2 MERCER WIN RELEASE SUMMARY Release Date 23 November 2013 This Mercer Workforce Intelligence Network (WIN) release incorporates the Mercer International Position Evaluation (IPE) methodology into the Mercer WIN platform to allow clients to perform job evaluations using Mercer s IPE methodology. This means that the integration of market data and job levelling capability will be in one platform Mercer WIN. With this integration, there are now separate user types for Remuneration and IPE. Bringing IPE onto Mercer WIN required many new screens for support of the IPE methodology: means for users to record job evaluations, space for attaching documents, and additional ways to search for jobs using evaluation criteria. Mercer WIN also allows users to view the MUPCS job catalog and to create reference jobs. Reference jobs are used to provide a simple way to create a job evaluation and share it with many jobs. In addition to IPE, this Mercer WIN release includes the ability to view Mercer WIN in one of three languages as well as several miscellaneous enhancements and defect fixes. 4 MERCER WIN LANGUAGES Mercer WIN has been upgraded to display all text within Mercer WIN UI in three languages. The three Languages that will be available in the Mercer WIN UI and on Mercer WIN Generated Reports for this release include: English Portuguese Spanish There are a few exceptions to this rule where data may be viewed either non-translated or in English. These exceptions are: Any refinement that is of Scan type. Any Mercer WIN User Input or Imported text. Any Mercer owned text stored in the My Market Library that is copied from Mercer WIN will be stored in English. Any Mercer WIN User Entered text stored in the My Market Library that is copied from Mercer WIN will be stored in the original language entered by the Mercer WIN User for that text. Any text where the needed translation text is not available will be stored in English. Numbers will always be shown in Arabic (English) numbers (i.e. 1,2,3,4, etc ) Any text code such as Currency Code or Country Code EXPORTS Exports have been updated to display the first header row in the Exported Data file in English text and the Second Header row in text matching the language the user was viewing the system in at the time the file was requested. MERCER MARKET DATA TO MY MARKET LIBRARY TRANSFER PROCESS The process that transfers data from the Mercer Market Data module to the My Market Library module has been updated to: Transfer and store all data that is Mercer owned and generated from Mercer Market Data into the My Market Library in English. Transfer and store all data that is Mercer WIN User input into Mercer Market Data, into the My Market Library in the same language the user entered the text in Mercer Market Data. 4

6 VERIFY LANGUAGE PAGE This page allows users to select their default language to view the Mercer WIN System in, when viewing the system for the first time. Note: The Mercer WIN Verify Language Page was disabled for the previous release of Mercer WIN and was not displayed to Mercer WIN Users when they logged in the system during that release. In this Mercer WIN release, the page has been re-activated, and will display to all Mercer WIN users that log into the system. Note: Given that language translations has been active in the system since the previous Mercer WIN release, if a user has previously specified a non-english language to view the system during that Mercer WIN release, this preference will be used to populate the default language selection on this page when that user views it after the November 23, 2013 Mercer WIN release. 6

7 MERCER WIN eipe OVERVIEW Mercer WIN has been updated to include functionality to support Mercer s IPE methodology. This release allows you to access the MUPCS catalog to use Mercer s reference evaluations; set up client specific grade tables to map to resulting Position Class scores; create and size organizations; evaluate jobs either based on a reference job or using the IPE factor methodology. Reporting capabilities are WYSIWYG with the inclusion of a standard report known as the Job Evaluation Mapping report. Additionally, new features exist in Mercer WIN that have not been on previous eipe software. These include: the ability to attach documents within the system and the integration of market data with job evaluation data in one system. 8 Access via My Employees Search/view/edit employee specific information View job summary information Run report/export employee/job data including market data LICENSE AGREEMENT All users will be required to accept a revised license agreement as part of this release. This will be presented to each user on the first logon following deployment of the November 23, 2013 Mercer WIN release to production. The System License Agreement now covers the IPE methodology as well as Remuneration in a single document for use of the Mercer WIN system. The separate data agreement for survey data remains and each user will be required to accept that agreement in order to use Mercer Market Data. The license agreement text will display in the language selected by the user on the Verify Language page. 8

