2 The Degree audit is a dynamic report where changes occur frequently. It is important to know that you should always run a current audit when providing information or advise regarding the content of the audit. Please never depend on a stale dated audit when providing advice to students, faculty and staff. 2.0 How to run an audit Enter SZADARQ in Direct Access OR use the Student System Menu Dars/Curriculum Advising > Dars Audit Reporting System > SZADARQ ID Must be 9 digits TERM Enter the Current Term Next Block SERVER NAME (bottom left) = BANNER must be all caps Click RUN AUDIT (bottom right) OPTIONS in drop down menu at top of form VIEW AUDIT UseSZADARQto run anaudit F8 to Refresh if required

4 After entering the Student ID and Term, click on next block. The student s program will default. Enter BANNER in the server name and click RUN AUDIT
5 Transaction complete: 2 records applied andsaved
6 After RUN AUDIT is applied a message will appear at the bottom left of the SZADARQ form that says Transaction complete: 2 records applied and saved. This message shows that the audit was run successfully. After RUN AUDIT place cursor at the top of the form in OPTIONS and select VIEW AUDIT from the drop down menu. Every time an audit is requested it produces two choicesin NCol of 1 and 2 Use NCol 1 for local printers andviewing Use NCol 2 for networkprinting. VIEW AUDIT brings you to thedars Audit ReviewForm. This form lists the daily requested audits. You may go back intoyour daily history and print any of the listed audits as
7 necessary. If thelatest audit is not appearing as quickly as usual (referenced by the Run Dateand Run Time), the function key F8 will bring the new audit record up. To print audit fromnetworkprinter- Use NCol 2 for a two columnaudit 3.0 How to print DARS audits on your network printer SELECT PRINTER (lower left) From NCol Highlight 2 column to Print PRINT (lower right)
8 [see diagram previous page] 4.0 How to print DARS audits on your local printer: 1. Run your audit in the normal way using SZADARQ (Audit Submission Form). 2. View the audit (under Options) in SZADARO (Audit Review Form). 3. Click on the student number of the audit you wish to print.* 4. Right-click on the student number field and the option to Print Audit will be displayed. 5. Select Print Audit. 6. View the PDF file that is created. To print an audit from local printer Right Click on thestudent number field using NCol 1 and the option to Print Audit will bedisplayed Select Print Audit View the PDF file that is created Press theprint button to send audit to your localprinter Press the Print button to send audit to your local printer. Notes: 1. This option is only available for one-column audits ( NCol filed is 1 ). 2. For problems/questions, DARS_audit@carleton.ca.
9 5.0 How to view an audit on your screen 1. Highlight the number one (1) from Ncol to view a single column audit on line. Click the View Audit button. 6.0 How to request batch audits At this time, departments and schools requiring batch audits are asked to submit your request by to the Team Lead in Academic Evaluation and Graduation the following information: Program information degree and major(s) or minor Sort order specifications if applicable Notes: 1. Batch audits requests generate audits for students with an active student status in the general student record. 2. Please allow one week for batch audit printing unless informed otherwise.
10 7.0 Exceptions in DARS Dars audits give Departments the ability to review all elements of their degree requirements for students in their program(s). Any changes to the existing requirements is handled through an Exception process which must be submitted to the Registrar's Office on an 'Exceptions to Graduation Requirements in DARS' form - these forms may be downloaded at or phone messages will not be accepted in lieu of the exceptions form where changes are requested. The information collected on the exceptions form is essential for the Registrar's Office. Questions relating to the processing of 'exceptions' forms may be directed to the Academic Evaluation team in the Registrar's Office. Please refer to the Go-to List for the Registrar s Office, this list is available at Notes Regarding Exceptions If you find yourself repetitively completing exceptions forms for the same degree requirement in your program, permanent DARS coding may be necessary and would reduce the volume of exceptions processing. Please inform the Registrar's Office if this occurs by ing DARS audit@carleton.ca; Exceptions must be completed in accordance with the published, Senate approved requirements for all degree programs; Exceptions will NOT be processed for CUR courses - courses students' are currently enrolled in; Every time a student changes their major, exceptions must be reviewed and reentered by the Registrar's Office; Processed exceptions may be confirmed by viewing the DARS audit online. The Registrar's Office does not issue revised degree audit reports to students or departments when exceptions are processed. Processing of exceptions on average takes 10 working days except during peak periods Notes: 1. Courses or data missing from the audit refer student to the Registrar s Office to complete an action request form. 2. Systemic problems systems encoding that would result in accurate and consistent audit management DARS_audit@carleton.ca.
11 8.0 DARS audits on the Web All current undergraduate students can now access their Degree Audit Report online through Carleton Central see the Run an audit feature under Student Services. This self-serve option provides students with a dynamic Degree Audit Report that is continuously updated as grades become available or registration activity occurs. This unofficial document will aid students in making choices regarding course selection for upcoming registrations and will allow them to check to see how they are progressing towards being eligible for graduation. The web audit is available 24 hours a day, 7 days a week through Carleton Central and is printable in the convenience of their home or on campus (applicable costs for on-campus printing apply). A list of Campus Computer Labs is available at The help screen written for the web audit on how to read an academic audit, is also available at or follow the links from to >Registrar s Office>Registration>Degree Audit Report. You may find this sample audit a useful tool when training staff new to the audit. It describes the basic structure and how to interpret the symbols commonly used. Degree Audit Reports are also available in person at the Registrar s Office during normal office hours, although students will be encouraged to use the web to run their own audits.
12 Do not use an audit printed from the web by the student to discuss their situation or to make decisions on their behalf. Many changes could have occurred between the time that the student printed the audit and when you run it in your office. When you run audits from your computer, a list of the audits you produce is maintained. This list is normally purged on a daily basis. The same is true for students as they run their web audits. They may select, view and print any audit from the list. A daily purge will further encourage students to run a fresh audit frequently, if not each time. Note: newly admitted students may only view their Degree Audit Report once we have received acceptance of their offer of admission. Please let us know if an opportunity to learn more about the DARS audit would be helpful. DARS_audit@carleton.ca outlining what type of training you require. 9.0 How to run an admission audit An admission audit displays a student s advanced standing credit and year level at the point of admission to the program (i.e. takes into account credit taken prior to the term of admission). Admission Notes (e.g. Admitted on Academic Warning ; deficiencies) appear only on the admission version of the audit. In order to run an admission audit, there must be a corresponding application in SAAADMS with the program code and catalog term for which the audit is requested (note that there can be multiple applications in SAAADMS for a term).
