1 Payroll Mobile Pay Insights Overview Pay Insights provides an informational message to appear directly on employees pay statements from their mobile device. These messages provide helpful tips about earnings, deductions, or taxes that may affect an employee's usual net pay amount. To communicate messages proactively, Pay Insights provide the flexibility for administrators to configure rules specifying when and how often these messages appear. Using the Add/Change Pay Insights page in UltiPro, configure the messaging rules to appear for your employees pay automatically. Messages are available for both U.S. and Canada employees. 1221JAPAY Page 1 of 6
2 Enable Pay Insights Administration To begin configuring rules for the mobile pay insights, enable the Mobile Pay Insights Administration page from the web access rights page. To Enable Pay Insights Administration page: NAVIGATION: Menu > System Configuration > Role Administration 1. From the Role Administration page, select the role. 2. Select Next to view Web Access Rights step. 3. Select Payroll Admin and Pay Statement Options. 4. From the Pay Insights Administration and Add/Change Pay Insights section, select Add, View, Edit, Delete, as needed. 5. Select Save. Page 2 of JAPAY052517
3 Add or Change Pay Insights Define the pay insights messaging and rules from the Add/Change Pay Insights page. These rules determine which message appears on employee's pay statements and when the messages appear. To configure Mobile Pay Insights rules: NAVIGATION: Menu > Administration > Payroll Admin > Pay Statement Options > Pay Insights Administration 1. From the Pay Insights Administration page, select Add. The Add/Change Pay Insights page appears. 2. Enter the description. The description is informational to be used to distinguish the rules and is not visible to employees. 3. Select the country. The country selected determines which earnings, deductions, or taxes are available to configure. Once the country is selected, it cannot be changed for this particular rule and the rule must be canceled and added again to change the country. 4. Ensure that the plan is active. Existing rules can be inactivated at any time. 5. From the Rule Definition section, define your rule using Rule Type, Payroll Types, and Pay Types. 6. Select the pay groups using this rule. 7. Select the earnings, deductions, or tax codes considered for this rule. 1221JAPAY Page 3 of 6
4 8. From the Rule Options section, select the start date of today or a future date. The date cannot be in the past. Important! When a payroll is closed, all active Pay Insights rules in effect are applied. To be in effect, active Pay Insight rules must have a start date on or before and a stop date (if populated) after the day the payroll is closed. 9. Select the On option for the Link Pay Codes for Message if several pay codes are paid on the pay statement but the message should only appear once. 10. Select the On option for the Display Insights Message Once When Recurring if the rule is satisfied throughout several payrolls but the message should only appear once. This option is typically used when employees reach a plan maximum or tax limit throughout the year. 11. From the Pay Insights Message section, enter the employee message up to 255 characters to appear on the mobile pay statement. Note: If entering a URL in the Pay Insights Message section select the insert/edit link icon to embed the hyperlink. 12. Select Save. Page 4 of JAPAY052517
5 Mobile Pay Insights Rules Pay Insights rules provide flexible configuration options to meet your company's needs. The configuration options available are for earnings, deductions, or taxes pay codes. These rules consider the payroll types and pay types when determining if the message should be applied. For example, if the rule is created for an off-cycle payroll type and additional pay type, the rule only evaluates the last additional payment made during an off-cycle payroll. Select multiple payroll types and pay types to broaden the criteria for using this rule. You can also limit the selected options to control exactly when the Pay Insights message appears. Pay Code on Current Pay/Not on Previous pay This rule provides a message when a pay code is used on the current pay check but was not used on the employee's previous pay check. When the selected earnings, deductions, or taxes are paid, and the pay code were not included on the previous pay, the Pay Insights message appears. For example, the Bonus earning code is configured to use the Pay Code on Current Pay/Not on Previous pay for off-cycle payrolls and additional pay check types. If employees are paid with the bonus earnings on an off-cycle payroll with an additional check, the message appears notifying employees that they received a bonus. Pay Code on Previous Pay/Not on Current pay This rule provides a message when a pay code is used on the previous pay check but was not used on the employee's current pay check. When the selected earnings, deductions, or taxes were included on the previous pay but were not included on the current pay, the Pay Insights message appears. For example, the employee Social Security tax code is configured to use the Pay Code on Previous Pay/Not on Current pay rule for regular payrolls and regular pay check types. If an employee's Social Security tax code is not withheld from a regular pay check, the message appears notifying employees that they have reached the Social Security annual limit. 1221JAPAY Page 5 of 6
6 User Defined Limit This rule provides a message when the year-to-date (YTD) amount for a pay code has reached a defined amount. When the selected earnings, deductions, or taxes are paid, and the pay code's YTD amount reaches or exceeds the entered amount for the pay type and payroll type, the Pay Insights message appears. Enter the YTD limit amount in the Amount field. For example, the 401(k) deduction code is configured to use an $18,000 User Defined Limit for regular payrolls and regular pay check types. If an employee's YTD amount reaches $18,000 for this deduction code on the regular pay, the message appears notifying the employee that they have reached the annual deferred limit. Note: When using the User Defined Limit rule, you may use the On option for Display Insight Message Once When Recurring option to limit the message to appear only one time once the limit is reached.