9 MERCER WIN eipe ADMIN FIRST TIME LOGIN The first time a Mercer WIN eipe Admin and/or Remuneration Administrator logs in, they will get the Mercer WIN Advanced System Setup Notification popup to explain how to access the Administrator activities that they need to perform for their account. The text was modified to accommodate for IPE. The Administrator can click Close or click the Mercer WIN System Administration link and go to the Administration Page. MY HOMEPAGE The Mercer WIN My Homepage was updated to include the addition of I Want To links for Mercer WIN eipe users: I want to Evaluate a Job links to a Job Search page for Mercer WIN eipe users with the Job and Evaluation View. I want to Manage My Organizations links to the new Organization list page for Remuneration Administrators, Mercer WIN eipe Admins or Mercer WIN eipe Users. I want to Search My Reference Jobs links to the new Reference Job Search page for Mercer WIN eipe Users. Note: A Mercer WIN eipe-only user without Remuneration access will only see the I Want To widget on their My Homepage. They will not see the following widgets: My Market Views, Competitive Snapshot nor any of the Remuneration widgets. They also cannot Edit Dashboard. The Mercer WIN header/banner was modified to conform to the new Talent Impact branding style. Colors and logos were updated per the screenshot below. Several banner links were relocated under a new Tools drop-down including Upgrade Options, Help, Contact Mercer, About, Administration and My Profile. 9

10 The User Name Account Name in the header is a link to My Profile as well. The My Market Library button has been renamed to My Library. When the My Library button is clicked by a Mercer WIN eipe and Remuneration user, they will be presented with a flyout to select My Market Library or My Reference Job Library. If clicked by a Mercer WIN eipe only user, they will go directly to the My Reference Job Library. If clicked by a Remuneration only user, they will go directly to My Market Library. 10

11 FILTER ON MY MARKET VIEWS WIDGET Two filters have been added to the My Market Views widget to stop the Home page from timing out due to the number of market views loading into the widget (wmm ). The market views are now filtered by year and then by country. The keyword search is still available within the filtered results. The Year and Country filters have also been added to the Download a Mercer survey report popup located from the I Want To widget. The Year filter displays in descending order and defaults to the most recent year corresponding to the market views the user has access to in MMD. The Country filter displays in alphabetical order corresponding to the year selected in the Year filter. ADMINISTRATION PAGE From My Homepage, click I Want To View the Administration Page or from the banner click Tools Administration to access the Administration page which has been updated for Mercer WIN eipe. User Profile Setup section was modified to allow Mercer WIN eipe Admins to Manage User Profiles for Mercer WIN eipe users. MUPCS Catalog section was added to allow Mercer WIN eipe Admins to search the MUPCS Catalog. IPE Settings section was added to allow Mercer WIN eipe Admins to manage the IPE Grades Table and Setup Organizations. 13 IMPORT DATA The Import Center page has been updated to deliver templates and instruction files in the language that the user is viewing the system in. The Download Template link within both the Import Data into My Jobs and My Employees and Import Market Data panes has been updated to download the correctly translated Template file and Instruction file. The following files available for download through the Download Template link within both the Import Data into My Jobs and My Employees and Import Market Data panes have been updated to be available in the three languages the Mercer WIN System can be viewed in: Jobs and Employees Template file Jobs and Employees Instructions file Source and Market Template file Source and Market Instruction file The Reset My Data section of the Import Center page has not changed. This feature allows a Mercer WIN eipe or Remuneration Admin to reset data from specific Mercer WIN modules including My Employees, My Jobs, My Market Library Records and My Market Library Sources. Jobs and Employee/Source and Market Data Template files Both the Jobs and Employee and Source and Market Data Template files have been updated to include a second header row of text. The first header row will continue to display the Column Headers in English text. The second header row will display the Column Headers in the same language that the user is viewing the system in, when the request for files was made. The second header row will be ignored upon import. 13

