5 Product Overview Schwab Automated Retirement Processing (SchARP) is a Web-based workflow management tool that third party administrators (TPAs) can use to automate payroll, fees, trading, reporting, and other activities inside and outside of your recordkeeping system. TPAs can design, schedule, and monitor repetitive tasks through workflows each workflow is easily customized or configured by the TPA s day-to-day recordkeeping operations team to best suit individual business needs. SchARP s open-architecture helps TPAs automate their recordkeeping operations, providing the flexibility to connect with both Schwab and non-schwab systems. Requirements (In-house clients only) Following are minimum technical requirements for SchARP: Microsoft Windows Workflow Foundation (free download available from Microsoft) Microsoft.NET 3.5 (free download available from Microsoft) Microsoft SQL Server 2005 SP1 Microsoft Windows Server 2003 SP1 SQL Recordkeeping Release 3.0 Note: If you are a client using our ASP, these requirements will be implemented automatically. 6 Automation Center Overview The core functionality of SchARP resides in the Automation Center, which includes the Designer, Scheduler, and Monitor, as shown below. March 2017 Schwab Retirement Technologies Page 6 of 70

7 SchARP User Options The options available to a SchARP user depends on the security access definition assigned to that user in Schwab RT Admin Security. One user may have access to all options in the Automation Center, while another user s access is restricted to the Workflow Monitor. One user may be designated as a fee processor and approver, another as a payroll processor. For details on Schwab RT Security, refer to the Schwab RT Operator Security User Guide. SchARP Automation Center The Automation Center includes the Workflow Designer, Workflow Scheduler, Workflow Monitor, as well as the Dashboard, which serves as the Home page. The SchARP Automation Center options are shown below: Refer to this overview document for detailed information on using Automation Center options. Fee Processor Options (Plan Center) SchARP fee processors have access to the Fees menu in the Plan Center. The Fees Templates page serves as the default Home page for fee operators. 8 Payroll Processor Options (Plan Center) SchARP payroll processors can access the Payroll menu in the Plan Center. The Payroll History page serves as the default Home page for payroll operators. 9 Fast Track (Automation Center) Fast Track procedures provide a convenient procedural roadmap for configuring and using core SchARP options. Complete configuration details for Payroll, ACA, Fee, and Trading options are provided in separate user guides. Prerequisite: Security access for Recordkeeping and SchARP operators must be defined using the Security options located in Schwab RT Admin. For details, refer to Schwab RT Operator Security User Guide. Configure Recordkeeping Log on to SQL Recordkeeping and complete the following tasks, saving all settings: C282 Define System Maintenance SchARP Settings p In SQL Recordkeeping, go to C282/RK SQL System Maintenance. 2. Define the appropriate SchARP Settings. C008 Set Advance System Date option p In SQL Recordkeeping, go to C008/Plan Index Maintenance>Add Plan Group. 2. Select Automatically Advance the Day check box (optional). SchARP Automation Options SchARP Users with access to SchARP Automation options can perform these tasks: Designer Build and Modify Workflows p In SchARP Plan Center, select Workflow Designer. 2. Select an existing workflow or create your own from the selection of business activities. Scheduler Schedule Workflows and Define Processing Parameters p In SchARP Plan Center, select Workflow Scheduler. 2. Assign a time for the selected workflow to run. 3. Define system, workflow, and business activity parameters. 4. Review and confirm the selected schedule and parameters. Monitor Monitor Workflow p In SchARP Plan Center, select Workflow Monitor. 2. Check the current status of a scheduled workflow. 3. View details of specific workflow steps by clicking workflow icon. 4. View output reports; review any exceptions and make corrections. 10 Using Automation Center Options SchARP Automation Center consists of four basic elements: Dashboard (Home), Designer, Scheduler, and Monitor. This section provides detailed illustrations and procedures for using each component. Logging On To access SchARP Automation Center options, the operator must log on to SchARP as a SchARP user with the appropriate access role(s). To log in as a SchARP User, do the following: 1. On your browser, enter the URL for your SchARP Web site. The SchARP User Authentication page appears. 2. Type your Username and Password and click Login. The SchARP Dashboard page and the Automation Center options appear. March 2017 Schwab Retirement Technologies Page 10 of 70

