JOB DESCRIPTION Job Title: Senior Academic Systems Officer Grade: SG7 Department: Role reports to: Direct Reports Indirect Reports: Digital Services Information and Library Services Date of Job Evaluation: Academic Systems Team Leader None Academic Systems Officers, Academic Systems Assistants Oct 2018 Other Key contacts: Other ILS IT teams, key system users This role profile is non-contractual and provided for guidance. It will be updated and amended from time to time in accordance with the changing needs of the University and the requirements of the job. PURPOSE OF ROLE: To be an effective member of the Academic Systems Team. The team is responsible for the post implementation management and support of a range of administrative and educational systems. These systems are database driven or learning and teaching focussed. They are used by applicants, staff, students and affiliated users, and include the student records systems, customer relationship management system, virtual learning environment and portal, alongside other tools. The post-holder will focus on guiding and supporting the team from a technical perspective for complex support requests, upgrades, testing strategies and problem management. The post-holder will also be responsible for organising, overseeing and prioritising projects that the team are involved in. KEY ACCOUNTABILITIES: Team Specific: Provide effective and proactive support and maintenance of development and production systems ensuring a high standard of service is provided and quality maintained. Contribute to the development and implementation of systems supported by the Academic Systems Team. Guide and support the team from a technical perspective including, but not limited to, complex support requests, upgrades, testing strategies and problem management. Plan, monitor, participate in and from time to time, lead projects within the team. Deputise for the team leader as required. Assist in the supervision and direction of junior staff as requested. Ensure that the Academic Systems Team Leader is kept fully informed of developments in projects, incident and problem management and change management. Deal with queries (on-line, email and telephone) from users of IT systems supported by the

team. Where required, prepare, organise and implement training sessions and support documentation for systems supported by the Academic Systems Team. Prepare and update documentation on systems, processes and procedures. Work closely with colleagues within other ILS teams to optimise synergy and integration of systems, being proactive in establishing and sustaining working relationships with end users and across ILS. Be proactive in establishing relationships with higher education and supplier groups relevant to the systems supported. Pro-actively contribute to the continuous improvement of services provided by the team. Conform with departmental policies, procedures and standards. Generic: To liaise with external agencies, organisations and suppliers, as appropriate, on the university s behalf. Managing Self: To contribute to the development of office processes. Ability to work accurately without supervision. To have a willingness to develop professionally. Willingness to maintain and develop technical and personal skills in line with the evolving nature of the work. Demonstrable ability to successfully work as part of a team but also an ability to work autonomously with initiative where necessary. Essential PERSON SPECIFICATION Desirable Experience Skills High level of IT/IS experience including exposure to relational databases. Development, implementation and/or support experience of one or more of the following system areas Student Records System, CRM, Virtual Learning Environment, Portal and e-portfolio tools. Development and implementation of testing strategies / scripts. Development and delivery of user training for IT systems. Providing second and third line user support. Working within a controlled project management environment. Excellent problem-solving skills. Well organised, self-motivated, ability to prioritise under pressure and manage a wide and varied workload. Willingness to maintain and develop technical and personal skills in line with the evolving nature of the work. Experience of developing training material using a variety of methods and where necessary presenting that material face to face. Ability to develop and deliver presentations internally and externally. Ability to communicate with and where necessary present to staff at all levels. Ability to communicate complex technical information clearly to non-technical staff and students. Ability to learn new skills quickly. Excellent document/report writing skills. A good understanding of office procedures and administration including the use of relevant office tools (MS Office, Experience Functional development of IT systems.
