1 UCLPartners Human Factors Programme 2018 Information for Applicants About UCLPartners UCLPartners brings together people and organisations to work in partnership to transform the health and wellbeing of the local population. When UCLPartners was first created in 2009 the founding partners recognised the need and challenge to learn and apply partnership skills for the overall benefit of the populations served. This continues to be the sustaining foundation on which UCLPartners work is built, and today partnership approaches to health and care challenges and the need for every partner to develop and utilise these skills are at the forefront of the national and global agenda in discovery science, innovation into practice and population health. UCLPartners is an academic health science partnership with over 40 higher education and NHS members. Our role is to create a fertile ground for partnership working and to champion collaboration across the entire health and care system, addressing areas that add most values to patients, populations, the NHS and social care. As a company, we catalyse improvements at greater scale and pace than individual partners can achieve alone. Background Improvement has never been more important for the health and social care. The 2013 Berwick report on patient safety, A promise to learn: a commitment to act, stated that the most important single change in the NHS would be for it to become, more than ever before, a system devoted to continual learning and improvement of patient care, top to bottom and end to end. The Berwick report also stressed improvement requires investment and a system of support: the NHS needs a considered, resourced and driven agenda of capability-building in order to deliver continuous improvement. Vanguards, New Care Models and the Sustainability and Transformation Plans (STPs) are focusing on improving care for individuals, organisations and populations, focusing on removing the barriers between primary care and hospitals, between physical and mental health and between health and social care. Improvement and leadership capability is integral to their success and sustainability. One of UCLPartners key aims is to find, support and empower people with the drive and talent to be improvement leaders within organisations and professional communities. We are a partnership organisation that connects people with shared interests and needs beyond traditional institutional boundaries. When connected and appropriately supported, each partner organisation is able to achieve better results for patients and achieve greater satisfaction through the work they do.
2 The UCLPartners Human Factors Programme The objective of this programme is to provide the opportunity for up to five organisations within the UCLPartners geography to start developing in-house Human Factors expertise. The attendees (three participants from each organisation) will gain knowledge around Human Factors and team-working, and opportunities will be provided for discussion around how participants will incorporate their knowledge into training going forwards whether that be classroom, simulation or workplace based. Ultimately the objective is to improve outcomes for patients, to ensure that Safe by Design becomes every day practice. Overtime, we also hope that participants will become part of the growing UCLPartners Improvement Network and will also contribute and become part of the emerging UCLPartners Human Factors faculty. Programme structure and deliverables The ten-month programme consists of three elements: one week of in-person training, five workshops, and four site visits to each organisation. Details below: 1. Initial training course - Five days of interactive classroom teaching and training practice The format of the five days will be; - Days 1 to 3 Foundation course in Human Factors awareness - Day 4 Group discussions on each module* with case studies - Day 5 Workshops on taking the knowledge forward What next? Delegates will gain the knowledge and skills to integrate Humans Factors into existing training Delegates will learn to run their own in-house introduction to Human Factors course The course will involve in depth analysis of each module* of the course, the key learning points and points for discussion. *Modules to include: Introduction including the system model, and threat and error management Non-technical skills behaviour markers How people make errors recognition of the limitations of the human brain Why people violate the rules attitudes to rules and processes Stress and error Situation awareness Individual and team decision making Communication Dealing with difficult people Leadership and team working in a clinical setting Personality types and self-awareness Strategies to promote an appropriate hierarchy gradient Adherence to safety protocols and checklists Briefing the team Debriefing.