11 Single Sign-on for Sponsors, Advisors, and SchARP Users Schwab RT Web and SchARP allow users of both systems to switch directly between applications with a single click. From Schwab RT Web, Plan Sponsors and Financial Advisors can go directly to the SchARP home page, and vice versa. Single sign-on options also let Plan Sponsors and Financial Advisors toggle back and forth between the two Schwab RT Web sites. The single sign-on menu options in all three applications are illustrated below. Note: For rules on how Plan Sponsor and Financial Advisor skins are applied for the various Single Sign-on options, see Appendix C, Skin Application Rules. 12 The SchARP Dashboard When you log on as a SchARP User, the Dashboard shows a list of all outstanding exceptions that require your attention for a defined period of time. The Dashboard also provides a running list of your workflow history and shows which workflows are scheduled for future processing. All processed workflows are identified by color-coded status icons and time/date stamps. When you click on an item in the Dashboard, detailed information appears in the Details pane or on the SchARP Monitor page. Note: A horizontal green bar represents the current date and time, separating workflows that have processed from those scheduled in the future. 13 My Task List My Task List displays all workflows with current business exceptions and application exceptions that need to be resolved. When you click on a task, workflow step detail appears in the Details pane, as demonstrated below. March 2017 Schwab Retirement Technologies Page 13 of 70

14 Scheduled Workflows The Scheduled Workflows area of the Dashboard displays a list of workflows that are scheduled for a future time. Scheduled workflows are listed alphabetically by workflow name. When you click on workflow name, all occurrences of the workflow display in the Details pane. When you click on a workflow occurrence in the Detail pane, the Monitor page shows details for the selected workflow occurrence. March 2017 Schwab Retirement Technologies Page 14 of 70

16 Defining Dashboard Date Ranges A configuration button in the upper right corner of the Task List lets you define date ranges for the Task List, Workflow History, and Scheduled Workflows. The Dashboard configuration window appears below. March 2017 Schwab Retirement Technologies Page 16 of 70

17 Designer Designer provides a graphical workspace where you can select workflows and modify them to suit your business needs. SchARP includes a library of predefined workflows that you can modify by arranging different business activities in a logical sequence of work, compatible with plan requirements. You can also build your own workflow from scratch, using predefined or custom business activities. March 2017 Schwab Retirement Technologies Page 17 of 70

18 Building a Workflow To build a workflow, you simply drag business activities onto the canvas and arrange them into a logical work sequence. Once a business activity is incorporated into a workflow, it is referred to as a workflow step. The same business activity can occur more than once within the same workflow. 19 Workflow Canvas Toolbar When you open Designer, the Workflow Canvas toolbar appears. You can use these options to create, select, save, copy, and delete workflows. Loading a Workflow To load an existing workflow, do the following: 1. On the Workflow Canvas toolbar, click Load. The Load Workflow field appears. 2. In the Load Workflow field, select the appropriate workflow. 3. Click Load. The workflow displays on the Workflow Canvas. Saving a Workflow To save a workflow, do the following: On the Workflow Canvas toolbar, do one of the following: To save a workflow using the current file name, click Save. To create a copy of a workflow and save it under a different name, click Save As. The Save Workflow As field appears. Type the new file name and click Save. Deleting a Workflow To delete an existing workflow, do the following: 1. On the Workflow Canvas toolbar, click Delete. The Delete Workflow field appears. 2. In the Delete Workflow field, select the appropriate workflow. 3. Click Delete. The workflow is deleted. March 2017 Schwab Retirement Technologies Page 19 of 70