14 The Jobs and Employee Template file has also been updated for Mercer WIN eipe. Added Org Code as a required field. Any jobs in the template where the Org Code column is left blank will be associated to the Unassigned Organization. Renamed Grade to My Grade. Changed validation on Position Class to accept values between 40 and 87 only. Data Import Process Both the Import Data into My Jobs and My Employees and Import Market Data process have been updated to ignore the second line of data within a imported file. This second row of data corresponds with the translated newly added translated Column Header names in the import template files. When importing in the Position Class column, there are a couple of rules to note: If the Evaluated column displays Yes for a Job in Mercer WIN (meaning a Position Class value has been calculated in Mercer WIN) and the Position Class column on the Jobs and Employees import file displays a value for that Job, then Mercer WIN shall display the calculated Position Class value. If the Evaluated column displays No for a Job in Mercer WIN and the Position Class column on the Jobs and Employees import file displays a value for that Job, then Mercer WIN shall display the imported Position Class value. Note: If the Job is later Evaluated in Mercer WIN, then the imported Position Class will be overwritten by the calculated value. 14

15 MANAGE USER PROFILES User list From the Administration page, a Mercer WIN eipe Admin may click Manage User Profiles in the User Profile Setup section. On the User List page the User role column was removed from the grid because a user may now have multiple roles (i.e., they can be Remuneration, IPE or both). Edit User On the User List page, a Mercer WIN eipe Admin may click a specific user to go to the Edit User page. On the User Type tab the Admin may choose a user type for the selected user per each data stream (Remuneration and/or IPE). Note: If the Company s Account does not have access to a particular data stream, then that section will be greyed out for all users. Or if the Company has no more licenses in a particular data stream, then that section will be greyed out. Administrators may not change their own User Type. Administrators in only one data stream cannot edit User Type for users in the other data stream. 15

16 Company Information Tab The Company Information tab contains company details including company name, address, city, state, postal code, country and phone. It also includes the Default Language that can be set for the User for their first time login and the IPE Half Level for Impact Dimension setting. Licenses Tab On the Account Licenses tab, the Admin may view the licenses held by the Company s Account for each data stream (Remuneration at top and IPE at bottom). This information is not editable in Mercer WIN; it may only be changed via MAT by a Mercer Admin. 16

17 Data Access Tab On the Data Access tab, the Mercer WIN eipe Admin may set restrictions on the user s data access in Mercer WIN. Restriction of data access permissions by Organization is a new function in addition to Executive, Country, and Job Code Extension. By default, all users have access to the Unassigned Org and this cannot be changed. All countries (even if the Company does not have data in it) will now display in the Country section. Data Access permissions control which Organization, Jobs, Employees and Market Library records that the user can access. MUPCS CATALOG From the Administration page, the Mercer WIN eipe Admin may click Search MUPCS Catalog in the MUPCS catalog section. A Mercer WIN eipe Admin may search for jobs in the MUPCS catalog and copy selected records into the Reference Job Library in Mercer WIN to create Reference Jobs. Note: This release does not support the addition of new Job Architecture codes to MUPCS. If clients attempt to copy a MUPCS code that did not exist when their client space was created, they will receive a technical difficulties error. This will be addressed with the next release. 17

18 First, the Mercer WIN eipe Admin will enter search criteria to locate the MUPCS Job records to be copied. Only MUPCS jobs with reference evaluations are available for selection. 18

19 Then the Mercer WIN eipe Admin will select some or all of the MUPCS Jobs and click Continue. The MUPCS Catalog Results page displays with a Send to My Library button. When the Mercer WIN eipe Admin clicks Send to My Library, the selected MUPCS records are copied into the Reference Job Library, creating Reference Jobs. If selected jobs already exist in the Reference Job Library, a warning is provided prior to overwriting those records. 19