Follow up support Five one-day workshops At these workshops delegates will: Review training material Discuss local initiatives Troubleshoot issues they are having within their organisations Share learning. 3. Follow up support Four site visits per organisation Fees Each participating organisation will receive four site visits to support the programme participants to share and embed learning into their organisation Visits will also give an opportunity to observe and give feedback on initiatives and plans participants are working on locally Participants will have the opportunity for 1:1 coaching during these visits. The UCLPartners Human Factors programme is available free of charge to participants from our partner organisations, however we will expect full commitment, participation and engagement in the programme. The commitment The expectations of participants: Have sufficient time and resources to actively participate: A minimum time commitment of 14 full days between February and October 2018; including the 5-day training course, five work shop days and commitment to make time for the four site visits (key dates detailed below) The support and explicit commitment of your employer to participate in the programme including travel time and cost to and from events Commitment for the period of the programme and to remain an active part of the UCLPartners Improvement Network and Human Factors Faculty following the programme, unless circumstances mean you need to withdraw. 4 Workshop 4 Workshop 5 Site visits x 4 Thursday 13 th September 2018 (9am 5pm) Friday 12 th October 2018 (midday to 4pm) Dates to be arranged between UCLPartners, participating organisation and Atrainability between April and October 2018 these will be agreed prior to the programme starting with each organisation (one date per month for each organisation): April: 5 th, 6 th, 12 th, 13 th or 18 th June: 7 th, 8 th, 14 th, 15 th or 22 nd August: 13 th, 14 th, 15 th, 16 th or 17 th October: 3 rd, 4 th, 10 th, 11 th, 18 th Principles of participation: Behave in a way that supports learning. For example: respecting and valuing diverse perspectives, being open in sharing successes and challenges with peers Willingness to share learning and to support others Actively support other participants in their learning and application of learnings Share learnings with others in your personal networks. For example: inviting colleagues to join site visits where appropriate and incorporating new knowledge into local work or training Share both successes and challenges of the human factors work you have been involved in, through events, communication activities or by publishing work Contribute to networking and communications activities associated with the programme. Willingness to help review and improve the programme: Contribute to the evaluation of the initiative, including: responding to surveys and participating in interviews or group discussions, and providing a description and/or publication of the impact that the programme has had on your work and your organisation. Professional, geographical and institutional diversity We recognise that there are many different organisations, institutions and roles who may want to join the programme and many different individuals who might form the organisation team. We are keen for organisations to put people forward who will champion Human Factors back in the organisation, who are committed and will make capacity to continue the training across the organisation and who will work to embed learning. The table below is an indication of organisations and roles but is not exhaustive.
5 Organisations Health care providers Commissioners GP Federations GP practices Others Professions and roles Senior manager or director (clinician or manager) with responsibility and influence for quality and safety/risk management (ideally someone who has a line to the executive board) A clinician someone who has influence with medical staff, including the consultant body A respected clinician, e.g.: nurse, midwife, AHP, HCA etc. who people can identify with An operational manager who has responsibility for service delivery Executive directors with responsibility for risk and / or quality Non-executive directors with responsibility for risk and / or quality Knowledge and experience We are looking for energetic and enthusiastic people with some experience and interest in human factors but more importantly for people who understand the significant impact human factors can have on service delivery and the benefits human factors can bring to patients, populations and staff. Personal attributes are important both because these are hallmarks of effective improvers, but also to maximise the effectiveness and impact of the group from the organisation but also the wider participating group. Characteristics that we are looking for include, but are not limited to: Facilitative and open style: people who seek and act on feedback, who collaborate, learn and share; people who are curious about others perspectives and can understand different ways of thinking Flexibility and comfort with ambiguity: people who see the potential in uncertainty and who can judge when to promote different perspectives and when to achieve consensus Orientation to others: people whose reflex is to focus on others development and needs rather than their own. Developing an Improvement Network across UCLPartners Participants of the Human Factors Programme will be invited to join the Improvement Network across UCLPartners. The Improvement Network will include a wide range of people including the following: Organisational and system leaders who are champions for improvement People (professionals and patients) working on human factors, quality and improvement initiatives across UCLPartners Other Fellows, such as the Q Initiative Fellows, UCLPartners Improvement Fellows, Darzi Fellows Members of the many communities of practice across UCLPartners Academics who focus on improvement science and research Educators who have an interest in improvement and human factors UCLPartners staff and external improvement leaders
6 Through a design collaboration between UCLPartners and network participants, we envisage the network will grow and be a strong, credible voice for improvement across the partnership. The network will also be a repository of diverse skills, knowledge and influence which can be deployed for benefit of the population we serve, as well as members of the network and their organisations. Application process Applications will be accepted through the online application form only (available here). The lead applicant should complete the form with input from the other applicants. Completed forms should be sent by to kate.hall@uclpartners.com by the closing date of 5pm on 21 November We will not be able to accept late applications and will only accept your first submission, so please ensure it is complete. Please note that the support of an Executive at your employing organisation is required before submission. Selection process and key dates The closing date for applications is Wednesday 21 November at 5pm. This deadline will not be extended for any reason and we encourage early submission to avoid technical issues preventing your application. Selection will be by application form and shortlisted applicants will be invited to interview. You will be notified by by 4 December whether your organisation will be invited for interview. Further details of what to expect at interview will be provided if you are selected, but no written preparation will be required. Interviews will take place on Monday 18 December and we would like 2 of the 3 nominated individuals to attend interview these individuals need to be those who will undertake the programme. Unfortunately, there is no flexibility with this date. As set out in the Application Form, a requirement of the programme is organisational support and participation in the full five-day course, the five workshops and the site visits (detailed above). You will need a signature from your organisational sponsor, who should be an Executive member of staff; applications without this will not be considered or shortlisted.
