QuickBooks accounting software helps business owners and employees organize finances so that they can spend less time on accounting tasks and more time growing their business. QuickBooks is an industry leader in small business accounting software, with as many as 50 million customers worldwide, according to Intuit. 1,2 You are probably used to QuickBooks while at your desk, but how do you perform crucial QuickBooks tasks on the go? Tasks such as generating reports and creating estimates are critical for mobile employee productivity. Mobile apps for ipads and Android tablets can provide basic functionality, but why settle for basic when you don t have to? You can enjoy more complete features that help differentiate your business when you use QuickBooks Online through a full browser on tablets powered by Intel processors and running Windows 8.1, such as the Dell Venue 11 Pro we tested. 1

2 Which Mobile Device Is Best for Business QuickBooks Use? Businesses that provide personalized anytime, anywhere service can quickly distinguish themselves and QuickBooks Online can help you do that. Small-to-midsize businesses (SMBs) and independent accountants depend on QuickBooks accounting software both in the office and while away from their desks serving clients and customers. Business owners use it to keep an eye on the health of their businesses and to run reports, process payroll, and more. Bookkeepers, accountants, and other employees use QuickBooks to efficiently create estimates, invoices, and sales receipts and to perform other tasks while serving customers. Increasingly, business owners and employees want to use QuickBooks wherever they go. However, it is important to understand the reach and limitations of QuickBooks on mobile devices because some devices might support your mobile employees needs better than others. In fact, the mobile device you put in users hands dictates what your employees can and cannot do with QuickBooks. Prowess Consulting evaluated QuickBooks Online for mobile users and examined the software s capabilities and user experience on a range of mobile devices. The QuickBooks user experience varies notably between different mobile device platforms. Of the devices we tested, we concluded that the mobile device best suited for productive use of QuickBooks Online was the Dell Venue 11 Pro powered by an Intel processor and running Windows 8.1. 3 Going Mobile with QuickBooks? Device Matters. Table 2 provides a quick view of some of the top QuickBooks Online features you get on a Dell Venue 11 Pro. As you ll see in the rest of this paper, the mobile apps offer a reduced feature set. Table 2. 4 Intuit QuickBooks Online and Everyday Business Tasks QuickBooks Online is a cloud-based service which your employees might be accustomed to accessing through a browser on a desktop or laptop PC. You and your employees can use QuickBooks Online on mobile devices as shown in Figure 1. The mobile apps offer up to eight ways to display information and let users add a new customer, vendor, estimate, invoice, sales receipt, payment, expense, or note. The full browser interface supports these functions and provides many more capabilities through the tabs in the top navigation bar. Employees who try to open QuickBooks Online in the browser on their Android devices and ipads can see only the mobile browser version. The Dell device powered by an Intel processor and Windows 8.1 does not have this limitation. QuickBooks Online detects browsers running on Windows tablets as a full browser and renders the full-featured UI shown in Figure 2. The following capabilities are a few of many possible examples of functionality supported only on the full browser: 1. Import data: Simplify tasks such as adding customers, preparing 1099 forms, and more by importing data from a comma-separated values (CSV) file or a Microsoft Excel spreadsheet. 2. Export data: Generate reports and export them to Excel. You can then use that data like you would any other spreadsheet, such as to help make business decisions or as input into other applications. 3. Comprehensive reporting: The desktop browser interface on the Dell device supports much more complete reporting functions than the QuickBooks Online mobile apps. It also allows users to do more with reports, including printing and ing or entering a custom date range. 4. Account management: These capabilities let you change passwords, manage users, set company preferences, and change your credit cards used for payment to Intuit. 5. Banking functions: Reconcile registers, write checks, view downloaded transactions, and more. 5