20 Customizing Workflows Modifying a Predefined Workflow To make a copy of a predefined workflow and customize it for your site, do the following: 1. On the Workflow Canvas toolbar, click Load. 2. In the Load Workflow field, load one of the following predefined workflows. 3. To add or replace a workflow step, do the following: a. Position your cursor over the appropriate business activity icon at the left. b. Click the right mouse button and, holding it down, drag the icon to the workflow canvas at the right. c. Release the mouse button over an existing workflow step or over the box labeled Drag business process here. 4. To remove a workflow step, click and drag it to the left until it disappears. 5. Click Save As, type a new name for the workflow (maximum length of 40 characters), and click Save. Creating a New Workflow To create a new SchARP workflow, do the following: 1. On the Workflow Canvas toolbar, click New. 2. Use the following procedure to create the first step in the workflow: a. Position your cursor over the appropriate business activity icon at the left. b. Click the right mouse button and, holding it down, drag the icon to the workflow canvas at the right. c. Release the mouse button over the box labeled Drag business process here. 3. Repeat the previous step for each additional workflow step. 4. Click Save As, type a name for the workflow (maximum length of 40 characters), and click Save. 21 Scheduler You can use the SchARP Scheduler to manage repetitive tasks by scheduling workflows to run automatically. You can schedule a workflow to run one time only or you can run the workflow on a recurring basis, at a certain time and day for a specified date range. After scheduling a workflow, you can define various parameters that determine how the workflow will be processed. Scheduling a Workflow To schedule a workflow for processing: 1. On the first page of the Scheduler, do one of the following: a. To set up a schedule of processing for a workflow, select Run on Schedule, if it is not already selected. b. To schedule a workflow to run one time only, select Run Once. 2. Complete the fields for the scheduling option you selected in Step 1. Refer to field definitions for assistance. 3. Click Next Step. 4. Define the necessary system, workflow, and business activity parameters. When finished, click Next Step. 5. On the Confirm Schedule page, review the information and click Confirm. 22 Run On Schedule This option allow you to set up a processing schedule for a workflow. The fields associated with this option appear below. Field Definitions Fields for the Run on Schedule option are defined below: Run on Schedule Select Workflow Select Time Recurrence Pattern Range of Recurrence Define a processing schedule for a workflow. Select the workflow to be processed. Choose the time of day when processing will begin. Indicate if the selected time is AM or PM. Check the day(s) of the week when the workflow will be processed. Type or select a Start Date and End Date. To repeat the schedule indefinitely, click No End Date. Note: To select a date, click and click on the calendar. Run Once Option Use this option to run the workflow one time only. The fields associated with this option appear below. March 2017 Schwab Retirement Technologies Page 22 of 70

23 Field Definitions Fields for the Run Once option are defined below: Run Once Select Workflow Run Now Select Time Select Date Define a processing schedule for a workflow. Select the workflow to be processed. Check this box to run the workflow now. If selected, the time and date fields become unavailable. Choose the time of day when processing will begin. Indicate if the selected time is AM or PM. Select the date when the workflow will run. Note: To select a date, click and click on the calendar. 24 Defining Workflow Parameters After deciding when the workflow will be processed, you ll have an opportunity to define various parameters that determine how the workflow will be processed. SchARP uses system level, workflow level, and business activity parameters, as defined below. System Parameters System Parameters are global settings defined in the RK SQL System Maintenance module (C282) in Recordkeeping. These settings cannot be changed in SchARP. Workflow Parameters Workflow parameters are settings that apply to all business processes within the workflow. The following workflow level parameters are included in the initial release of SchARP. Turn Debug On Stop Workflow on Exception If this option is selected, a text file is created in the Work Path directory for debugging purposes. This file includes a data listing to help determine how far the business activity executed before an exception occurred. Reports generated by the business activities are also saved to the network. The debug file is always created but it is deleted if the debug option is turned off and the business activity finishes without exceptions. If this option is selected, the system automatically terminates workflow processing when a business or application exception occurs. Business Activity Parameters Business activity parameters are settings that apply to specific business activities included as steps within the workflow. These parameters are defined during the scheduling process using SchARP Scheduler. Where applicable, runtime parameters override the corresponding SchARP system level settings. See Appendix B, Designer Dictionary for details on all SchARP business parameters. March 2017 Schwab Retirement Technologies Page 24 of 70

