3 1. INTRODUCTION This document sets out the corrections introduced by version of DataCar CRM (Expert range). 4 2. EVOLUTIONS BY MODULE 2.1. POOL MODULE Evolution of Stock management Management of Group stock The management of a Group stock has been added in this version of the CRM. The split of the group s geographical sites, and not only of the entity s sites, enables the user to select the geographical site when integrating a vehicle and to select a vehicle for sale by another entity Setup of Group stock entity CRM Manager The Group stock entity is defined in the CRM Manager by adding the geographical sites of the other entities that own physical stock. Chart The geographical sites of entities B and C are added to entity A: Page 4 on 28
5 In the CRM Manager, the Stock entity then contains the definition of the sites of the group s other entities: Contact information tab List of geographical sites section List of applications section Comments section Search for a vehicle using the stock manager The Group stock manager only sees the stock of the connection entity but it can search for the list of all vehicles in stock in all sites and all entities of the group. Caution Because the sites of the other entities are added in the group s stock entity, the displayed information may seem somewhat confusing. Page 5 on 28
6 To start a search in all entities and all sites, select All entities and All sites. DO NOT select the group Stock entity: When creating a Pool sales offer, the salesperson may select the vehicle of another entity in step 1 of the NV, UV or DV pool offer: UV Pool sales The salesperson who wishes to display the in-stock vehicles of all the entities needs to modify the default entity selection and select All : Page 6 on 28
7 NV and DV Pool sales To display the in-stock vehicles of all entities, the salesperson must modify the default entity selection and select All. Caution The vehicles displayed are those of the brand(s) defined for the user. Example of NV search for a user who only owns a Volkswagen: Transfer of vehicles from one entity to another Managing stock at Group level enables the transfer of a vehicle from one entity to another. The process is identical in the case of UVs, NVs and DVs. Reminder of the transfer management rules A vehicle on which an option has been placed cannot be transferred. It is impossible to transfer a vehicle whose brand is not defined as the brand of the colleague in charge of receiving such vehicle. On order vehicles cannot be tranferred. An alert message is displayed. On offer vehicles can be transferred but the offer is automatically cancelled. A confirmation message advises the user and must be validated to continue the transfer. Vehicle transfers are done in the Pool module list of vehicles: Page 7 on 28
8 In the transfer validation window, the user selects the entity that receives the vehicle: Caution The brand of the transferred vehicle must be defined for the selected colleague ortherwise, the transfer will fail. The vehicle brands are defined in the Administration module, View the colleague page: Page 8 on 28
9 The To enter or To be removed transfers are displayed in the Pool module, Pending transfers folder: Management of option on vehicles When using DataCar CRM with Group stock management, it is possible to make offers and orders on the stock of other entities as well as placing options for reservation on such vehicles New parameters The Management module contains the parameter needed to activate the management of vehicle reservation options. Caution This parameter must be defined for NVs, UVs and DVs. Page 9 on 28
10 Go to the Management of miscellaneous parameters for the NV, UV and/or DV types: Activating the reservation option defines: The period of validity in days for the stated option; The number of renewals that are authorized, i.e. the number of times a given colleague may renew the option of the vehicle. Caution When creating a reservation option on the vehicle of another entity than the connection entity, the parameter that is taken into account for the calculation of the date of validity and the number of renewals is the parameter related to the entity to which the vehicle is assigned. 11 Other parameters for the management of options Two other parameters are used in the management of options on vehicles. The first one is the Group parameter accessed from the Administration module: This parameter defines the stock management authorizations of the other entities of the group: Caution A reservation option cannot be placed on the vehicle of another entity if the sale is not authorized in this parameter. The second parameter to be activated concerns actions related to the options on vehicles in the Pool module. It is accessed in the Change a profile window of the Administration module. When a checkbox is ticked, the user who corresponds to the profile can modify and delete a reservation option on a vehicle even if such user is not the creator of the option. Page 11 on 28
12 Creation of a reservation option on a vehicle Options may be created in various modules and at various stages of the sales process. Management rules When a reservation option is created on a vehicle, the latter cannot be placed on order by another salesperson. A reservation option cannot be placed on the vehicle of another entity if the sale has not been authorized. When a Pool vehicle from another entity is put on sale, the vehicle is transferred automatically to the entity that is selling it. Such automatic transfer requires no intervention by the user. The vehicle is archived in the issuing entity as Transferred (status) and archived in the receiving entity as Sold (status). NV Pool Vehicles of the Stock folder (NV, UV or DV) of the POOL module Options may only be added on new vehicles in the Stock folder: UV Pool Options may only be added on used vehicles of the Private customer stock folder: Page 12 on 28
