1 ISO Sustainability Policy This policy relates to the Amsterdam office of UBM Live, CPhI Worldwide, Fi Europe, Hi Europe/Ni/NuW, the Protection and Management Series (P&M) and Business4Better UK Over-arching reference of the Standard. Scope Generic principles set out by the Standard. Principles Application of the Principles and their manifestation in UBM Live. Statement of Purpose and Values General Application of the Principles and Purpose & Values relating to the events. Sustainability Policy Focused Principal activities of the events to which sustainability applies. Key Sustainability Issues Events-specific and measurable. 2 SCOPE UBM Live has established a sustainability management system for its office in Amsterdam, and the operational control of the events CPhI Worldwide, Fi Europe, Hi Europe/Ni/NuW, Business4Better UK, and the Protection and Management Series including IFSEC, International Firex, The Facilities Show and Safety and Health Expo (hereafter referred to as P&M) to meet the standards of ISO To comply with the requirements of ISO UBM Live will: Implement the requirements of ISO into its Amsterdam head office Plan the CPhI Worldwide Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK events to promote sustainability and its sustainable development policy Consider the external and internal issues relevant to its purpose including, amongst others, the mitigation of carbon, materials efficiency, Health and Safety, stakeholder awareness and the financial viability of the events and the UBM Live business, ensuring that the processes needed and their interactions are established Ensure that the Europe, Middle East and Africa (EMEA) operations team will implement and monitor the sustainable development management system for any events within the scope Communicate feedback from the events with stakeholders, to improve sustainability at future events Strive to continuously review and improve the sustainable development policy and the sustainability management system Endeavor to incorporate new events and offices into the scope of the event sustainability management system Strive to continue to show leadership in event sustainability management Document and record the legacy of its events where the lasting effect is measurable and appropriate to document UBM LIVE EMEA 21/06/2013 2
3 This document also relates to: Principles Sustainability Objectives Sustainability Policy PRINCIPLES The sustainable management system is based around the application of four key principles: Inclusivity Integrity Stewardship Transparency Inclusivity UBM Live is committed to engage with its stakeholders both internally and externally to ensure that sustainability issues are understood and shared. Inclusivity is achieved through an analysis of the events under the scope to identify all those second parties that may be designated as stakeholders under the specification of the Standard. These parties are then collated into stakeholder groups, so that every relevant second party is included within at least one group. Being inclusive enables stakeholders to contribute their views through the use of engagement tools such as surveys & questionnaires, online forums and face-to-face meetings. It encourages stakeholders to contribute their views on an on-going basis through regular communications, such as surveys, interviews as well as review and follow-up meetings and stakeholder engagement forums. UBM Live strives to continuously improve its engagement with stakeholders and use reciprocal learning environments where stakeholders are given the opportunity to understand UBM Live s goals and decision making processes. This is done through information sharing in multiple platforms. Outputs of its engagement with stakeholders will be documented where appropriate. Regular communications are also used to communicate the organisation s decisions and actions on sustainability. UBM Live endeavours to increase the awareness and understanding of sustainability by stakeholders as well as communicate UBM Live s activities and future steps that influence and can be influenced by stakeholders. There are no interested parties identified at present beyond the main stakeholder groups. For each event that is brought into the scope of UBM Live s sustainability policy the stakeholder groups and their requirements are re-assessed. UBM LIVE EMEA 21/06/2013 3
4 Integrity UBM Live is committed to promote sustainability in its own business processes, the business processes of its partners and amongst its suppliers, contractors and the community within which it operates. Integrity is achieved through dealing with all stakeholders in an open, honest and fair manner. (This relates to our fourth principle on transparency). Integrity is maintained through adherence to the relevant policies and processes within UBM Live on issues such as bribery, malpractice, child labour and diversity and training. UBM Live is committed to adhering to all relevant legislation, regulations and codes of conduct that apply to the jurisdictions in which CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK are held. This includes taking into account the impact of new legislation & regulations that may apply to the events as well as the sustainable management system. UBM Live aims to conduct its business with honesty, good faith, and free from fraud and deception. All suppliers