25 Confirming the Schedule The last step in the scheduling process is to review the scheduling and parameter settings you selected. This information is consolidated for you and displayed on the Confirm Schedule page, shown below. After verifying that this information is correct, click Confirm to commit the schedule or Cancel to discard the information and return to the beginning of the scheduling process. 26 Modifying System Scheduled Workflows Payroll and other workflows that are automatically scheduled to run by the system are accessed from the Modify System Scheduled Workflow tab, shown below. The tab allows you to modify system scheduled templates and their processing parameters. Modifying Payroll Templates To modify a system scheduled workflow template, do the following: 1. Log on as a SchARP User with appropriate access security and select Scheduler. 2. Click the Modify System Scheduled Workflow tab. 3. In the Select System Workflow field, select the appropriate template and click Modify Template. The template opens in Designer. 4. Modify the template as necessary click Save. Modifying Workflow Parameters To modify runtime parameters of a system scheduled workflow, do the following: 1. Log on as a SchARP User with appropriate access security and select Scheduler. 2. Click the Modify System Scheduled Workflow tab. 3. In the Select System Workflow field, select the appropriate template and click Load Parameters. The available parameters are displayed for modification. 4. Make the necessary modifications and click Save Parameters. March 2017 Schwab Retirement Technologies Page 26 of 70

27 Monitor You can use the Monitor to view all scheduled workflows for the current day s processing schedule or for any past or future date. A color-coded legend lets you visually identify the status of any scheduled workflow. You can also drill down to detailed output and error information for each step in the workflow process, showing what steps have been completed successfully and what steps have exceptions that require intervention. For each workflow, a link is provided that displays the workflow parameters selected at the time of scheduling. In addition, notifications are sent to confirm that workflow packages ran and report any exceptions. The Monitor also provides links to output reports. 28 Workflow Status Bar Monitor show the current status for each workflow that was processed during the selected period. The components of the status bar, and the status legend, are identified below. Selecting a Workflow Processing Date When you open the Monitor, you ll see the status for each workflow scheduled for processing on the current date. To select a different date, you have two basic options. For dates that occur during the current week, it s easiest to select a date from the sliding date bar. For more distant dates, you can type the date or select it from the pop-up calendar, and click Go. March 2017 Schwab Retirement Technologies Page 28 of 70

29 View Workflow Status and Detail When you select a processing date, the system displays all workflow jobs scheduled for that day. Each workflow is represented by a color-coded workflow status icon and stamped with the processing time. The plus sign to the left of the workflow name expands to show the status, start time, end time, and output results for each step in the workflow. The output section includes links to reports and exception handling options. Note: When a business exception occurs, it impacts only the workflow step that generated it; processing of other steps in the workflow continues, unless the Stop Workflow on Exception parameter is selected. However, when an application exception is encountered, processing of all steps in the workflow terminates. March 2017 Schwab Retirement Technologies Page 29 of 70

30 Viewing and Canceling Workflows From the Monitor, you can access the Workflow Information page, previously defined in Scheduler, by clicking View at the far right of the workflow status icon. Click Cancel for options to cancel the current occurrence of the workflow or all future scheduled occurrences of that workflow. For information on modifying workflows, see Modifying Workflows. 31 Modifying Workflows You can modify future occurrences of a scheduled workflow by clicking the Modify link in the SchARP Monitor (see previous illustration). The modification option lets you change the workflow parameters only. You cannot modify the sequencing of the business activities within the scheduled workflow. Only current or future workflows with a status of Ready can be modified. Workflow changes are applied to the selected date and to all future dates in the scheduled date range of the workflow. Workflow changes are not retroactive. To modify a workflow, do the following. 1. In Monitor, select the date of the workflow occurrence you want to modify. 2. Locate the appropriate workflow and click Modify. 3. Click Yes at the prompt, Are you sure you want to modify the parameters of workflow <Name of Workflow>? 4. On the Modify Parameter page, make the necessary modification and click Next Step. 5. On the Confirm Parameter Modifications page, review the information and click Confirm. The system creates a new workflow with a different workflow ID and removes the original occurrence, as shown in the example below. March 2017 Schwab Retirement Technologies Page 31 of 70

