2 Pseudo Family Changes Entity Configuration Student Information Family Information Alert/Emergency Information Emergency Contacts Health Information Pseudo Family Changes allow guardians of the primary family to request changes to the student s information. Non-primary families will have access to request new Emergency Contacts and to request changes to their Family Information. Pseudo Family Changes Entity Configuration is found by navigating to Student Management>Families>Family Access>Setup>Configuration>Entity Configuration. You will click on Edit next to Pseudo Family Changes.
3 Click on Setup Fields to determine the fields guardians will have access to and be able to modify. There are five different areas that can be enabled to allow guardians to request changes to information. Student Information Family Information Alert/Emergency Information Emergency Contacts Health Information After selecting the area, you can then determine the fields in which guardians can modify or request changes to the information. When selecting the fields, you can determine if the information is Auto-Approved, Approval Needed, Read-Only or Hidden. Auto Approve If you select this option, the information will automatically be changed throughout Skyward. Approval Needed This option will require someone to administratively approve/deny the change request. Read-Only If this option is selected, the field will display on the screen but no request/change can be made by the guardian. Hide If you select this option, the field will not display for the guardians for verification.
4 Student Information Student Information encompasses changes to student demographic information. You can select either Auto-Approve, Approval Needed, Read-Only or Hide for each of the Student Information fields.
5 Family Information Family Information encompasses changes to Family Information. You can select either Auto-Approve, Approval Needed, Read-Only or Hide for each of the Family Information fields. Alert/Emergency Information Alert/Emergency Information encompasses changes to information housed on the Emergency tab in the Student Profile, except for Emergency Contacts. You can select either Auto-Approve, Approval Needed, Read-Only or Hide for each of the Alert/Emergency Information fields.
6 Emergency Contacts Emergency Contacts encompasses changes and additions to Emergency Contact. You can select either Auto-Approve, Approval Needed, Read-Only or Hide for each of the Emergency Contact fields. Health Information Health Information encompasses adding Health Notes. You can select either Auto- Approve, Approval Needed, Read-Only or Hide for each of the Health Information fields.
7 Pseudo Family Changes within Family Access Student Information Family Address Family Information Emergency Information Emergency Contacts Add Emergency Contact Health Information View History View Unread Denials Guardians can request a change regarding the student s information by clicking on the Student Info tab and then selecting Request Changes for. The Guardian can then click on the information they want to request changes for. An * (asterisk) will display next to the area when a request has been submitted.

Emergency Information Above is a sample of the Emergency Information screen that displays in Family Access based upon the fields selected in the Entity Configuration.
11 Emergency Contacts Above is a sample of the Emergency Contacts screen in Family Access based upon the fields selected in the Entity Configuration. This screen allows the guardian to edit or delete the Emergency Contact with the fields selected in the Entity Configuration. Add Emergency Contact Above is a sample of the Add Emergency Contact screen in Family Access based upon the fields selected in the Entity Configuration.
12 Health Information Above is a sample of the Health Information screen within Family Access based upon the fields selected in the Entity Configuration.
13 View History View History allows the guardian the ability to view any requests they have made to change information. It will also display the status of the request change. View Unread Denials The View Unread Denials area allows the guardian the ability to see the requests that were denied and the reason why they were denied.
14 Approve/Deny Change Requests Approve Change Requests Deny Change Requests Pseudo Requests can be approved/denied by navigating to Student Management>Families> Family Access>Pseudo Approval. The yellow circle with an exclamation will display when Pseudo Request exists. If you click on the yellow circle with an exclamation, it will take you directly to the Pseudo Approval. If you choose to approve the Change Request, the information will be updated throughout the software. You can view the Pseudo Request by expanding (clicking on the arrow) next to the request. The Filter Options allow you to determine the records that display on the screen. In the Filter Options, you can choose to Hide Change Requests that are Waiting Approval and/or Hide Change Requests that are Complete.
15 Approve Change Requests After you expand the change request, you can either click on the Approve or Approve All. The Approve All will automatically approve all of the change requests in the record. Area A shows that the Change Request has been completed because each of the requested changes have either been approved or denied. Area B displays the Status for each of the requested changes. The Request Status will automatically change to completed after each request has either been approved or denied.
16 Deny Change Requests After you expand the change request, you can either click on the Deny or Deny All. The Deny All will automatically deny all of the change requests in the record. In the example above you do not see the Deny All because there is only one change request. After you click on Deny or Deny All, you are required to enter the reason why the Change Request was denied.
17 Area A shows that the Change Request has been completed because each of the requested changes have either been approved or denied. Area B displays the Status for each of the requested change. The Request Status will automatically change to completed after each request has either been approved or denied.