20 The copy process provides a confirmation. IPE SETTINGS IPE Grades On the Administration page, the Mercer WIN eipe Admin may click IPE Settings in the IPE Settings section. On the IPE Grades tab, an Mercer WIN eipe Admin may setup an IPE Grades table by clicking Add Row for each row that is needed to describe the relationship of their Grades to Position Class values. Note: All Position Classes between 40 and 87, inclusive, must be entered in the table and associated to a Grade. 20

21 Setup Organization Search Page On the Administration page, a Mercer WIN eipe Admin may click Setup Organization in the IPE Settings section. A Remuneration-only Administrator or Mercer WIN eipe User may reach the same screen through Manage My Organizations from the I Want To widget on the Home Page. On the My Organization Search page, the Administrator can search, edit and/or add new Organizations to their Company s Account in Mercer WIN. The Administrator may also select some or all of the Organizations in the search and click Continue to go to the My Organizations Results page. From the Results page, the Administrator may run a report or an export. 21

22 Organization Details The Remuneration Administrator, Mercer WIN eipe Admin, or User may click on a specific organization to add, edit, or delete the Organization. Note: the Unassigned Organization may not be deleted or sized. Remuneration and Mercer WIN eipe Admins and Users may reach the Organization Details screen via the Organization link displayed on the Organization Search or Results page. A Mercer WIN eipe User, Admin, or Remuneration Administrator may also reach the Organization Details screen from the Organization link displayed on the Job Details screen. 22

23 Organization Sizing On the Organization Sizing tab a Mercer WIN eipe Admin or User may set the sizing for the organization as part of the job evaluation methodology. Sizing is determined by the Organization s Value Chain, Economic Volume, and Head Count. Value Chain is the first step. Note: Remuneration Administrator will not see the Organization Sizing tab. 23

24 The second step for sizing is for the Mercer WIN eipe Admin or User to select Reporting Country and then enter the Economic Volume and Head Count. 24

25 MY JOBS MY JOBS SEARCH OPTIONS The My Jobs Search options have been updated to accommodate search criteria for IPE. New options include: Organization, Evaluated/Matched?, My Grade/IPE Grade, and Mercer Job Family/Sub-Family, Mercer Career Stream/Career Level. Operating Unit was removed as a search option. Note: A Remuneration only user will not have the Mercer Job Family/Sub-Family and Mercer Career Stream/Career Level options. Evaluated/Matched? Option Evaluated/Matched? search option allows a user to search for a job that has been market matched and/or evaluated. Note: A Mercer WIN eipe-only user will not have the Matched search option. A Remuneration-only user will not have the Evaluated search option. 25

26 My Grade/IPE Grade Option The My Grade/IPE Grade option allows a user to search for a job that has been assigned a grade ( My Grade ) or has a grade calculated under the Mercer methodology ( IPE Grade ). Note: A Mercer WIN eipe-only user will not have the My Grade option. A Remuneration-only will not have the IPE Grade option. 26

27 Job and Evaluation View The Job and Evaluation View is a new view available to Mercer WIN eipe Admins and Users. It is not available to Remuneration-only users. This view allows a user to view, print, or export evaluation information for the Job records in their search results. 27

28 Job Evaluation Mapping Report There is a new report based on the Job and Evaluation view, and only available to Mercer WIN eipe Admins and Users. The Job Evaluation Mapping report can be accessed by clicking My Jobs, searching for jobs, selecting jobs and clicking Continue to go to the My Jobs Results page. On the My Jobs Results page, the user selects the new Job and Evaluation View. Note: The Job and Evaluation view must be selected for the Job Evaluation Mapping report to be available. They click the Print icon and select the Job Evaluation Mapping template on the Print Options page. The report output is in a grid format, and includes selected information in the cells of the grid. Ranking Criteria is the vertical (Y-axis) dimension. User may select Position Class only, IPE Grade only, or Position Class within IPE Grade for the Ranking Criteria. Mapping Field is the horizontal (X-axis) dimension. User may select Job Family, Job Sub-Family within Job Family, Career Stream, Career Level within Career Stream, or Organization for the Mapping Field. Display Field is the values that may appear in each cell. User may select Job Title, Reference Job Title, or Employee Names. The cell may display multiple values. 28