32 The following scenario shows what happens if you make another modification to a future workflow occurrence that precedes the first modification. The system generates a new workflow, with a new workflow ID, and cancels any future occurrences of that workflow. In other words, the last modification made to a workflow occurrence replaces all future occurrences of the workflow. For reference, the cancelled workflow is retained in the Monitor log on the date of its initial modification in this case, 12/5. The best practice is to make any future modification in chronological sequence; that way you ll avoid cancellation of future occurrences. The Monitor display below shows an example of a cancelled workflow (gray status) and a modified replacement workflow (clear status). Notes: For workflows that need to be modified for just one day, such as holidays, they must be canceled and rescheduled. If the modify function is used for this purpose, then all future workflows will be stored with the new parameters. The workflow ID displays at the top of the Workflow Information page when you click the View link for a workflow. March 2017 Schwab Retirement Technologies Page 32 of 70

33 View Output Report The file extension, format, and storage location for your SchARP output reports is determined by the SchARP Settings in C282/RK SQL System Maintenance. Note: If you want your reports saved to the network, you must select the Save Reports to Network option on the SchARP Settings window in C282/RK SQL System Maintenance. Otherwise, reports will be saved to the database. A sample output report in.pdf format appears below: Workflow Exceptions The Exceptions page appears when you click the Handle Exceptions link in the Output column of the workflow detail grid. The initial view of the Exceptions page lists requests that did not process during the current workflow run. Alternately, you can choose to view all rejected items for specified date period. Each request includes an error code and detailed description. After taking corrective action, you can choose to reprocess a request or archive it without reprocessing. If you leave an item in the current reject status, the record will not be reprocessed and will continue to display on the Exceptions page. All exceptions are tracked in the database for further review. Note: For the initial releases of SchARP, Process Participant Requests is the only business activity that can be handled from the Exceptions page. 34 Handling Exceptions To access and process workflow exceptions, do the following: 1. On the Monitor page, click the workflow status icon. In the Output column of the workflow step detail, click Handle Exceptions. The Exceptions page displays all errors encountered during processing of the current workflow. 2. To view all exceptions for a specified date range, do the following: a. Select View All Exceptions. b. Enter the Begin Date and End Date. c. To view all rejected items for the date range, click View Rejected. d. To view all archived items for the date range, click View Archived. e. Click Refresh. 3. For each exception, review the error code and description and take the appropriate corrective action. 4. Choose one of the following processing options: a. Reject If you leave the exception in Reject status, the record will not be reprocessed and will continue to appear on the Exceptions page. b. Reprocess Select this option to reset the status to pending and process the record again during the next scheduled workflow run. If the condition that caused the error was corrected, the record will be processed successfully during the next execution of the workflow. If the error was not corrected, the same record will appear on Exceptions page in the future. This option is available only on the Exceptions page for the workflow that generated the error. c. Archive Select this option to store the record in history. Archived records will not be reprocessed and will not reappear on the Exceptions page. 5. Click Update to save your selections. 6. 36 Viewing All Exceptions for Selected Date Range The View All Exceptions option lets you view all exceptions for a specified date ranges. Additional options to view or suppress rejected and archived items give you additional control over the type of exceptions displayed for the date range. 37 Exceptions Notifications Link on Workflow Status Legend You can access business exceptions from the workflow status legend on the main Monitor page, shown below, or on the Dashboard. When you access exceptions from this link, the Exceptions page displays. To view business exceptions, you must select a date range. Options for viewing current workflow exceptions are not available in this generic view. March 2017 Schwab Retirement Technologies Page 37 of 70