are asked to adhere to the UBM Live labour code. Senior management, as defined in the Roles and Responsibilities, are responsible for reviewing the management system on a regular basis. Integrity is maintained through regular reviews as well as internal and external audits, on an annual basis. Stewardship UBM Live recognises that its activities have an impact on the environment, the economy and the community. Its mission is to adopt the highest standards of sustainability across the business benchmarked against the ISO standard. It is committed to encouraging and educating its stakeholders about sustainability and making decisions that, where appropriate, focus on reducing its impact on the environment. The venues that host the CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK are subject to regular audits, in order to ensure that the impact of the event is built into the sustainability management event lifecycle. UBM Live encourages collaboration by the venues to help achieve its sustainability objectives and adhere to this sustainability policy. UBM Live engages with the local communities, both on a direct basis and indirectly through the venues, in order to identity any sustainability issues that will impact on the UBM sustainable development principles. The issues identified by UBM Live as being key to the UBM sustainable development principles are reviewed and communicated with stakeholders through the setting of objectives and targets that encourage positive stewardship of the environment, society and economy. UBM Live allocates sufficient resources to the sustainability management system. Resource utilisation will also be monitored and reviewed on an on-going basis to ensure that appropriate resources for establishment, implementation, maintenance and continual improvement of the system are available. The skills of those delivering the management system will be reviewed on an on-going basis in order to identify any requirements for improvement. This forms part of the overall sustainable development principles. As skills increase, the enhanced knowledge and experience will be UBM LIVE EMEA 21/06/2013 4
5 disseminated to others, in line with the Inclusivity principle. This may include sharing knowledge and skills with stakeholders. Where any skills gaps are identified, appropriate training will be provided to ensure that UBM Live staff are able to maintain the sustainable management system as part of the overall sustainable development. Transparency UBM Live will strive to increase transparency of governance. All decisions and actions relating to the Scope are based upon the processes and key documents and are documented. The Roles and Responsibilities set out the responsibilities of those members of staff who are involved in implementing the Standard. These roles are communicated to members of staff through dialogue to ensure that each person understands the role they play in the sustainable events management system. The sustainability committee will maintain a record of its meetings, which will be held on the document management system. This will also hold records of decisions and actions relating to sustainability made by first parties, such as the board, operational team and key individuals as identified by the Roles and Responsibilities document. Requests for information by second and third parties will be considered by the Sustainability Director, responded to and actioned in a timely manner. A digital online platform facilitates access to all relevant sustainability information and documentation relating to the Standard while ensuring transparency and providing a medium through which interested parties are able to voice concerns, questions and feedback into the system. All decisions and actions made in respect of the sustainable management system are documented and where appropriate minuted. The decisions and actions are based upon the processes and key documents. Information is respect of information and actions is available for third part audit at any time. UBM Live will strive to publish any resulting remains of an event to ensure that the legacy of each event is recorded and contributes to the sustainability commitments of UBM Live. 6 The sustainability management system will adopt and deliver the highest standards of sustainability across events, benchmarked against the ISO standard. Using the principles, UBM Live has identified its principal values as; Creating a working culture that encourages the promotion of sustainability and adoption of key sustainability issues. Enabling the personal development of all staff and strengthening available resources through innovation, training and learning. Allocating sufficient resources to deliver and maintain the sustainable management system. Valuing materials and resources that impact on the UBM Live sustainability management system. Understanding how we can reduce our impact on the environment to ensure a sustainable industry for future growth. Engaging with stakeholders in a transparent and inclusive manner on sustainability principles to encourage their support and feedback or sustainable outcomes. This includes sharing knowledge and good working practices, to help stakeholders to adopt sound, sustainable management practices. Integrating sustainability consideration in the organisation of live events that adhere to - and where