6 Users often are not surprised that they must sacrifice capabilities for the convenience of mobility on ipads and Android tablets. However, employees who perform full-sized accounting or bookkeeping workflows on a hand-sized device might come to wonder if the trade-off was worth it. Workarounds take time, customers get frustrated, and productivity is lost when employees have to wait until they can get to their primary device to run a report or export data. Let s take a look at how these functionality gaps can affect a QuickBooks Online user s ability to be efficient and productive in her day-to-day work. Melyssa is the founder and owner of a small but growing business called MedDev Supply. 3 With 30 employees, the business sells and rents medical supplies and equipment to small clinics and to patients at home. In addition to Melyssa, MedDev s QuickBooks users include a full-time bookkeeper and ten mobile account managers. Melyssa and her bookkeeper use QuickBooks Online for general accounting and to keep an eye on the health and profitability of the business. They access it through a browser on PCs running Windows, and Melyssa occasionally needs to access it while away from her desk. Mobile MedDev account managers use QuickBooks Online for a variety of tasks while serving their customers. Account managers used to carry laptops around with them, but now that touch-based tablets are widely available, managers are increasingly impatient with their larger machines. Melyssa and her team are evaluating mobile solutions. Because the business is already using QuickBooks Online as its base deployment model, Melyssa can provide QuickBooks functionality to her mobile employees in three ways: With Windows 8.1 tablets, like our Dell device, powered by Intel architecture and running QuickBooks Online through a full browser With tablets running Android and a QuickBooks Online mobile app With ipads running a QuickBooks Online mobile app When you use Intuit QuickBooks Online on the Dell Venue 11 Pro powered by Intel processors and Windows 8.1, you get important functionality you can t get with mobile apps, such as banking functions and the ability to import and export data. 6

7 Scenario 1: Get Full Business Insight through Detailed Reports Melyssa often checks the overall health of the business by generating reports. She finds that she can view basic reports on any mobile device, as shown in Table 3. Table 3. Note that the mobile app for Android does not support reports users must use the mobile browser to get basic reports on an Android device. For example, 7

8 Melyssa cannot print, , save, or export these basic reports using an ipad or Android tablet, nor can she set a custom date range for the reports. Often, she finds that she simply must go back to her PC to get the reports she needs. When Melyssa runs QuickBooks Online through a full browser on her Windows 8.1 mobile device, she gets much more from these basic reports, including the ability to: Print or reports Memorize reports to create a reusable template Export reports to Excel with a single click Enter a custom date range Customize a report s layout 65 vs. 3 Users can create at least 65 reports with Intuit QuickBooks Online on the Dell Venue 11 Pro powered by Intel processors and Windows 8.1. Users on the mobile app for Apple ipad devices can create three. 4 In addition to being able to do more with basic reports, Melyssa stays more productive with QuickBooks Online in a desktop browser because she can run more reports (at least 65) and with more detail. With the QuickBooks Online mobile app for ipad, Melyssa can run three reports (Profit and Loss, Invoices by Status, and Invoices by Month). When using the mobile browser on an ipad or an Android device, she can run two (Profit and Loss and Balance Sheet). The mobile app on Android does not support reports. 9 Better Support for Taxes The basic reports available on ios (through the mobile app) and Android devices (through the mobile browser) provide an overall summary of the state of the business. However, Melyssa often needs more information than these basic reports provide. For example, suppose Melyssa and her bookkeeper are meeting with the company s accountant to work on some quarterly tax items. They could prepare in advance for the meeting by printing and exporting reports from a full browser on a PC. Or they could take a mobile device running Windows 8.1 and powered by Intel architecture, such as the Dell Venue 11 Pro we used in our tests. Its full browser provides all the detailed reporting power of QuickBooks Online, including seven predefined reports especially for tax purposes none of which are available with the mobile apps for ipad or Android: 1. Transaction List with Splits Scenario 2: Account Managers Stay Productive and Provide Better Customer Service MedDev s account managers are the heart of Melyssa s business. They fill a dual role, providing outstanding customer service while being prepared to take advantage of sales opportunities as they arise. They must be able to quickly answer customer questions, create estimates, accept and record payments, and more. With complete QuickBooks Online functionality running on a mobile device powered by Intel architecture and Windows 8.1, account managers can do their jobs more effectively than with the limited capabilities in mobile apps. As one of MedDev s account managers, Aaron has most of the capabilities he needs in the Customer Center in the full browser interface. 10 sort, and organize the information with a powerful set of filters that allow him to display only the exact data he wants to see. For example, he can quickly answer customer questions about payments received by displaying only invoices with related payments. He can also add new transactions from this screen, which helps him ensure that customer data is always up to date. The Customer tab of the full browser interface also provides additional functionality with a few taps that helps Aaron serve his customers and generate new business (Figure 4). Figure 4. Its primary function is to display customer names. A tap on a customer s name reveals transactions associated with that customer. As you can see in Figure 5, this transactions view in the mobile app for ipad supports seven filters for displaying information, compared to 12 filters in the full browser on the Dell device. Aaron can either display all transactions for a customer, or he can limit the list to estimates, invoices, receipts, payments, expenses, or notes/photos. 10

