2 Running the Salesperson Report Route : Control Requests Run Single Request Name UofS Past Due Invoice Report Each invoice raised by Revenues or Projects has a Salesperson attached to it this Salesperson is the department who requested the invoice to be raised. On this report the Salesperson is the Agent. Order By : Customer Agent Low : Your Department Agent High : Your Department Understanding the Salesperson Report The report highlights the customer name and number in alphabetical order. The report then lists each outstanding invoice by customer. Each invoice has the invoice (transaction) number, whether the invoice is USE or University, the Due Date, the total Invoice Amount and the Balance of the invoice and finally, how Days Past Due the invoice is. 2 of 7 Any queries please contact Garry Storer (3597)

4 View Customer Accounts To view an account, either highlighted by the report or one you are otherwise interested in. Route : Collections Account Details In the Find Account Details box. In the Bill To Customer area type either the Name or the Number of the customer. Press the Find button to view any outstanding invoices or receipts on the account. 4 of 7 Any queries please contact Garry Storer (3597)

5 When you wish to look at an account you may wish to change the default view by clicking on the little yellow folder above the details and choosing one of the pre-set up views, as below. Not all of the outstanding invoice will relate to your department. You can look at a invoice in further detail by clicking on the relevant invoice and pressing the Transaction Overview button. The Details of an invoice, when it was sent and when it was due can be found here. The Description box tells you the details that were put on the invoice. 5 of 7 Any queries please contact Garry Storer (3597)

6 You can read this Description easier by clicking in the box with the text in, at the top of your screen there will be an icon with a pencil writing, by either clicking this or Ctrl E you will go into the Editor screen which will show the full details. Press OK when you have completed reading. View Invoices If an invoice has been partly paid/credited you can tell what has been allocated to it by pressing the Activities box from the Account Details Screen. This will list any payments or credit notes that have been applied. 6 of 7 Any queries please contact Garry Storer (3597)

7 Other Searches on the Account If you wish to review an individual transaction type the transaction number in the Trans Num box on the Find Account Details screen. Then press Find to review that transaction as above. If you wish to fully review an account, whether the transactions are outstanding or not, change the Status field from Open to Blank. Type either the Customer Name or Number, and then click Find. Exporting to a Spreadsheet When you have a list of transactions you can if you wish export them into a spreadsheet. Route : File Export If you have a pop up blocker on your computer (most computers do) you will need to hold the Ctrl key down before this task is complete. When you save the file, you will need to save it as an excel file by putting.xls at the end of the name you give it. 7 of 7 Any queries please contact Garry Storer (3597)