practical exceed - the ISO standard, to maintain conformance. Sourcing products and services that are produced or provided in a sustainable manner, to promote stewardship. Incorporating sustainability into the procurement of our products and requiring suppliers to meet these demands through tender specifications and contracts. Maintaining safe and healthy working conditions for staff. Integrating a deeper focus and knowledge of our effect on communities in which our products are present Being profitable to create long term value. Conducting its business with honesty, good faith and free from fraud and deception. This document also relates to: Principles Sustainability Objectives Sustainability Policy Plan This Statement of Purpose and Values, together with the Scope and Principles form the framework from which the Sustainability Development Policy is developed. SUSTAINABILITY POLICY UBM Live aims for excellence in running exhibitions and events by conducting its business operations in a sustainable manner. As an organiser of a number of market-leading live exhibition brands, UBM Live recognises that its activities have an impact on the environment, the economy and the community. These impacts must be considered when making business decisions to ensure a sustainable industry for future growth. UBM Live also recognises that it has a key role in raising the awareness of sustainability issues amongst its suppliers and customers, locally and across its portfolios. UBM Live is committed to establishing a sustainable management system in its Amsterdam office and for the planning and delivery of CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. In line with the Principles, Statement of Purpose and Values and delivery of the Sustainable Development Policy, UBM Live is committed to: 1. Integrating sustainability considerations in all its business decisions in the Amsterdam office for ISO relating to CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. 2. Establishing a core set of sustainable development principles that incorporate leadership. 3. Implementing the ISO standard for the CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. 4. Allocating sufficient resources to meet the requirements of the sustainability management system. 5. Making stakeholders of the CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK aware of the UBM Live sustainability policy values and principles and encouraging them to adopt sound sustainable management practices and engage on UBM Live sustainability initiatives. 8 6. Ensuring that output from engagement with interested parties and also the needs of end users is considered and where appropriate taken into consideration. 7. Ensuring adequate training for staff in the UBM Live EMEA offices involved in the CPhI, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK, particularly the operational team managing these events, so that they are competent to carry out their tasks in relation to the sustainable development policy and key sustainability issues. 8. Complying with all legislation and approved codes of practice related to CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK and ensuring that the impact of future legislation relating to these events is considered. 9. Maintaining safe and healthy working conditions for UBM Live EMEA staff. 10. Reducing energy use & carbon emissions associated with the Amsterdam office and promoting the reduction of energy use & carbon emissions at the venues for CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. 11. Reducing the amount of waste sent to landfill through general reduction targets as well as through alternative activities on site while creating new relationships that facilitate the development of this and will ensure the sustainability of the events. 12. Monitoring the sustainability performance of suppliers and contractors to the Amsterdam office, CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. 13. Reviewing & continually striving to improve the Sustainability Management System relating to the Amsterdam office, CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. 14. Reviewing, revising and communicating the Sustainability Policy and other key documents relating to ISO at regular intervals, as necessary and reflective of the events lifecycle. 15. Ensuring that any new capacities acquired as a consequence of the events within the scope, such as new knowledge, training, standards, best practice, skills, organisation and systems are taken into account and integrated into the management system 16. Being profitable and ensuring the long term success of CPhI Worldwide, Fi/Hi Europe/Ni/NuW, P&M and Business4Better UK. 17. Making a commitment to leadership within the field of sustainable development for exhibitions, setting the bar for best practice and striving to find innovation in the events industry that facilitate these commitments. 18. Enhancing UBM Live s reputation as a responsible business. The sustainability policy and other related key documents are available to all staff, clients, suppliers, stakeholders and other interested parties. Our commitment to this policy is translated into clear objectives and targets and we ensure that sufficient resources have been UBM LIVE EMEA 21/06/2013 8
9 allocated to enable us to achieve our commitments and continually improve our sustainability performance.