29 My Jobs Integrated View for users with IPE and Remuneration Users with Remuneration and IPE access may see an integrated view of market match data and job evaluation information by clicking the green target icon on the My Jobs Results screen. Market Match data displays on the left side and Evaluation data displays on the right. Buttons are provided for the user to navigate to Edit Market Data or to Evaluate a Job. 29

30 My Jobs Integrated View for users with Remuneration-only or Mercer WIN eipe-only access Users with Remuneration only access will see this display: Users with Mercer WIN eipe only access will see this display: If the user selects Skip this screen, the Integrated View will not displayed again for that user. 30

31 JOB DETAILS POP-UP On the My Job Details pop-up, the Organization has been added to the upper section as it is now part of the required key fields for a Job. All Jobs must have an Organization. Remuneration Advanced Users may see the Organization, and may change the Organization associated with the Job. Remuneration Advanced Users do not have access to display or edit the Organization Details. Remuneration Administrators, Mercer WIN eipe Users, and Admins may click the Organization name to display or edit the Organization Details. They may also change the Organization associated with the Job. On the My Job Details popup, a new button View/Edit Evaluation will display for Mercer WIN eipe Admins and Users. When clicked, the user is able to edit the evaluations for the job. Refer to Job Evaluation Grid section below for further details. 31

32 My Job Information Tab On the Job Details pop-up, the My Job Information tab has additional information: the Job Description, the Position Class, and the Evaluated? indicator fields are now displayed here. If Evaluated? is Yes, then the Position Class may not be edited here, it has been derived under the IPE methodology. If Evaluated is No, then a user may enter or edit the Position Class. This display is the same for Remuneration and Mercer WIN eipe users. The Grade field was renamed to My Grade. 32

33 Market Comparisons Tab On the Job Details pop-up, the Market Comparisons tab displays graphical presentations of market match data. The Market Comparison Graph tab was removed and information from it was consolidated onto the Market Comparisons tab. Benchmark Status, the market variance gauge and the Market Comparison Graph are displayed on this tab. This tab is not displayed for Mercer WIN eipe-only users. 33

34 Job Evaluation Tab On the Job Details pop-up, the Job Evaluation tab displays a summary of the evaluation data on the left side and it is not editable. The Job Evaluation tab is not displayed to Remuneration only users. Mercer WIN eipe Admins and Users may click the View/Edit Evaluation button on the lower section of the popup to reach the Evaluation Grid screen, where the evaluation may be edited. When the Job is not in edit mode (see below), the user may click on the Reference Job if present, and display the Reference Job Details pop-up. When the Job is put in edit mode, the right side of the screen displays editable fields for the associated Reference Job, Job Family, Job Sub-Family, Career Stream, and Career Level. The user may edit the Reference Job association. 34

35 Confirm Evaluation Data Copy When a user changes the Reference Job association, Mercer WIN will display a warning pop-up regarding changes to the Job Evaluation. The user may click Copy to overwrite the Job Evaluation with the Reference Job Evaluation or they may choose to click Link Only to link to the Reference Job and retain the existing Job Evaluation. Note: In this release there is a known bug when selecting Link Only, the Job Family, Job Sub-Family, Career Stream, and Career Level drop-downs will change to the values in the Reference Job. Nothing will be saved until the user clicks Save or Save and Close on the Job Details. ATTACHMENTS TAB On the Job Details pop-up, the Attachments tab provides the user a place to store document files relevant to the Job record. Maximum of three files are allowed. The maximum file size is 4 MB. Any type of file is allowed. Files may be overwritten if the filename of the old and new file are exact matches. A file may deleted by clicking the red X. Once deleted the file cannot be recalled. Attachments are available to any user with permissions to view the Job. Attachments are also allowed on Reference Jobs, and Organizations. Mercer WIN eipe Admins and Users may access Reference Job Attachments from the Reference Job Details pop-up, on the Attachments tab. Remuneration Administrators, Mercer WIN eipe Admins and Users may access Organization Attachments from the Organization Details pop-up, on the Attachments tab. 35

