2 Mittelstand goes Open Source With a turnover of over 100 million euro the Hagos eg with its headquarter in Stuttgart is market leader in Germany and Austria in the wholesale for handcrafted tile stoves and fireplaces. The 280 employees of the company, which was founded in 1919, serve over 2,800 clients nationwide with products around the fireplace and heating. From in total eight locations Hagos supplies retailers with components, materials and tools and also embraces cooperative tasks for the approximately 1,000 business members. Alexander Gonzalez Casin, Project lead Hagos: At the beginning of the project we were in close contact with the departments to query the technical requirements and specifications. From our experience the first phase of the project is the most significant. Who does not document the results of the workshops with the business users and align them with the business processes, will have numerous fights and extensive readjustments later. 2

3 Overcome current challenges with open source Since 1998 Hagos pursued a comprehensive open source strategy, which include the use of Linux, Open Office, etc. on the computers of employees. In 2007, the cooperative association decided to implement an ECM suite to meet the increasing demands of justice (GDPdU / GoBS) in the storage of documents. Further challenges arose from a growing archive of 110,000 paper invoices in the financial accounting and 600,000 packing slips in retail management. Both, the Hagos systems used in financial accounting as well as the ERP system should be connected via interfaces to the new enterprise content management system. In an initial market survey the decision makers at Hagos were especially convinced by the functional and interface diversity of the Alfresco ECM suite. After a proof of concept of it-novum GmbH the realization of the project began in October Integration through open interfaces The central element of the overall solution was the integration of a powerful input management system for capturing and processing of approximately 700,000 annually paper documents. For that Hagos chose Kofax, as in the Alfresco Community the necessary connectors and transfer scripts were already available. The focus of the technical implementation were a number of integration challenges. In addition to connecting the input management, these were mainly the Office integration and the archive solution based on an IBM DR 550. OpenOffice Integration The OpenOffice Plugin, developed by it-novum, consists of a very thin client component that implements only the communication with the office applications and retrieves all the features of a lightweight REST interface from the Alfresco server. This may benefit from future developments, without having the need to be changed and re-rolled - a not insignificant contribution to reducing subsequent costs of the project. 3

4 Information Lifecycle Management For the implementation of the archiving solution Hagos opted for a forward-looking approach, too. it-novum developed an open concept for a comprehensive information lifecycle management in which the IBM DR 550 archive solution used by Hagos is connected via a slim connector. Alternative hardware components can be integrated with little outlay in the solution. The module includes a powerful records management component with different features: Comprehensive configuration interfaces to improve the usability Storing individual retention policies and retention periods for different types of documents and files. Changing requirements can thus be implemented immediately Format conversions to TIFF, PDF and PDF / A Store all metadata information in XML format in order to secure a platform- and application-independent data recovery Guido Eichel, CFO of the cooperative: Instead of spending our budget for licenses, we were able to invest it in the clean concept, the functional rounding and the seamless integration of the entire solution in our IT environment. The strategic use of open source software is for us, therefore, also a commercially reasonable decision. 4