13 DV Pool Options may only be added on demonstration vehicles of the Stock folder: Addition of an option on a vehicle Options placed on vehicles are displayed in a specific section at top right of the vehicle View window : The option is automatically created when clicking the button in that section. There is no intervention from a colleague. Once the option is created, it appears directly in the vehicle s file: The options section contains: The option validity date: The date until which the option remains valid. It is caculated as follows: Current date + the number of days stated in the activation parameter of the vehicle reservation options (see previously in this document). The name of the colleague who has created the option. The authorized actions: Modify ( Change ) and delete Page 13 on 28
14 Modification of reservation option on a vehicle From the pool vehicle s file, click the Change button: A pop-up window opens where ONLY the option validity date may be changed. Deletion of a reservation option on a vehicle From the pool vehicle s file, click the Delete button. The option is deteleted. Caution The deletion of the option requires no confirmation. The colleague who has created the option is not informed of the deletion of the option. View of the options in the list of vehicles Two columns have been added to the list of in-stock NVs and UVs and of private stock DVs to display the options placed on the vehicles. NV opt.: A check designates the vehicles on which an option has been placed. NV option detail: Displays the date of validity of the option and the creator of the option. Page 14 on 28
15 In the SALES module The addition of a reservation option on a vehicle is done in step 8 Offer completion of the process: As in the stock management, the option is created without any intervention by the colleague by clicking the button. Caution It is possible to delete an option is possible but NOT to modify it. Whether the offer is simply saved or validated, the reservation option is displayed in the offer page: Caution Here also, only the deletion of the option is authorized, not the modification. 16 The option can also be deleted in the page of the opportunity that contains the offer in the Offer tabsheet: When the offer is placed on order, the reservation option is deleted. Page 16 on 28
17 2.2. MARKETING MODULE Requests menu Follow-up comments The Comments field of a follow-up view can be displayed in the results of a request of the Reminder section for future requests. The Comments column is available only in the request columns that are displayed. Page 17 on 28
18 But it does not appear in the request conditions: The Comments included in the reminder are carried over to the results of the request: Page 18 on 28
19 Payor type in an After-sales invoice ( Facture SAV ) The Payor type indicates who has paid the After-sales invoice (Client, Warranty, Insurance, etc ). It is added under the Display and the Condition sections of a request in the After-sales Invoice ( Facture SAV ) section. The Payor type may be carried over to the results of the requests: Page 19 on 28
20 After-sales intervention To create Marketing campaigns according to types of intervention, the user may filter the search on the interventions. The following elements of an intervention are proposed in the displayed columns of a request (1): The type The code The label The quantity The unit price The total price The applied VAT The following elements of an intervention exist in the request conditions (2): The type The code The total price (Unit price * Quantity) Page 20 on 28
21 Lead management In the Marketing module, certain labels in the Search for leads page have been modified. The search field is now called Lead Adwords and it proposes the following filters: All leads Adwords leads only Exclude the Adwords leads In the Leads table of the Marketing homepage, the deadline column header is now called In the deadlines : Page 21 on 28
22 3. CORRECTIONS 3.1. Assignment of SA3 offers according to the distributor number, the entity and the brand provided in the SA3 feed -- France When an SA3 offer is received in DataCar CRM, it is assigned to a site that is now determined according to the Distributor number, the entity and the brand contained in the SA3 feed Automatic assignment of the campaign name when a lead is received without a campaign name External leads which are assigned to a campaign that has no name are now automatically given the name of the supplier to ensure any potential re-activation. The lack of a name prevents re-activation. Page 22 on 28
23 3.3. First-hand information following the number of owners provided by DataCar DMS The number of owners of a UV stated in the vehicle file in DataCar DMS is now sent to DataCar CRM to fill the first-hand status. The V12WebInterface now sends this information in the feed processed by the CRM: If the number of owners is equal to 1, the First hand checkbox in the CRM vehicle file is ticked (Interface and Pool modules): When the number of owners is other than 1, the First hand checkbox in the CRM vehicle file is unticked (Interface and Pool modules): Page 23 on 28
24 3.4. UV mileage on the Das WeltAuto display cards When printing a Das WeltAuto display card, the indication of the effective mileage now corresponds to the data contained in the vehicle file: either Real or Not guaranteed. The card no longer systematically states that the mileage driven is not guaranteed. This correction appears on all Das WeltAuto display cards. Page 24 on 28
25 3.5. Print-out of the Carmen Leads comments When printing a detail of a Carmen Lead, the data from the Comments field that originate from the manufacturer are now displayed in a Comments section. The data displayed in the PDF-format export (from the Activity X/Comments field) is limited to the first 5 tags sent by the feed. Page 25 on 28
26 3.6. UV Sales dashboard The Entity s UV sales are calculated according to the sum of the sites UV sales. The total UV sales of the Entity (1) equal the sum of the UV sales of All the sites of the Entity. It also corresponds to the sum of the sales to private customers (3) and to professional customers (4) of the Entity; The total of a site (2) corresponds to the sum of the sales to private customers (5) and to professional customers (6) of the site ; The UV sales take into account all the orders validated during the period (7) (Orders + Batch orders). 27 3.7. Color and Trim of UV in consignment The color and trim information related to UV in consignment is now correctly saved whatever the action that is executed in this file. That information used to disappear when Save was clicked in the Destination tab. Page 27 on 28
