cluster 1. Gets an offer from a firm B and holds. WL movement takes place for firm A. Only if firm A is at a higher preference than firm B and time is within the 3 hours hold window then he/she is presented with offer from firm A. Firm A is at a higher preference than firm B. Student is presented with the offer. Student decides to accept/reject/hold. In case of reject, WL moves further. Scenario 3 Student gets a WL from firm A in cluster 1. Gets an offer from a firm B and holds. WL movement takes place for firm A. Only if firm A is at a higher preference than firm B and time is within the 3 hours hold window then he/she presented with offer from firm A. Firm A is at a lower preference than firm B. Student is not presented with an offer. WL moves further. Scenario 4 Student gets a WL from firm A in cluster 1. Is interviewing in cluster 1. Gets an offer from a firm B and accepts. WL movement takes place for firm A. Student cannot be presented with offer from firm A since he is not available in the pool as he/she has accepted an offer. WL moves further. Waitlist movement (inter-cluster): If a WL student did not get an offer (still unplaced) from a firm in a particular cluster and is yet to accept an offer in a subsequent cluster, he/she can be presented with the offer from the firm which waitlisted him/her in the previous cluster, contingent on his/her preferences (as evident from his preference survey, which includes all the firms which extended waitlists in the previous clusters). 6 Scenario 5 Student gets a WL from firm A in cluster 1 and does not get placed in cluster 1. In cluster 2, if the student is yet to be given an offer while sitting for interviews and the WL movement takes place for firm A. Then, the student is presented with the offer from firm A. Student decides to accept/reject/hold. In case of reject, WL moves further. Scenario 6 Student gets a WL from firm A in cluster 1 and does not get placed in cluster 1. In cluster 2, if the student has received and accepted an offer after interviewing with firm B. Then, the student cannot be presented with an offer from firm A even if a WL movement takes place as he is not available to accept an offer. WL of firm A moves further. Scenario 7 Student gets a WL from firm A in cluster 1 and does not get placed in cluster 1. In cluster 2, if the student has received and held an offer after interviewing with firm B and WL movement takes place for firm A. Then, if firm A was placed at a higher preference compared to firm B by the student and the student is within the 3 hour hold window, the student is presented with the offer from firm A. The student may decide to accept/reject/hold. In case of reject or offer lapse, WL moves further. Scenario 8 Student gets a WL from firm A in cluster 1 and does not get placed in cluster 1. In cluster 2, if the student has received and held an offer after interviewing with firm B and WL movement takes place for firm A. Then, if firm A was placed at a lower preference compared to firm B by the student and the student is within the 3 hour hold window, the student is NOT presented with the offer from firm A. The WL moves further. Note: Waitlists are not communicated to students. Students are only communicated firm offers as and when they materialize. PGP Recruitment Committee IIM Ahmedabad Page 5
7 Placement Fee Firms participating in full-time recruitment at IIM Ahmedabad are required to pay a placement fee per student recruited during the placement process. The exact fee depends on the location of the posting, and details are as follows: Indian Postings (per student) Overseas Postings (per student) INR 1,05,000 USD 6,300 Additional Charges on Placement Fees: Service tax as applicable from time to time will be required to be paid. Present rate of service tax (Including Swachh Bharat Cess and Krishi Kalyan Cess) is 15%. Other Conditions: Placement fees are to be paid as soon as student joins the company. The institute however does not guarantee that the student will join the company or will remain in the job for a specified period for time. Hence, the placement fees will be levied irrespective of the student leaving the company within a short span. The placement fees are applicable for hiring students through Final/Lateral Placements conducted on campus, by PPOs, by PPIs or through Video/Tele Conference. Condition for Placement fee waiver: In an effort to encourage participation from a diverse set of recruiters, the institute may waive placement fees for firms that fall under any of the following categories: No placement fees will be levied in case a firm does not finally hire any student or none of the offers made by the firm are accepted Not for profit organizations and non-government organizations (NGOs). (Companies to submit proof) Start-up companies (Less than three years since incorporation globally) (Companies to submit proof) Public sector companies Companies visiting campus for the first time and extending at least THREE offers across the programs (i.e. PGP. PGP-FABM, PGPX & FPM) Companies with revenue less than INR 1.5 Billion (Companies to submit proof) during the previous financial year will have to pay only a fixed fees (Rs.100,000/- + service tax) irrespective of the number of students recruited In case any student leaves a firm within 45 days from the date of joining, the firm will get a waiver of placement fee (for and up to one hire only) in the next round of the placements. 8 Other Rules and Regulations Firms are encouraged to utilise the time available to interview as many students as possible, rather than closing the process as early as possible. This will go a long way in ensuring a smoother recruitment process for all stakeholders. Individual preference data is strictly confidential. No student is to be questioned on his/her preferences, either before or during the interview process During the interview process, students must not be contacted by firms, over the telephone or otherwise, outside of the placement system A student should not be questioned to know his/her reservation status A student may not be pressurized to make a decision about accept/reject/hold on the spot, unless he/she decides to do so We view violations of these rules seriously. Any such violation will be reviewed by the Placement Committee and the Placement Chair. We request all firms to work with us for the benefit of everyone involved in the placement process, and we thank you in advance for your cooperation. 9 Glossary This section defines some terms that you may encounter during the placement process on the day. Cohort A cohort refers to a group of companies operating in the same domain offering similar roles. Companies belonging to each cohort visit campus together on the same day to conduct their recruitment processes. Cluster A cluster is a group of cohorts that visit campus together as a part of the recruitment process. Offer A firm that intends to recruit a student for a summer internship can do so at any time during the cluster by making an offer subsequent to one or more interviews. This process will be followed across all clusters. Accept If a student receives an offer and is interested in taking up the opportunity, he/she may accept the offer. A student accepting an offer may choose to OOPS or to make a Dream application. Hold window Once a student receives an offer, he/she is given a provision to hold an offer and interview with firms that he/she has placed higher in his/her preference list. This period is referred to as the hold window. Reject If a student is made an offer and decides not to pursue it, he/she is allowed to reject it with certain restrictions. OOPS Once a student accepts an offer, he/she may choose to Opt Out of the Placement System (OOPS). A student who chooses to OOPS will have no further access to the summer placement process.