38 Appendix A: Designer Dictionary This section defines the purpose and runtime parameters for each of the business activities available in SchARP Designer. These parameters are defined during the scheduling process using SchARP Scheduler. Where applicable, runtime parameters override the corresponding SchARP system level settings. Note: The name Charles Schwab Trust Company (CSTC) has changed to Charles Schwab Bank. Advance System Date Purpose Provides SchARP automation for Start a New Day (C000), which is used to begin a new processing day, updating system data to prepare for further processing. Business Activity Parameters Runtime options appear below. Number of Days to Advance Ignore Last Processed Date Auto Rebalance Determines how many days to move the system date ahead in the future. Typically, the option is set to 1 to increment the system by one day. Exceptions are weekends and holidays when the next date for the system is not the next calendar date. Determines whether or not to advance the system date. There may be times when the Advance System Date business activity is called from multiple workflows in a single calendar day. If so, you will not want the system date to increment each time but rather control which workflow advances the system date. If Ignore Last Processed Date is selected, then the workflow advances the system date. If Ignore Last Processed Date is not selected, then the workflow will not advance the system date. Purpose Provides SchARP automation for the Automatic Portfolio Rebalancing Cycle Monitor, which automatically polls and updates the database to determine when balancing is required for each participant in an investment portfolio. Note: Prior to using this business activity, you must delete any scheduled Windows tasks set up to run the previous version of the poller (srtarwin.exe). To delete a scheduled task, go to Control Panel>Scheduled Tasks, select the task, and click Delete. For complete configuration requirements, refer to Automatic Portfolio Balancing, available from the Resource Center at schwabrt.com. Business Activity Parameters Print Detail. Schwab recommends that you run this activity on a daily basis, without an end date. Events are created a specific number of days before or after a key date, based on the event type. Events are not automatically created outside of this specified window of time, so schedule this activity to run at regular intervals (at least once a day). Compliance Starting Date Participant Fee Disclosure Starting Date For example, if the lead time for payrolls is three days, then payroll events are created no more than three days in advance, but not after, the payroll date. Use the Starting Date setting along with the Run Now option to create all Compliance events that are eligible for creation from the specified start date to the current date. VRS/OPI Refresh Deactivation Notice: With Release 3.0 and the elimination of Pervasive and Btrieve, this business activity is deactivated but retained in SchARP Designer for historical purposes. If you run a workflow that contains VRS/OPI Refresh, you will receive an application exception. Purpose Provides SchARP automation for VRS/OPI Refresh (C551), which is used to update Schwab RT Web, Voice, and Call Center applications with the latest participant and plan inquiry information from the Recordkeeping database. Monitor Events with Notifications Purpose Monitors the status of payrolls and sends the required notifications to designated users, based on system-level and plan-level monitoring settings. This option is identical to the Print Detail option on the Realign Programs window in Investment Program Allocation/C067. Select this option to rebalance all IPMs/plans whose next rebalance date is the same as the current system date. The next rebalance date is calculated based on the rebalance settings at the IPM and plan level. Recommendation: The Investment Program Allocation business activity should be scheduled to run every day if the current date process option is used. Select this option to process realignments for a specified number of past days, starting with the Begin Date you provide and ending with the date on which the workflow runs. The system will rebalance any unprocessed IPMs/plans scheduled during that period. See Begin Date Processing Examples below. Recommendation: The begin date process option should be selected only when using the Run Once scheduling option to process the workflow. Purpose Used by the Automatic Contribution Arrangement (ACA) program to determine which participants to notify, when to notify them, and the type of notification to send. Business Activity Parameters When scheduling workflows that include ACA notification activities, you are prompted to select which ACA-enabled plan(s) to include in the workflow job. Updates the Date of Participation with the Date of Eligibility. The option is not selected by default. If DOE Accepted option in Participant Inquiry (Census>Dates) is not selected and the calculated Date of Eligibility is within the Number of Days to Determine Elig (see definition above), then replace the Date of Eligibility on file with calculated Date of Eligibility. Not selected by default. Select a participant status code for plans that allow Auto Enrollment and for plans that do not allow Auto Enrollment. Purpose Provides SchARP automation for RK SQL Report Generator (CP50). Business Activity Parameters After scheduling the report workflow, you ll be asked to select the specific reports or report categories to be included in the workflow and then to define parameters specific to each report. Participant Data Validation Purpose Runs as a standalone workflow, independent of the event-driven CMA workflow, to validate and correct participant data for specific plans. Schedule to run on a recurring schedule (monthly, for example) or run on demand using the Run Now feature. Business Activity Parameters Runtime options determine the Cycle (Use Plan Year