4 Introduction This booklet provides all the coach s material for the module Conduct Work Safely. Coaches will need to be familiar with this material in order to fulfil their role in the workplace learning process. The Coach s Guide consists of the following: Advice to coaches; The Learner Resource - reference material provided to the learner that covers the module; Guidelines for coaches, relating to the Workplace Learning and Assessment Activity; The Workplace Learning and Assessment Activity - the key workplace activity that consolidates the learners understanding of the module content; A Third Party Report - a coach or supervisors report about the learner, based on the competencies required in the module. Roles and Responsibilities of a Coach A Coach is a critical component of this essential training for production operators within food processing. As a coach you have the following responsibilities: be a mentor and coach to the learner; have a good understanding of the content of this guide; Commonwealth of Australia

5 have a good understanding of workplace policies and procedures; provide guidance and advice to the learner and be able to either answer any questions they may have or, if appropriate, direct them to alternate sources of information. i.e. Production Manager, Quality Assurance Manager, etc; monitor the learner s progress; be able to assess the level of assistance required, particularly in regard to the Workplace Learning and Assessment Activities; in conjunction with management, allocate sufficient time for both on-line training and workplace activities; complete a Third Party Report on the learner; liaise with management and provide feedback for the entire process; and any other tasks as requested by the Training Coordinator. About the Module Overview of Content The module Conduct Work Safely is part of the Occupational Health and Safety Subject inside the Food Processing Compliance Package. The module provides the learner with information and activities to explain the idea of working safely. This includes that company s responsibilities in setting up a safety system and the employees responsibilities in the workplace. This module covers items such as following SOPs. The importance of the employees participation is emphasised. Commonwealth of Australia

6 Learner Assistance The learner should try to complete the online component of the module with minimal supervision. The learner can download the Learner Resource in order to have a written record of the module s key concepts. The Learner Resource is included next for your reference. You will also need to be familiar with the Workplace Learning and Assessment Activity. It is likely that the learner will require the most assistance with this activity as it requires considerable workplace consultation to complete. Commonwealth of Australia

7 LEARNER RESOURCE CONDUCT WORK SAFELY People and processes for safety What is working safely? Working safely involves everyone in an organisation. The employer must provide a safe work environment; the employee must work in a safe manner. It is also a legal requirement. It is everyone s responsibility to think about safety and make sure everyone is working safely. Safety is discussed regularly in every workplace team because those people closest to each job know about the work and often have good suggestions. Safety Management System Employers in business have to, by law, set up systems for making sure that work can be done safely and that injuries can be avoided. It is also the employer s role to communicate about the safety system to employees. The Safety Management System helps to make sure you can go home without injury, having been safe at work. Safety Committee Many businesses have a Safety Committee. Safety Committees work to improve the safety record of the business and keep the workplace safe. Ideally it includes: employer representatives employee representatives, who are elected safety specialists. Commonwealth of Australia

8 The role of an employee safety representative includes: being consulted about safety communicating about safety being present, if requested, when employees and employers talk about safety representing employees at Safety Committee meetings inspecting the safety of the workplace stopping work occurring if the work is an immediate threat to health and safety. Risk assessment The risks related to each piece of plant or equipment; each work process, and the work environment must be assessed as part of the Safety Management System. For example, for a particular job, a basic ergonomic risk assessment may be carried out. Risk assessments are necessary whenever a new process is introduced, and when there is an accident. Hazards are identified and then ways of controlling the hazards are put in place. One of the tools that helps in thinking about how to solve problems and improve safety is called the Plan, Do, Check, Act cycle. Auditing (self & external) Businesses need to be audited, or checked, to see that the Safety Management System is working well. People within the organisation can do some safety auditing, and external organisations need to do other audits. Commonwealth of Australia

9 Training Training is an important part of ensuring safety at work. The training program helps make sure that people are qualified to work on particular equipment, like forklifts. Training needs of employees are identified and training is provided. For example, much of induction training relates to safety. Annual refresher training is also provided so that people do not forget the correct procedures for working safely. Repair and maintenance To ensure a safe workplace plant and equipment must be serviced regularly. A repair and maintenance schedule should be in place. Regular preventative maintenance is designed to prevent equipment failures that may result in a near miss or injury. Policies and procedures Standard Operating Procedures/Work Instructions Standard Operating Procedures, or work instructions, tell you how to do each job safely, step by step, so that a quality product is made without damage to people or process. The procedure will say which Personal Protective Equipment is required for each job. For example, certain PPE, such as PVC gloves and respirator, is needed for handling certain chemicals. Other PPE is needed when working in a particular area of the factory, such as ear plugs or muffs if the area is noisy. Other examples of policies or procedures that relate to safety include: a return to work procedure a policy on fatigue and overtime to ensure that people are not working when they are too tired to work safely. 10 Reporting near misses, incidents and accidents Through reporting safety problems, everyone can play an important part in making sure that the workplace is kept safe. The Safety Management System includes procedures on how to report near misses, record injuries and incidents, and note pain or discomfort caused by a work process. A near miss is when something happens that could potentially injure you or when an accident happens that does not cause an injury. If an organisation knows about a potential problem then there is a chance of fixing it before it can happen. Prevention is very important in maintaining a safe work environment. Employees are an important source of information for future improvements in safety. Useful Websites The following website has a section on safety and prevention. It includes a list of health and safety topics, with things like manual handling and information for health and safety representatives. You can download the Code of Practice for Manual Handling, which has good advice and ideas on the safest way to do manual handling. Other useful websites on safety are: Commonwealth of Australia

11 Guidelines for Coaches Workplace Learning and Assessment Activity You will need to read the questions in the Workplace Learning and Assessment Activity, which are included later in this guide. The learner is asked to find information from the workplace that relates to: people and processes for safety Standard Operating Procedures or work instructions Safety reporting. You may need to help the learner find minutes from safety meetings or copies of SOPs and documentation used in your workplace to report safety issues. You will need to know the name of the learner s safety representative and it may be useful to let that person know about the activities the learner will be completing. You might need to talk to them about items discussed in meetings so that you know that background or outcomes and can discuss these with the learner. It may also be necessary to inform the site safety specialist that people will be asking to see or copy documents. In question (f) the learner needs to explain what should happen if he/she has any safety concern, injury, discomfort, near miss, hazard or environmental incident. If the learner actually is in the situation mentioned above and should report something verbally or in writing, it is recommended that you check how the learner does this. 13 Standard Operating Procedures (d) Find a Standard Operating Procedure (SOP) or job instruction sheet for a job you do and highlight the words and sections that relate to safety. Safety Reporting (d) What paperwork does your company have for reporting safety concerns, or incidents or accidents? What is the name of this paperwork?