The more effectively he can do these tasks, the better his customer service and outstanding customer service is crucial to MedDev s success. While visiting a top customer on a routine service call, Aaron learns that the customer is dissatisfied with the service provided by a competing supplier. His customer contact asks Aaron for an estimate for providing the same service as other supplier. Aaron can generate estimates through almost any QuickBooks Online interface. However, only the full browser interface allows Aaron to make customizations that could help Aaron and MedDev win the new business. For example, he can add a discount field even though company policy typically does not offer discounts. He can also specify a PO number in case his customer is ready to move forward immediately; he can attach a file (such as a PDF bill of materials); and he can make the estimate look distinctive by adding a MedDev logo. The Dell Venue 11 Pro can help you provide better customer service by giving you more detailed information. Answer customer questions on the spot with the information you need, when you need it. 11

On an ipad or Android tablet, Aaron would not have the same freedom to customize his estimates in response to business conditions. In his highly competitive business, every interaction with his customers is an opportunity to impress through responsive customer service and flexibility that helps meet customer needs. The QuickBooks Online interface on a Windows 8.1 mobile device helps Aaron deliver that higher level of service through a more complete feature set. Even small details, such as your company logo on an invoice or a customized estimate with a photo attached, can help your business stand out in a crowd. When you use QuickBooks Online through a fullpowered browser on a tablet powered by Intel processors and Windows 8.1, you can: Filter and sort customer information in almost twice as many ways as you can on the mobile apps Add or create customizations on the fly, while mobile apps can only use customizations (for example, logos and templates) that have been created through a full browser Intuit QuickBooks Online supports customizations to help your business stand out. Users can add a logo, use custom templates, and attach files to documents but only if they use QuickBooks Online through a full browser rather than through a mobile app. 12

13 Maximize Your QuickBooks Productivity Of the devices we tested, we recommend the Dell Venue 11 Pro powered by an Intel processor and running Windows 8.1 as the best mobile device for small businesses who rely on QuickBooks Online for their accounting and financial needs. Compared to mobile apps or the mobile browser on Android tablets or ipads, the Dell device provides far richer functionality without forcing sacrifices for mobile convenience. The Dell device can help you provide better customer service and work more collaboratively: Create at least 21x more reports At least 65 reports in QuickBooks Online with a full browser (compared to three reports in the QuickBooks Online mobile app for ipad). 4 Do more with reports Sharpen your collaboration with the ability to print, save, , and export reports to Excel. The reports on the mobile devices are view only. Do more with QuickBooks data Take advantage of broader business insight by exporting QuickBooks data as an Excel spreadsheet to use in analyses and other applications. This richer functionality is possible because only the Dell device would allow Melyssa to use the fullfeatured QuickBooks Online service through a full browser. This device, powered by Intel processors and Windows 8.1, offers a more comprehensive interface, more robust features, and more granular details than Android tablets or ipads. In some cases, the Android and ios tablets simply could not perform the tasks that business users might need to do, such as generating reports and importing or exporting data. QuickBooks users can go mobile in a variety of ways. However, take care that your choice of mobile device does not require you to sacrifice important functionality. A tablet such as the Dell device we tested, powered by Intel architecture and running Windows 8.1, makes that trade-off unnecessary because it delivers both full functionality and mobility. You don t have to sacrifice features for mobility because you get complete Intuit QuickBooks functionality on the Dell Venue 11 Pro powered by Intel architecture and Windows