or Use Calendar Year) and the Plans to be included in validation processing. Validate Participant Addresses Purpose Optional workflow that provides ongoing validation, beginning with Online Enrollment. Generates a report for any participants who have electronic delivery preference selected but don t have a validated on file. Sends a validation to any participant who has an on the system but does not have an Validated Date populated. Business Activity Parameters The following table describes the behavior of each parameter and combination of parameters. This icon indicates options that generate s to participants. When you schedule a workflow that includes PIN Generation business activity, SchARP processes all plans and status codes selected in PIN Maintenance SchARP Settings and generates PINs for any participant who does not currently have a PIN. PINs are generated in the format required by SchARP PIN Settings in one of the following locations: SchARP PIN Generation Settings window in PIN Maintenance, if the Use Plan Level PIN Settings option is not selected, VRS/OPI window in Plan Maintenance, if the Use Plan Level PIN Settings option is selected. CMA File Search Purpose Retrieves reports, testing results and returns from an external compliance system and makes them available for the system-generated CMA workflow process. Recommendation: Run daily during compliance season. Business Activity Parameters None. Note: SchARP Compliance workflow uses an additional set of business activities that are controlled by system and plan settings and are not available for scheduling by the SchARP user. These additional business activities validate and share data, import test results, processe contribution returns, and generate trades. Notification The SchARP system automatically sends an notification whenever a workflow encounters a business or application exception. The Notification window allows you to enter the From address and Subject Line for SchARP notifications. addresses that display in the To field are defined through the Group wizard in Schwab RT Admin Security; you cannot modify these addresses here. Select the on Success check box to send s to the recipients upon the successful processing of a workflow. Otherwise, only exceptions trigger notifications. Note: This window is not used for SchARP Payroll notifications, which are systemgenerated and sent to recipients defined through the Group wizard in Schwab RT Admin Security. 64 Process Options Participant request Process Options are defined below: Segregate Batches by Plan Enforce Deferral Suspensions Process Locked Participants Non-Late Day Cutoff Time Late Day Cutoff Time To create separate batches for each plan/investment, select this check box or to include transactions from all plans/investments in the batches, clear the check box. This option enforces a plan rule that requires participants who stop contributing to the plan to be suspended. Before Schwab RT Recordkeeping can detect a contribution break, all deferral updates for all sources must be processed in the same ADT record. To suspend participants who stop contributing to the plan, select this check box. Select this check box to process participant requests whether or not they are locked out. Clear the check box to prevent processing updates for locked out participants. This check box does not reset flags for locked participants. For plans and funds that do not participate in late day trading, this field determines the cutoff time when same day exchanges are not performed. After this time, participant requests are omitted from the current update. In order to be processed with the current update, the request must be submitted prior to this cutoff time. Any participant requests submitted after this are processed with the next update. If the PAS Server is located in a different time zone, you must adjust the cutoff time to match the time zone of that server. For example, if you are on the West coast and the server is on the East coast, add three hours to the cutoff time. Default setting is: This field determines the late day cutoff time after which participant requests are omitted from the current update. In order to be processed with the same-day update, the request must be submitted prior to this cutoff time. Any participant requests submitted after this are processed with the next update. If the PAS Server is located in a different time zone, you must adjust the cutoff time to match the time zone of that server. This check box determines whether the system prints a report that lists the total number of investment changes, deferral percentage changes, and investment transfers by plan. This check box determines whether to export activity requests submitted through VRS/Web/Customer Service to one or more text files. The files can be used to generate confirmation letters for activities performed during the update or to process loan and in-service withdrawal requests manually. Type or select a path location for the file in the Location field. The files are named Vmmddyy9.act and Vmmddyy9.rej, where mmddyy is the current system date, 9 is the number of the file produced (1-9) on that date, and the file extension indicates whether the requests were valid (.act) or rejected (.rej). Example: You run the update on March 6, 2007 with the Export Activity Requests check box selected. The files produced would be V act and V rej. Select this option to print the Deferrals Report. Type or select the path location for the file in the File Name field. Select this option to print the Daily Enrollment Activity Report. Type or select the path location for the file in the File Name field. Select this option to print the Loan Amortization Report. Type or select the path location for the file in the File Name field. Select this option to prevent Social Security numbers from printing on the Loan Amortization report. Click Reload Paths to refresh the window for Paths that have been locked by another application.
