POSITION DESCRIPTION Position Details Title: Reports to: Team Support / Scheduler Team Leader Date: December 2016 Primary Function The Team Support / Scheduler provides scheduling, clerical and administrative support to senior clinical and management teams and provides activity co-ordination within designated services as described in the service accountabilities. Key Accountabilities 1. To perform the day-to-day service delivery within the team by: Greet visitors appropriately; receive telephone information requests; follow-up with appropriate actions. Assists managers and clinicians with email and calendar needs. Create required documentation and complete standard forms in a timely manner using established procedures. Data entry for standard reporting procedures and produce required reports by agreed deadlines. As required, prepare presentations; order stationery and coordinate travel requirements; complete necessary photocopying and filing. Ensure effective communication by liaising on an interdepartmental basis. Maintaining accurate and up-to-date documentation at all times. Ensure that the appropriate levels and standards of customer service are delivered. Demonstrates and supports good team dynamics at all times. Complies with Health & Safety requirements and proactively participates in hazard identification and management. Performs additional administrative tasks and duties as directed. 3. To manage the outpatient clinic waitlist: Updating patients to outpatient clinic waitlist, scheduling new patient appointments in consultation with the patient on the appointment system, using established prioritisation procedures, including fast tracking patients identified as urgent referrals by the consultants. Sending patients all relevant appointment information in a timely manner and providing patients with information as requested Arrange interpreters as required at time of scheduling appointment time Contacting any patients that are unconfirmed a minimum of 2 working days prior to their appointment and either confirming or rescheduling their appointment Reschedule appointments as required or if clinics cancelled Co-ordinating all pre-requested tests, investigations and procedures as required and ensuring completion and availability of results prior to the clinic event 3. To contribute to the overall service and Child Health Directorate: Ensure resources are used effectively and priorities are met. Ensure data integrity is maintained. Completing project work as requested. Supports Auckland DHB key goals and values at all times. 4. To be responsible for own professional development by: Maintaining knowledge of current best practices. Continually seeking to improve knowledge about the organisation and new processes.
