1 Title: Department: Reports To: Student Success Vice President - Student Success & Enrollment Management : August 2012, January 2018 Purpose, Scope & Dimension of Job: Purpose: Managers at Mott Community College are accountable for eight key results as follows: 1. Planning and Execution: Managers are paid to get results through others. They are accountable for the production of others as well as self; they make the right things happen the right way. This includes ensuring that departmental operations are executed successfully and planned results are obtained; delegating appropriately; monitoring activities of subordinates; creating an environment so that subordinates can accomplish their assignments; responding to the needs of the department s clients/customers; conducting necessary planning and organizing efforts, and coordinating and integrating activities and efforts within and outside of their own department. 2. Improvement: Maximizing the performance of their own department. Making the College organization stronger (more efficient, more effective). Providing appropriate leadership to insure that departmental operations are improved; contributing to college-wide improvement efforts. Identifying the need for change (identify goals and objectives); taking initiative; fostering a climate where subordinates generate suggestions for change. 3. Strategic/College Perspective: Incorporating consideration of the broader organizational perspective into tasks and assignments (affirmative action, for example); integrating the interests of stakeholders into planning, decision making and action. Conducting self as a spokesperson for College and as a member of the management team. Work collaboratively with other managers across the organization, subordinating departmental interests to broader College interests when appropriate. 4. Develop Subordinates: Help them to maximize their contribution to the organization and to grow professionally. Take corrective action with subordinates when performance needs improvement. Foster effective teamwork. 5. Relationships and Communications: Build effective relationships both within and outside the department; seek input from and maintain effective ongoing communication with others. Manage conflict to ensure least disruption to organization. 6. Problem Solving/Decision Making: Analyze business problems; create effective solutions; exercise good judgment. 7. Safety: Create a safe work environment; manage risks; reduce exposure to liability. 8. Behavior: Be a role model for subordinates; set the example. Purpose, Scope & Dimension of Job: Page 1 of 5
2 The Director is responsible for the administration, supervision and operation of grant projects within the Student Success Center/Disability Services Department. The Director leads the efforts of project teams and support staff in developing, implementing and managing specifically the Student Support Service and Perkins grant programs. In addition, the Director is responsible for managing and overseeing the support services areas of Disability Services and Tutorial Services. Works closely with other areas in Administration and Student Success to provide comprehensive academic support services for Mott Community College students to foster an institutional climate supportive of the success of students who are low-income, first generation, disabled, limited English proficiency or those who are otherwise considered non-traditional college students. Supervisory Responsibility: Supervises and evaluates five (5) full-time professional technical employees, one (1) full-time administrative support employee, one (1) full-time temporary employee, up to five (5) part-time student workers, and five to ten (5-10) part-time peer tutors. Essential Duties/Major Accountabilities: 1. Responsible for management of TRIO and Perkins programs, including development of grant proposals, monitoring of services, budget management, reporting requirements and liaison with funding agencies. 2. Develops and implements procedures for student interviews/selection, monitoring and assessment of student progress in accordance with program and grant guidelines for eligibility. 3. As approved by the Vice President, seeks additional funding to enhance Student Success Center activities for students beyond the budget constraints of the college. 4. Develops strategic goals and objectives for the Learning Center/Disability Services. 5. Supervises and evaluates professional technical, secretarial and support staff, including part time, contract, and student employees; recommends hiring, discipline and discharge of personnel. 6. Assists the college s efforts in compliance with ADA regulations and provides leadership in responding to inquiries and guidelines. 7. Works in collaboration with other areas in Student Services to provide comprehensive academic support services for students to foster an institutional climate supportive of the success of students who are low-income and first generation. 8. Serves as the first appeal level for student complaints regarding disability rights violations. 9. Oversees the Tutorial Services department including peer and professional tutoring services for all Mott students. 10. Develops and implements procedures for intake, monitoring and assessment of student progress in accordance with program and grant guidelines for eligibility. 11. Ensures the Coordinators are building and maintaining relationships with four year schools by promoting a highly successful student cohort group year after year. Acts as the chief promoter of student s in the program to their transfer schools of choice. Page 2 of 5
3 12. Ensures the Coordinators are developing and preparing cohort students for transitioning and completion either at Mott or a 4 year institution or entering the workforce. 13. Responsible for assuring that all electronic and print documentation is maintained on individual students for each grant funded project. 14. Serves on institutional committees to advocate for institutional policies and practices that are supportive of non-traditional and disadvantaged students. 15. Timely and consistent attendance. 16. Performs other duties assigned. Minimum Required Knowledge, Skills, and Abilities: 1. Master s degree from a regionally accredited institution of higher Education. 2. Four years of professional experience working with students, two at the postsecondary level required. 3. Two years managerial/supervisory experience including budget development and management. Demonstrated knowledge and awareness of ADA, 504 compliance and Perkins measures as it relates to the post-secondary setting. Can be concurrent with #2. 4. Excellent interpersonal, verbal and written communication skills and thorough understanding of and sensitivity to the special concerns of students who are members of a minority, disadvantaged or who have a disability. 5. Evidence of effective use of computer technology. 6. Thorough understanding of and sensitivity to the special concerns of students who are minority or disadvantaged or who have a disability. Additional Preferred Qualifications: 1. Experience in TRIO or with disadvantaged or nontraditional students. 2. Demonstrated knowledge of grant writing and management. 3. Knowledge of basic ASL and disability accommodations. 4. Experience with one-on-one counseling. 5. Understanding of basic accounting. Examples of Work Assignments: Annual Grant Performance Reports which includes data gathering, ensuring compliance with established regulations, accurate preparation of the report, getting appropriate signatures, and proper submission of the document. Review of various budgets including initial budget set-up annually, budget balance reviews, projections for fiscal year spending and year end balances. Making decisions on spending to ensure all budgets balance properly and the needs of the department are met. Page 3 of 5
4 Physical Requirements: 1. Must be able to remaining a stationary position most of the time. 2. Must be able to communicate with student in person and on the phone 3. Occasionally move boxes and files up to 15 pounds. 4. Frequently operates a computer. Hours/Schedule: Full time position. As a director, this person must work the hours necessary to fulfill the functions and roles of this position. Schedule will occasionally include evenings and weekends. Potential requirement to attend weekend or weekday overnight field trips. Page 4 of 5
