11 How to Check Inventory Status of Items Why is this important? Checking the inventory status allows you to see if the item is on Hold (HLD) or Available (AVL). Hold (HLD) Available (AVL) Status Means License Plate is. Prevented from being shipped in SWMS Available for shipping Who does this? Receivers Inventory Control Personnel Warehouse Day Supervisors Warehouse Managers What is needed to get started? An item number or license plate number or SWMS location is needed to look up a specific item in the Inventory/Inventory screen. Procedure for CRT Follow the steps below to check inventory status of items using the CRT. 1 Go into the Inventory section of the SWMS Inventory menu. 2 Place an Item Number or License Plate Number or Location into the appropriate query field and press F9 to execute the query. 3 Select the Location or License Plate and look to the Status (Sta) column on the right side of the screen. 12 How to Use Manifest Detail Why is this important? Using the Manifest Detail screen is how returns (product coming back from the customer) are processed back into inventory. Who does this? Driver Check-in Personnel What is needed to get started? A manifest number is needed to look up a manifest as well as the necessary paperwork and product coming back from the driver. Procedure for CRT Follow the steps below to look up a manifest via the CRT. 1 Go to the Driver Check-in menu on the main SWMS screen. 2 Go to Manifest ovrvw. 3 Enter the Manifest number in the appropriate field. Hit the F9 key. Result: Manifest information is shown 4 Once appropriate manifest is highlighted, press F10 to access the menu bar. 5 Press Enter with Manifest_details highlighted. Result: You will now be on the Manifest Details screen, which shows all items that were on that manifest. 6 Use the arrow key to move up or down and highlight the item that is being returned. 7 Press F10 to access the menu bar. 13 How to Use Manifest Detail, Continued Procedure for CRT (continued) 8 To return one item, select Current Item. Result: A pop-up window will display. 9 Key in the appropriate Reason Code. OR Press F4 for a list and follow the steps below. 1 Arrow down to the Reason Code and press Enter. 2 Tab to the Case or Splt column and enter in the correct number of cases and/or splits returned. Note: Non-splittable items cannot be returned as splits. 10 Press F7 to save changes. 11 Press F3 to return to the main screen. Result: The right column Dtl Stat will now show that item as RTN. 12 Repeat steps 8-11 until all items are returned. 13 Press F10 to access the menu bar and arrow over to Print, after all returns have been entered. 14 How to Use Manifest Detail, Continued Procedure for CRT (continued) 14 Select All Items or Invoice-Return from the Item-Returns menu to return multiple items. 15 Use the Overage menu option to return an overage (i.e. product that came back on a truck with no label). 16 Press F10 to access the menu and arrow to manifest-close once all returns have been processed. Press Enter. Result: A Manifest Close Returns Summary screen displays showing the details of all processed returns. 17 Follow the appropriate action. IF Something was forgotten, All returns are showing on the Returns Summary screen, Press Enter. THEN Press F3 to go back to the Manifest Detail screen and finish the returns as necessary. Press F10 and arrow to Manifest Close. Result: A message at the bottom of the screen will verify that the close has occurred. Continued on next page 9/2/ , SYSCO All rights reserved 14
15 How to Use Manifest Detail, Continued Procedure for RF While the RF s functionality is very similar to the CRT, there are a few things that can t be done on the RF unit currently (full invoice returns and manifest close). 1 Choose Putaway and then Returns on RF from the Main Menu. Result: The system then prompts for a printer to be scanned. Note: The printer must be turned on before scanning. 2 Select one of the three options below. # Option To be Used IF. 1 Order Seq # The returned product has a pick label on it. 2 Item UPC No label is on the product. 3 Inv # Item # UOM There is no label and the UPC does not scan. Result: The screens on the RF unit will prompt for the necessary information (i.e. temperature, weight etc). 3 Press the Submit key once the screen has been filled out completely. Result: A return license plate will print out for the returned item(s). Only one license plate will print for each item code, regardless of the quantity returned of that item. 16 How to Use Manifest Overview Why is this important? Checking the manifest overview allows you to see if the manifest is on Open (OPN) or Closed (CLS). Status Open (OPN) Closed (CLS) Means Manifest is. Able to be changed (returns processing) Unable to be changed Who does this? Driver Check-in Personnel What is needed to get started? A manifest number is needed to look up a manifest in the Driver-Check-In/Manifest ovrvw screen. Procedure for CRT Follow the steps below to look up a manifest via the CRT. 1 Go to the Driver Check-in menu on the main SWMS screen. 2 Go to Manifest ovrvw. 3 Enter the manifest number in the appropriate field. Note: Put a % at the beginning and end of the information entered to help with wild card searches. 3 Press F9. 