37 JOB EVALUATION GRID A Mercer WIN eipe Admin or User may reach the Job Evaluation Grid screen from Job Details pop-up by clicking the View/Edit Evaluation button. The Job Evaluation Grid screen is not available to Remuneration-only users. Users may select cells in the grid for each factor to calculate an evaluation. The Calculate button will show the Total Points and Position Class that result from the selected values, but these are not stored until the user clicks Save or Save and Close. Click the Next button to navigate through each factor in order: Impact, Communication, Innovation, Knowledge, and Risk. Following Risk is the Summary screen. The user may also click on the factor names shown on the left to navigate directly to that factor s grid, or directly to the Summary screen. The user may save a partial evaluation, for completion at a later time. If the job is linked to a Reference Job, then the grid will be color coded to indicate the reference evaluation and some cells will not allow selection. 37

38 Summary display When the user has navigated through each factor, or clicks on Summary in the left panel, the Summary screen is displayed. The summary allows a user to enter numerical values directly for each dimension, also known as column edit. Note: Certain combinations of dimension values are not allowed per IPE methodology. 38

39 REFERENCE JOBS SEARCH REFERENCE JOBS A Mercer WIN eipe Admin or User may search for Reference Jobs after the Reference Jobs Library has been populated from the MUPCS Catalog by a Mercer WIN eipe Admin. The Reference Job Search screen is accessed from the Home Page by clicking Search My Reference Jobs in the I Want To widget, or by clicking the My Library button in the carousel. A user may click on the Reference Job to display the Reference Job Details. 39

40 A user may also select some or all Reference Jobs in the Search screen and then click Continue to display the Reference Jobs Results Page. REFERENCE JOB DETAILS Description tab Mercer WIN eipe Users and Admins may display the Reference Job Details pop-up and view the Reference Job information. The Edit button is only available to Mercer WIN eipe Admins, allowing them to modify Reference Job information. Reference Evaluation tab 40

41 On the Reference Job Details pop-up, the Reference Evaluation tab allows a Mercer WIN eipe User or Admin to view the Reference Evaluation dimension values. A Mercer WIN eipe Admin may edit the Reference Evaluation dimension values. All Organization sizes from 1 through 20, inclusive, must be accounted for in this table. Reference Evaluations may be set up with different values by Organization Size, or one set of dimension values may apply to all organization sizes. A Reference Evaluation may be copied to a Job Record when a Mercer WIN eipe User or Admin associates a Job to a Reference Job, through the Job Details pop-up. When an association is made between a Job and a Reference Job, the user will choose whether to copy the Reference Evaluation or retain an existing Job Evaluation. If the user chooses to copy the Reference Job Evaluation, then the Mercer WIN system will copy the dimension values that correspond to the Job s Organization Size. If the Job organization is not sized, no evaluation information will be copied to the Job. 41

42 My Jobs Tab On the Reference Jobs Detail pop-up, the My Jobs tab lists all the Job records that are associated to this Reference Job. A user may click on the Job to display the Job Details pop-up. Associated Jobs may share the same Evaluation, Job Family, Job Sub-Family, Career Stream, and Career Level as the Reference Job. A user may have changed some or all of these values on the Job, but retained the association to the Reference Job. Attachments tab On the Reference Jobs Detail pop-up, the Attachments tab provides the same functionality as the Attachments Tab on the Job Details pop-up. 42
