Pictures of route The goal of this document is to maintain our standard of Swiss precision. We ask that you read this document thoroughly so the rules and regulations of are understood and followed. This document precisely outlines what is expected of all production companies while they are guests in. 1
2 Supervision I. Load Supervision a. For all production load-in & load-outs, the presence of a load-in/load-out supervisor will be required. b. The Production or AV Company will work with the to outline the exact days and times for both the load-in and load-out process. c. The Production or AV Company must call PSAV upon arrival to and when departing from the meeting space. i. The phone number to call upon arrival or departure is (312) ii. You may not begin the load in or load out procedure without the presence of a supervisor. If you start the load procedure without the supervisor, this may result in financial penalties. d. A tour of the facility and equipment pathway will be conducted by a PSAV and/or a representative. i. The tour will consist of; 1. Designated equipment pathway 2. Demonstration of existing building conditions e. If the building sustains any damages caused by an outside AV or Production Company, a damage report must be filled out with the Load Supervisor immediately. Any subsequent billing will be assessed at a later time. f. The pathway designated by the Load Supervisor must be followed at all times. i. Any deviance from the pathway will result in financial penalties. There are no exceptions and no excuses. All members of the production team are subject to this rule. g. Sand bags must be placed at all doorways. h. Guest elevators cannot be used under any circumstance. (*Failure to comply with any of the guidelines listed above may result in financial penalties.) 2
3 Checklist I. Checklist submitted to PSAV prior to arrival. Please fill in all pertinent information. a. Certificate of Insurance b. Contact information of on-site point person; i. Name ii. Company iii. Mobile phone number iv. Room assignment(s) c. Truck Arrival Dates & Times; i. Load in date and time ii. Load out date and time iii. Truck and load times must be followed. iv. Upon arrival or departure, call (312) to have a representative meet you at the dock or meeting room. v. No equipment can be loaded in or out without the presence of a load supervisor. Failure to comply will result in financial penalties. d. Estimation of Load-In Time; i. Hour(s) e. Estimation of Load-Out Time; i. Hour(s) f. Wireless Microphone Brand and Frequencies i. Provide separate sheet of frequency listings g. Signature of compliance with Outside Guidelines Form h. Signature of contract and secured payment method with PSAV 3
4 Main Dock Location (L4) Driving Directions; (FYI Wacker Drive is a confusing street. There are 3 different street levels of Wacker Drive; Upper, Middle, and Lower. Please be aware of the distinctions made in the directions listed below.) Coming from anywhere in the city: All drivers must first locate Middle Columbus Drive. (Columbus Drive runs north & south and is located between Michigan Avenue & Lake Shore Drive) Coming from North of River: Go south on Middle Columbus Drive past the river, past Middle Wacker Drive, continue to underpass. Turn right onto South Water Street middle lane going down to bottom of ramp. Turn right onto Stetson Avenue street ends. Turn right onto Lower Wacker Drive, pass Lower Columbus Avenue. The Swissôtel dock is located on 323 East Lower Wacker Drive on the right. Coming from South of the River: Go north on Middle Columbus Drive, continue to underpass. Turn left onto South Water Street middle lane going down to bottom of ramp. Turn right onto Stetson Avenue street ends. Turn right onto Lower Wacker Drive, pass Lower Columbus Avenue. The Swissôtel dock is located on 323 East Lower Wacker Drive on the right. 4

8 Main Dock (L4) (Please refer to the diagram and pictures above for the dock dimensions. *Note; there is small ramp up located at the dock that is 3 wide.) I. Truck restrictions a. Semi-trucks do NOT fit in this dock. The recommended truck size for this dock is 26 feet. i. If you use a semi, be prepared to load or unload the truck without a dock*. 1. *The Swissôtel does NOT own a forklift. 2. There are no exceptions. Everything must be off-loaded at this dock location. b. Once the truck has backed into the dock, the truck must be turned off to avoid exhaust fumes from entering the building. c. Once the load procedure is complete, the truck must leave the dock immediately. i. There is no truck parking available at. II. Preferred load times a. Weekday/Weekend i. In order to reduce wait time for the dock space and elevators, it is preferred that trucks arrive during the following times; 1. 9:00am 11:00am 2. 1:00pm 3:00pm ii. All arrangements must be confirmed prior to arrival. 8
9 Equipment Push I. Elevator Specifications a. There is only one elevator that can be used from the L4 dock. The elevator car (Car 11) has the following dimensions; i. The elevator doorway is 82 Tall x 42 Wide. ii. The inside of the elevator is 79 Wide x 63 Deep x 96 Tall b. Elevator Usage i. Please note that our Food and Beverage Department shares this elevator and does use this elevator frequently. ii. The Food and Beverage Department always has the ability to use the elevator first. No exceptions. c. Elevator Lock Out i. If you would like to have the elevator locked out for your usage, please inform your Catering Manager and/or your Convention Services Manager. This information must be scheduled in advance in the Group Resume or this service will not be provided. Please note that this service is not available at all times. Please check on availability and provide the following information; 1. Date and room designation 2. Start and end time a. Estimate time of lock out. b. The limit of the lock out time is 60 minutes. 3. In order to secure the elevator lock out, there should be 2 people staged on each floor to ensure the elevator stays under your supervision. This is not a service provided by PSAV or staff from. II. Equipment Push Route a. Upon arrival, a representative from PSAV will demonstrate the equipment push path from the loading dock to the specified room. There can be no deviance from the specified equipment pathway. i. All equipment brought in must follow the designated route. 1. Any deviance from the specified equipment pathway will result in financial penalties. ii. Sand bags must be placed on all doorways. III. 12 Description of Route to Zurich Ballroom *Note: A Representative of PSAV will demonstrate equipment push route upon arrival. I. Dock level a. Once the equipment is off loaded from the truck, it will be rolled through the double doors with the plastic curtains. (picture #1) b. After you pass through the double doors, you will veer left down the corridor. (picture #2) c. The corridor will make a 90 degree turn (picture #3) d. Follow the corridor 60 yards down to the red elevator on the left. (picture #4) e. Take the elevator to the L1 level. (picture #5) II. Concourse level (L1) a. Exit the elevator and continue 80 yards down the well-lit corridor.(picture #6) b. Pass through the set of double doors. (picture #7) c. After you pass through the double doors, veer to the right to the next set of double doors. (picture #8) d. Make a right through the large double doors. (picture #9) e. Continue 20 yards down the back of house service corridor. (picture #10) f. The entrance to the Zurich Ballroom will be on the left side from the double doors. (picture #11) 12

15 Description of Route to 2 nd Floor Ballrooms *Note: A Representative of PSAV will demonstrate equipment push route upon arrival. I. Dock level a. Once the equipment is off loaded from the truck, it will be rolled through the double doors with the plastic curtains. (picture #1) b. Use the grey service elevator to go to the 2 nd floor. (picture #12) III. 2 nd Floor a. Exit the elevator and follow the corridor the left. (picture #13) b. Continue down the service corridor to access the 2 nd Floor Ballrooms. (picture #14) i. The entrance to the St. Gallen Ballroom is located immediately on the left after you turn down the corridor from the elevator. (picture #15) ii. The entrance to the Vevey Ballroom is located 90 yards down the corridor on the left side. (picture #16) iii. In order to access the Montreux Ballroom, continue 85 yards down the service corridor to the double doors on the left side (picture #17). Exit into the foyer area (picture #18) and continue 75 yards to the double doors of Montreux 3 (picture #19). 15
