3 2017 SHOW DATES Saturday, August 19th 9 AM-6 PM Sunday, August 20th 10 AM-5 PM CHISHOLM TRAIL EXPO CENTER- ENID, OK Each Exhibit will be provided with ONE 6 table and two chairs. If you need additional equipment it must be ordered through the decorators. You will find a yellow order sheet with your package. Your order and payment will need to be sent to Henry Helgerson Company directly. KNID will not order any additional décor. 4 EXHIBITOR shall comply with the following contract conditions: 2017 KNID SPORTSMAN S & OUTDOOR EXPO EXHIBITOR CONTRACT AGREEMENT TERMS & CONDITIONS 1. Chisholm Trail Promotions LLC and/or 2017 KNID SPORTMAN S & OUTDOOR EXPO (herein after called CTP) will permit the EX- HIBITOR to use exhibit space subject to the expressed conditions enumerated herein. Violation by the EXHIBITOR of any condition expressed or impaired in the Terms and Conditions of this contract shall entitle CTP to terminate this agreement whereupon EXHIBITOR shall vacate the contracted space and forfeit, as liquidated damages, any sum of money previously owed or paid to CTP. 2. CTP reserves the right to the final decision as to space assignments. No specific space location is guaranteed. All deposits and payments are non-refundable for space assignments. 3. It is agreed that no claim of any kind will be made against CTP and that said EXHIBITOR shall indemnify and hold blameless CTP and its sponsors: Chisholm Trail Expo Center; or any officer or employee of these organizations or authorized subcontractors. Under no circumstance will these organizations be responsible for loss, damage, destruction, theft of any merchandise, display or goods of the EXHIBITOR or injury to him/herself or any employee while attending the show. Also, it is expressly understood there can be no claim for damage of any character to the EXHIBITORS business of any circumstances that developed from the show. 4. The EXHIBITOR shall not permit any obnoxious activity, fraudulent gift, or any activity endangering any property or persons. Nor shall the EXHIBITOR undertake any activity or allow any activity whatsoever that is illegal, which would constitute a hazard, or which would constitute a nuisance defined by Federal, State, and/or Local laws of the jurisdiction in which the show is being produced. EXHIBITOR shall abide by all restrictions and conditions set forth by the Oklahoma Fire Marshall s Office. 5. EXHIBITOR shall not operate any machine, PA system, or other sound system which will be objectionable to and/or interfere with other EXHIBITORS and the overall success of the entire exhibition. Vehicles shall not be fueled inside any building, nor started during event hours. Fuel tank openings shall be locked or sealed to prevent vapor release or tampering. At least one battery cable shall be disconnected from each set of batteries on all powered equipment during the exhibit. This shall not be limited to motor vehicles, RV s, boats, and lawn equipment machinery. 6. EXHIBITOR shall be completely responsible for setting up and disassembling its individual displays during designated times. CTP shall not be responsible for accepting EXHIBITOR materials, signing bills of lading, or making arrangements for shipping material from show sites. It is the obligation of the EXHIBITOR to make satisfactory shipping and receiving arrangements. 7. EXHIBITOR shall abide by contracted move-in and move-out dates and times. Items not so removed may be removed and stored by CTP at the expense of the EXHIBITOR. 8. Signs, aerial pieces, other devices or displayed merchandise shall exceed no more than 4 feet in height from the exhibit floor in the space between the aisle and a line 3 feet inside decorated (draped exhibit space described within this contract and no exhibit other than equipment displayed in undecorated space, shall project to a height of more than 8 feet from the facility floor in any area of the event described within this contract except as approved by the management of CTP. EXHIBITOR shall not (nor permit its personnel to) post signs, advertisement, and other items on walls, doors, or any other surface, other than on authorized bulletin boards. If damage to facility does occur due to the actions of the EXHIBITOR, EXHIBITOR shall be responsible for all costs and repairs. 9. In no case shall the EXHIBITOR assign, sublease, or sublicense any part of its assigned space to another party. If EXHIBITOR stores extra equipment anywhere on the Fairgrounds, EXHIBITOR shall be charged extra for that space, except in special designated areas. ALL TRAILERS ARE TO BE PARKED ON THE EAST SIDE OF THE BUILDING. No inappropriate displays shall be permitted. 10. EXHIBITORS are allowed to promote their products from the confines of their booth space only. 11. CTP reserves the right to refuse contract entry on the basis of product suitability for the overall success of the show. CTP shall have no liability to any EXHIBITOR if CTP postpones or cancels the show because of any acts of God, acts of War, accident, fire, or any interruption of any nature whatsoever, beyond CTP s control. 12. Upon acceptance and execution of this agreement by CTP and for the consideration and on the terms and conditions named above, licenses the contracted EXHIBITOR to use the exhibition space to be assigned to EXHIBITOR by CTP at the Chisholm Trail Expo Center, Enid, Oklahoma for the annual KNID SPORTMAN S & OUTDOOR EXPO. 13. 5 SHOW DATES SATURDAY, AUGUST 19th 9AM-6PM SUNDAY, AUGUST 20th 10AM-5PM Dear Vendor, Chisholm Trail Promotions is hosting the 6th Annual KNID Sportsman s & Outdoor Expo, Saturday and Sunday, August 19th and 20th at the Chisholm Trail Expo Center on the Garfield County Fairgrounds in Enid. With nearly 25 years of show experience, CTP is a leader in Oklahoma trade shows with their SOLD OUT 21st annual KNID AGRIFEST held every second week of January at the Chisholm Trail Expo Center. The 2017 KNID Agrifest brought in over 50,000 visitors during the two day show and 300 vendor booths. The show has continued to grow over the past years and continues to be a very profitable show for our loyal vendors. CTP s vision for the KNID Sportsman s & Outdoor Expo is to bring a quality sporting and outdoor show to all of the avid hunters, gamers and outdoor lovers alike. Our vendor list will include a variety of outdoor gaming, sporting and leisure businesses. Our marketing efforts will target visitors from all across Oklahoma, Texas and Kansas. CTP is a division of Chisholm Trail Broadcasting which allows us to utilize all three of our radio stations to reach target audiences in Northwest and Central Oklahoma as well as Southern Kansas. CTP will also use other mediums to advertise including local and area newsprint, state and national publications, social media and local and area billboards. We want the KNID Sportsman s & Outdoor Expo to not only be a show filled with helpful vendor products and information; but also a show that can provide a learning environment and friendly competition for all in attendance. CTP is excited to be bringing the KNID Sportsman s & Outdoor Expo to Northwest Oklahoma and we hope that you will find the show valuable for your company or organization. We look forward to seeing you at the show. MOVE IN AND MOVE OUT POLICIES: Move- in Coliseum Friday, August 18th or the morning of Saturday, August 19th prior to 9am. Move- in Coliseum Large Equipment. Friday, August 18th. Exact times will be given for vendors needing forklift. Forklift will not operate during show hours. Show Hours: Saturday, August 20th 9am-6pm and Sunday, August 21st 10am-5pm. Move-out, Sunday, August 21st. Move out will not start until show ends at 5pm and must be complete by 8pm. All equipment must be moved to the parking lot. NO EXCEPTIONS! PAYMENT POLICY: 30% deposit is due at signing. Contracts will not be processed without the 30% deposit. Full or remaining payment is due August 1,2017. Exceptions will require written approval and a credit card to be kept on file. Deposits are non-refundable. Cancellations 30 days prior to show forfeit all deposits and payments.