4 Use the arrow buttons to scroll up or down through the list to locate the item. Clear out (i.e. space over any remaining information). 6 Press F9 to query. Result: Query results display. 7 Scroll through the list with the arrow keys. 20 How to Look up Locations, Continued Procedure for RF Follow the steps below to look up locations via the RF. 1 Go to Stock Status from the main screen. Result: It is possible to choose a variety of ways to look up the location of an item. 2 Select one of the following options to look up the location. # Option By To be Used IF. 1 License Scanning the license plate of the item 3 Product Entering in the item/supc number 4 UPC Scanning the UPC on the item Result: Subsequent screens will ask for the necessary information to be scanned or entered. 5 After scanning or entering the information, press the Submit button on the screen or the Enter button on the keyboard. 6 Scroll through the list with the arrow keys after the results return. Result: The location of the items is shown in the Location column. 21 How to Create a Location Why is this important? Before an item can be received or shipped, it must be slotted in SWMS. Who does this? SWMS Coordinator Slot Coordinator What is needed to get started? SUPC Definitions The following is a list of key terms. Term Description Example Number of Cubic Inches This is a measurement of the total size of an object. It is determined by measuring Length x Width x Height. 18 x 12 x 8 = 1,728 cubic inches Aisle Side Floor Height Pick Aisle Pick Location (Pick Loc) Pick Level Liftoff Height The side of the aisle the product is stored on. The height from the floor to where the cross bar begins in inches. The aisle in which the product is located. This is represented by the first two characters of the rack label. The bay and zone in which product is located. This is represented by a two digit number and a letter. The level in which the product is sitting. This is represented by a single digit. The clearance needed by the forklift operator to place a pallet in a slot. 22 How to Create a Location, Continued Procedures for CRT Follow the steps below to create a location via the CRT. 1 Go to Maintenance, Location, Logical from the main menu. 2 Press F10. Result: The cursor moves to the menu bar. 3 Select New and press Enter. 4 Enter the new location. 5 Enter the appropriate slot types. 6 Scroll to the status field and enter AVL. 7 Scroll to the Cube field and enter the number of cubic inches. 8 Scroll to the Pic Loc? Field IF. Slot is a pick location Slot is a reserve location Then. Enter Y Enter N 9 Enter the appropriate Put and Pick Zones. 10 Enter the aisle side. E = Even side O = Odd side 11 Enter the floor height. 12 Enter the Pick Aisle, Pick Loc, and Pick Level. Example: DG99B1 13 Enter the height of the slot. 23 How to Perform a Put-a-way Why is this important? Product must be put-a-way each day. Who does this? Day Forklift Operators Driver Check-in Personnel What is needed to get started? Product to be put-a-way with a valid license plate (LPN). Procedure for RF Follow the steps below to put-a-way items via the CRT. 1 Choose Putaway, Putaway from the Main Menu. Result: The system prompts for a license plate to be scanned. 2 Use the gun to scan the LPN of the product that needs to be putaway. 3 After scanning all the LPNs that will be putaway on a specific trip, press the F2 button to Travel. Result: The system will organize the LPNs in the most efficient manner based on the location to which they are going. 4 Travel to the location desired to put the product away. 5 Scan the LPN of the pallet/product being putaway. Result: The screen will show some detail of the product. 6 Verify that the correct product has been selected. 7 Put the product into the appropriate slot. 8 Scan the rack label of the corresponding slot. Note: If the product has been directed to a level that is too high to scan, scan the lowest label scannable in the same vertical column (i.e., if the product is directed to CA17A7, scan CA17A1). 9/2/ , SYSCO All rights reserved 23
24 How to Look up Transactions Why is this important? Researching transactions can help warehouse personnel understand what has happened with product since it came into the warehouse. Who does this? Warehouse Supervisors Inventory Control Personnel What is needed to get started? One of the following: Item # License Plate (LPN) User ID Date Procedure for CRT Follow the steps below to look up transactions via the CRT. 1 Go to Maintenance, Transaction from the main screen. 2 In the query blocks, enter known information (i.e. Item #, LPN, User ID, or Date). Note: The more information that is placed in the query blocks, the more specific the information that will be provided in the data. 3 Press F9. 25 How to Slot Floating Items Why is this important? If a return from a driver comes back that has been unslotted, the item must be slotted before it can be returned to inventory. Who does this? SWMS Coordinator Slot Coordinator Driver Check-in Personnel What is needed to get started? SUPC Procedure for CRT Follow the steps below to slot floating items via the CRT. 1 Go to Maintenance, Location, Logical from the main screen. 2 In the query blocks, enter the following information. Item # N Pick Loc N Float Loc Y Area (applicable area C-Cooler; D-Dry; F-Frozen) 3 Press F9 to query.
